Please refer to the Spam Control section of this manual. **Web mail users: Web mail provides you with the ability to access your email via a browser using a "Hotmail-like" or "Outlook 2003 like" interface. 1
Getting Messages After logging into Web mail, the Read Message dialog will be shown. It is a default page which is shown after logging in. You can also set your own welcome page which can be shown before the Read Message dialog. By default, three sub-windows are shown: Folders List Messages List Message Preview If you select any message in the Messages List, the selected message is previewed in the bottom subwindow. 3
Adding a Folder or Sub folder You can customize your list of folders by adding folders and/or sub folders. You can add a folder or subfolder, by right-clicking on appropriate folder. A special dialog box will then open, as shown below. Type the name you want for your folder in the box provided. To delete a sub folder that you have added, right-click on the appropriate folder and click the button that says Delete folder. Adding a folder Adding a sub folder 4
Address Book The Address Book allows you: to manage all of your personal Contact entries that contain Personal, Organizational and other groups that you define information (i.e. address, phone number, certificates information) to sort these entries in Groups or Categories to Import/Export Contact entries from/to CSV files You can access your Address Book by clicking on the Address Book button in the Top Menu and then choose which dialog you want to access directly: Address Book dropdown menu The default dialog follows: All of the options are self explanatory. There is a flag that indicates which column and in which direction the Contacts are being sorted (changed by clicking on the headings of columns). You can choose which contacts are shown, if Groups or Contacts are used, with the drop down menu in upper-left corner. The left Add button is for adding a new Contact entry, and the right Add button is for adding a Contact to an existing or a new Group. 5
Import/Export Contacts To Import contacts into your Address book, you can use the Import Contacts link at the top of the page. A window will come up that will allow you to browse and find your saved address book so that it can be imported into your Web mail. The following dialog appears: 6
Exporting Contact list from Old web mail If you want to export your current address book from NetWest s old web mail program, log into the old web mail (there will be a link to the old web mail on NetWest s homepage http://www.netwest.com) and click on the Address Book icon, then click on the Import/Export icon. Address book icon Import/Export icon In the following dialog box, you will need to ensure that the selected format for the address book to be exported in is Comma separated values or.csv. 7
A box will appear asking you to Open, Save, or Cancel. Click Save. The following screen will appear: Name your address book and click Save. You may now go to the new Web mail and import the address book as described above. 8
Spam Features Spam Folder NetWest s new email server will mark and store email messages that it believes is spam in the Spam folder. These email messages will be stored in this folder for 10 days from the date of receipt. If the messages are left in the Spam folder, they will be deleted after these 10 days. Click on the Spam folder icon in order to view your Spam email. The Spam folder is located as follows: From the Spam folder, you can read, reply, delete individual messages, delete all spam messages, and move messages to other folders, as well as white list or black list senders. 9
You can further enhance your Spam filtering capabilities by setting your Black and White filters. In order to get to these settings, click on Settings at the top of the Web mail window. 10
The Black and White filters are set under the Server Rules. 11
Server Rules Black and White filters Server Rules allow you to filter all incoming messages. The advantage to this setting is that you can override the global settings of whole Mail Server. You can white list some special addresses which you trust even though the main Mail Server AntiSpam engine recognizes the message as Spam. Or on the other hand, you can black list addresses which send you Spam messages but such messages are not recognized as Spam by the Mail Server AntiSpam engine. There are two modes of Server Rules: Basic View Advanced View Basic View 12
Advanced View Explanation for Both Views The Enable checkbox enables/disables whole Server Rules engine so you do not have to delete filters if you want to deactivate all of them. It offers four actions which can be done with message according to the condition - if it was fulfilled or not. Item The item field specifies what type of the message should be checked. It can be the headers, body, attachments or even the sender and recipient. All All the items are checked. Any header All headers of the message will be searched for the string below. Specified Header The header item specifies a message header condition. The first string you should specify is the header name including the colon and then the string condition itself. (i.e. subject: string) Body Checks the whole body for some content. 13
Attachment name contains A condition for attachment names. Most likely you will use only the file types here. Size Greater This condition is true if a message size is greater than a number (kb) in String field. Size Lower This condition is true if a message size is lower than a number (kb) in String field. Email is Spam A condition which is true if a message was recognized as Spam by the Instant AntiSpam engine. IP Address The IP address item lets you check the IP address of the originating server the message was sent from. Function (Advanced View) String NOT (Advanced View) Case sensitive Condition Action The function specifies what string function should be called against the item from the message. Contains string The item is checked for the list of strings separated with semicolon. Regex The item is checked using the regular expression. Starts with The string starts with the following text. Ends with The string ends with the following text. Is string A complete string comparison Contains list from file The same as Contains string except the strings are located in a text. In this case the String field contains the path to the filename. Specifies the particular string to be checked using the function above. Negates the function result. Specifies whether the string case should be considered or not. Allows you to define more conditions for one filter item. Maximum number of conditions per filter is three. Actions specify the particular action that will be taken when the filter returns a positive result based on the condition of the message content. Reject 14
Rejects the message so the message will not be received and all following filters will not be processed. Accept This action clears the spam flag and immediately accepts the message and all following filters will not be processed. It is a white listing action. Delete The delete action is something between the Reject and Accept. It does not accept and deliver the message but also does not reject it. It accepts the message but does not return any false response and does not deliver it. Mark as spam This action sets the Spam flag of the message so it will be processed according to the Instant Anti Spam settings of the user. Forward In such case, you have to fill also an Address option by email account to which the message should be sent. Notify This is similar as the Forward action but you can specify different content of sent message. You can even use variables in the message. Fill complete message with headers to the Message text area. Additionally, you do not have to specify some specific format in Message text area. Only a text of message which should be sent. 15
Customization Skins To change the look or skin of your Web mail, click Settings. Scroll to the bottom of the screen and you will find a section named Visuals. In that section, you will find an option that says Web Mail layout. From here, you can choose the Skin for your web mail by choosing one of the options from the drop down menu. After you have chosen the skin you would like, click Save Changes. 16
