ROLE STATEMENT Position Title: Sponsorship Activation Manager Department: Marketing and Sponsorship Reports To: Head of Marketing and Sponsorship Contract Term: This is an 8-month contract from December 2013 July 2014 Salary Range: Salary (including 9.25% employer s superannuation contribution) to be discussed with potential candidates Proposed Commencement: 2 December 2013 Purpose of this Position With the Head of Marketing and Sponsorship, oversee the implementation of sponsor benefits and activations, ensuring all elements are fulfilled, executed and reported in accordance with internal procedures. Position Description The Sponsorship Activation Manager is responsible for implementing, activating and tracking all sponsor contracts, ensuring elements are fulfilled, executed and reported in accordance with internal procedures. The role involves liaising with a broad range of internal and external stakeholders to deliver diverse partner requirements such as organising private events for sponsors, implementing sponsor cross-promotions with the Biennale s Marketing team, scheduling and organising sponsor tours with the CEO or Artistic Director, planning and implementing Biennale sponsor events and assisting with the opening week invitation process for sponsors. The position requires outstanding organisational skills, excellent communication skills and a demonstrated ability to manage and prioritise multiple projects. As part of a team in a busy festival environment, the position also requires a flexible approach to duties and tasks, a positive attitude and the capacity to work collaboratively with all colleagues. The Sponsorship Activation Manager possesses excellent organisational and communication skills, is detail oriented and enjoys a processdriven approach to working. Duties Sponsorship Manage the implementation of sponsor benefits and activations Implement, activate and track all sponsor contracts to ensure all elements are fulfilled, executed and reported in accordance with internal procedures and guidelines Facilitate WIP activation meetings with key sponsors, ensuring all action items are carried out by relevant parties Liaise with key internal and external stakeholders in delivering all partner requirements Create proposals tailored to the needs of target companies and creating materials for presentation to potential partner companies Prepare and negotiate sponsor agreements with existing and new sponsors Liaise with Marketing Manager and publicity team to secure sponsorship-related media coverage as appropriate Prepare reports and documentation for key sponsor activations INFORMATION PACKAGE: SPONSORSHIP ACTIVATION MANAGER 2
Budget Monitor sponsorship budget Event Management Coordination of a range of events Administration Creation and maintenance of sponsorship files, databases and contacts Track in-kind amounts according to the Biennale s In-kind Policy Monitor spend and prepare reports as required Develop and implement a range of events, including sponsorship servicing events, sponsor tours and private sponsor events Manage invitations and RSVPs for sponsors including Opening Week Assist the Head of Benefaction with overseeing guest lists for Opening Week Events Support the Head of Marketing and Sponsorship as required With the Marketing and Sponsorship Coordinator, oversee the development of 19 th Biennale Sponsor Directory Ensure the Biennale Style Guide is adhered to across all materials and communications Draft Board reports on sponsorship activities Maintain the Biennale s relationship database (Salesforce) Liaise with the administration team regarding the organisational timeline Venue Management Assist with the management of exhibition venues, as required by the staff roster Staff and Contractors Assist with the appointment and management of contract staff Work, Health and Safety (WH&S) With the Head of Marketing and Sponsorship, assist with the recruitment and management of the Sponsorship Assistant All staff are required to take reasonable care of their own health and safety and that of other personnel (including volunteers and interns) who may be affected by their conduct INFORMATION PACKAGE: SPONSORSHIP ACTIVATION MANAGER 3
SELECTION CRITERIA Based on an application addressing the Essential Criteria, Curriculum Vitae and, for selected candidates, personal interviews and referee reports, the Biennale needs to be satisfied that the applicant meets the following criteria: Essential Criteria Experience working with corporate partners/sponsors/promotional partners to deliver a variety of events, activations and other promotional benefits Demonstrated ability in building and maintaining strong relationships with numerous internal and external stakeholders Outstanding communication skills (written and verbal), with a commitment to accuracy, neatness and attention to detail Strong organisational skills with a proven ability to multitask and manage time efficiently Experience working with budgets, especially monitoring expenditure against budget and maximising outcomes with limited funds The capacity to work to very tight deadlines and handle stress in a tightly resourced environment Strong customer service focus Ability to work collaboratively with colleagues and other stakeholders Desirable Criteria Relevant tertiary qualifications in marketing, events, communications or sponsorship Knowledge of the arts and culture industry Experience in the not-for-profit INFORMATION PACKAGE: SPONSORSHIP ACTIVATION MANAGER 4
THE BIENNALE OF SYDNEY The Biennale of Sydney is a non-profit organisation that presents Australiaʼs largest and most exciting contemporary visual arts event. Organisational Relationship It is expected that staff will work collaboratively in carrying out their duties and meeting their accountabilities. EMPLOYMENT TERMS Contract Term This is an 8-month contract from December 2013 July 2014 Work Hours The position is required to work full-time at five working days a week, generally 9.00 am to 5.30 pm. However, these hours may vary due to volume of work, particularly during the build-up to a Biennale where there is an expectation at varying times to work after hours, holidays and weekends. Time in lieu of overtime will be considered and will be approved at the CEO s discretion. Remuneration a) Total remuneration package Salary (including 9.25% employer s superannuation contribution) to be discussed with potential candidates. Leave b) Superannuation As part of the total remuneration package, the Company will contribute to a complying Superannuation Fund of your choice such a percentage of your earnings as indicated in the Superannuation Guarantee Act, currently 9.25%. a) Annual Holiday Leave Paid Annual Holiday Leave of four (4) weeks per annum in accordance with the Annual Holidays Act (NSW) will be granted at a mutually convenient time. b) Long Service Leave Long service leave in accordance with the Long Service Leave Act (1955) and other applicable legislation. c) Personal/Carer s Leave Paid personal/carer s leave of ten (10) days per year of continuous service for reasons of personal illness or injury, or to provide care and support to a member of your immediate family or household, who requires care or support because of a personal illness or injury of the member, or where there is an unexpected emergency affecting the member. The Company will not pay out the value of any accrued but untaken personal/carer s leave on the cessation of employment or during the term of employment with the Company. d) Compassionate Leave Paid compassionate leave of two (2) days per occasion. Probationary Period A one-month probationary period applies to all positions and allows for seven (7) days notice of termination by either party. The Company reserves the right to terminate this Agreement during this period if the person is unsuitable for the described duties or the Company environment.
