Using this Document This document provides a quick summary of all new features that were added to Shortcuts Point of Sale, Shortcuts Enterprise, the Shortcuts S.M.A.R.T. System and other business optimisers that were added since the Shortcuts 7.4.8 release. For more information about any of the features contained in this document, refer to that feature s supporting documentation, or contact the Shortcuts Business Development Team. New Modules Shortcuts Services Manager The Shortcuts Services Manager is a new tool that allows you to conveniently locate and manage several different Windows services needed by Shortcuts, such as the Online Booking agent and the Payment Server. More services such as the Data Agent or License Server may be added in future. Self Check-in The Self Check-in is an exciting upgrade to the Shortcuts Walkin Manager; where in the past you or your employees would need to manually add the client to the Walkin Manager and provide the client with a wait time, now your clients can add themselves to a waiting list for their desired service! Even better, they can add themselves to the queue via a kiosk or terminal at your business, using their mobile phone, or by visiting your business s website. You can also set up a TV/monitor that shows a list of clients currently in the queue so clients have up to the minute information on how long they can expect to wait. The Self Check-in is part of the Shortcuts S.M.A.R.T. system. In addition, you must meet the following requirements to use the Self Check-in: 1

You must be running Shortcuts v7.4 or higher and have the Walkin Manager feature available for your business. You must have the BookME or Online Services agent installed on your Shortcuts server machine. Online CIC The Online Customer Information Card (CIC) allows you to collect client data on the go via your Shortcuts-configured smartphone or tablet, and automatically transfer the information directly into your Shortcuts system. No more handing paper sheets filled with scribbles to your receptionist to key into a computer! The Online CIC is also secured using employee PINs so your clients won t be able to access any other part on your system. The Online CIC is part of the Shortcuts S.M.A.R.T. system and requires access to the Anywhere feature. In addition, you must meet the following requirements to use the Online CIC: You must be running Shortcuts v7.4.11 or higher and have access to the Anywhere S.M.A.R.T. feature. You must have the Online Services agent installed on your Shortcuts server machine. Security must be switched on in Shortcuts, and employees assigned PINs to log into Shortcuts. Your Shortcuts server machine must be on in order for client details to be saved to the Shortcuts database. Global Customer Loyalty Shortcuts new Global Customer Loyalty module allows your clients to receive loyalty points and redeem rewards across all of your stores. Reports available on the Gift Card Console also allows you to track your clients loyalty points and the rewards they have redeemed at any time. If a client uses their global loyalty card at a site they have not previously visited, Shortcuts will automatically create a client card using basic client data (e.g. first name, last name, phone numbers) retrieved from the loyalty server. Client visit history will NOT be transferred. If you are running Shortcuts Enterprise, client visit history can be viewed between sites as part of the Global Clients feature. 2

Set & Forget Marketing Set & Forget Marketing has undergone a major makeover! However, the software still works exactly the same way it did before. Other updates include: When sending Set & Forget Marketing campaigns, you have the option of simultaneously posting them to Facebook and/or Twitter. the Dashboard now has several new tiles that give you direct access to more areas of Set & Forget Marketing. This includes the ability to edit draft campaigns, view campaign results, add and import members, and more. When creating campaigns, you can now select all demographic options and surveys from a drop-down menu. Every campaign now has a matching campaign report that provides an in-depth analysis of the campaign s performance. The Import feature has been overhauled to make it quicker and simpler to import client data into Set & Forget Marketing. You now have the option of addding a tracking code to all links in your email campaign. Note that some types of links cannot be made trackable. You can now view the number of clicks each trackable link has received within the campaign manager. 3

New Shortcuts Point of Sale Features Visual Treatment Records Visual treatment records is an exciting new feature available in the Shortcuts Clinic stream. The visual treatment record allows you to record where cosmetic treatments have been applied to a client s body. Even better, treatment records are linked with Shortcuts stock control, which automatically deducts products entered in the client s Treatment history from your stock levels. The Visual Treatment Records feature may not be available in all regions. Check with the Business Development Team for more information. Replenishment Stock management is a key challenge when operating a successful retail business. Businesses need the ability to have sufficient stock on their shelves to cater for projected demand so that the risk of stock-out (and lost sales) is minimised, while at the same time minimising the risk of over-ordering and having too much stock on hand. The Replenishment feature builds on the Shortcuts Ordering system by helping you calculate order quantities based on sales history, seasonal trends and other parameters. This will help you maximise product sales and revenue while avoiding unnecessary capital being tied up in unused stock. Here s a quick summary on how the Replenishment feature works: 4

1. First, you configure Shortcuts by providing some base guidelines such as the number of days a stock order should cover (or cater for), supplier lead times and stock reorder triggers. 2. You then run the Statistics Calculation, which updates two key figures (Average Daily Sales and Maximum Level) for every product. These two figures are used by the Ordering screen to estimate how much of each product should be ordered. 3. Finally, you create an order in the Ordering screen, and Shortcuts will automatically populate your order with the range and quantities of products you need to restock based on your projected future needs! If you are using Shortcuts Enterprise, setting up the Replenishment feature is done in the site s Stock Configuration screen in Enterprise Manager, and in the site s Product screen in Shortcuts POS. Both Statistics Calculation and ordering are done at the site level. Selective Tax Exemptions Shortcuts now supports selective tax rate exemption. This comes into play in jurisdictions where products or services incur multiple tax rates that are payable to separate tax authorities, resulting in situations where certain clients are exempt from some taxes but not others. The new Selective Tax Exemptions feature will allow clients who are exempt from a subset of tax rates to pay only the taxes they are obliged to pay. In addition, tax amounts are now stored separately for each tax rate in the sales transaction history, allowing for easier and more accurate reporting of the business s tax liabilities to various tax authorities. If you are using Shortcuts Enterprise, note that Enterprise will now send individual tax rates to Shortcuts POS for each tax schedule, rather than the single combined rate that was sent in earlier versions. While Enterprise has no limit on the number of rates within a tax schedule, Shortcuts POS is limited to four per tax schedule. In the event that there are more than four rates configured for a tax schedule in Enterprise, tax rates 4 and beyond will be combined and sent to Shortcuts POS as Rate 4. 5

Client Masking The Client Masking feature allows you restrict certain employee levels to seeing only partial client data fields, such as phone numbers. Such masked fields will have part of their contents replaced with asterisks (*) instead, as shown below. The ability for a particular employee level to view unmasked data is specified by a security setting. If an employee level cannot view unmasked client data, the following fields will be masked: Home phone (first 5 numbers) Mobile phone (first 5 numbers) Work phone (first 5 numbers) Fax (first 5 numbers) Email (everything before the @ symbol) Home Address Number/Street (first 5 characters) Work Address Number/Street (first 5 characters) Client Masking applies to any screen or window where the above information appears in Shortcuts, except as follows: All reports will not mask data. When exporting client data, the data will not be masked. If you are using the Self Check-in feature (see Self Check-in on page 1), client details viewed on the Self Checkin will not be masked. Note that masked data may still be edited on the client card; if this is the case, the contents of the field will first be cleared. Updated Point of Sale Screen The Club Details section of the Point of Sale screen now displays greater information about the client s loyalty club (such as their reward amount balance), provided they are assigned to a club that utilises the new Global Customer Loyalty module. In addition, clicking on the card icon in the Club Details section will display the Alternate Loyalty Card window, which allows you to scan/swipe or enter a different loyalty card number from the client s associated card. 6

Updated Client History Screen A new Photo History feature is available in the Client History screen. This feature allows you to search for a client s attached photos within a specified date range, making it a handy way to view a client s visual history throughout a series of treatments or services. Updated Stock Configuration Screen Several new features have been added to the Stock Configuration screen: Value stock adjustment increases at: - Normally, whenever Shortcuts calculates the Average Product Cost (which is whenever stock levels increase, such as when receiving an order), it does so based upon the product s Buy Price. When stock levels are increased by stock take adjustment, or by direct entry of the Current stock on hand field in the Products screen, you can now choose whether to value the additional stock at the same average cost as the existing inventory, or whether to use the current Buy Price for the additional items. If you normally receive stock via the ordering system then you should leave this setting at Average Cost, since any positive adjustments you enter are probably for items that were missed in a previous stock count. If you don t receive inventory via the ordering system and instead add to inventory by using stock take or by changing the Current stock on hand quantity directly, then select the Buy Price option to ensure that new inventory is valued at current buy price. This will be reflected as a change in the average cost of the product over time. The Ordering section contains several new fields which are used for the Replenishment feature. 7

Updated Products Screen Several new options/fields are available in the Products screen: Several new fields that apply mainly to the Replenishment feature have been added. You can edit them via the Products screen or through a product s Details window. A new Lead Time Days field has been added to the the Supplier Details window. It is taken into account by the Replenishment feature when calculating product reorder levels. Updated Ordering Screen Several new features have been added to the Ordering screen: A new Only show orders for the last six months option has been added to the Ordering screen. If this option is ticked, only orders dating from the last six months will be displayed. A new Modify button has been added to the Ordering screen. By selecting a received order and then clicking the Modify button, you will be taken to the Order Details screen where you can modify the quantity and/or price of the received products. This new feature will make it easier to correct mistakes if an order is incorrectly received, or if an invoice arrives after delivery of the products. Only employees with the appropriate security levels will be able to modify received orders. When modifying a received order, any change to the value of products received is reflected in the average cost of on-hand inventory. If some products have already been sold since the order was received, then the change in value will only apply to the remaining items. When creating a new order, you have the ability to specify the type of order. This is part of the Replenishment feature. You can now add discounts to an order when ordering stock: Note Note Discounts can be added to individual items (lines) or to the order as a whole. You can also apply an order-level discount on top of existing line discounts. The discount may be specified at the time the order is created, or when it is received. Discounts specified when the order was created can still be changed when the order is received. If the employee has security permission to modify received orders, they may also adjust the discount even after the order has been received. Updated Stocktake Screen Several new features have been added to the Stocktake screen: The that if a discount is applied to an order that already has line discounts, the order discount will be applied to the value of the order after any line discounts have been deducted. In other words, order discounts will compound on line discounts. that order discounts are apportioned across all lines of an order, by value. This ensures the reduced cost of procurement is reflected fairly in the average cost of all items in the order. A new Export button is now available. Clicking this button allows you to export a CSV file containing all active products, which can then be imported into a ScanME handheld scanner for use during the stocktake. CSV file will contain the following columns: [Product Id], [Category Name], [Sub Category Name], [Product Name], [Buy Price], [Sell Price], [Current], [Required], [Warning], and [Barcode]. The CSV file will take into account if a product has more than one barcode, with separate barcode counts being tallied up in Shortcuts. A new Accumulate product counts on import option is now available. If this option is ticked, when product counts are imported from a scanning device, Shortcuts will add the separate product counts together instead of 8

overwriting the old count with the new one. This allows multiple employees to work on a stocktake at the same time, using multiple handheld scanners, and pool their counts at the end. By default, this option is unticked. A new Value (monetary value) variance warning field is now available. A new Reset button is now available in the Stocktake Entries screen. When you click this button, a window will appear asking if you want to reset all product counts to uncounted. If you click the Yes button, all products in the stocktake will be reset to an uncounted state. This allows you to start again from scratch (i.e. you imported an incorrect product count) without having to re-select all the products. A new Preview button is now available in the Stocktake Entries screen. Clicking this button allows you to generate a Stocktake report that lists all items with count variances, along with quantities and the estimated value of adjustments. Any adjustments exceeding the Variance Warning Limits (if any) will be highlighted in the report. This report can then be printed or exported as normal. You can now add reasons to explain discrepancies in stocktakes. If you have a default reason, it will be applied automatically if the stock variance is exceeded. You can choose a different reason by clicking on the Reason drop-down list and selecting a new one. (Reasons are set up in the Reasons Setup screen.) Reasons Setup Screen A new Reasons Setup screen is now available. This screen allows you to configure a number of reasons that can be added to Stocktake Variances, Transaction Modifications and Visit Deletions. By letting employees or managers choose from a selection of pre-defined, self-explanatory reasons, you can make it easier to analyse unusual events for the areas above and identify areas of concern. Reason Locations Reasons can be entered in the following locations: The Stocktake screen, when entering product counts that differ from the current stock on hand. The Transaction List. When deleting or modifying a transaction, a window will appear asking you to choose a reason for the change. The Point of Sale. When you click the Remove Client button to remove them from the Point of Sale, a window will appear asking you to choose a reason for the removal. 9

The Walkin Manager. When you remove a client from the Walkin Manager, a window will appear asking you to choose a reason for the removal. These reasons can be tracked in their relevant reports (the Stocktake report, the Visit Deletion Audit report etc.) Updated Business Setup Screen A new Reference field has been added to the Business Setup screen. This field is used to store a unique identification number for the business, and is usually used when the business has another external reference number that needs to be stored. For example, a business that is part of a chain may be site ID# 23. You could store this site ID in the Reference field. Updated Club Setup Screen A few changes have been made to the Club Setup screen: If A new Online Loyalty Program Code field is now available. This field is only relevant if you use the Global Customer Loyalty module, and is used to link the club in Shortcuts with the online loyalty program specified by your Community Manager. If this field is filled out, it will disable all options in the Points For this Club, When accumulating points, Time Limits on Points, Club Points can pay for and Points Redemption sections, unless the Maintain Points From Previous Club Membership option is also ticked, in which case the latter three sections will be re-enabled. A new Maintain Points From Previous Club Membership option is now available. If your clients have accumulated points from existing loyalty clubs, you can place a tick in this option to save the points from the client s old club when they are switched over to the new club. Clients can then continue to redeem points from the old club even as they begin accumulating points with the new club. the new club uses the Global Customer Loyalty module, note that the points from the old club are are distinct from (not cumulative with) points using the online loyalty service. Points earned from a standard (i.e. not online) loyalty club are only redeemable at the site where they were originally earned. A new Points Redemption section is now available. This area contains options to restrict how a client can redeem accumulated points. If you want clients to have accumulated a minimum amount of points before they can redeem them for rewards, enter the amount into the Minimum points before redemption field. If you only want clients to be able to redeem points on certain days of the week, click to remove the ticks from any unwanted days in the Club points redeemable on section. By default, all days are available to redeem points on (ticked). 10

Updated Sundry Income Setup Screen Several new options have been added to the Sundry Income Setup screen: Is A Loyalty Card - Tick this option if the sundry item is a loyalty card linked to an online loyalty program. Is A Loyalty Card Adjustment - Tick this option if the sundry item is linked to an online loyalty program AND is used for upgrading a client from one rule set to another. Related Club / Related Loyalty Club - This option allows you to link the sundry income item to a specified club or loyalty club. When a client purchases this sundry item, they will also be added as a member of the linked club. This allows you to charge your clients a membership fee for joining the club. The name of this field changes depending on whether you have ticked either the Is A Loyalty Card or Is A Loyalty Card Adjustment options. If either option is ticked, only clubs linked to an online loyalty club will be available from the drop-down list. If neither option is ticked, standard clubs will be shown instead. Click to select the club you want to link this sundry item to from the drop-down list. Updated Employee Setup Screen A new Reference field has been added. This field is used primarily by Clinic businesses to store Provider numbers for their employees. If an employee has a number recorded in this field, it will be also printed out on the client s receipt. Updated Service Setup Screen Several new features are now available in the Service Setup screen: In the Service Setup screen, a new Service Costs field has been added. This field is for you to enter any costs that might be incurred as a result of performing the service. Some examples of what could be entered into this field are product costs, employee wages or even utility costs like electricity or water. Please note that this is an information-only field; figures entered into the Service Costs field do not affect financial transactions in Shortcuts and are not reported on. A new Reference field has been added to the Service Details window. This field is used primarily by Clinic businesses to store an item number for their service. If a service has a number recorded in this field, it will be also printed out on the client s receipt. When creating a new service in the Service Setup screen, the Service Details window will automatically appear when you click the New button to allow you to enter the service s details. The process for creating a new service is otherwise unchanged. 11

Updated Hardware Setup Screen There are a few new changes made to the Hardware screen: The Hardware Setup screen is now run entirely within Shortcuts. The Electronic Scales, Network and EFT Client Configuration tabs have also been removed. It otherwise functions identically to older versions of Shortcuts. A new Keyboard Layout drop-down list is available in the Barcode tab. This allows French AZERTY keyboard users to choose a matching layout instead of the default QWERTY keyboards. In the Receipt tab, you now have the option of using your Windows printer to print your receipts. To do this, click to select the <Windows Printer> option from the Type drop-down list. Updated Region Setup Screen A new Enable Validation option is now available in the Region Setup screen. If this option is ticked, whenever a phone number (including home, work and mobile phone) is added to a client s records, Shortcuts will check to see whether the phone number is using a valid format. If the number is not using a correct format, Shortcuts will prompt you to correct the phone number. This feature is currently only available in the US; Shortcuts users in other regions will not see the Enable Validation option in their Region Setup screen. This feature was also added to Shortcuts 7.3.35+. Miscellaneous Features The following are miscellaneous features that were introduced in the latest versions of Shortcuts: Print Client CPCs to the Receipt Printer Main Menu (Navigation Bar) Clients Icon When printing a client s CPC (either from the Select Client screen or the client s card), a new option to print the CPC via the receipt printer is now available. If you want to print the CPC via your receipt printer, click to place a tick in this option before clicking the Yes button. 12

New Phone Number Search Option Main Menu (Navigation Bar) Clients Icon A new Phone Number option has been added to the search criteria in the Clients screen. This option replaces the Home Phone, Work Phone and Mobile search criteria; when the Phone Number option is selected, Shortcuts will now search through all phone numbers simultaneously. This feature was also included in Shortcuts 7.3.35 and later. Updated Logging The Log now also records whenever a client changes club. Fractional Stock Levels You can now assign fractional amounts for product levels in both the Products screen and the Stocktake screen. For example, if you wanted to record that you had 6 1/4 tubes of colour left, you would enter 6.25 in the product s Current field (in the Products screen) or the Count field (in the Stocktake screen). Fractional amounts can be entered up to three decimal places. Note that fractional stock amounts are used for internal stock management and professional product sales (i.e. to #BUSINESS). You cannot sell fractional amounts of a product to clients at the Point of Sale. Fractional amounts were also added to Shortcuts 7.3.35 and higher. Allow void of debit card In the Payment Processor Setup screen, certain payment processors (such as Transaction+) now have a new option that allows you to enable voiding of debit cards. 13

New Shortcuts Enterprise Features Updated Global Settings Screen A new Protect Logs For (Months) field has been added to the Global Settings screen. This field allows you to set the time period in months before you can delete logs at Shortcuts POS. If this field is set to 0, logs can be deleted at any time. Updated Site Details Screen A new Other Details field has been added to the Site Details screen. This field is analogous to the Reference field in the Business Setup screen in Shortcuts Point of Sale, and is used to store a unique identification number for the site. For example, if a site has a designated site ID (#23), you could store this site ID in the Other Details field. Updated Employee Levels Screen A new Colour option has been added to the Employee Levels screen. This drop-down list allows you to select a colour for an employee level, which is displayed beside/behind employee pictures of the appropriate level in the Appointment Book and other screens in the Point of Sale. Updated Service Details Screen Two new changes have been added to the Service Details screen: 14

A new Health Care Item Number field has been added to the Service Details screen. This field is analogous to the Reference field in the Service Details window in Shortcuts POS, and is used primarily by Clinic businesses to store an item number for their service. If a service has a number recorded in this field, it will be also printed out on the client s receipt. A new Sell Price field has been added to the Block Details screen, which stores the price a customer would pay for an employee of this level to perform this service. In addition, the field Cost has been renamed to Service Costs to avoid confusion with the new Sell Price field. Updated Business Settings Screen The following options have been moved to the new Stock Configuration screen (see below): Update Buy Price from Orders CC on Email Order The Warn on Clock-off of Incomplete Visit Details option has also been moved to the Point of Sale section. Stock Configuration Screen The new Stock Configuration screen contains several options related to stock and ordering: The Update Buy Price from Orders and CC on Email Order options have been moved to this screen from the Business Settings screen. They are otherwise unchanged from previous versions of Enterprise Manager. The Reorder Calculations section contains several new fields which are used for the Replenishment feature. Value stock adjustment increases at: - Normally, whenever Shortcuts calculates the Average Product Cost (which is whenever stock levels increase, such as when receiving an order), it does so based upon the product s Buy Price. When stock levels are increased by stock take adjustment, or by direct entry of the Current stock on hand field in the Products screen, you can now choose whether to value the additional stock at the same average cost as the existing inventory, or whether to use the current Buy Price for the additional items. If you normally receive stock via the ordering system then you should leave this setting at Average Cost, since any positive adjustments you enter are probably for items that were missed in a previous stock count. If you don t receive inventory via the ordering system and instead add to inventory by using stock take or by changing the Current stock on hand quantity directly, then select the Buy Price option to ensure that new inventory is valued at current buy price. This will be reflected as a change in the average cost of the product over time. Updated Sundry Details Screen Several new options have been added to the Sundry Details screen. These options are only applicable if you use the Global Customer Loyalty module: Is A Loyalty Card - Tick this option if the sundry item is a loyalty card linked to an online loyalty program. 15

Is A Loyalty Card Adjustment - Tick this option if the sundry item is linked to an online loyalty program AND is used for upgrading a client from one rule set to another. Club / Related Loyalty Club - This field has been modified so that when a client purchases this sundry item, they will also be added as a member of the linked club. This allows you to charge your clients a membership fee for joining the club. The name of this field changes depending on whether you have ticked either the Is A Loyalty Card or Is A Loyalty Card Adjustment options. If either option is ticked, only clubs linked to an online loyalty club will be available from the drop-down list. If neither option is ticked, standard clubs will be shown instead. Updated Club Details Screen A few new options have been added to the Club Details screen: In the Details tab, a new Online Loyalty Program Code field is now available. This field is only relevant if you use the Global Customer Loyalty module, and is used to link the club in Shortcuts with the online loyalty program specified by your Community Manager. If this field is filled out, it will disable all options in the Points tab, unless the Maintain Points From Previous Club Membership option (see below) is also ticked, in which case the Time Limits on Points and Club Points can pay for sections will be re-enabled. In the Points tab, a new Maintain Points From Previous Club Membership option is now available. If your clients have accumulated points from existing loyalty clubs, you can place a tick in this option to save the points from the client s old club when they are switched over to the new club. Clients can then continue to redeem points from the old club even as they begin accumulating points with the new club. If the new club uses the Global Customer Loyalty module, note that the points from the old club are are distinct from (not cumulative with) points using the online loyalty service. Points earned from a standard (i.e. not online) loyalty club are only redeemable at the site where they were originally earned. Also in the Points tab, a new Points Redemption section is now available. This area contains options to restrict how a client can redeem accumulated points. If you want clients to have accumulated a minimum amount of points before they can redeem them for rewards, enter the amount into the Minimum points before redemption field. If you only want clients to be able to redeem points on certain days of the week, click to remove the ticks from any unwanted days in the Club points redeemable on section. By default, all days are available to redeem points on (ticked). The Can Buy Products at Cost option has also been moved from the Points tab to the Details tab. Stocktake/Transaction Modification/Visit Deletion Reasons Screens Three new screens have been added to allow you to define Stocktake Reasons, Transaction Modification Reasons and Visit Deletion Reasons. 16

Updated Locale Screen A new Enable Validation option is now available in the Locale section screen. If this option is ticked, whenever a phone number (including home, work and mobile phone) is added to a client s records in the specified Locale, Shortcuts POS will check to see whether the phone number is using a valid format. If the number is not using a correct format, Shortcuts will prompt you to correct the phone number. Note that while Validation can be applied to any Locale, currently it will only function in US regions. This feature was also added to Shortcuts 7.3.35+. Selective Tax Exemptions As part of the Selective Tax Exemptions feature in Shortcuts POS, Enterprise will now send individual tax rates to Shortcuts POS for each tax schedule, rather than the single combined rate that was sent in earlier versions. While Enterprise has no limit on the number of rates within a tax schedule, Shortcuts POS is limited to four per tax schedule. In the event that there are more than four rates configured for a tax schedule in Enterprise, tax rates 4 and beyond will be combined and sent to Shortcuts POS as Rate 4. 17
