: Introduction This QRG covers the various new enhancements and performance upgrades brought into DARS Blackbaud Internet Solutions (BBIS) through the Version 3.0 upgrade. For each new feature, it provides a snapshot of what the functionality is and ways in which to use it. Further details are then available in the Internet Solutions Course Manual. This QRG will cover: Self Service Passwords for users New File Management system New Ribbon-style Editor for easier editing Copy entire pages Profile Update and flexible Communications Preferences Forms New Personal Notes feature New Query Results Display Switching between Desktop Browsers/Mobile Views Advanced Donation Forms Include Survey Forms on websites In-built Video Tutorials Friendly URLs Other enhancements Self Service Passwords for users BBIS users can now setup Self-Service Passwords on their websites. This will allow alumni to directly manage their password rather than asking for password reminders or contacting the office to request a reset. To do this, you just need to add in a Change User ID/Password web part to your site as below: New Part > User Management > Change User ID/Password Part From here you can select which fields are required. Please note: Password and Confirm Password should always have Editable ticked to allow alumni to reset their password directly via the site. 1

New File Management system Documents are now stored as Files on Internet Solutions, meaning you don t need to add parts to your site to display these. To navigate to this area, simply go to the and select. This will take you to your file area, where you can upload documents and files by selecting the button in the top left-hand corner. From here select and upload documents/files to use on your website. Once you ve selected a file you will be shown a progress bar displaying the upload progress: 2

Once uploaded, you can then can set URL paths for the files and add a brief description. Note: you need to ensure there is a valid character between each word in the URL path. Without it you will get the below error: Once completed, click webpages. ; this will then be uploaded and viewable in your file area to use on You can select multiple files at once by holding down the CTRL key and left-clicking the files you want; once you have uploaded them you can update each individual file URL path and description. Bulk file management: Pages, documents and images can now be moved or deleted in bulk, with easily visible buttons; and documents and images can be bulk-approved. You can arrange pages, documents and images into folders too, making them easier to manage, and deleted pages and parts can be recovered from a deleted files repository if necessary. Simply tick all the items to update and click your desired action. 3

If you want to move them to a new area, click on the in the sidebar to create this new folder. To see some examples in action, view this Blackbaud video on how to upload your files in BBIS. New Ribbon-style Editor for easier editing A new ribbon -style editor has been introduced to make it easier to create and amend Formatted Text and Image parts (and others). There are also now quick links to this editor from Page Builder. Both the functionality and the look and feel of this editor is noticeably different to V2.9: V2.9 BBIS Editor Copy entire pages You can now make copies of pages and edit/use them as templates, saving you time when managing themed websites or sections (event pages for example). The new feature allows you to choose whether you wish to use the same parts as the original page or create copies of each part. To do this, select ; from here you will able to name the new page and set new Metadata descriptions and keywords. You are also able to see a preview of the page URL. 4

Having copied the page, all of your previous parts will be pre-loaded. They will look the same as the previous page; however, when you edit each part you will be prompted on whether to keep this the same or to make a copy and then amend it. Copy page will also copy the previous page s targeting and security information so if the new page should be viewed by different users, select the alternative group via. Definitions of Edit Shared Part: Update all Pages and Websites Will find where this specific part has been used in all other webpages/sites and any additions you make to it will also update the rest. Note: this is useful if you have a template page with the same parts. Copy Part Will copy the specific part from the previous page you copied only: you can then edit it and it will only update that page. This is useful if you want the same part as on another page but need it to be customised to reflect the new page. 5

Profile Update and flexible Communication Preferences Forms V3.0 introduces an improved profile update form to give your alumni greater choice over which postal addresses, phone numbers and email addresses they would like recorded as primary on DARS. The DARS Support Centre will roll these new-style forms out to existing Participants in early 2014. In addition, an improved communication preferences form will give your alumni the ability to set contact preferences (Solicit Codes and/or Mail Preferences) for multiple email types, which they can navigate to directly in BBIS or via Blackbaud Direct Marketing (BBDM). With the capability of these new Forms, we will be able to remove the Net Community Preferred email address type from February 2014! New Personal Notes feature A new Personal Notes part provides a place for website users to communicate their life changes, share narratives, and provide other personal information to you. These are then captured into Documentation Notes within the constituent s record in Blackbaud CRM. For example, you can allow alumni to set personal achievements that will be directly uploaded to their constituent record. As website manager, you choose which notes are available to update online. Once you ve selected the notes you wish to offer alumni to update, you can also set the redirect page for alumni following their note submission. This could be either a new webpage you set up or an existing webpage within your site. Once submitted, the note will display in the constituent s Documentation tab for DARS users to view. Please contact the DARS Helpdesk if you would like further information. 6

New Query Results Display It is now possible to display the results of queries built within Blackbaud CRM on webpages, subject to Data Protection considerations. This new feature enables much more dynamic content to be presented to alumni and friends. Using the Query Results Part, you are able to select the query to display along with the number of results to be available and how many results per page: It is typically recommended to enable pagination, as this allows users to page through results where multiple pages are present. If disabled, then the part will only display the first page of results. When changing the amount of results to display, keep in mind how this will look on your website. To add a query, select and search for your query by name. Once you have found it, click select: You then have to select how to display the results. The available options are always based upon your query s outputs. For example, if you want to show the query result s Matriculation Year, then you need to have Attributes > Matriculation Year > Value included within the outputs of that query. You can then add in additional text as desired and select the fields to display by selecting the Insert Tab. Simply click the merge field button, and drag across the specific fields you wish to display. 7

Switching between Desktop Browsers/Mobile views It is now possible to quickly view how your webpages will differ between browsers and mobile devices, so that you can develop your site to look clean and smart for users whether viewed on a computer, mobile phone or tablet. To do this while editing a webpage, click on the drop down View As and toggle between Desktop browsers and Mobile devices. Advanced Donation Forms In V3.0, a more customisable online giving capability is available for advanced website developers to utilise. The advanced donation form brings in a new side bar that allows for easy creation of a donation part coupled with the acknowledgement process of donations via a wizard-style creator. Note: to make the most of this capability, CSS and HTML skills will be required. Please contact the DARS Helpdesk if you would like further information. 8

Include Survey Forms on websites In V3.0, some previous limitations on the Survey Form have been removed, making this a more useful tool now for offering a survey directly via your website. To do this, select and add the Survey Part. You will then be asked to select the survey status: Test mode allows you to construct and test your survey without recording results; we recommend always doing this before releasing it for alumni. You can also set the title of the survey together with a description and a survey completion message. To add questions to your survey, select questions as desired see example below: within the part and then customise your You can offer multiple choice, one answer or open-ended questions to suit your survey needs. Note: the major improvement in V3.0 is removing the restriction on Essay Answers these are no longer capped at a 255 character limit, even though the message on-screen states that this cap remains (Blackbaud will remove this erroneous message at a future stage). Once you have added your questions, click save to see an example of the survey: 9

will allow you as a web editor to export all results from the survey into a downloadable spreadsheet. We recommend adding in a time-frame for your survey to run, and then making the survey part hidden from users once this has passed. In-Built Video Tutorials If you are ever stuck while creating your website, you are now able to view a video tutorial to help guide you through the process. To do this, simply click on the View Tutorial button: this will then bring up an embedded YouTube Video providing advice and tips on that particular area of BBIS. Friendly URLS All pages, images and documents can now be given friendly URLs by default, resulting in a better experience for visitors and higher rankings for your website in search engines. These friendly URLs also help you to make your email and print communications more attractive to readers, by removing the?id=123 references and enabling you to more easily direct alumni and staff straight to pdfs and other files (as well as standard webpages). 10

Other enhancements Some other enhancements added to BBIS by this V3.0 upgrade include: Improved browser compatibility You can now manage the content and appearance of your site in a range of browsers including Internet Explorer, Chrome, Firefox and Safari. Better transaction processing Online donations are now managed through the standard Enhanced Revenue Batch in Blackbaud CRM, supported by much-improved criteria for matching constituents. This change provides gift administration staff with a more thorough and consistent experience for processing all types of donations. Performance improvements There have been various performance improvements, including to the Designation (Fund) Search feature on giving pages this now loads much more quickly for donors and other website visitors.
