Critical data like demo and towing claims; upcoming events and marketing funds remaining are yours with the click of a mouse. You ll also find the STARS training data that allows you to track your employees training progress. MARKETING/EVENTS CALENDAR Pre-plan your sales year with all of the events and specials you ll use to boost your Fleet Preferred business. This convenient website scheduling helps you organize your marketing initiatives. FLEET TRAC A Fleet records Hot List identifies clients for follow-up in the next 30 days. You can easily track scheduled customer follow-up and relationships with sales information from the GEVIS data feed in a sortable format. For example, you can sort by FIN code or date-of-sale. Records are also dealereditable, so you can add comments and follow-up flag dates. FIN CODE LIST MANAGEMENT You get convenient, direct access to all of your FIN codes from your website portal, updated weekly. Now you can edit and manage your fleet client database to maximize sales to past and current accounts. DEMO VEHICLES Use up to 10 fleet demo vehicles to help close sales by giving customers a real world test-drive experience. Upon claim approval, Marketing Support funds can reimburse participating dealerships up to $2,000 per vehicle, based on a dealer s unit allocation. A demo vehicle log book must be maintained and eligibility for reimbursement is determined by time-in-service or mileage requirements. (Minimum six months/ 10,000 Km or a maximum of one year/20,000 Km.) EMERGENCY TOWING PROGRAM As a Ford Fleet Preferred dealer, you ll offer your customers a priority, beyond warranty 24/7 emergency roadside assistance and recovery service with towing and repair diagnosis. These are capabilities designed specifically for the unique needs of your fleet customers. Upon claim approval, Marketing Support funds can be used to reimburse dealers up to $500 per tow. Your dashboard links to emergency towing claim forms that you can complete and submit directly for reimbursement. DEALERSHIP PERFORMANCE REPORTS Ford Fleet Preferred Dealers performance reporting gives you detailed, regularly updated performance metrics for your operations so you can measure your progress. This convenient review of your dealership s fleet performance will help you more effectively manage your new fleet business. IT S WELL WORTH THE EFFORT PROGRAM REQUIREMENTS BECOMING A FORD FLEET PREFERRED DEALER 1. Enrollment Fee your dealership s parts account will be billed $5,000 annually for participation in the Ford Fleet Preferred Program. 2. Annual Fleet Business/Marketing Plan together with a Ford Fleet Preferred advisor, you ll generate an annual fleet business/marketing plan followed by quarterly performance reviews. 3. A Dedicated Fleet Sales And Service Team dealership personnel assigned to FLEET Roles in STARS should complete the Fleet Sales Process Training for their role. 4. Fleet Preferred Facility Requirements include internal and external dealership signage and banner placement. Dealer s showroom and facilities must comply with Ford Fleet Preferred RL&S (Retail, Look and Style Manual) requirements. 5. Demo Vehicle Stocking dealerships can identify up to 10 eligible vehicles as part of their demonstration vehicle fleet for reimbursement of up to $2,000 per vehicle, up to $20,000 per year, not to exceed maximum funds available. 6. Emergency Towing requires dispatch and tow service capabilities as part of fleet customer management, with 24/7 emergency roadside assistance and recovery service for fleet vehicles. Reimbursement up to $500 per tow. 7. Parts and Service dealership must subscribe to promoting the use of authentic Motorcraft and Genuine Ford Parts in the repair of Ford Fleet vehicles, and provide parts delivery services as required for fleet customers. Ford Motor Company may modify or or terminate any or or all all Fleet Preferred Program elements for any reason. 5
MARKETING SUPPORT FUNDS FORD FLEET IS THERE TO HELP MARKETING SUPPORT FUNDS FOR EVENTS, DEMOS AND TOWING In business, it takes money to make money. That s why Ford Fleet Marketing Support funding was created, to help reimburse you for making intelligent investments in your Fleet business such as aggressive advertising, promotional fleet sales events, a proper demo vehicle fleet and emergency fleet towing services. Getting paid is simple. Submit a pre-approval claim 30 days before an event, an ad campaign, or in anticipation of offering demos or towing. Then submit a quick-claim form for payment upon generating an expense. The links to submit these forms are included in your dealership s new Fleet Preferred web portal as well as on the E&G Marketing Co-op website at: eandgcoop.dealerconnection.com. The E&G Marketing Co-op website contains a wealth of additional information, such as Program overview and quick reference guides, as well as fund allocation and new car advertising co-op guidelines. Day-to-day, you can use your Fleet Preferred dashboard to track, manage and effectively leverage your marketing support funds. Important Note: Review by the E&G Co-op Advertising Program headquarters, including pre-approval, is limited to conformance with the rules of the Program as published from time to time and does NOT include a review for compliance with any legal requirements or prohibitions. By participating in this Program, you agree to be solely responsible for ensuring that your dealership s advertising or fleet activity conforms to all applicable laws, and that Ford Motor Company is not responsible for any actions or proceedings of any kind, claims, damages, liabilities, costs, and/or expenses arising out of or relating to such advertising or fleet activities under this agreement. 6
PROGRAM GUIDELINES YOU LEAD THE WAY WITH FULL SUPPORT FROM FORD FLEET To ensure an ad or Fleet Preferred activity meets the Program content guidelines, advance ad approval for content compliance with this Program is available prior to submitting a claim. Pre-approvals for content do not guarantee reimbursement. A Program claim must be submitted and approved for reimbursement. Reimbursement is dependent on Co-op Program budget availability. When approved claims equal the Program budget, reimbursement payments will be discontinued since Co-op Reimbursements cannot exceed the annual allocation of Ford Fleet marketing funds. ADVERTISING REQUIREMENTS Any ad submitted MUST feature the Ford Fleet logo Advertisements MUST feature NEW Ford vehicles Dealers cannot exceed the annual allowance of their Fleet Preferred funds MEDIA Print reimbursement is provided for newspapers and magazine ads Direct mail/circulars/postcards the Ford Fleet logo must be shown prominently Billboard/outdoor/transit digital and static Electronic media: Radio spots MUST be pre-approved by E&G Regional personnel and emailed to Co-op HQ and MUST mention Ford Fleet and eligible Ford Fleet vehicles Television/Cable Ad (script) MUST be pre-approved by E&G Regional personnel and emailed to Co-op HQ Internet including screen cams/banner ads, search engine marketing (such as key words, optimization and related services) MUST confirm eligibility with the E&G Regional personnel and be emailed to Co-op HQ before running Internet advertising. Also, the screenshot submitted MUST include vehicle information and Ford Fleet logo to meet Program eligibility Alliances/sponsorship events include Ride n Drives, Launch events, Customer Appreciation events, special holiday or seasonal events, etc. You MUST submit an event pre-approval form at least 30 days prior to the activity date. (Reimbursement amount will be determined on a case-by-case basis.) Vehicle Body Wraps MUST be an eligible Ford Fleet vehicle in demo service or owned by the Dealer (parts truck) MUST be exclusively for the Ford Dealer MUST be pre-approved by E&G Regional personnel and emailed to Co-op HQ MUST contain the Ford Fleet logo (at least 18 inches in length and maintain proportionality) in the following places: both driver and passenger side and/or rear of eligible vehicle Only one (1) per dealership per Program year MUST be permanent, not removable (such as a magnet), to qualify For each dealer, there is a maximum Co-op Reimbursement of $1,000 Ford Fleet Calendars Any dealer-created calendar MUST be pre-approved by E&G Regional personnel and emailed to Co-op HQ and the Ford Fleet logo must be visible on every month s page INELIGIBLE COSTS Any advertisements that do not comply with Program Guidelines Advertisements on the dealer s homepage and/or domain owned by the dealership Any advertisement featuring any non-ford Motor Company vehicle is automatically disqualified for Co-op Reimbursement CLAIMING All claims must be submitted by the dealership using the Scan & Upload process on the E&G Marketing Co-op website. Claim forms are available on the Co-op website or by link from the Fleet Preferred site. Your claim must be made within 60 days of the month-end when the marketing communications or activity occurred. Fleet Preferred event, demo vehicle and emergency towing claim forms are available on the dealer s web portal dashboard page.
