Briefing note Training Associate role with Mango This briefing note outlines what to expect when you join Mango as a Training Associate. It covers: 1. Overview. Your investment and commitment 3. Overview The Training Associate scheme develops long term relationships with freelance finance consultants to deliver Mango s highly rated financial management training for NGOs. Our training associates play an important and integral role in Mango s training team, providing a pool of expertise e that we can call upon to meet the changing demands for our training service. They complement the core team of full-time trainers employed directly by Mango. Even though associates work as self-employed employed contractors, we see them as part of the Mango team, keep in regular contact and like to build up a close working relationship. For example, we include associates in our news distribution, and provide Mango email addresses and business cards. We deliberately keep the pool of associates small so that t we can ensure a group of skilled trainers that receive regular work from Mango.

. Your investment and commitment We require all new associate trainers to attend our highly rate Taking the fear out of finance (TT1) course (if not already completed in the previous years). This is part of the selection process and makes a practical bridge to the process of induction. We believe that the TT1 course not only provides a perfect introduction to Mango s award-winning style of training, but also contributes to your personal development. We therefore ask that you contribute 50% of the normal Band B course fee and that you cover any travel and accommodation costs. We also ask that you commit a minimum of 0 days a year to Mango assignments, once inducted. This helps to sharpen your training skills and confidence to deliver the training events. 3. Induction Training associates receive exactly the same induction and support to the trainer s role as our core training team. For each course that we ask you to deliver, you will first attend the course as an observer/helper. We also ask that you take at least one short session on the course to get a feel for the materials and style of training. We try to arrange it so that you will then run an event as soon as possible after you have been inducted, allowing some time for you to adequately prepare by reading through all of the materials. Before your first course, we then also arrange a one-to-one meeting or Skype call with an experienced trainer to answer any questions on the course or course administration. 4. Training delivery All Mango Open courses are standardised and pre-written. In-house courses commissioned by clients can be either standard courses or tailored to the client s needs by our course development team. You will not be required to design any course materials. We will provide you with a full set of trainer s materials, including detailed session plans, facilitator s notes, sample flip charts and supporting resources. Whilst it is important to follow the session plans, they do include different options to suit different groups so have built in flexibility. Mango does not use PowerPoint in its training. Our super-efficient admin team will send you everything you need in a box: certificates, registration and contact sheets, course handbooks, workbooks, our famous jargon balls, calculators and stationery. You must be prepared for some hard work! You will deliver the courses on your own and will be responsible for everything required to ensure the smooth running of the course once you arrive at the venue (except in the case of Inhouse events, where the client takes on that role). For example: liaising with the venue regarding supplies, meals and refreshments liaising with customs officials if the box of materials gets held up (a fairly rare event, but it does happen) setting up the training room greeting learners and managing the registration process on day 1 accepting occasional cash sums owed by participants and issuing receipts printing additional materials and certificates if needed advising the training admin team of no shows settling the final venue account (we provide a cash advance facility for this). At the end of the course, there are also a few administrative duties required such as completing a venue report, sending evaluation forms and registration sheets to the Oxford admin team and, where relevant, providing observations on in-house training events. 5. Assignments Generally, you will be assigned to open training events and standard course delivery in your first year. This will usually involve running two core courses back to back, eg: ES1: Getting the financial management basics right (5 days) ST1: Planning for financial sustainability (3 days) and/or WD1: Keeping your donors happy ( days). Once you get more experienced, we will also assign you to other courses and tailored events for in-house clients. We will give you as much notice as possible of assignments we would like you to do. There is often room for manoeuvre on dates for in-house training events. Prior to each assignment, you will be asked to agree to specific assignment terms (more on this below). This will include a greater level of detail regarding the terms of reference and fee for a specific piece of work. Training associates briefing note P age 3

6. Ongoing support and development The Training Operations Manager supports associates administrative and logistical needs. We provide full administrative support including help with organising flights and visas if you need it. We also provide cash advances and a pre-paid credit card scheme to cover expenses associated with the assignments. The core trainers are available at all times for advice and support. We also operate a weekend cover service to support any last-minute changes or support needs for courses. After each assignment, we ask that you complete a reflection sheet to capture how you feel the training went. This also allows you to flag up any areas that you need further induction or help with. 7. Remuneration and expenses For each assignment, we will provide Terms of Reference which include the dates, courses and fees for the job. The Operations Coordinators will calculate the fee for each assignment based on the guidance in the table below and in discussion with you. There is standard daily charge out rate for training delivery and a 50% rate for induction, travel and down time. The rate is reviewed in July each year. See table below for the current arrangements. General course admin Full 0.5 day for all contracts of two or more days duration Travel time 50% Paid according to a schedule of travel time (minimum 0.5 day maximum 3 days). Mango will cover all of expenses including: Flights and local travel costs (at economy standard) Overnight accommodation and breakfast Comprehensive travel insurance Cost of malaria tablets (but not vaccinations such as Yellow Fever) Course materials and stationery Daily per diem for evening meals and incidentals (no receipt required except in a limited range of countries to comply with UK tax laws)). At the end of each assignment, you will submit an invoice and our standard expenses form (and associated receipts) within two weeks of the course. We will pay your invoice within 4 weeks by bank transfer. 8. Customer relationships When on Mango assignments, it is important to recognise that you are representing Mango and must be conscious to protect and promote our reputation for excellence and quality in all we do. This includes dressing smartly and to respect local cultures.
