How does Signature Manager Work? Signature Manager takes an email signature template and fills it out for a specific individual using data that it retrieves from a directory database. In order to decide which signature template or templates to use for an individual, the product is generally configured to look at group membership or organizational unit data for that individual again retrieved from a directory database. In this way, the product can decide which email signature template or templates should be used for a given individual and dynamically fill out those signatures. Currently, the only supported directory database is the Active Directory 1. Therefore, in order to successfully install and use Signature Manager, you must be logged in to a Windows Server 2003, 2008 or 2012 Active Directory domain. Solutions for conveniently maintaining Active Directory and Office 365 Directory capabilities side by side are given below. Additionally, Signature Manager also provides functionality to update OWA signatures. In order to achieve this, the product automatically creates a MAPI profile that is unfortunately unsuitable for Office 365 environments 2. More information on resolving this issue is provided below. Maintaining a Coexisting Active Directory and Office 365 Directory The following classes of Office 365 customer will have an Active Directory installation capable of supporting Exclaimer Signature Manager: Customers migrating to Office 365 from an existing Windows domain who are retaining that domain post migration. New Office 365 customers who have chosen to deploy a new Windows domain in parallel to provide controlled access to other elements of their Information systems and IT infrastructure. In both scenarios, the customer will need to maintain two sets of directory data: one for Office 365 and another for the Active Directory. The following sections provide further information on how this can be done in a variety of Office 365 plans. No Synchronization Signature Manager will use directory data from the Active Directory which may be different from the Office 365 directory data that is most probably your administrative focus. Keeping the two directories synchronized requires manual intervention and update. Active Directory Synchronization This Microsoft component synchronizes your Active Directory and Office 365 directory such that changes to the former are automatically propagated to the latter. Exchange Online and Enterprise level Office 365 plans offer this facility but Small Business (Plan P1) 3 does not. Active Directory Synchronization plus Federation Services (AD FS) Adding the ADFS Microsoft component to a synchronized environment allows end users to access both local and online resources through a single on premise validation at logon. This solution provides the best of all worlds in that the administrator need only maintain one set of credentials and the end user only needs a single logon to access all the resources they need. Users can still access 365 resources such as email even when outside of their on-premise environment using their online credentials. Managing OWA Signatures To ensure that Outlook Web App signatures are always up-to-date, follow the steps below: 1. Within the Exclaimer console, select the Signature Manager branch of the console tree. 2. Select the settings tab to view Signature Manager settings: 3. In the OWA Signatures section at the bottom of the tab select Update OWA from Server - 2 -

4. In the OWA signatures section (at the bottom of the tab) click the configure button to display configuration options: 5. Configure server updates using the table below as a guide: Option Summary Specify an account with impersonation or full access rights... Account / Password CA Server Exclaimer Signature Manager needs authority to access Exchange mailboxes for all users - this is known as Exchange Impersonation. The account configured here must be an active Office 365 account and will be used to run the Exclaimer Signature Manager service which has impersonation rights for everyone in the organization, so all mailboxes can be accessed. This is the name of the mailbox server where the account mailbox is hosted. Always leave this field blank when using Office 365. - 3 -

Option Summary Connectivity Test MAPI connectivity Don t use this option with Office 365. Test EWS connectivity Always use this option with Office 365. This option attempts to connect through EWS using the details that you have specified and any errors will be reported to you for further investigation. Always leave this on auto-discover the Exchange Web Services URL (recommended) with Office 365. EWS settings The Exchange Web Services URL tells the system where to find required Exchange data. On a correctly configured system, this URL is easily found using auto-discover (a Microsoft technology). However, for particularly complex or incorrectly configured systems, auto-discover may not work and so details must be entered manually. Use this URL for Exchange Web Services If the auto-discover option fails to detect the correct URL for Exchange Web Services, select this radio button and enter the required URL in the associated field. 6. Click OK to confirm any changes and exit back to the Signature Manager settings tab. 7. Click save to save all changes. - 4 -
