OBTIS / Autotoll GPS Fleet Management System User Manual December 2011 Edition
1. Introduction Thank you for using with OBTIS service platform. To enable you to fully understand of superior functionality of the system, we recommend you first to read this user manual before starting using the system. In order to explain how you can consolidate daily works with the platform, contents in this manual are described in detail through illustrations, annotations and step-by-step instructions. Example explanations of the most basic item, such as user information, to vehicle tracking and travelling report are also provided. 2. 4. User Login and Logout Login The login name and password of the "System Admin" will be sent to users by e-mail from OBTIS Customer Services Centre within 24 hours after installation of onboard unit. This password is reserved for the highest-level user(s). With this access code, you are authorized to login as the administrator creating sub-accounts in lower-level with specific username and password. Enter the URL: http://gps.autotoll-gps.com.hk Click the Login button after entering your login name and password. Logout Use the mouse to point the greeting box at the upper right corner, and then click on the Logout button. 5. Company Profile Company information is shown in the company profile column. If typing mistake is found or amendment needed to be made, please call OBTIS Customer Services Centre for assistance.
6. User Management (FOR SYSTEM ADMIN USER ONLY) User Information Setting User Information column will appear when pointing your mouse at the User Management on the top of the page. User can click on the User Information column for user information setting. In the User Information page, user s information is shown in tabulate format. User can click the Add button to add new user. Fill in the information at the blank boxes on the Create New User" page, and then click the submit button. Users can be assigned as the Operator or General User. Both the operators and general users can view the information online, but only operators are authorized and able to arrange job dispatch tasks and ROCARS applications to customs. User can choose to view the number of the data field, scroll back and forward, export report in Excel format, edit or delete the use permission of operators and general users on the User Information page.
User can choose to edit, suspend, enable or delete other online user(s) by clicking the Actions button. After clicking the Edit button, user can then enter the Edit User Information" page. Click the Submit button finished editing. (FOR SYSTEM ADMIN USE ONLY) Fleet Assignment Fleet Assignment column will appear pointing your mouse at the User Management on the top of the page. User can click on the Fleet Assignment column for configuration. In the Fleet Assignment page, user can coordinate relevant staff/user with the fleet(s) allowing them to view the information of that fleet(s) from the service platform. Click the Submit button at the right bottom of the page when finished selection.
Posting Company Logo User can post or change company logo in the System Preference Company logo page by clicking the Company logo setting column Click the Browse button to choose the file to be uploaded from the computer, and then click the Upload button to add or change the company logo. User can customize the content(s) of the real-time tracking message box by clicking the System Preference > Real-time tracking setting. Click the Submit button after selection. 7. Fleet Management 7.1 Fleet Information (FOR SYSTEM ADMIN USE ONLY) In the Fleet Management Fleet Information page, user can view the existing fleet set-up, add or delete fleet, or edit the information of a fleet. A fleet is formed by vehicle(s) in which the Onboard unit is installed. User can edit or delete a fleet by clicking the Action button.
In the Fleet Information Create New Fleet page, user can arrange and allocate those vehicle(s) with the OBU installed to a new or existing fleet by clicking the left or right buttons. Remember to click the Submit button at the right bottom corner of the page after editing. 7.2 Vehicle Information (FOR SYSTEM ADMIN USE ONLY) Enter the Vehicle Information page by pointing your mouse to the Fleet management and clicking the Vehicle Information column. You can view the existing vehicle setting and to edit the vehicle information. Click on the Action button and choose Edit for editing the vehicle information. When you have entered the Edit vehicle page, type in the information in the relevant blanks. * User can also set up the Abnormal vehicle usage time as the basis of the Abnormal Usage Report. Click the Submit button at the right bottom corner of the page when finish editing.
7.3 Driver Information (FOR SYSTEM ADMIN USE ONLY) Entering the Driver Information page by pointing the mouse to the Fleet Management column and choose Driver Information. Driver information is composed of those with driver s identity cards. User can search for the driver information by typing the name of the driver or choosing the permitted vehicle category on the left of the page. In the Driver Information page, user can view the information & setting of the existing driver(s), add new driver, suspend a driver, delete a driver or edit the information of the given driver s identity card. To edit the information of the driver s identity card, user can click on the Action button and then choose Edit. To suspend one s driver identity card usage, user can click on the Action button and then choose Suspend. In the Edit driver or Create new driver page, user can enter or change the driver information. Click the Submit when finished data entry.
8. Vehicle Tracking User can enter the Vehicle Tracking page by pointing the mouse to the Fleet Management column and click on the Vehicle Tracking. In the Vehicle Tracking page, User can choose to do real-time tracking by vehicle, by fleet, by geo-zone or by landmark. User can click the icon shown at the mid-bottom of the electronic map to extend the geographic information column. The geographic information of the vehicle will then be shown in details at the column. User can view the vehicle location and the fleet location in this page. User can also view if the vehicle/fleet is within or leaving the geo-zone/landmark area by choosing different options at the Function column on the left. User can use the zoom feature icon button on the digital map to zoom in or zoom out the map to the desired level (17 layers). The contents running at the green row of the top of the map are road traffic announcement in Hong Kong. Those information will be updated on regularly basis.
Real-time Tracking by Vehicle/Fleet User can choose the information of the existing vehicle(s)/fleet(s) from the function column on the left. Digital map update frequency: 90 seconds As the settings for each vehicle may vary, the GPS updating intervals can be adjusted according to customers requests. Real-time Tracking by Vehicle Choosing Real-time Tracking by Vehicle at the Function column on the left and select a vehicle at the Current account s vehicle column, and then click Submit. Vehicle location will then be shown on the electronic map. Both the vehicle information and the related geographic information will be shown on the left of the page. A pop-up box with such information will be shown when clicking the vehicle icon on the map. Real-time Tracking by Fleet Choosing Real-time Tracking by Fleet at the Function column on the left and select a fleet at the column below, and then click Submit. Fleet location will then be displayed on the digital map. Both the fleet information and the related geographic information will be shown on the left. A pop-up information box will be appeared when clicking the vehicle icon on the map or the license plate no. inside the Vehicle information box. Map Zoom Function User can use the zoom feature icon button to zoom in or out the map. The digital map contains 17 layers. User can also click on the quick zoom button at the top of the round direction plate for map zooming or panning.
Quad Monitoring In the Fleet Management Vehicle Tracking page, user can view the location of vehicles or fleets through quad display mode, choosing Quad Monitoring from the function column in the left of the page. Under the Quad Monitoring mode, user can operate each split-screen separately. Local Search User can first to choose Local search at the Function column on the left follow by Search city and type in the keywords, and click the Search button. The searched site location and its related information will then be shown on the digital map.
9. Management Reports In the Fleet Management Management Report page,user can view and download information and reports of the existing vehicles, fleet and driver. Different types of reports are available Tracking Report Travelling Report Speed Report Abnormal Usage Report > Engine Status Report Event Report In/Out Geo-zone Report Day-time Use report Idling Report Vehicle Usage Report in Percentage Vehicle Usage Report User can view and access various reports by vehicle, by fleet or by driver. > User can also view different kind of Status reports from the same page, including: Over Speed Report Top Ten Speed Report Top Ten Long Time Idling Report Long Time Idling Report
Tracking Report - By Vehicle Firstly choose By Vehicle from the Enquiry column in the left of the page. Click on the vehicle required for access and choose the start/end time. Tracking Report (By Vehicle) will then be displayed on the page after clicking on the Submit button. User can download the report in EXCEL, CSV or PDF format by clicking the desired icon at the top left corner of the report. User can choose to save or open the report from the Pop-Up Windows. Sample Travelling Report (By Vehicle) in EXCEL format showing the vehicle travelling path. The travelling path of the vehicle will also be shown on a pop-up digital map at the same time. User can match up with the Travelling Report for different usage. Speed Report Showing the vehicle speed in both text and diagrammatic report format. Sample Speed Report in EXCEL format.
Abnormal Usage Report Showing the vehicles driving record within the prohibited period. Sample Abnormal Usage Report in EXCEL format. Engine Status Report Showing the on/off engine transaction of a vehicle in a period of time. Sample Engine Status Report in EXCEL format.
Event Report After selecting the event(s) from the Event selection in the left hand side of the page, the record of the appointed event(s) in a period of time will be shown as an event report. Sample Event Report in EXCEL format. In/Out Geo-zone Report Showing the record of a vehicle going in/out of a geo-zone. Sample In/Out Geo-zone Report in EXCEL format.
Day-time Use report Showing the vehicle s use record within a certain period of time on a particular day. Sample Day-time Use report in EXCEL format. Idling Report Showing the vehicle s idling (Engine on Speed 0 km/hr) record in a period of time. Sample Idling Report in EXCEL format.
Vehicle Usage Report in Percentage Showing the record of vehicle s usage (in %) within a certain period of time on a particular day. Both the text and diagrammatic report are shown. User can > also review the status reports in the Report Management page. Those reports includes: Over Speed Report Top Ten Speed Report Top Ten Long Time Idling Report Long Time Idling Report 10. Status Report Over Speed Report Pointing the mouse to Fleet Management column, choose and click on Report Management. On the page, select Status Report and Over Speed Report on the left hand side. From this page, user can view the over speed record of all existing vehicles, fleets and drivers in a report. User has to enter the Speeding selection and choose the Search time at the left hand side of the page first. Click on the Submit button when finish and the Over Speed Report will then be shown on the page. User can choose to download the report in EXCEL, CSV or PDF format by click on the icon button at the top left corner of the report.
Top Ten Speed Report Pointing the mouse to Fleet Management column, choose and click on Report Management. In the page, select Status Report and Top Ten Speed Report on the left hand side. From this page, user can view the top ten speed record of all existing vehicles, fleets and drivers in a report. Firstly entering criteria including Speeding selection and Search time at the left hand side of the page, and then click on the Submit button. The Top Ten Speed Report will be shown on the page afterwards. User can choose to download the report in EXCEL, CSV or PDF format by click on the icon button at the top left corner of the report. Top Ten Long Time Idling Report Pointing the mouse to Fleet Management column, choose and click on Report Management. In the page, select Status Report and Top Ten Long Time Idling Report on the left hand side. From this page, user can view the top ten idling record of all existing vehicles, fleets and drivers in a report.
Firstly entering the idling time setting at the Idling selection column and choose the Search time at the left hand side of the page, and then click on the Submit button. The Top Ten Idling Report will be shown on the page afterwards. User can choose to download the report in EXCEL, CSV or PDF format by click on the icon button at the top left corner of the report. Long Time Idling Report Pointing the mouse to Fleet Management column, choose and click on Report Management. On the page, select Status Report and Long Time Idling Report on the left hand side. From this page, user can view the long time idling record of all existing vehicles, fleets and drivers in a report. Firstly entering the idling time setting at the Idling selection column and choose the Search time at the left hand side of the page, and then click on the Submit button. The Long Time Idling Report will be shown in the page. User can choose to download the report in EXCEL, CSV or PDF format by click on the icon button at the top left corner of the report.
11. GIS Management User can set up geo-zone and landmark area in the GIS Management page. Camera function setting can also be mapped out by GIS management. In the GIS Management Geo-zone Management page, user can add, edit or suspend a geo-zone. User can also edit the mapped fleet and the camera function setting through this page. > To add a new geo-zone, click on the Add geo-zone button on the top left corner of the page. > To suspend a geo-zone, click on the Action button and choose Suspend. > To edit mapped fleet, click on the Action button and choose Edit mapped fleet. > To edit camera function setting, click on the Action button and choose Edit camera setting. Edit / add new geo-zone After entering to the Add geo-zone or Edit geo-zone page, type in or edit the name of the geo-zone first. Click the Draw button from the left function column, and then surround the geo-zone area by clicking on the map on the right hand side. Double click when finish drawing, the surrounded geo-zone area on the map will then change from blue colour to orange colour. Click the submit button at the left function column, a pop-up windows will be shown if create is success.
User can go to the next Edit geo-zone mapped fleet page to match the geo-zone and the existing fleet(s). Click submit when finished editing. Records will be made when the vehicles of that fleet(s) go in/out of that geo-zone. User can view and check the pairing(s) of the fleet & geo-zone on the next Geo-zone Management page. Click on Action and Edit mapped fleet for editing if needed. Editing mapped fleet / camera setting Click on the Action button and choose Edit Camera Setting. In the Edit geo-zone camera setting page, user can select and match the existing fleet(s) with the geo-zone and camera location. Image will be captures when the vehicles of that fleet(s) go in/out of that geo-zone. Click submit when finished editing.
In the GIS Management Landmark Management page, user can add, edit or suspend a landmark area. User can also edit the mapped fleet through this page. Edit Landmark In the GIS Management Landmark Management page, user can click on the Add Landmark button to add a new landmark area or click on the Action button and choose Edit Landmark to edit the landmark area. After entering to the Add Landmark or Edit Landmark page, type in or edit the name of the landmark first. Click the Draw button from the left function column, and then click on a place/point on the map making it as a landmark. The landmark will be shown afterwards. User can also select the Alert Distance at the left function column. Click the submit button when finished editing, a pop-up windows will be shown if create success. User can go to the next Edit landmark mapping with fleet page to match the landmark and the existing fleet(s). Records will be made when the vehicles of that fleet(s) go in/out of that landmark area.
User can view and check the pairing(s) of the fleet & landmark on the next Landmark Management page. Click on Action and Edit mapped fleet for editing if needed 12. Operation timed out In addition to the Vehicle Tracking (digital map) page, prompt text will be shown at the top of the page after 30mins Idle mode. User can clink on the extend button to temporarily cancel the logout of the page. If the page is already logged out, user must login in again following the general login process. Operation timed out does not applied to vehicle tracking page.
