NETSCC MIS Brief Consultant or Scientific Advisors Introduction to NETSCC MIS NETSCC is introducing a new Management Information System (the NETSCC MIS) to help us provide a consistent and high-quality research management service to all our external stakeholders. Use of the NETSCC MIS will help us target, plan, fund and manage research more effectively and meet the changing needs of the research community, health practitioners, the public and funders. We will use the NETSCC MIS for all our programme activities, including applications and funding, monitoring and reviews. The new system makes the best use of web-based technology and will replace a number of systems currently being used by NETSCC. The way that NETSCC works with you is not changing we are just asking you to interact with us and provide us with information in a slightly different way. The NETSCC MIS is very easy to use. It has extensive online help facilities as part of the system, with support available from your usual NETSCC contact. The NETSCC MIS can be accessed using this link - https://netscc-mis.nihr.ac.uk/mis On the Log in screen you will see comments about Pop-ups, Cookies and PDFs. You need to ensure that your browser allows pop-ups from the NETSCC MIS You need to make sure that your browser is set to allow Cookies The NETSCC MIS uses PDFs extensively so you need to have Adobe Reader installed on your PC so you can read PDFs (Adobe Reader is a free download) The NETSCC MIS works across a wide range of internet browsers. However, we recommend you use the following: Windows users - Internet Explorer (versions 7, 8 and 9), Firefox or Chrome Apple users - Safari or Firefox Linux users - Opera In some cases, if you use Internet Explorer, when you try and download something from the NETSCC MIS, the screen briefly opens up and then disappears with no download available. This is an internet explorer issue and can be fixed when you are in Internet Explorer by clicking on Tools, Internet Options and on the Security tab clicking the Custom Level button. Scroll down until you get to the Downloads section and in Automatic prompting for file downloads and File download select the Enable option.

Logging In Passwords In Login ID enter your user name (the same one you use to log into a NETSCC PC). In Password enter your password. Click the Log In button. Your NETSCC MIS username and password will automatically be set as your isolutions username and password. If you forget your password or wish to change it go to (https://subscribe.iss.soton.ac.uk/subscribe.html). Changing an isolutions password will automatically mean the password for the NETSCC MIS will be changed. It may take 15 minutes to synchronise the passwords. Navigation Principles Tabs Once you are logged into the NETSCC MIS you will see seven tabs across the top of the screen. You will only need to use the Personal Tasks tab (and possibly the Settings tab). Personal Tasks In the Personal Tasks section you will see all your outstanding tasks (i.e. tasks that you have not yet submitted). In the Filter Tasks section you can search for tasks by various criteria including task name and tasks due within a certain number of days. Settings In the Settings tab you can decide which of the seven tabs across the top of the screen you want to display. MIS Brief Consultant or Scientific Advisors Page 2 of 6

If you don t want to display one of the tabs in the list take the tick out and click Save and Close at the bottom of the screen. You can t do this for the Options or Settings tabs and you shouldn t do it for the Personal Tasks tab. Options The Options tab only has an option to change your password. Please don t use this as it will have no effect on your password as your user name and password are managed separately and outside the NETSCC MIS. Left-hand menu When you are on your home screen the left-hand menu contains various options that NETSCC staff will use to manage projects but that you will probably never use apart from Contacts (where you can update your contact details), FAQ (to view frequently asked questions about the NETSCC MIS) and the Log Out option. When you are in a task the left-hand menu lists the screens that make up that task. Some tasks will have a Main screen at the top of the list and a Review & Submit screen at the bottom with the screens pertaining to the task between these two. To complete the task you will need to access each screen and enter the required information. Contact Details You can view and update your basic contact information by selecting Contacts from the left-hand menu. Enter your surname and first name (if it will help to narrow down the search) in the appropriate fields and click Find. In the Person Results section click on your name in the list. In the Summary section click Edit to amend any of your basic details such as Title, Name and Suffix. Click Save and Close when finished. In the Address, Phone and Fax, E-mail Address and Web Address sections you can Add new details, Edit existing details and Delete details no longer needed. Note: If your address is in the UK (England, Scotland, Wales, N Ireland, Isle of Man, Jersey and Guernsey) you can use the Find Address postcode finder to find the address. Note: For some contact details, you can only delete a non-primary entry. If you want to delete the primary entry, you first need to make another entry primary or add a new entry and make that primary (you can only have one primary entry in each section). You do not need to access any of the other three sections (Affiliated Organisation, Affiliated Persons and Category Affiliation). Tasks Overview The NETSCC MIS is a task-driven workflow system and whenever we need you to complete a task it will appear in your personal task list on your home screen. So that you don t need to keep logging in to the NETSCC MIS to see if you have a task to complete, an email will be sent to your Primary email address telling you that you have a task and asking you to log into the NETSCC MIS to complete it. Completing Tasks When you log into the NETSCC MIS the home screen (Personal Tasks section) displays a list of all the tasks we require you to complete that you have not yet submitted. To access a task click the link to the task (the green name of the task). This takes you into a provide input or review screen unless it is a task that has more than one screen in which case you are taken into the Main screen. To complete the task view the PDF of the information to review and make your comments. If it is a task with more than one screen select the first screen (after Main) from the left-hand menu and enter the information required. The NETSCC MIS will take you through the screens in order until you get to the Review and Submit screen. When you have entered any required information in a screen use Save and Continue to move to the next screen rather than the left-hand menu which will not save the information you have entered. If at any point you need to revisit a screen to add further information or amend what you have entered click on the link to that screen in the left-hand menu remembering to Save any new information you enter. Note: If you need any help completing the screens click the For help and guidance click here. link at the top of the screen (click the word here ) for instructions on how to complete the screen you are currently on. When you have entered all the required information you must Submit the task. For most of your tasks the Submit button is at the bottom of the screen but for tasks with more than one screen you will find it at the top of the Review and Submit screen. On the Review and Submit screen if any red crosses are displayed use the left-hand menu or the link to the page name in the Validation Status screen to revisit the relevant section to supply the missing mandatory information. There may also be yellow warnings for sections where the information is not mandatory but may be required for your particular project. Yellow warnings will not stop you submitting the task. Once you ve submitted a task it is removed from your Personal Tasks list and you can no longer enter information into it. Note: If you have submitted a task in error before you have entered all the information please contact NETSCC who are able to re-open it for you. Consultant Advisor and Scientific Advisor Task List The following is a list of the Consultant or Scientific Advisor tasks you could be asked to complete: Provide Revised Application Input (CA / SSA) Provide MHRA Approval Input (CA / SSA) Provide Ethical Approval Input (CA / SSA) Early Funds Request Input (CA / SSA) Provide Project Outputs Input (CA / SSA) Provide Project Oversight Group Input (CA / SSA) Provide Protocol Input & Approval (CA / SSA) Provide Expected Start Date Input (CA / SSA) Provide Start Date Input (Pre-Contract) (CA / SSA) Provide Report Input (CA / SSA) Provide Contract Variation Comments (CA / SSA) Provide Closure Plan Input (CA / SSA) MIS Brief Consultant or Scientific Advisors Page 4 of 6

Provide Revised Application Input (CA / SSA) When we are reviewing revised applications for funding we may need you to provide input to help us make the right decisions about which research applications should be funded. This task is for you to view the revised application and financial details and make your comments. To access the task click the link to the task (the green name of the task). When a contract variation request has been received from a Chief Investigator we may need you to provide input to help us make the right decision about the variation request. This task is for you to view the contract variation request and make your comments. To access the task click the link to the task (the green name of the task). This takes you into the first screen of the task, the Main screen. To complete the task, select the Contract Variation Comments screen from the left-hand menu and start entering the information we have requested. The NETSCC MIS will take you through the screens in order until you get to the Review and Submit screen.
