Product Overview The SafeTime inspection device has been designed with collaboration in mind, ensuring that everyone has access to the latest inspection information. This critical information is then clearly displayed on a SafeTime device that is fixed to the scaffold/ temporary works. By using an Android based smart phone or tablet with NFC (Near Field Communication), inspectors can carry out inspections. Within seconds the inspection information can be accessed by anyone associated with the project online. Inspections are carried out using the SafeTime app which can be downloaded from the SafeTime website which is installed on the Android device. The SafeTime cloud based portal (accessed from your web browser) then allows users to view or download full inspection information. By using a cloud based system there is no need to install / upgrade software. This approach allows access from any PC with internet connectivity and a web browser installed. For a more detailed overview of the SafeTime system please view our video via our website: www.safe-time.co.uk
Key Features Fully web-based interface, allowing collaboration between all parties and eliminating the need for your own hardware to operate as a server. Immediate visual indication, notifying user of how many days until the next inspection, which ensures safety is maintained. Eliminates downtime between missed inspections. Email notifications to alert you of pending inspections, which in turn help your workforce manage their time more efficiently. Map overlay, to show you the locations of your projects & even approximate location on site of where the last inspection was carried out. Weather notifications, the SafeTime system uses the Met-office data to produce a weather report, which notifies you if a re-inspection is recommended due to high winds. Paperless, since all information is stored on the SafeTime server, there is no need to print ANYTHING. No Batteries to replace, the SafeTime device is tamperproof, and a battery indicator is displayed on the latest inspection. Waterproof to IP63, the inspection device has been manufactured to withstand the toughest conditions and will survive anything mothernature can throw at it. Security is of paramount importance, so SafeTime uses the latest technology and utilises secure VPS servers with a fully encrypted connection. With the SafeTime system, there is no need to backup information as we have two dedicated servers ensuring that all information is available, when you need it. Competitive pricing. The SafeTime system has been developed to compete with any commercial solution available today and offer so much more in regards to service and user satisfaction.
Can the software be hosted from users servers? The key objective behind SafeTime is Open Collaboration the only way this can be achieved is for SafeTime to host the web portal from their servers. This does of course eliminate the need for organisations to upgrade their servers and also means that we can implement upgrades to the software in the background without the need of the customer to do anything. Is the users data Secure and Safe? The SafeTime system runs from a Virtual Private Server (VPS) which can be upgraded to suit the needs of the portal system. The server is cloned to a secondary location so in the event of a catastrophe there is no disruption to your service. All information stored on the SafeTime server is encrypted. How do users "Pull the Tag with a SafeTime Device? In order to eliminate malicious tampering SafeTime have taken the decision to remove any buttons from the SafeTime device. The only concern that has been raised to date is that not everyone can pull a tag. So the procedure that we recommend to be written into site inductions is as follows; 1. If there is an issue the operative is to make sure that access to the structure is blocked off or somebody is on guard to stop access to the hazard. 2. They are then to notify a competent manager of the hazard, so they can; 1) Arrange for the hazard to be blocked off on a more permanent basis. 2) Disassociate the device using the SafeTime app which is on their Android smart phone. 3) Arrange for a competent person to return to site in order to rectify the problem & re-inspect the structure. Do weather notifications work outside the UK? At this point in time the weather notification system has not been tested outside the UK, however there has been a lot of interest into the SafeTime system internationally and SafeTime will be testing / developing this imminently. Do SafeTime Listen to our comments? SafeTime have been working hard over the past 18 months to ensure that any constraints / problems have been ironed out and if there is a problem we fix it, we pride ourselves on the motto Solutions not Problems. We listen to your feedback, so if there is something that you want included, we will see if it s something that we can incorporate in future updates.
Technology Requirements Once you have purchased a box of SafeTime devices all you need to get going is an Android Device with NFC (Near Field Communication). NFC is used in the new contact-less payment technology seen on most credit cards. So care must be taken when selecting a device. SafeTime have tested dozens of devices but highly recommends the Google Nexus 5 & 7. The 5 being the smart phone & 7 being the tablet. These handsets are very reasonably priced, with great features and performance. A 3G connection is not essential, however we would recommend it s use for the following reasons; 1. Improved accuracy. When an inspection is carried out the location is appended to the report, the 3G devises have better GPS accuracy and this is what SafeTime utilises for the inspection. 2. Syncing information. When an inspection is carried out, the information needs to be synchronised. In order to do this remotely the phone or tablet need to connect to the internet, by either WiFi or 3G. 3G allows for the synchronisation to be carried out anywhere* (not just when you are back at the office / home) *Subject to a 3G cellular signal being received Google Nexus 5
Cost Analysis (Based on 1 Years Usage) The first question most users ask is.. How much does it cost? So the below shows the cost of getting the system up & running, however the cost can be reduced if users already have the hardware to run the SafeTime app. Description Quantity Rate Total Hardware Google Nexus 5 (Smart Phone)* 1 No 299.99 299.99 SafeTime Inspection Devices (10 Devices per Box) 1 Box 129.50 129.50 Software Premium Subscription (1 Month Rolling) Includes 5 users 11 Month 199.00 199.00 Additional User (If Required) (Per user, Per Month) 1 4.99 TOTAL 628.49 There is no minimum contract, the above is based on the setup and operating cost for 1 months. * SafeTime do not manufacture smart phones/ tablets and therefore have no control over both the cost and quality of the handsets. Client Endorsements ISSUE10 HEALTH & SAFETY PAGE 10 BAM - Safety Best Practice Internal Memo 2013 Bringing scaffold inspection into the future London Bridge project is trialling an electronic system to manage scaffold inspection using the latest technology these tags when fitted and set up show their location via GPS ( Global Positioning System) a bit like your sat nav. No paper registers are needed anymore and everything is securely stored in the cloud (online storage). All inspections can be viewed on line via a secure password protected portal. A visual display on the tag shows the number of days left on the tag before it's due a re inspection. If no number is displayed on the tag don't use it. Automatic inspection reminders are emailed up to 3 days before they are due, based on the tags position the system checks the local weather and warns you if there has been strong winds that could have effected the scaffold prompting you to re inspect it. As yet it doesn't make the tea but that could be in the pipeline. Costain Ltd Newsletter for Network Rail 2014
Frequently Asked Questions If I lose my device can I track it? In order to keep the cost of the SafeTime Device to a minimum the GPS location is derived from the Android Tablet/Phone so the inspection device can only be tracked to the location of the last inspection. What happens if my device gets stolen? Unfortunately SafeTime cannot control peoples behavioural issues on site, however if someone try's to reuse a stolen device it will not work The device can only be used by the company who has paid and used the device previously. How many inspections can I do? How fast can you work The SafeTime system currently has not found a limit to the number of inspections that can be carried out. How much do they cost? A box of 10 devices costs just 129.50 + VAT (that's only 12.95/ unit) Are there any hidden charges? We have tried to keep this as simple as possible so there are no hidden charges, users have the ability to upgrade & downgrade their subscription as & when they please. What is the length of the contract? There is no fixed contract duration unless you opt for on site support, which requires a 12 month subscription What are the different subscription levels? We have two subscription levels standard (free) and premium ( 199/ month) additional users can be added to each plan at an additional cost. Can I use my iphone / ipad? SafeTime are ahead of Apple with the adoption of NFC technology, so we are waiting for Apple to catchup before we can develop an application. Fingers crossed they do this soon as we would love to incorporate their devices into our line of products. What is NFC? Near Field Communication (NFC) is the same technology that is used for for your contactless credit cards. This is a secure way of transferring a small amount of data and ensures inspections are carried out on site and cannot be done remotely. How long will the LED flash for? Once the device has expired, the LED will flash for 24 hours. After this time if the inspection still has not been carried out the device will continue to flash with a '0' indicating that the structure requires an inspection.
Frequently Asked Questions How long do the batteries last? The battery life depends on how the device is used. It will certainly outlast the warranty of the device. Is it waterproof? The device has been manufactured to an IP63 rating, so it will survive a torrential downpour. What happens if I drop it? What happens when you drop your mobile phone? The SafeTime device has been designed for site use, however we cannot warrant the device against misuse. Is my data secure? All data is stored and backed up in our secure cloud. And all data is backed up to a secondary server, for additional peace of mind. How do I attach it to the scaffolding? The device has been designed so that it can be fitted using plastic cable ties. You can fix horizontally or vertically, it can also be screwed to hoarding. How does the device detect the weather? The SafeTime inspection device will be logged with the location when it is inspected. This location is then co-ordinated with the closest MetOffice weather Station. Do you need to be in a 3G/ Wifi area to inspect a device? As long as the devices have been associated with your company (i.e. scanned at least once) you do not need 3G/ Wifi on site, so you can therefore use the devices in basement areas etc. Once you are in a 3G/ Wifi area you can then sync your last inspection data with the secure cloud. Can I Re-use the device on a different site? Once a site has finished devices can be put into standby mode and can then be reused on another site at a later date. Can I change the batteries myself? To avoid tampering and to maintain water integrity SafeTime have designed the inspection device to be tamper proof.
