PORTFOLIO MANAGER SOFTWARE Step-by-Step Instructions for Energy Consumption Tracking Step 1: Collect Background Information and Utility Bills for your Building: - See Table at end of this document for a list of building information for you to collect - Identify all applicable energy consumption for your building: i.e. electricity, natural gas, propane, etc. and locate monthly bills - Identify which energy meters serve what portions of your building(s) - For existing building retrofit projects collect at least 12 months of energy data prior to the retrofit Step 2: How to Create a Portfolio Manager Username and Password: 1. Navigate to: https://www.energystar.gov/istar/pmpam/ 2. On the right hand side of the screen click on Register 3. This will bring you to the Account Information Screen 4. Enter in a Username and Password (Write down for future reference) 5. Enter in your Name, Email and Organization the other information is optional 6. Select a Verification question (in case you forget your password) 7. Select the business type that best describes your organization 8. Select the job title that best describes your position 9. Select the building square footages for each facility from the three drop down tabs 10. Do not select the master account feature 11. Step 3: How to Add a Building: 1. Once your account is created (i.e. username and password are established) navigate to Home>My Portfolio 2. Click on the top right hand link - Add a Property 3. Select the appropriate property type, in most cases, you will select one of the following, based your department s management/ownership of the facility: A single facility for which my organization owns or manages 90% or more of the floor area, or A portion of a single facility for which my organization owns or manages less than 90% of the floor area. 4. Select Continue on the bottom right corner 5. The following information is then needed for each building/campus: Who manages/owns the facility? Facility Name Address City State County Zip Code Year Facility was constructed 6. Leave the following blank: Select the Organization that owns this facility Select a primary Service and Product Provider for this facility 7. Select Save at the bottom right hand corner of the page 8. This facility is now saved into your account. The next step is to enter in a Space Type for the facility Step 4. How to Add a Space Type to a Building: 1. Navigate to Home>My Portfolio and Click on the name of a Facility that has been entered in to the account Energy, Minerals and Natural Resources Department Page 2
2. Half way down the page, look for the table titled Space Use and click on Add Space 3. This brings you to the Add a Facility Space Page. 4. Enter in the Space Type Name 5. Select the Space Type from the Drop down Menu (most cases will be Office, Warehouse/Storage or Other ) 6. Enter in the Effective Date for the Space (i.e. date the building was constructed) 7. For Office Space, Other and also Warehouse and Storage Spaces, the following information is then needed: Floor Area (Square feet) Operating Hours Workers on Main Shift # of PC s % Floor Area Air Conditioned % Floor Area Heated Varying Space Types will result in a slightly different page for data entry. However the above information will be sufficient to save the space type. 8. Click on the Save button at the bottom right hand corner of the screen. 9. The next step is to enter in the energy meter(s) for each facility. Step 5. How to Add an Energy Meter to a Building: 1. Navigate to Home>My Portfolio and Click on the Facility that you just entered in. Near the bottom of the page in the Energy Meter Section, click on Add Meter and the below page appears: 2. Enter in the Meter Name Example PNM-0430587 First use an acronym for the utility company (such as PNM), then enter in the numerical account number, in the case of PNM, the last 7 digits of the account number 3. Apply to the following Space Types Determine to which areas of the building or campus the Meter services. You have the option of selecting the specific space types or you can apply the meter to the entire facility. 4. Meter Type: Enter in the Energy Type (most will be Electricity or Gas) and the Units (such as kwh, therms) Energy, Minerals and Natural Resources Department Page 3
5. Add this Meter to Total Facility Energy Use? The two options are: Yes, calculate this facility's total energy use by including this meter No, adding this meter to this facility's total energy use will inflate the actual value Select yes, for all cases where the meter does not include a renewable energy purchase Select no, for a meter that is specifically designated for renewable energy purchases. 6. Is this Meter currently active? Select Yes 7. Will an Energy Service Provider provide data for this meter through Automated Benchmarking Services? Select No 8. Are temporary values being used for energy data? Select No 9. Select Save at the bottom right hand corner of the page Step 6. How to Share Your Account with ECMD: 1. Navigate to Home>My Portfolio 2. On the Right Hand Side of the Screen, Click on Share Facilities this brings you to the Select User or Master Account Screen 3. Under the third option on this page ( Select a Portfolio Manager Master Account ) click on the drop down arrow at the right 4. Scroll down this list and click on the account titled State of New Mexico, EMNRD NM-EMNRD-ARRA 5. Select Add and Modify at the bottom right hand side of the page this brings you to the Select Access Rights page 6. Under Access Role, select Facility/Profile Editor 7. Can this user set a baseline for the shared facilities Select Yes 8. Can this user provide access to the shared facilities with other users Select Yes 9. Can this user delete the shared facilities from your account Select No Energy, Minerals and Natural Resources Department Page 4
10. Specify the group from this user's account to place the shared facility(ies) Select Main Portfolio 11. Select Continue at the bottom right hand corner of the page, this brings you to the Select Facilities to Share page 12. Click on select all to highlight all facilities in your account to share with ECMD 13. Select Continue at the bottom right hand corner of the page, this brings you to the Confirmation page 14. Confirm that the information is correct and select Save at the bottom right hand corner of the page. Step 7. How to Enter in Utility Bill Data: (Monthly) 1. Navigate to Home>My Portfolio. Then click on the facility that the utility bill applies 2. Towards the bottom of the page, under the Energy Meters section, click on the Energy Meter for which you will enter in data for 3. Click on the link that says Edit Meter Entries 4. Select the number of months of utility data that you will enter 5. Enter in the Start date for the least recent utility month that will be entered 6. Enter in the Energy Use and Cost in the next screen 7. Select Save at the bottom right hand corner of the screen Questions?
