1. Purpose of this document This document describes how to use Novo Nordisk Secure File Transfer. Please note that the Novo Nordisk Secure File Transfer is NOT for long term file storage and is only used for the secure transfer of files between Novo Nordisk employees and external entities. All files on the Secure File Transfer site older than 21 days will be automatically deleted. 2. Getting Access 1) Contact the IT Service Desk and request access to the Novo Nordisk Secure File Transfer website. Once your account is created you will receive an email from Novo Nordisk Secure File Transfer Notification Service that will include your user name, temporary password, and link to the Secure File Transfer website. You will be prompted to change your password immediately and your new password must meet the following requirements: - Password must be at least 8 characters - Passwords cannot resemble usernames. Passwords must also contain at least one letter and one number. - Cannot be any of the past 24 already used passwords. Passwords will expire after 180 days and will need to be changed before or at the time of expiration. You will be notified 10 days before your password expires. 3. Installing the Upload/Download Wizard (first time only) The Upload/Download wizard is not required but simplifies the uploading and downloading of files so installing this ActiveX control is recommended. To install follow the procedures below. 1) Click on the Install Upload/Download Wizard (ActiveX) link. Effective date: 6/1/2010 Version: 1.0 Page 2 of 8
2) Click Ok on the The Upload/Download Wizard installed OK box to finish the installation. 4. Uploading and sending files 1) Go to https://conduit.novonordisk-us.com from your web browser and log into Novo Nordisk Secure File Transfer. 2) Click on Packages on the left hand side of the screen. 3) On the Packages screen click on Send a new package under the Package Actions banner. 4) In the To: field type in the email address for the external vendor(s) that you wish to send files to. Also fill in the Subject: field and Notes: field (files will not send if you do not fill in these fields). 5) To upload the files to be sent click on Click Here to Launch the Upload/Download Wizard. The download wizard window will appear. Click Add file or Add Folder and in the new window that appears select the file or folder you wish to upload. Click Next. 6) In the next window select the appropriate option to send the file(s) as is or send them in a.zip file. Click Next. 7) Click Ok and the upload is completed. Effective date: 6/1/2010 Version: 1.0 Page 5 of 8
8) Click Send and the uploaded files will be available to the individual(s) you specified in the To: field. They will receive an email that a package is ready and also login information to the Novo Nordisk Secure File Transfer website. The login account(s) the individual(s) you sent the package to is temporary and will expire after 90 days. 5. Receiving files If you have already sent a package to an external person and they have a temporary account the can send you a package with files using their temporary account following the same procedures listed in sections 3 & 4. If you are only receiving files and have not sent the external entity a package in the past (they wouldn t have a temporary account created yet) then just send them a package without any attached files using the procedures in step 4. When you send a package or an external entity sends you a package you will receive an email with the subject New Package Is Waiting. To retrieve the files attached in the package log into the Novo Nordisk Secure File Transfer website and follow the steps below. Effective date: 6/1/2010 Version: 1.0 Page 6 of 8
1) Click on Packages on the left side of the screen and then click on Inbox. In the Subject column click the package you wish to retrieve. 2) Click the Download button and then click Save on the new window that appears and then browse to the location you wish to download the file to and click the Save button.
