1 Overview CRM did not have a method of keeping track of Opportunity References. COINS OA has therefore been enhanced to provide Sales/CRM users with the ability to do the following: Assign contacts as opportunity references. Keep references up-to-date. Send email notifications about expiring contact references. Provide Opportunity Contact References Reports. This document describes the changes that were made in CRM to provide this functionality. 2 Configuration 2.1 Parameters The parameters in the table below have been added to the CRM module. Parameter REFFNC REFRMND REFEMAIL REFSLSREP REFSLPM Description Use Opportunity Contact References functionality. This parameter turns on/off all Opportunity Contact References functionality. Number of months that a Contact Reference is active. Once that amount of months has passed on a Contact Reference, the Reference field should be changed to Expired. Additional list of email addresses for email notification of expiring contact reference. Sales Rep to receive email notification of expiring contact reference. 3 Opportunity Contact References 3.1 Opportunities Workbench 3.1.1 Contacts Screen - Main Two fields, Reference and Verified, have been added to the main Contacts screen in CRM > Opportunities > Opportunity Team tab, as shown in Figure 1. Figure 1: Opportunity Team Contacts screen 3.1.2 Contacts Screen Add/Update Two fields, Reference and Verified, have been added to the add/update Contacts screen in CRM > Opportunities > Opportunity Team tab, as shown in Figure 2. Figure 2: Add/Update Contacts screen Field Definitions (Selected Fields) Reference Indicate the status of this contact reference: Verified Yes - The contact is currently a reference on the assigned opportunity. No - Do not use this person as a reference for this opportunity. Expired - The contact reference is expired and is no longer active as a reference until the Verified date field is updated. Past - The contact is no longer a reference on this opportunity. Enter the date that the contact reference was verified. Construction Industry Solutions, Nov-05-2013 Page 5 of 8

3.2 Contacts Workbench Two fields, Reference and Verified, have been added to the Opportunities screen in CRM > Contacts > Opportunities tab, as shown in Figure 3. Figure 3: Opportunities screen 3.3 Keep Contact References Report The Keep Contact References Report can now be found on the CRM menu at Administration > Keep Contact References. This report provides you with a list of changed contacts. You should run this report as Scheduled, as shown in Figure 4. When you run this report, it selects all Opportunities Contacts for which the Reference field value is equal to Yes, and the amount of months between the current and verified dates is greater than the number of months defined in the MK/REFRMND parameter. The Reference field values are changed to Expired for all selected contacts. 3.3.1 Expiring Contact Notification Report The Expiring Contact Notification Report can now be found on the CRM menu at Administration > Expiring Contact Notification. A sample report selection screen is shown in Figure 5. This report sends a notification two weeks prior to the expiration of a reference. It also provides you with a list of contacts that were sent notifications. Figure 5: Expiring Contact Notification Report Selection Screen Before running this report, make sure the following MK parameters have been set: REFEMAIL Use this parameter to enter one or more additional email addresses that should be sent a notification two weeks prior to the expiration of a reference. REFSLSREP Indicate whether the Sales Rep should receive email notification of expiring contact references two weeks prior to expiration. REFSLPM Indicate whether the Project Manager should receive email notification of expiring contact references two weeks prior to expiration. Construction Industry Solutions, Nov-05-2013 Page 7 of 8

3.3.2 Internal Opportunity Contact References Report The Internal Opportunity Contact References Report can now be found on the CRM menu at Reports > Contact References Reports > Internal Opportunity Contact References. A sample report selection screen is shown in Figure 6.
