TEACHING WORKSTATION ROOMS 1. Introduction For the 2011-2012 session, IT Services will be administering eight PC workstation rooms available for class teaching and open access to authorised individuals. Main Building room 109 (93 PCs) Main Building room 412 (11 PCs) Main Building room 413 (27 PCs) Main Building room 422 (22 PCs) Main Building room 423 (38 PCs) Main Building room 536 (29 PCs) 43 Gordon Square, room 11 (22 PCs, administered jointly with SLLC) 43 Gordon Square, room 10 (25 PCs, booking priority to HAFVM) 2. Facilities All rooms contain networked PC workstations, laser printers and a variety of software. The usual teaching aids are available, and there are fixed data projectors, for projecting the computer's display on to a screen, available in all rooms. 3. Software A list of the software currently available is attached. Versions of site licenced software, freeware and plugins are normally updated to the latest release during the summer. If specific versions are required, this should be specified on the booking form. Please note that Office 2010 and SPSS 18 will be installed for 2010/12. Please discuss any other new software requirements with ITS staff, and refer to the ITS Service Level Definition regarding software provision, available at http://www.bbk.ac.uk/its/help/documentation/pdf/public/sla.pdf Requests for new software should be made in good time - the PCs are managed using a desktop management system which requires scripting in order to roll-out applications or changes to applications to the PCs. For the same reason, it is essential that staff intending to use the rooms test that the setup of the systems meets the needs of their class in good time and to report any changes that are required.

Under no circumstances may software be copied from any of the workstations. It is illegal to take copies of any software provided for class use. Users are forbidden to install their own software on the workstations, or store software on the network drives. 4. Training ITS can provide workshops for Schools to introduce students with low IT skills to core topics such as logging in, web-browsing, word processing, webmail, and basic spreadsheet skills. If you have a group of students who would benefit from such ITS training please contact Nigel Buckle (User Support Manager, n.buckle@bbk.ac.uk, 020 7631 6599) to discuss your requirements. Due to the lack of take up in recent years we are not planning to offer many public workshops in core topics. However, if you have too few students to justify a dedicated session for your School please contact Nigel Buckle, as it may be possible to fit individuals in with another group. You are welcome to supply your students with ITS documentation, both bought-in and inhouse. 5. Conditions of Use The Workstation Room Conditions of Use are posted in all workstation rooms, and available on-line at http://www.bbk.ac.uk/its/help/documentation/its_documentation/using_workstation_rooms/wsrooms_use 6. Booking the rooms The rooms may be booked for classes by contacting ITS Reception (x6543, itshelpdesk@bbk.ac.uk). At Easter, invitations are sent to Schools for the booking of rooms for the following academic year. Please note that there is continuing to be student demand for 'open access' to the workstations. Timetables are displayed in the rooms and can be viewed on the College website at http://www.bbk.ac.uk/its/timetables Please give as much notice as possible for any changes to booked sessions or for any additional bookings. Procedure For Allocation "Approved courses have priority. Non-approved courses require approval from the Teaching Committee.

Workstation rooms Doc 1.4 All users will be asked to give a first and second choice. ITS will endeavour to accommodate all requests for use of workstation rooms and suggest alternatives in the event of clashes. In the event that it is not possible for Schools to reach a satisfactory compromise over the room bookings, then the ITS Director will take up the matter with the relevant Faculty/Executive Dean. If possible the booking will be of the room nearest to the School making the request. Bookings with small classes may be asked to allow open access use of machines at the back of the room by individuals, though this is at the course organiser's discretion. 7. Using the equipment The PCs are connected to the College network. Some of the software is run from servers also located on the network. Logging in allows users of the PCs to maintain information on a shared disk drive, known to the PCs as drive N. Users are allocated 100mb of networked disk space, which may be increased if necessary. The N: drive is also available for users using equipment in the Library seminar room, and some Schools. Course tutors who wish to make information available to their students may have it loaded onto a common area of the disk by the ITS Systems Team (Contact its-systems@bbk.ac.uk). If you would like to take your work away, you are recommended to use a USB memory stick. As equipment is being replaced, diskette drives will not be made available. A CD-R is available in ITS Reception. Any items left in the rooms will be placed in ITS Reception for collection. DVD/CDs, sound cards and headphones are available in most of the systems. 8. Documentation A variety of manuals are available for reference in ITS Reception (MB G26) and the College Library. ITS have produced many introductory documents which are available from ITS Reception. These are also available from the ITS Web pages, along with pointers to other on-line training material. 9. Support During term time, ITS Reception and Help Desk (room G26, x6543) is available 10.00am to 8.00pm Monday to Friday. Systems and Networking staff (x6320) are available in case of problems from 9.00am to 9.00pm Monday to Friday, and 9am to 2.30pm on Saturday. 3

During vacations, help desk and systems support is available Monday Friday 10am to 6pm. If the PC reports an error, or you encounter problems when using the machine, please contact the Systems Team (x6320) or the ITS help desk, reporting the number printed on the label on the PC. Do NOT tamper with any machine. During help desk hours users are encouraged to contact ITS while in front of the PC when reporting problems. It may be possible for us to take control of the PC to identify and fix the problem remotely. All PCs have an identifier on the system unit and monitor. 10. Disability IT support Additional hardware and software is available to make systems more suitable for disabled students. This includes replacement mice and keyboards, large screen monitor, scanners, height adjustable tables, chairs. Specialised software is also available. Details are available from http://www.bbk.ac.uk/its/services/dis_support Any disabled user wishing to use workstation room PCs is welcome to contact ITS to discuss individual requirements, and Disability IT Support is available for individual consultation. 11. Viruses Everyone should be aware that there are malicious users around, and that there can be no guarantee that machines are virus free. However, we do take precautions, and advise all users to check their USB devices regularly, using the virus checking facilities available. If you suspect a virus, please contact ITS Help Desk (x6543) immediately. 12. Printing All PCs are connected to high quality networked printers located in the workstation rooms. Printing is charged for at 5p per page. Most rooms have duplex printers installed.

Workstation rooms Doc 1.4 13. Data and sound projection The data projectors in all rooms are connected to the PC at the front of the room. All the projectors are controlled using control boxes, which are easy to use. Users of the equipment should familiarise themselves with the projectors prior to any class. Problems should be reported to the ITS Systems Team (x6320). 14. Misuse of Facilities The workstations are available for all bona fide students and staff of the college, and Faculty of Lifelong Learning students who have registered to use ITS facilities. Any misuse of these facilities disadvantages your colleagues. ITS have mechanisms to monitor the use of these facilities and will take disciplinary action against anyone abusing them. 15. Complaints The rooms are provided for all staff and students in the College, and consideration should be given to other users of the rooms. If you have a complaint about another user of the room, please report it as soon as possible to ITS help desk.
