WebTMA Systems Work Order/Request System The following is intended to provide quick and easy answers to your questions about how to enter a service request into our new web based work order system. WebTMA works most effectively when using Chrome, Firefox, or Internet Explorer. Access to this site can be found as always at the facilities management web page or directly at the following link: https://tma-app.wellesley.edu/tmalogin/ Your Login ID is your Domain Username preceded by Wellesley\ The Client is Wellesley College Use Domain Username and Password If your browser settings are set to block Pop-ups, you will need to change your settings to allow Pop-ups from this site.
If another window prompts you to resend the information, select Retry. Once you login successfully, you will see the TMA Work Request window. Fields highlighted in RED are required. Your Requestor Information should default into the appropriate fields. Fill out the remaining fields accordingly. The Notify Me checkbox enables the requestor to be notified of any status updates on the work requested via email. If checked, you will receive an email once the request has been submitted and notified of any status changes. Please note: A new and unique number will be assigned to your request once the work order has been initiated. The Request Information fields indicate the location of the work requested. While only the Request Type Desc is required to process a request, completing the remaining fields will help with the work request location. Make your selections from the drop down for location of the work requested: Building Name: Building where work is requested Floor code: Floor where work is requested Location: Actual room number where work is requested. (If the location is not listed in drop down, select closest location and/or specify the location in the Additional Comments field). FOPAL: This field is not required for general maintenance requests. This field is required if the work is in support of an activity for which charges are to be applied or involves new project work. Only people with account responsibility will find FOPAL data in this location. In the Action Requested field, please be as complete and as concise as possible in providing information about the service you are requesting. You do not need to separate or call out work based on your understanding of the service technicians who will be completing the work. We
will assign work based on the first available and appropriate individual(s). Please help us by not requesting multiple unrelated work items in the same request. It will simply slow down our ability to process the request and convert it into assigned tasks. The Additional Comments field is intended to provide a place to share additional thoughts about logistics, secondary contacts, limitations on access/ availability or any other information that might assist us in providing the service requested. When finished, select button on top right corner. If you have not requested to receive updates by e-mail, you can use the browse tab to view the status of your requests and workorders. Browse Tab The Browse Tab allows you to search Request and Work Orders you have submitted. If you did not select Notify Me in the initial request and need the Request/Work Order number, you can use this tab to get information on the status of your Request/Work Order. From the drop down menu, you must select the type of Browse you want to perform. Open Requests and Rejected Requests will show any requests at that stage. If your request has been received and become a Work Order, you can select Open Workorders or Closed Workorders to view all information regarding those requests.
If you double-click on a record, it will bring you to the Status Screen and show you the detailed information.
Status Tab Use this tab to check the status of your Request or Work Order. In the top section of the tab, select Request or Work Order and enter the Request/Work Order number which is provided via E-mail if you selected Notify Me in the initial request or in the Browse tab (described on the following page). Click on the Show Status button to view the status of the Request/Work Order. Once the information is populated, you can view the tracking and reject (Requests only) information at the bottom portion of the screen.
