Purpose This document provides procedural use of Primavera Expedition software for construction management documents created, attached and used by the Facilities Engineering, Maintenance and Construction () Division of Raytheon Polar Services Company (RPSC). Scope/Applicability This procedure applies to all projects and maintenance work centers in regarding file storage, protection, retrieval, retention, and disposition of Expedition-related documents. This procedure addresses documents and correspondence currently entered and tracked within Expedition and how these documents flow through the software. Refer to EN-CDMPS-207 for information on Request for Information (RFI) and Change Request (CR) definitions and content requirements. Responsibilities Project Manager, Engineering Manager, Planning and Controls Manager, and Director Ensure all procedures are followed. Ensure all personnel are provided copies of this procedure. Manage and administers these policies and procedures. Revise or change these procedures as required. Planning & Controls, Project Managers, Construction Management, and Engineering Maintain and administrate construction management documentation in accordance with Primavera Expedition guidelines, and as outlined in this procedure. Procedures Change Request (CR) and Request for Information (RFI) 1. Creating A. A Change Request and/or Request for Information are created electronically in Expedition by first selecting the folder called Requests and Changes and then by selecting Requests. B. Complete all applicable data fields. C. Use the Ball in Court (BIC) section as a means to assign and alert responsible parties of document. D. Supporting attachments can be directly attached under the Attachments section of the electronic document. Do not link to web pages or external sources as these may not be available in the future. E. Once the documented Status is considered approved, it needs to be closed by completing the Closed by Section. Then click on the close and save button to close out the electronic log. F. After completing this section, click the Save Button. 2. Logging/Tracking A. Once the document is created in Expedition, it is automatically logged under the Requests log in Expedition. 1. Change Requests and Requests for Information. a) Change Requests and Requests for Information are received via e-mail and/or are created electronically (directly) in the Expedition database. b) The initial request, responses, response required, date, and status are tracked. c) Filing: 1. Requests for Information should be maintained electronically within the Expedition database. 2. Change Requests shall be maintained electronically within the Expedition database. 2. Other Project Correspondence a) Correspondence can be logged into the Expedition database as follows: 1. Incoming or outgoing correspondence by the NSF, RPSC or suppliers that document inquiries, decisions, changes, or reviews relating to specific projects (i.e. milestones, contract scopes, design reviews, and deadlines) are located within the Communication Folder. 2. Project e-mail between all interested personnel. b) Project correspondence can be documented in Expedition within the Communication Folder by selecting Corr. Sent or Corr. Received. 3. Transmittals a) Transmittals are generated for any project related material that is going out to a vendor, design contractor or the NSF. (All outgoing transmittals must be signed by the Responsible Person generating the transmittal). b) Incoming transmittals accompanying project related submittals and drawings are filed by project. If received directly by Document Control, a copy of the transmittal is forwarded to the responsible party. c) Transmittals can be created in Expedition by going to Communication Folder and selecting Transmittals and then completing all applicable data fields.
