The first time you login the console assistant will look like the below: Upon logging in the first thing to do is to scroll down to the directory section where you will see all the phone numbers listed on your partition. Page 3 of 11 IP Solutions Hosted VoIP Console Assistant
You then need to highlight all the entries in the directory section and then click on the button on the right hand side that says Add to Phones. This will then populate the phones section. The phones section will show you the status of the phones that are on your partition. It will show if they are ringing, busy, out of service, in DND or forwarded. Call Control The call control section is used to answer calls, put them on hold, transfer and make new calls. As the screen shot above shows when a call comes in you also get a pop up displaying the incoming call and the caller s details. Once the call is answered you can then use the call control section to transfer the call or you can use the phones section to transfer to another phone. Once the call is answered you will then get new options on the right hand side of the call control screen. These options will allow you to transfer the call, put the caller on hold, start a conference or park the call. When there are multiple calls coming in at the same time you simply need to click on the one that you wish to answer first and then answer the call by either clicking Answer the call or by pressing F2. Phones The phones section is used to monitor the status of the phones on your partition and can also be used to transfer calls to specific extensions as well. Once you have answered a call you can then double click on the extension you want to transfer to and then transfer the call either immediately or you can announce the transfer first. Upon double clicking an extension you will get a new pop up open up: Immediate transfer this will put the call straight through to the extension that you have clicked on. Supervised transfer you will call and speak to the other person first and then you can complete the transfer after telling them who is calling. Priority transfer this will make an intercom call which will come out of the called party s speaker on their phones. Voicemail transfer this will transfer the call to the extension s voicemail. Right clicking on one of the phones in the phones section will present you with a new list of options. Mark as VIP This will make the selected phone a VIP and mark them with a V and this will then allow you to sort the phones section differently. You can sort the phones so that the VIPs are listed first. This is best done for the extensions that are most often called. List VIP s First This will move all VIP s to the front of the list. Directory This section will display all the numbers that are currently set up on your partition. From the directory you can highlight entries and then add them to the phones section. If the directory has been updated and the new entries are not showing then you can simply click on Refresh Directory and this should pick up any new entries. VM/Logs This section can be used to monitor the call logs and the voicemail inbox of the users on your partition. Once you add users it will display as the below: To add users to the VM/Logs section simply right click on the desired user in the directory section and then select add to VM/Logs. To then use this feature simply double click on the user that you have added and you can then view the call logs, the VM Inbox and the VM saved messages. When you double click on the user you will get prompted for their password. If you do not know their password then you will not be able to access this feature. Quick Dials This section will show any speed dials that you have set up for your phone. You can then double click on them and then you can call them. Simply double click on any of the speed dials that you have set up and then you will get a new pop up window. Once you double click on the speed dial you will then get presented the following box and you can then call the number you have selected. Notes: The console assistant will only work on 32-bit machines and NOT on 64-bit machines. It will also not work on MACs. Page 11 of 11 IP Solutions Hosted VoIP Console Assistant
