Activity Notes 5126 For Prov Note add type 'Training' for Cat 'OHCU' For Provider Notes, a type of 'Training' was added for the category 'OHCU'. Activity Notes 5134 New Case Note Type The type 'Decision Made Not To File' is available under Legal category in the Case Note creation window. Activity Notes 5330 Face-To-Face Contact New and updated values (Worker/Parent Contact in Home, Worker/Parent Contact Out of Home, Other/Parent Contact in Home, Other/Parent Contact Out of Home) are displayed in the Faceto-Face Contact Type dropdown menu under Ongoing Services (Narrative) AFCARS 5020 AFCARS error logic for 49 as it relates to 41 When #41 (AFCARS values) equals group home, institution, hospital or things like this, according to AFCARS you cannot have a foster caretaker structure (#49). This edit has been removed to accommodate the fact that this is not always the case in Wisconsin (family group home). AFCARS 5065 AFCARS counts plcm that occur after rptng period AFCARS Elements #19 (Total Number of Removals (Episode)) and #24 (Number of Placements within Current Episode) will not count any placements that occurred after the Report Period End Date. AFCARS 5080 AFCARS Exception # 45 Updating Element #45 (First Caretaker's DOB) on the AFCARS window now updates the caretaker's Person Management record. 1

2 AFCARS 5146 AFCARS Updt #20 logic to exclude non-afcars plcm On the AFCARS window, a placement that was a discharge from all placements but had a Placement Status of 'Kinship Care - Voluntary (Non-AFCARS)' is not reported in Element #20 (Discharge from Previous Episode). Assessment 5460 Initial Assessment - Primary Caregiver field The Maltreatment Rating field is now required on the Maltreatment tab.. Automated Messaging 5429 Automated Message Modifications: Chippewa County Distribution changes made to Automated Messaging for Chippewa County as Automated Messaging 5430 Automated Message Modifications: Juneau County Distribution changes made to Automated Messaging for Juneau County as Automated Messaging 5479 Automated Message Modifications: Brown County Distribution changes made to Automated Messaging for Brown County as Automated Messaging 5481 Automated Message Modifications: Kewaunee County Distribution changes made to Automated Messaging for Kewaunee County as Case Visual Metaphor 5073 Intakes Tab The Intakes tab now displays a Status of 'Screen In' and 'Screen Out' vs. 'Approved' or 'Not Approved'. 2

Rate Setting data is not copied to Episode record but will display the supplemental points information on the OHP window. Foster Care/Out of Home Placements 4968 Concurrent In- Home Service Placements The In Home Service window now allows concurrent placements. Foster Care/Out of Home Placements 5410 Rate Setting Window Doesn't Populate OHP Rate Setting supplemental point information for individuals placed are now displaying correctly on the out-of-home placement window. Home Provider 5331 Independent Investigation Two checkboxes were added to the Allegations tab of the Assessment window to track and monitor Independent Investigations. The two checkboxes that were added are: a. Independent Investigation b. Is the alleged victim(s) in Agency legal and/or physical custody? Interfaces 5319 New Tables for REPL The following tables are now being Replicated: a. CAN_TEXT_EVENT b. CAN_PART c. PAN_TEXT_EVENT Legal Consult 5008 Add Ref Data for Marquette County Circuit Court Marquette County Circuit Court has been added to the Court 2 dropdown selection when Circuit is chosen for the 'Court' field. Legal Consult 5070 Error Message The error message on the Legal Action window was updated to read 'Date Information Submitted should be greater than or equal to Date Consult Occurred.' to reflect the actual field names. 3

4 Legal Consult 5140 County wants PO Box in its Court Address Address listed as: Washburn County Courthouse, Washburn County 10 West Fourth Ave. PO Box 485 Shell Lake, WI TPR Copy Batch- Adoption Case Plan TPR Copy Batch no longer copies the Adoption Case Plan over to the Pre-Adoptive Case since there should not be an Adoption Case Plan in a CPS Family case Relationship Type A Relationship of 'Former Significant Other' was added to the relationship field on the Case Maintenance, Services Intake and PS Report windows Out of Home Placement The items below are a brief description of the items changed on the Home Provider License, Out of Home Placement and Service Ending windows. Please see the Release Information Sheets section of the WiSACWIS Knowledge Web for more information: web/helpdesk/quick_ref_guides/quick_reference_ guides.htm Home Provider License Window: 1. A 'Date Completed Application Recd' field was added to the License Information group box. A designated county worker can record the date that the completed application was received in this field. Out of Home Placement Window: 1. A 'Date Removed from his/her Home' field was added to the Service tab and will only be enabled in certain situations. The field will be used to record the date on which the child was physically removed from the home. 2. The 'Is this an Initial Out of Home Placement' checkbox was removed from the Service tab. 4

5 3. The 'Date Removed from his/her Home' field will drive the requirement of the Removal Information, Removal Reasons and the Removal flag. Service Ending pop-up Window: 1. The referance values in the 'End Reason' field were reduced and modified. 2. The answer to the Discharge from all Placements question will be system derived based on the value selected in the 'End Reason' field. 3. The 'Discharge Reason' field will be enabled based on the system derived answer to the Discharge from all Placements question. 4. The values in the 'Discharge Reason' field will be filtered based on the value selected in the 'End Reason' field. 5. An 'Override' checkbox was added to the popup to allow a worker to override the placement ending and will only be enabled in certain situations. Case Closure Batch: 1. A case will be prevented from being closed if the last placement does not have a value in the 'Discharge Reason' when the Discharge from all Placements question is answered 'Yes'. 2. A case will be prevented from being closed if the child was adopted and does not have the appropriate Legal Status documentation Case Provider Assignment The worker's location information on the Maintain Worker Information cannot be modified if the Worker has open assignments. The worker's assignments will have to be closed or reassigned before a worker's location information can be updated. The Location of the worker at the time the assignment is created will be stored in the Location field on the Worker Assignment window. 5

6 5334 Act 109 There are a number of substantial changes for Act 109. The following is a brief summary of those changes: Permanency Plan window: 1) Most of the windows have had changes. Permanency Plan template: 1) There is a new statewide version of the Perm Plan and all other county modified Perm Plans have been removed from the system. Legal Action/Legal Status window: 1) Reference data has been added for dropdown selection. Administrative Review tickler 1) This tickler has been renamed 'Permanency Plan Review Tickler' Permanency Plan Hearing tickler 1) This is a new tickler Administrative Review date restriction 1) There will no longer be a date restriction for the Administrative Review in the Meetings module. Manage Trust Accounts 5327 Trust Account There are a number of substantial changes for Trust Accounts. Here is a quick summary of the changes. Please refer to hand outs and the knowledge center for a complete list. 6

7 Manage Trust Accounts Meetings Close Case/Trust Account access 1) Trust Account workers now have access to maintain trust accounts for individuals that are in a closed case Non-WiSACWIS Benefits window 1) Workers can now record benefits for non- WiSACWIS children 5212 Provider Participant Option Not Working. Selecting the Provider Participant option when creating a Provider Meeting always generated an error stating there is no data to retrieve. This no longer gives an error, but works as expected. Meetings 5260 Sending Meeting Notification A Notification is generated if meeting is Scheduled/Rescheduled or Canceled, but not if Completed. Merge Person 5247 Prsn Merge Batch Does Not Copy Over OH Safety Plan The Out of Home Safety Plan is now updated with the correct person id when two persons are merged. Person Management 5072 Ref Data Defaults The following windows were modified so that 'English' is the default value for the Primary Language field: 1) Protective Services Report 2) Services Intake 3) Person Management 4) Home Inquiry Person Management 5329 Medical Mental Health The values Child Protective Exam/CPC Child Protective Exam, Health Screen/CPC Health Screen, Annual Foster Child Physical Exam, and Annual Foster Child Dental Exam were added to Type of Service dropdown menu in Maintain Medical/Mental Health window. 7

8 Post Adoption Activity 4651 Adoption Search When a Pre-Adoptive Case is closed for reason of Adoption and the case closure is approved, the system is no longer generating an AF Number in the Adoption Person table for the person. Post Adoption Activity 5115 Adoption Search Inconsistent Grand Search retrieves correct results when searching by DOB after completing a search by AF#. Private Provider 3142 Private Provider Type & Out of Home Placement Referance Values for CCI (Child Caring Institution) have been updated to RCC (Residential Care Center) Admin Review Tickler Administrative Review will no longer generate for In-Home service placements Tickler Washburn County Washburn County were modified as 5267 Tickler Burnett County Burnett County were modified as 5281 Tickler Ozaukee County Ozaukee County were modified as 5282 Tickler Dodge County Dodge County were modified as 8
