1 To All Faculty and Staff, This week s Tip of the Week will show you how to use Windows Backup to back up your data in a Windows 7 environment. HOW TO USE WINDOWS BACKUP IN WINDOWS 7 (Basic Information Courtesy of 1. Windows Backup can be used to ensure that important documents and local hard drive data have been saved to an area outside of your desktop computer or laptop computer. This will aid in any retrieval process should your computer stop working. Please note that this process should be used to back up data on your home Windows 7 computers for the same reason, if you currently don t have a backup solution at home. Please note that files saved on your network H: drive here are backed up nightly. 2. Click on the Start menu and select Control Panel. 3. Under System and Security, select Back up your computer.

2 4. There are several options on the Backup and Restore Control Panel. A system image is a copy of the system as it is so you can rebuild the computer if the hard drive crashes. We re going to run a backup of our files, so click on Set up backup. 5. Windows will first begin by setting up your backup software. 6. Once the initial setup is complete, a list of your available drive will display. You should then select a destination drive for your backup.

3 7. This screen will display drives that can be used including any Internal Hard drives, DVD RW drives, USB drives, and External Hard drives. 8. An External USB Drive and Internal and External Hard Drives are other storage options that can be used to store backed up data. It s best that this type of drive be able to hold a minimum of 500 GB (Gigabyte) of information. A 1 TB (Terabyte) drive is your best choice and can be purchased at sites such as My Passport Essential WDBBEP0010BBK hard drive 1 TB USB 3.0/ aspx for around $ You can also purchase your drive locally at Best Buy, various office supply stores, and all PC shops. 9. In this tutorial, we re going to back up our data to the H: drive.

4 10. Select Save on a network. 11. The H Drive is available to all Law School faculty and staff for use in backing up your files to the Law School server while in your office. The H Drive is set to back up a maximum of 3 GB (Gigabytes) of information per user. Please contact Information Technology to see if additional space is available should you require storage larger than 3GB. You may also contact someone in Information Technology for help with setting up this drive option or proceed to the next step.

5 12. Input network information as follows substituting your username for the name DJohnson. Click OK. 13. Notice that your H: drive should now be visible, displaying your user name, the amount of storage you have and the amount of free space available.

6 14. You can either select the files yourself or let Windows select the most common files. It also creates a backup schedule. 15. For this tutorial, we ll choose the files that we want backed up. Select Let me choose.

7 16. Deselect all options except the last bolded entry under Data Files, DJohnson s Libraries, (this will display your username). Click on the arrow next to this entry to expand this library. 17. Select the libraries you d like to back up or select the box next to your username to choose all entries under your username.

8 18. I ve placed a check by the above libraries and locations to include my Documents, Desktop, and Favorites. These will usually be the main areas you ll need to back up. System images are not normally necessary unless you re backing up your home computer. In this case, allowing Windows to choose the files that are backed up is probably your best option. Space will not be an issue in this case if you are using and Internal or External Hard drive or USB drive with the preceding specifications.

9 19. Review your selections listed above under Backup Summary to be sure you have included all of the files and folders you d like backed up. 20. Click on Save settings and run backup to finish the process. 21. Your backup is now in progress. 22. You can change the date and time your backup runs on this screen. You can also select Change Settings and make any adjustments needed to your file choices.

10 Congratulations! You ve setup your computer to be backed up. It will retain your settings and automatically schedule a backup to run.
