1 NCMail: Microsoft Outlook 2003 Changing the Default Delivery Location Revision /27/2007 This document covers changing the default delivery location in Microsoft Outlook In order to share your calendar with others, the default delivery location must be the Exchange servers and NOT your personal folders. The syntax used in this document is as follows: Boldface = Names of input fields such as text and check box names. Boldface and Italics = Input expected from user. If you have any questions please direct them to your local Customer Service Center, Helpdesk or Local NCMail administrator If your questions cannot be answered by your local contact, your local contact can open a ticket with the ITS Customer Service Center by telephone at or or at ITS.incidents@its.nc.gov. Our staff will be happy to answer any of your questions.
2 NCMail: Outlook Changing the Default Delivery Location 2 Changing the Default Delivery Location in Outlook 2003 Microsoft Outlook 2003 allows you to store your on the Exchange server (our recommendation) or locally in a Personal Folder located on your PC. ***IMPORTANT*** In order to share your calendar with others your default delivery location MUST be the Exchange server. It is OK to store in your personal folders, just do not set personal folders as your default delivery location. ***IMPORTANT*** If you choose to store your locally in a personal folder you are responsible for the backup of your in that Personal Folder. To change or check the default delivery location, login to Outlook then click on the Tools menu then the Accounts menu as shown below. Click on View or change existing accounts then click Next as shown below.
3 NCMail: Outlook Changing the Default Delivery Location 3 Your current default delivery location will be shown on the bottom left under the heading named Deliver new to the following location:. To store your on the Exchange server click the drop down arrow and choose Mailbox LastName, FirstName from the drop-down choices then click the Finish button. Once you change the default delivery location YOU MUST EXIT OUT OF OUTLOOK for the changes to take effect.
4 NCMail: Outlook Changing the Default Delivery Location 4 Once you have changed the default delivery location from a Personal Folder to the Exchange servers you may close that Personal Folder so it no longer shows up in your folder list. But before you close it you want to make sure you move any that may have been stored in your Personal Folders over to the Exchange servers. Be sure to check the Inbox, the Sent Items folders as well as any other folders that you may have created in your Personal Folder. To move these to the Exchange servers simply click the Inbox in your Personal Folder and click on Edit then Select All. This will highlight all the s in this Inbox. Then simply drag-and-drop these highlighted s into the Inbox located in your Exchange account. See this example below. 1. Click on the Inbox located under your Personal Folder. 2. Click on Edit 3. Click on Select All. This will highlight or select all the s in the Personal Folders Inbox.
5 NCMail: Outlook Changing the Default Delivery Location 5 Now, place your mouse in the highlighted s and drag those s into your Inbox located under your Exchange account (Mailbox Lastname, Firstname). *** IMPORTANT *** Be sure you repeat these steps for all folders in your Personal Folders including the Sent Items. When you have successfully moved all your from the Personal Folder to the Exchange servers you can now close this Personal Folder so it disappears from your Folder List. To do so, right-click the Personal Folder that you wish to close then click on Close Personal Folders as shown below. That s it!

7 NCMail: Outlook Changing the Default Delivery Location 7 Creating a New Personal Folder ***IMPORTANT*** If you choose to store your locally in a personal folder you are responsible for the backup of your in that Personal Folder. To create a new Personal Folder click on the New Outlook Data File button as shown below. Under the Types of Storage: heading choose Office Outlook Personal Folders File (.pst) then click the OK button.
8 NCMail: Outlook Changing the Default Delivery Location 8 Give your pst a file name. Whatever the default displays should be fine with most folks. Click the OK button. Give your Personal Folders a label in the Name: heading as shown below. What ever label you use here will be what is displayed in your Outlook mail folders. The default should be OK for most users. If you have more than one Personal Folder you may want to choose a different Name: to distinguish it from your other Personal Folders. Click the OK button when complete.
