13 Enter URL of portal in the web browser. For first time users, click on Download VidyoDesktop & Save file (else proceed to next slide) After login, following window will appear. Page 13 of 37

14 If you are not first time user and software version is already installed on your system, then you should not open vidyo in web browser and directly open it from the taskbar as shown below. Right click on vidyo icon in taskbar and select Contacts. This will open contact list where you can search and call users. To avoid logging in vidyo every time you switch on your system, Select Configuration. Click on Options & select Page 14 of 37

15 Right click on vidyo icon in taskbar and click on Configuration Now, Click on Devices and select appropriate devices in Speaker, Microphone & Camera. Click on Apply. Page 15 of 37

16 Now, Click on Options. If you want your site to be connected automatically as soon as user calls you, select Auto Answer Enabled. To see participants name on the screen while in a conference, select Show Participants Names and click on Apply. Page 16 of 37

17 As shown above, select My Room. Then, click on Join Room. You will get Self Video. To check audio device, please play any audio file in your system. In any point to point call, microphone level can be checked by speaking and observing variation in volume by clicking microphone icon as shown above. Page 17 of 37

18 Search your desired far site by typing name in search field. e.g. type help and list of all helpdesk will appear. Status Icons Page 18 of 37

19 Right Click on Vidyo icon in taskbar. Click on Manage Account. This opens portal in web browser. Go to Settings and select Account Click on Change Password. Enter new password & save. NOTE : intranicvc users cannot change their password using above method as their account is integrated with NIC LDAP. Page 19 of 37

22 Joining a Conference in Own Room Click on My Room and Join Room. Or Right Click on Vidyo icon in taskbar and click on Start My Meeting. You will be connected directly in the meeting. Page 22 of 37

23 Click on Invite by icon. Inviting Guest Users Outlook opens as shown below. Send mail to guest users. Page 23 of 37

24 Right click on vidyo icon in taskbar. Now, click on Manage Account. This opens the portal in web browser. Click on Control Meeting option on home page. Click on Room Link. You can set desired security code in Set Room PIN Option. Share this PIN with authorized participants of the conference. You can Remove, Copy or Create new link. Page 24 of 37

25 Search user. To make calls from home page For Point to Point Call, Click on name of user and Press Call Direct. For Multipoint Call in another user s room, Click on name of user and Press Join Room. To join call in own room, Click on My Room and now Join Room. Page 25 of 37

26 Presentation During Videoconferencing Open desired document to be presented in full screen mode. Now, Click on 5 th Icon of the bottom bar. Select the desired document from the list. To Stop Presentation, select last option of the menu as shown below. Page 26 of 37

29 a. Click on Show Participants. b. Now Click on Add Participants. c. Search name of user and click on Invite. d. Now Click on Launch Control icon on bottom of screen.meeting Panel. This opens Control Meeting. Page 29 of 37

30 On your home page, click on Control Meeting. Now select Add Participants. Following screen will appear. Type desired site name in search field and click on Add. Repeat this for all the sites. Now click on Done. Click on Join Room to add self in conference. Page 30 of 37

31 Click on Connect All to connect all the participants at once. If host wants to mute all participants at once, Mute All icon can be selected as shown on left. For the discussion, microphone can be unmuted by selecting Unmute All(shown on right). Clicking on Silence All will mute audio of all the participants but each participant can unmute their own audio. 32 1 - Disconnect - Disconnects the particular participant. 2 - Mute/Unmute - Mutes/unmutes volume for the particular participant. 3 - Video On/Off Turns the participant s video on or off. 4 - Disconnects the particular participant. Page 32 of 37

33 Room can be locked once all participants have joined and same can be unlocked by host when host wants a new participant to join as shown on right. To disconnect all participants, Disconnect All option can be selected. To terminate the videoconference, click on Remove All icon as shown. Page 33 of 37
