3 s USER EXPERIENCE MAN B&W Diesel Ltd./SSLPost case study The company MAN Diesel is a leading supplier of large diesel engines and diesel power stations with an annual turnover of over 1.8 billion EUR. They are a global company and a market leader in the supply of two- and four-stroke diesel engines for ships of 2,000 gross tons or more. The goal The high-speed engine business unit of MAN Diesel required a document capture programme that would allow them to send documents to customers and suppliers by secure and further integrate and automate a range of business processes. The software SAP s s were evaluated against a number of competitors, and the SAP software seemed most appropriate to meet the company s business requirements. The SAP solution could be integrated quickly and flexibly into their existing technology, while also boosting company efficiency and tightening their business processes. MAN Diesel decided to use SSLPost for their secure needs. SSLPost uses a highly secure encryption wrapper to securely deliver by any type of digital content to authorised and registered recipients. It allows the recipient to open SSLPost secure by use of a password known only to the recipient. MAN Diesel therefore chose to integrate SAP and SSLPost software into their existing technology. The SSLPost software would be hosted and managed by SSLPost. The combined package would enable MAN Diesel to automatically encrypt sensitive commercial documents such as purchase orders and invoices at very high levels of security. This would allow them to safely send these documents by . It would also provide them with a full audit trail log of all s sent, including date and time of opening as well as the IP address used by the recipient when opening the secure . MAN Diesel decided that this software would be rolled out across the company s 3 UK sites, in particular across the Sales, Logistics and Finance departments. The process In order to fulfil their business needs, MAN Diesel worked with SSLPost to create a software package that included all of their specific requirements. 4 s USER EXPERIENCE In order to achieve these aims MAN Diesel worked with SAP and SSLPost to expand the SAP technical infrastructure by incorporating a new server. They also extended the SAP standard routines to support the specific types of documents that MAN Diesel would be dealing with. Once this had been achieved, all of their business processes were tested with the new system, and the users of this system were trained by SSLPost to give them full knowledge of how the new software works. This high level of support was also provided to MAN Diesel s suppliers and customers who would be receiving documents sent through SSLPost. The SSLPost software has brought MAN Diesel increased security, rapid delivery of business communications, cost savings over traditional posting methods, and the advantage of having an audit trail of the time and date the recipient opened the . The combined software has enabled them to leverage proprietary Secure software through a certified SAP interface in a highly cost effective manner. The results The resulting solution was a success, and MAN Diesel were able to send different types of documents such as purchase orders and sales quotations directly from SAP to suppliers and customers by secure . By using SAP and SSLPost, MAN Diesel were able to integrate and automate their business processes, reducing the likelihood of human error through filing, printing or approving and distributing documents. They were also able to save valuable internal resources and reduce overall admin costs. In the future, MAN Diesel aim to extend how they use SAP software and SSLPost further by increasing the number of suppliers and customers who receive these types of documents by secure . They also plan to extend the types of documents that are sent through SSLPost to include Purchasing Schedule Agreements, Sales Order Acknowledgments and Customer invoices.

5 s Customer success story Council history Barnsley Metropolitan Borough Council in South Yorkshire strives to improve the quality of life in Barnsley and inspires pride in towns and communities. The council works in diverse areas such as business and industry, environment, social care and housing, leisure, culture and tourism. The challenge In the current economic and political climate, all UK local authorities face the same challenge; to improve productivity, save money and achieve greater efficiency through better use of resources. Barnsley MBC needed to improve the day-to-day effectiveness of their operations and advance the level of service they were providing to citizens and businesses. To meet this need they implemented an SAP ERP solution that covered finance, works order management, procurement, payroll and human resources. This allowed the council to establish a central business support unit and shared service centre, helping them to improve efficiency and service delivery. In addition to this, to save money and use resources more effectively, the council sought an integrated SAP solution that would reduce print output. This solution needed to be SAP-approved to integrate seamlessly into their SAP ERP environment. The solution The Council reviewed the different SAP-approved solutions that were available on the market and selected SSLPost, the only SAP certified secure solution provided by GCrypt. GCrypt would be able to deliver any printed document directly from SAP straight into the recipient s inbox. Recipients would also be given the option to opt out and receive paper format if required. By using secure electronic document delivery the Council would save time, money and resources and significantly reduce their paper output. Implementation The Council chose as its pilot scheme the delivery of secure employee pay slips. With over 8,000 employees, and having 3,000 addresses already in the SAP system, SSLPost could be installed easily and rolled out quickly. Not only would the Council save money on postage and print, but they would also save the time and resource that was initially involved in manually processing the printed documents. This would provide the Council with a fast ROI and proof of concept for the product. GCrypt installed the SSLPost software on-site in only 2 days, and the remaining configuration was done through VPN access. Following the successful secure delivery of employee payslips, the Council decided to roll out SSLPost for the delivery of Berneslai Homes pay slips as well. Berneslai Homes is an Arms Length Management Organisation (ALMO) that is responsible for managing homes on behalf of Barnsley Metropolitan Borough Council. The results Barnsley MBC is extremely satisfied with the SSLPost solution, and continues to increase the number of pay slips being delivered electronically.
