1 Spreadsheet Parts of a Spreadsheet 1. Open the AppleWorks program. Select spreadsheet. 2. Explore the spreadsheet setup for a while. Active Cell Address Entry Bar Column Headings Row Headings Active Cell 3. Move your mouse pointer around and notice how it changes. a. It looks like your word processing I-beam when it is in the Entry Bar. b. It is the shape of a cross when you are within the cells area. c. It is a line with arrows pointing up and down when you are on the line between 2 row headings. d. It is a line with arrows pointing to the left and right when you are on the line between 2 column headings. Inserting a Header and a Footer 1. Go up to the top menu, click on Format and drag down to Insert Header. 2. Type the words The Mineral Industry of Illinois. Notice the words are automatically centered. 1
2 3. You can change the font and its alignment. The easiest way is to get your ruler to show up on the top of your page. Go up to Format, click drag down to Rulers, slide over and drag down to Show Rulers. 4. The ruler shows up letting you choose your font, size and alignment. 5. To add a footer go up to the top menu, click on Format and drag down to Insert a Footer. 6. Type in your name. Again make any changes you want to the font. Entering Information, Moving from Cell to Cell 1. If you do not see a colored line (depends on how you have customized your computer) outlining cell A1, click inside that cell to make it active. 2. Type District in that cell. Notice that the word appears in the Entry Bar. You can click on the cell with your mouse to make the words appear there, or you can tap on your Tab key to make the cell next to it active and ready for your next entry. 2
3 3. Move to cell B1, type Product, tap the Tab key, type Production, Tab, $/Metric Ton, Tab, and finally type Total $. 4. Make cell A2 active, type District 1, Tab, type Sand & Gravel, tap your Return key, type Unspecified-Sand & Gravel, Return, Coarse Aggregate, Return, Fine Aggregate, Return, Agricultural (Lime), Return, and finally type in Unspecified-Crushed Stone. (Please remember to save often while you are working.) Changing the Cell Size You have noticed that the words cross over into the next cells. If you type in those cells you will no longer see that portion of your writing. Easy to fix. 1. Go up between columns B and C. Make sure your mouse looks like this.. 2. Click and hold your mouse mouse button, then drag to the right as far as you need to go to get all the words to fit in the cells. 3. Release the mouse button when you have it the size you wish. Number formats 1. Make cell C2 active, type in 4,350,000 and tap Return. Notice that the commas do not appear. 2. Make cell C2 active again. 3. Go up to the top menu bar, click on Format, drag down to Number. 3
4 4. Click one time in the box next to Show Separators for Thousands. This will put a check mark in the box. 5. Click one time on the OK button. You should see the commas in their places. 6. Lets make that whole column know that we want this number format for all of the cells. Click one time on the C column heading. The whole column becomes highlighted. 7. Repeat steps 3 thru 5 from above. 8. Make cell C3 active. Type in and press return. Notice that the commas were placed for you. 9. Type in the following to finish this column , Return, , Return, 0, Return, Now we move on to putting in dollar amounts per metric ton. First click on the D column heading to highlight the whole column. 11. Go up to Format and drag down to Number. Click on General and drag down to Currency. 12. Make cell D2 active. 13. Type the following , Return, 4.70, Return, 5.51, Return, 4.10, Return, 0, Return, and finally
5 Formulas We want to find out total cost of production. We need to multiply the numbers in column C by the numbers in column D. 1. Click on cell E2 to make it active. 2. Type in the following formula... =(C2*D2)... You can type in the cells or click one time on the cell you want identified and it will appear for you. 3. Click on the check mark you see next to the formula you just typed in or tap return. 4. You will have noticed that it is not in the correct number format. Repeat steps from number format only this time choose both Currency and Show Separators for Thousands. 5. Oh no, I only see # symbols. This means the column isn t wide enough. Make the change and you will see the number as it should be. (Look back at directions in the middle of page 3 if you don t remember how to change the column width.) 5. I don t wish to have to type in a formula for each cell, so lets make it easy. Click and hold your mouse button down on cell E2, drag down to cell E7. This will highlight the cells we want this formula to be in. 6. Go up to the top menu, click on Calculate, drag down to Fill Down. (Shortcut Keys: Command + D) 7. Your cells should fill in with the correct numbers. 5
6 Text Format in Cells Let s change the font, size and style of the titles for the columns. 1. Click on the number 1 row heading. This should highlight the whole row. 2. Go up to the top menu, click on Format, drag down to Font, slide over and choose the font you want to use. 3. Do the same for the size, style, etc. you want to use. 4. Change the other cells by highlighting the ones you want to appear the same. Click on the first one and drag across all the ones you want, or if they are in the same row, just click on the row number and drag through the row numbers of the ones you wish to change. 5. Don t forget, if you change the size to be bigger you may need to change the widths and heights of your columns and rows. Your spreadsheet should look something like this... 6
7 Copy Information to Another Cell Let s put information from District 2 in. 1. Click on cell A9 to make it active. Type in District Go up to cell B2 click and hold, drag down to cell B7. This should highlight all of the cells that have the product names in them. 3. Go up to the top menu, click on Edit and drag down to Copy. (Shortcut keys: Command + C) 4. Click on cell B9 to make it active. 5. Go up to the top menu, click on Edit and drag down to Paste. (Shortcut keys: Command + V) Fill in the information for Production and $/Metric Ton. Copy the formula from E2 and paste it into the cell E9. Then do a Fill Down (refer to page 5) for the rest of the cells. Now you can put in the information from other districts making changes to things the way you want them to look. 7
8 Making Charts The first chart we will make will show the percentage of each product mined in District Highlight cells B2 to C7. How? Click and hold on B2, drag your mouse down and over to C7, then release the mouse. 2. Go up to the top menu, click on Options and drag down to Make a Chart. 3. Click one time on the Pie chart symbol, then click on the OK button. 4. A Pie chart will appear over the top of your spreadsheet. You can click in the middle of it and move it where you want it to go. 5. You can also copy it and paste it into a word processing page to add to any conclusions you write up. 8
9 Sand & Gravel Unspecified- Sand &Gravel Coarse Aggregate Fine Aggregate Agricultural (Lime) Unspecified Crushed stone I don t like the colors and where is the title? 6. Click 2 times on the chart to make the Chart Options window appear again. 7. Click one time on the Labels button. 8. Type in District 1 Production where it asks for the Title. 9. You can change the placement of the title or legend by clicking on the circles for the position you would like. Then click on OK. 10. Change the color of the pie slices to what you would like. Click one time in the middle of the color square next to the name of the product. A little white circle will appear in the middle of the square. 11. Go up to the top menu, click on Window, drag down to Show Accents. 9
10 12. Click one time on the first tab. 13. Click one time on the Fill box. 14. Choose a color and watch the change in your chart. 15. You can change the pattern by choosing the second tab and making a choice from there. The pattern will be the color you chose under the first tab. Double click on your chart and take some time to explore some of the other options. Watch as your chart changes. You can always go back to your original choices. You can resize the chart just like you do graphics; drag the handles. 10
11 Comparing other Data To compare amounts of product produced in each district you will need to copy and paste that information into cells that are next to each other so that you can highlight them in one clump to make a chart. Below shows a bar graph showing production of sand and gravel at each of the districts ( I only show 2 districts in this demo). Include the words of the product in your highlighting so that it shows up in your legend. 11
