1 Cloud computing has brought about a step change in the economics and sustainability of Information and Communication Technology (ICT). Government is committed to the adoption of cloud computing and delivering computing resources. The G-Cloud framework is an iterative programme of work to achieve this which will deliver fundamental changes in the way the public sector procures and operates ICT. The G-Cloud strategy will: Achieve large, cross government economies of scale; Deliver ICT systems that are flexible and responsive to demand in order to support government policies and strategies; Take advantage of new technologies in order to deliver faster business benefits and reduce cost; Meet environmental and sustainability targets; Allow government to procure in a way that encourages a dynamic and responsive supplier marketplace and supports emerging suppliers. XMA have been successful in all Lots that we applied for. These are: Lot 2 Platform as a Service Lot 3 Software as a Service Lot 4 Specialist Consultancy Services Short descriptions of our service descriptions that we can supply are outlined below: LOT 2 - PLATFORM AS A SERVICE XMA ENTERPRISE SCHOOL SOLUTION XMA offers a complete ICT platform as a service for primary and secondary schools. The service delivers the ICT platform your School requires for learning, teaching, management and administration on an easy to manage cost per pupil per annum basis. It is designed to enable the School to fully focus on outcomes for pupils whilst XMA takes away the challenges of keeping complex IT systems performing and scaling to user demands. XMA VIRTUAL CAMPUS SECURE HYBRID SOLUTION The Virtual Campus Secure Prison Solution is intended for use by up to 50 devices as an initial installation and can be expanded in blocks of 50. These users can be a mix of Virtual Campus only and Education PCs. The solution allows users to connect to Virtual Campus (and other white listed websites) to access learning resources in a secure, monitored environment. Key features include: Approved by HMPS Secure access to the Internet via a white list of URLs. All other Internet access is tightly controlled and is authorised via change control with permission from HMPS. Option to use Virtual Campus only desktop PCs supplied and secured by XMA or providing an option for existing Education based PC installation to access the white listed sites. Uses software to capture user inputs, screenshots etc. for tutor review after session on Virtual Campus. Allows the full use of Edexcel and OCR testing software on client and server (Virtual Campus only PCs).
2 LOT 3 SOFTWARE AS A SERVICE XMA OFFICE 365 Our Office 365 service will include Exchange P1 & P2 & Office 365 E1 & E2. Exchange Online is a hosted messaging solution that delivers the capabilities of Microsoft Exchange Server as a cloud based service, providing rich access to , calendar and contacts across PCs, the web and mobile devices. SharePoint Online is an Office 365 service for businesses of all sizes. It will provide employees with an enterprise-grade solution for creating sites to share documents and information amongst customers and colleagues. Lync Online is a next-generation cloud communications service that connects people in new ways, anytime, from virtually anywhere. Lync Online provides intuitive communications capabilities across presence, instant messaging, audio/video calling and a rich online meeting experience including PC-audio, video and web conferencing. XMA SAFECOM PULL PRINT ENTERPRISE MANAGEMENT SafeCom is a Pull Print and Tracking software package that tracks and accounts for prints and copies to networked printers and multifunction devices. The reporting generated from this tracking breaks down to user level, by device, by colour and mono pages and by department so page volumes and costs can be allocated internally to the correct business area. SafeCom also has a user friendly dashboard for the administrator that will report on environmental savings such as paper saved due to duplex printing, CO2 and power saved. When using SafeCom in conjunction with multifunction devices** then users can print from their desktop and retrieve their print jobs from any SafeCom enabled multifunction device on their network using their allocated PIN number to authenticate at the device. Any print jobs not collected from the multifunction device within a specified time will automatically be deleted from the SafeCom server so saving paper, power and consumable costs. **dependant on specification of multifunction device XMA TESSERACT DASHBOARD Tesseract is used to monitor service calls and provide vital service and SLA information on a contracted fleet of devices through XMA as it links directly into the XMA service desk software so live information from the XMA service centre can be viewed by the customer. Reports such as response time for service calls, device up-time and service statistics for the fleet of devices can be extracted by the end user to monitor performance of their print fleet. Any print jobs not collected from the multifunction device within a specified time will automatically be deleted from the SafeCom server so saving paper, power and consumable costs. **dependant on specification of multifunction device
3 XMA PRINT MANAGER MA Print Manager provides a service and reporting dashboard for the end user customer to gain a live view of their fleet of print devices. Information such as the level of toner in devices can be viewed including setting alerts for toners and maintenance can be set at the touch of a button in order to streamline procurement processes for consumables. An additional feature of the software is its ability to gather meter readings and page counts from all network attached print devices including networked photocopiers and multifunction devices so providing a self-audit of the entire print estate. LOT 4 SPECIALIST CONSULTANCY SERVICES XMA ASSET AUDIT AND OPTIMISATION Controlling costs and ensuring that technology continues to support the business outcomes of the enterprise are crucial activities in delivering the most efficient and effective outcomes for the citizen. XMA offer a comprehensive audit assessment that helps to takes the stress out of managing your technology infrastructure and service platforms, identifying potential weaknesses in your IT strategy. Our audit service addresses four key areas for your department / business: SECURITY - An audit can reveal potential risks to your infrastructure. Our audit reports show how risks can be minimised and ways to prevent ongoing threats. BUSINESS EFFICIENCY AND CONTROLS - Improve safety through effective internal controls that mandate daily operations. STANDARDISATION audit assessment offers the option to look at long term strategies to standardise across your IT estate. This helps to build in resilience and brings out value and efficiency of your devices and tools creating the optimal infrastructure for the Enterprise. ASSET REPLACEMENT POLICY - Workplace units go through wear and tear each day. An asset assessment helps to put in place a process to identify damages and monitor the chances of operational risk. This way, you can optimise your productivity and competence. This service will also help to create a cloud ready enterprise providing a sound platform and strategy which can incorporate cloud services XMA CLOUD DESIGN SERVICE CONSULTANCY Cloud services offer major benefits in cost and timely deployment of new services. However many organisations have already deployed technical services and are committed to a technology strategy and a business plan. There is also at times confusion as to an appropriate approach to cloud, for instance private cloud versus public cloud, challenges which need to be understood to avoid future risks. To help design the most effective cloud approach, XMA offer a bespoke Cloud Design Consultancy Service which is customer-centric resulting in a defined plan for moving forward. This will create a plan which will ensure that new cloud services can be intercepted and deployed but still within the overall Enterprise plan for technology.
4 XMA CLOUD LEGACY ASSET DISPOSAL Our full disposal service includes: Removal of all asset labels Marking for resale Redeployment of any useable components that do not contain data Breaking down and recycling of any non-reusable product Asset disposal reports, detailing what has been disposed of and how. Our service is provided free of charge for customers who procure asset audit and optimisation services which is chargeable. If you have any secure or sensitive data, we use a data cleaner. Any devices that are non-working or fail the data cleaning will be destroyed, using a process of degaussing and shredding. Assets for disposal will be transported securely by two BS7858:2004-cleared drivers. The assets are transported in sealed crates using metal security seals, which are cross-checked on collection and delivery. All vehicles use GPS tracking and are fitted with immobilisers, and our security partner undertaking this service is ISO certified. XMA EDUCATION CLOUD DESIGN SERVICES XMA offers a complete ICT design service for primary and secondary schools. The service enables a school to optimise their ICT Vision, Strategy and ICT Service design. By utilising advanced cloud and essential local services in the best blend for the School s local context, the School will be able to improve its service to pupils, parents, staff and the community, reduce its overall cost of provision and environmental impact whilst seeing how all its commitments to stakeholders can be better supported by technology. XMA OFFICE 365 DESIGN SERVICE However we in XMA Understand that potential users of this service or even those that are already using the service, have their own unique requirements and need to consume the service alongside existing services and technology. XMA has created a bespoke Office 365 Design Consultancy Service which is customer-centric resulting in a defined plan for moving your enterprise forward, whilst protecting your existing application and technology investment. The service will provide a clear design and transition roadmap so that an optimal service will be deployed to support the key business outcomes of your enterprise. The service looks at 4 key design areas: An initial analysis of the current technology and services and the agreed outcomes which the new service must support. This will include data migration requirements and any legacy integration issues Create a migration plan with options including an incremental implementation to reduce a big bang risk. Legacy service integration will be included into this timeline Develop a detailed training plan to ensure that new users are trained in time for the service deployment Cost options and additional services to make the deployment seamless and low risk. XMA PRINT AUDIT CONSULTANCY Driving down costs and delivering cashable savings to our customers is core to XMA s current success within the Managed Service arena. Our existing customers are regularly achieving 25-40% cost reductions across their MFD and printer fleets when they switch to us as their service provider. In this time of budgetary constraints, it is essential for us to demonstrate how savings are achieved and we do this through reference sites and case studies, details of which have been included below. We offer a dedicated consultancy service to carry out print audits, helping our customers achieve real cost savings through their print fleet.
5 XMA PROJECT MANAGEMENT At XMA, we pride ourselves in our experience and ability to pave a technology path for our clients to follow through our offering of Project Management service. We provide guidance and technical know-how, drawing on our years of experience in completing successful projects for other companies as well as our up to date knowledge of current technology trends. Our approach to project work is based on ITIL and Prince 2 methodology and has been standardised over the years to encompass the following key stages: Assessment Design Deployment In order for any project to be a success, a starting point needs to be established. This can come in the form of an assessment which can take several forms: Assessing/auditing existing environment; extracting performance metrics; meeting with stakeholders; Business unit Owners to establish at a business level what the requirements are. XMA HP SOCIAL MEDIA ANALYTICS To be an effective and leading individual facing organisation, services today must use social media to learn more about and interact with their people, partners and employees the customer the products and services that a citizen consumes, the interactions that they may have with public services, the relationships they may have with each other or individuals in the community such as volunteers. Social intelligence enables a new deep knowledge of the individual that arises from combining social media insight with traditional individual profiling data. Social intelligence allows organisations to manage real-time or near-real-time conversations with their customers whether members of the public, the citizen, individual, or other personality stakeholders, listening to their needs and deliver engaging contextual communications. To do this, organisations must deal with new data sources and combinations, new technologies, new ways of working, new talent, new ways of measuring, and new ways of thinking. XMA has worked with its partner, HP to create a social media analysis consultancy which will allow an organisation to create a strategy and plan for using social media effectively. Whether it is the use of social media to create more effective services which allow a more personalised service; or allow an organisation to better understand sentiment, the XMA consultancy with HP will inform the use of social media for the authority. XMA TRANSITION PLANNING XMA, in partnership with Alpine Resourcing Ltd, understands that transformation is multidimensional and that the culture and people aspects of the change are as important as the new process and enabling technology. This service looks at how the transformation to the new service should manage these softer aspects of change, creating a programme to manage these critical strands.
