4 Activant Eagle ProtoBase UI Setup Guide Overview This document describes the process you will follow to upgrade your current version of ProtoBase to the newest version, ProtoBase UI (User Interface), also known as ProtoBase It is a more secure method of processing and storing your bank card transactions and it meets Payment Application Data Security Standards (PA-DSS) set by the Payment Card Industry. You ll be using your Internet Explorer browser, rather than RealVu or the character-based command of pbadmin, to access your bank card transactions. Read this entire document before you begin the install process. It will provide you an overview of the process and help to ensure a successful conversion. Elavon offerings ProtoBase is a third-party software application from Elavon Inc. that Activant integrates into the Eagle system. Elavon offers a variety of training materials: o o From their website ( To learn more about PCI requirements, hover over the Support link and from the sub-menu, click Security. From their training website ( Access Elavon s training materials for ProtoBase UI. There is no fee for using these materials. Eagle Training Browser Check the Training Browser for ProtoBase training materials. Go to click Learning Solutions, and select Eagle Training Browser. From the Training Browser home page, click the App Maps link and then click the ProtoBase icon. Eagle Online Help Topics are available from the Eagle online help. From the Contents tab, click to open the ProtoBase book. Also, open the Job Aids book and then open the ProtoBase book. Software Requirements To complete this procedure, your system must be running Eagle OS (Linux), and you must be running ProtoBase 6.0 or higher and Eagle for Windows release 19.1 or higher. Secure Passwords Requirement Strict enforcement of passwords is required to protect credit card data. As you progress through the ProtoBase UI install, one of the procedure steps will require you to enter a current valid administrator password. To complete the install process, you must obtain an administrator login and password from your current RealVu application. Your current logins and passwords from RealVu will convert to the new ProtoBase application, but during the installation you will need to have a login and password with administrator privileges or you will not be able to proceed through the installation. 4

5 When to Do the Install? The install does require a quiet system, with no activity on any of the terminals, no reports processing, and no system tasks active. The best time to do the install is after the store is closed, and backup, Shutdown, and all end-of-day reports have completed processing. Or, you can do the install in the morning prior to opening the store, as long as no activity has taken place on the system since the night before. The ProtoBase UI install can take from 15 minutes to several hours to complete, depending on the amount of history and speed of the system. The client install takes about 5 minutes to complete, per terminal. You can choose the terminals on which you want to install the client. Tasks Prior to Install Before you install the ProtoBase UI software package, you must complete the following tasks: Verify Account Number During the install procedure, you will be asked to verify your Activant account number. This is the same account number you use when placing a call to the Eagle Advice Line. Obtain IP Address Complete the following steps to determine your Eagle system IP address. 1. From the Eagle Browser, click Utilities, and select Osprey. 2. At Selection, type GETIP and press <Enter>. The Network Configuration screen displays: 3. On the screen, locate the IP address field and write down the number for your system here: You will need this address later to help you open ProtoBase UI. 5

6 Activant Eagle ProtoBase UI Setup Guide 4. Press <Enter> to exit the screen. At Selection, type EXIT and press <Enter> to exit Osprey. Upload Offline POS Transactions If you have any offline POS transactions, they must be uploaded to the Eagle system before you continue with install process. If you recently used offline POS, follow your normal process for uploading offline POS transactions to the Eagle system. Use your normal methods to verify the upload was successful. For more information about verifying the upload of offline transactions, refer to the Eagle online help topics. Open the Point-of-Sale book > Offline POS book > Uploading Transactions After Using Offline POS book > Verifying the Upload of Offline Transactions topic. Settle Transactions Prior to installing the ProtoBase software, all existing transactions must be settled. Follow your normal process to settle transactions. Verify that the settlement was successful. Check RealVu and verify that there are no unsettled credit card transactions on file in your Eagle system. The transaction file must be empty before you continue with the install process. If you find any unsettled transactions, you must either manually perform a settlement now or wait until after auto-settle has occurred (and RealVu is clear) and then resume the install process. For more information about manual settlements, refer to the Eagle online help topics. Open the ProtoBase book and then open the Credit Card Settlement topic. Complete a Backup Prior to installing the ProtoBase UI software, you must have completed a successful backup. Like the backup you complete every day, it is a precaution, in case you have to restore data. No activity should have occurred on the system after you complete the backup and then install the ProtoBase UI software. If activity did occur (for example, after Shutdown, you had to manually settle transactions), then you must complete another backup. Prior to installing the ProtoBase UI software, verify that the last backup was successful. From the Eagle Browser, type TAPE in the Launch bar and press Enter, or use Function MBC from Network Access. If it was not successful, complete a manual backup before you continue. Ensure Quiet System The install does require a quiet system, with no activity on any of the terminals, no reports processing, and no system tasks active. The install process will automatically quiet the system (quitting any signed on users/terminals and terminating any active tasks). Install ProtoBase UI Server Software Complete the procedure steps in this section to install the ProtoBase UI software package on your Eagle Server. Use the server software CD provided by Activant. You can ensure a successful conversion by taking your time, reading each step before you proceed, and typing any commands exactly as shown in the procedure step. Upper-case and lower-case letters are read differently by the system. Be careful, deliberate, and do not type ahead (wait for the system to respond to a command that you ve entered before you type the next entry). This procedure must be completed from the Eagle system console terminal. The console is the terminal that plugs directly into the back of the CPU. It is within a few feet of the Eagle CPU. When typing any numbers during the procedure, you must use the numbers located above the letters on your keyboard. Do not use the number keypad on the right side of your keyboard. 1. If you are running applications on the console, exit to the Main Menu. At the Main Menu, type QUIT and press <Enter>. You are now at the console login prompt. 6

7 2. Type NEWSOFT at the console login prompt and press <Enter>. 3. The "Welcome to NEWSOFT!" screen displays. This screen contains information about the NEWSOFT procedure. You must read the screen and understand the instructions before you continue. 4. At the bottom of the screen, a message displays: Do you wish to install a software package(y/n) [default n]? Type Y (for yes) and press <Enter>. A warning message alerts you that your system will be going down in 30 seconds. 5. After a few minutes, a message displays on the screen asking you to select the drive to install the programs from. To select CD-ROM, type 2 and press <Enter>. 6. A message displays: Insert the program CD into the CD-ROM drive and press <ENTER>. Insert the ProtoBase Credit Authorization Optional Software CD and press <Enter>. 7

8 7. A screen similar to the following displays. Press <Enter>. This selects the ProtoBase package. A message displays: Copying programs... It takes a few seconds for the copying programs routine to complete. If you receive the message Do you want to refresh programs (Y / N), type a Y and press Enter. 8. After copying programs, the following screen displays: Type Setup and press <Enter>. Be sure to type Setup exactly as it displays on the screen, with a capital S and the remaining letters are lower-case. Various status messages then display on the screen. A series of questions then display. Carefully read and answer each one to ensure that proper precautions have been taken and the upgrade will be successful. Continue with the next steps to answer the questions. 9. Your Activant account number displays. Verify that this is your correct account number and then press <Enter>. If the account number is not correct, type your correct account number and then press <Enter>. 8

9 10. If you receive the message do not proceed until you have met the following criteria, press Enter to proceed. Then type Y and press Enter when you are asked if you have a backup. The install process resumes. 11. When asked if all offline transactions have been uploaded to the Eagle system, type Y and press <Enter>. One of the tasks you completed prior to the install was to check for offline POS transactions. If you did not, and if offline POS transactions do exist, then any credit card transaction in that offline file will not be settled when you later upload the offline transactions. A message displays that the system is checking for any unsettled transactions. 12. When asked if you have a current backup, type Y and press <Enter>. One of the tasks you completed prior to the install was to check for a current backup. 13. The following screen displays: At the prompt, type the number, for the number of months you want to keep. For example, if you want to keep 12 months, type 12. Then press <Enter>. 14. The following two screens may appear if you are installing new merchant files. The screen that displays on your system may look different than the example shown below. If you see the following discrepancy message, type y and press <Enter>. 9

10 15. When you see the following message, type y and press Enter. 16. When you receive a login warning that only 2 attempts to log in will be allowed, type Y to continue, and press <Enter>. 17. The following Password screen then displays: At Enter User, type your administrator login and press <Enter> (this is the login used to access your RealVu application with administrator priviliges. It must be obtained before beginning the installation!) At Enter Password, type your (RealVu) administrator password and press <Enter>. For more information about passwords, see the earlier section in this document entitled Secure Password Requirement. Remember, you have the option to change passwords after the install is complete. 18. The system continues the upgrade process, and in a few minutes a message displays that the software was successfully installed. Press <Enter> when you see that message. 19. Remove the CD from the drive. The system will automatically reboot. When the console login displays, the system is ready for normal business use. Continue with the next section to install the ProtoBase UI client software. 10

11 Install ProtoBase UI Client Web Certificate Windows XP Users This section is for Windows XP users only. If you use Windows 7 or Windows Vista, skip to the next session. In newer versions of Internet Explorer (IE), you will encounter a website security certificate error when you try to connect to the ProtoBase Web-Based Transaction Management System. To resolve this problem, you will install the security certificate on each station that you wish to use. 1. Open an Internet browser window. 2. Copy and paste the following URL in the address bar of your internet browser: replacing xxx.xxx.xxx.xxx with the IP address of your eagle server. 3. A warning screen loads, informing you that the Web site does not have a valid security certificate. Click the option to continue to the Web site (see Figure 1 below). Figure 1. Certificate Error: Navigation Blocked 4. From the login page, enter your user name and password (obtained from RealVu, prior to beginning the installation.) 5. 12 Creating a Server Certificate Once logged into ProtoBase UI for the first time, you must create and load a Server Certificate, as described below. 1. On the ProtoBase UI Menu bar, click System (Figure 3). The System menu displays. Figure 3. ProtoBase UI: System Menu 2. Click Server Certificate Configuration. The Server Certificate Configuration window opens (Figure 4). Figure 4. The Server Certificate Configuration Window The Host field will be filled in with your computer name or static IP address. Replace this with the IP address of your eagle server. (xxx.xxx.xxx.xxx) Example: If a Certificate Error window displays instead of the Server Certificate Configuration window select Continue to this Website. If the entire screen does not display select the zoom dropdown and choose 50% so that the selection displays. 12

13 3. Select Continue to this website 4. Click Create. The Confirmation window displays the message that the certificate was installed (Figure 5). Figure 5. Server Certificate Configuration window: Confirmation message 5. Click Close to close the window. 6. Logout of ProtoBase UI by clicking the Logout button on the UI Menu bar (Figure 6). Figure 6. ProtoBase UI Menu Bar: Logout 7. Close your Internet browser. 8. On your Eagle server, restart the ProtoBase Protobase services. 13

14 At login: type M At the Function prompt type SSM. Use the arrow key to highlight ProtoBase Credit Auth Manager Press Delete (F6) to stop the ProtoBase services. A message as shown in the window below will display. 14

15 When the message Stopped displays. Press Run (F3) to re-start the ProtoBase services. A message box will display as the process is started. Verify that the message Started displays in the Status column and press escape to exit. 9. Open a new Internet Browser. 15

16 10. Navigate to replacing localhost with the IP address of your eagle server. 11. Click the option to continue to the Web site. 12. Click the certificate dropdown labeled Certificate Error (Figure 7). Figure 7. Certificate Error 13. Click View Certificates (Figure 8). The Certificate window opens (Figure 9). Figure 9. Certificate window Verify that the Issue to: is now issued to <your eagle server IP address> and Valid from shows today s date. 14. Click the tab labeled Certification Path. The Certification Path tab appears (Figure 10) 16

17 Figure 10. Certificate: Certification Path Tab 15. Click ProtoBase to accept ProtoBase as a trusted root. The certificate you created will be selected. You must make the selection ProtoBase. 16. Click View Certificate. A new Certificate window opens (Figure 11). Figure 11. 18 You will use all the default settings in the Certificate Import Wizard. 18. Click Next. The Certificate Store screen appears (Figure 13). Figure 13. Next Screen: Certificate Store 19. Click Next. The Completing the Certificate Import Wizard screen appears (Figure 14). Figure 14. Completing the Certificate Import Wizard 20. Click Finish. A Security Warning displays (Figure 15). Figure 15. Security Warning 21. Click Yes. A confirmation message displays that the import was successful (Figure 16). 18

Close your Internet browser. 25. Open a new Internet browser window. 26. Navigate to replacing localhost with your eagle server IP address. The ProtoBase Suite UI Login Screen displays (Figure 19). 19

20 Figure 19. ProtoBase UI Login: No Warning Screen 27. A server certificate must be installed on every PC that will be accessing ProtoBase UI. Repeat steps 9 through 25 for the relevant PCs. 28. If desired, create a shortcut to help you access ProtoBase User Interface more quickly. Right click on your desktop and select New, then left click Shortcut. When the new shortcut icon displays on your desktop along with a Create Shortcut wizard, enter your ProtoBase User Interface address as shown below (remember to use the IP address of your Eagle, not the one in the illustration.). Click Next. 20

21 Type a name for your shortcut in the space provided, and click Finish. Your shortcut icon displays on your desktop. 29. Now that you have installed ProtoBase UI (PB ) on your server, you will no longer be able to access your bank cards through RealVu. To uninstall the RealVu application, click START, then select Control Panel and Add or Remove Programs. Find RealVu in the list, and click the Change/Remove button. Install ProtoBase UI Client Web Certificate Windows 7 or Vista This section is for Windows 7 and Windows Vista users only. If you use Windows XP, you should have followed the procedure in the previous section. In newer versions of Internet Explorer (IE), you will encounter a website security certificate error when you try to connect to the ProtoBase Web-Based Transaction Management System. To resolve this problem, you will 21

22 install the security certificate on each station that you wish to use. First, you must export the certificate information locally, so that you can import it in a later step. The procedure is described below. EXPORT CERTIFICATE 1. You must run Internet Explorer as an administrator. To do this, right-click on your Internet Explorer icon, and select run as administrator. 2. Open an Internet browser window. 3. Copy and paste the following URL in the address bar of your internet browser: replacing xxx.xxx.xxx.xxx with the IP address of your eagle server. 4. A warning screen loads, informing you that the Web site does not have a valid security certificate. Click the option to continue to the Web site (see Figure 1 below). Figure 1. Certificate Error: Navigation Blocked You will see that the certificate error is noted, and the address bar will turn red. 5. Click the Certificate Error message in the address bar, then click View certificates 22

23 6. Click the Certificate Path tab, then click the ProtoBase entry in the subsequent window. 7. Click the View Certificate button, then the Details tab 8. Click the Copy to File button to launch the Certificate Export Wizard. 23

24 9. Click Next, choose the Cryptographic Message Syntax Standard PKCS #7 Certificates (.P7B) option, check the box Include all certificates in the certification path if possible, then click Next again. 10. Enter the filename c:\protobase.p7b as shown below, and click Next. 24

25 11. Click Finish 12. When you see the following message, continue to click OK until all windows are closed. 13. Close Internet Explorer IMPORT CERTIFICATE 14. Click the Start button, type mmc.exe in the Search bar, then press Enter. This displays a blank management console (Console1 [Console Root]). 15. Click File on the menu bar, select Add/Remove Snap-In, click Certificates, and click Add. 25

26 16. For the prompt This snap-in will always manage certificates for: select Computer account, then click Next. 17. Select Local Computer at the next prompt, then click Finish. 26

27 18. Click OK 19. Double-click Certificates, double click Trusted Root Certification Authorities, then click Certificates. 20. Click Action on the tool bar, select All Tasks, and then select Import to launch the Certificate Import Wizard. Then click Next. 27

28 21. Enter the filename you used in the previous section (i.e. c:\protobase.p7b), then click Next. 22. Accept the default action Place all certificates in the following store, as this will import to the Trusted Root Certificate Authorities store. Then click Next. 28

29 23. Click Finish to complete the import process. You should receive the following prompt 24. Click OK, close the management console (Console1), and choose to not save console settings. 25. Open Internet Explorer, browse to the address from before, and you should now be taken directly to the login with no certificate errors. 29
