2 GENERAL RULES AND REGULATIONS IMPORTANT: All Eisteddfod rules must be strictly observed to avoid disqualification 1. ENTRY FORMS AND FEES 1.1 REGISTRATION OF AFFILIATES Every teacher, coach, school or person who wishes to enter participants must register on the website, to become an affiliate. Please complete the registration form on the website's "contact us" page, or follow the links. Upon receipt of the registration form, the affiliate will be created and ed receive a username and password. Only then the affiliate will be able to enter participants for the Eisteddfod. Only electronic registrations and entries will be accepted via the website. No person can enter the Eisteddfod if the above steps were not followed. 1.2 ENTRY FEES Solo R Duet R pp Small group 3-10 members R pp Large group 11 and more members R pp Choirs R pp Competitive Items R Visual Art and Photography R Rock Groups R PAYMENTS: PAYMENT SHOULD BE MADE AS SOON AS POSSIBLE TO ENSURE INCLUSION OF ENTRIES IN THE PROGRAM. ENTRY FEES ARE NON-REFUNDABLE. ALL PAYMENTS MUST BE MADE IN FULL BY THE FIRST CLOSING DATE IN FAILURE OF MAKING PAYMENT ON TIME, PARTICIPANTS WILL BE CONSIDERED AS NOT ENTERED AND THE SYSTEM WILL NOT INCLUDE THEM IN THE PROGRAM General Rules 2 / 6

3 IN THE EVENT OF REQUIRING AN INVOICE, THE SYSTEM MAKES PROVISION TO PRINT ONE ON REQUEST. BANK DETAILS APPEAR ON THE WEBSITE. PROOF OF PAYMENT MUST BE ED TO 1.3 DETERMINING PARTCIPANT S AGE GROUP Certain disciplines require the age of the participant. Age group will be determined by the participant s age on 15 August (i.e. if a participant is 10 years old on 15 August 2015 he/she will be entered as u/11). Please note: PRIMARY SCHOOL = Grade 1 7 SECONDARY SCHOOL = Grade ELECTRONIC ENTRIES Entries open on 1 st March 2016 Take note of the brand new website and system for entries of the Eisteddfod. Only electronic entries on the new website will be accepted. Follow the steps on the opening page. The Eisteddfod will not be liable for ANY faulty information loaded on the system as the affiliates will take full responsibility for what is captured when entering. For bank payment purposes, always use the specific entry number as reference. The administrator may be contacted for any enquiries 1.5 DETAILS OF ENTRIES All information required on the system must be completed. Verify details, especially age, school, grade, item number, code and spelling of the participant s name, as it should appear on the Eisteddfod certificate. Ensure that participants are enrolled in the correct category. Affiliates will be held responsible for submitting accurate details. Incorrect information may lead to the disqualification. In the event of entering participants with special needs, the applicable SP code should be filled in the NOTE block when entering General Rules 3 / 6

4 No work may be presented in more than 1 section. No work may be performed by a participant for 2 consecutive years. A participant may only enter once per item, with the exception of Music Instrumental where the participant may be playing a different instrument. Participants may only perform in one age group when entering for individual items. Groups will be entered under the age of the oldest participant in that group. Entries close on Friday 6 May 2016 punctually. NO late entries can be accommodated, as the system will not allow it. Participants not appearing in the programme will not be allowed to take part in the Eisteddfod. 1.6 WITHDRAWAL OF PARTICIPANTS Any participants withdrawing from the Eisteddfod will forfeit their entry fee. If an individual participant withdraws, he/she cannot be replaced by another participant -certificates are pre-printed and therefore no name changes can be made. Should a cancellation be necessary, please inform the Discipline Chairpersons without delay (telephone numbers on page 1). 2. PROGRAMME The programme will be communicated and will be available on the Eisteddfod website. Any late programme changes will only be allowed if they are approved by the Discipline Chairperson. These changes will be accommodated after completion of the day s programme or at the end of the week. Please note that the Eisteddfod will not be able to accommodate time or date clashes with extra mural activities, due to organisational complexities.. While the Eisteddfod does its utmost to ensure the smooth running of each discipline, there are factors beyond its control which may affect the final programme. Should any changes be unavoidable, where ever possible, we will notify affiliates. Requests for program changes or movements must be communicated via to the respective chairperson. The inclusive of the response from the chairperson must be handed in at registration. 3. VENUES Adjudication of all disciplines will take place at the AFM COMMUNIO Auditorium and Church Hall C/o Jakaranda and Kaapschehoop Rd General Rules 4 / 6

5 Please note: the Nelspruit Eisteddfod expects that all participants, especially groups will maintain strict discipline and invigilation. It is the prerogative of the chair person to cancel participation in the case of nonadherence to the above. 4. REGISTRATION (during the Eisteddfod) All participants must register 30 minutes before their performance, except in the case of the Dance Discipline where 60 minutes will be applicable. Registration tables will be situated in the foyer of the AFM COMMUNIO Auditorium and Church Hall. 5. CERTIFICATES Adjudicators will award certificates according to the following scale: 90+ A++ Outstanding PRESTIGE A+ Excellent GOLD A Very Good GOLD B+ Good SILVER B Mastered SILVER < 69 C Fair BRONZE For each item, an adjudicator s report will be presented. Each and every single person taking part will receive a certificate. Individuals will receive an A4 format certificate and all group participants will receive an A5 format certificate. Names will not be printed on the group certificates, but the group name. However, the certificate will provide for space to fill in or print names as required. The adjudicator s decision is final and no discussion with teachers / parents will be allowed. This may lead to disqualification of the participant. Re-adjudication will not be allowed. Adjudicators may disqualify participants if they do not adhere to the rules and regulations of the Eisteddfod. 6. AWARDS Awards will only be made to participants entering the Competitive Sections. The minimum qualifying mark for an award is 85%. Adjudicators may withhold an award if they deem the standard of work inadequate. Awards will be presented by the adjudicator at the end of each individual Competitive Section General Rules 5 / 6

6 Additional awards are also made by friends and sponsors of the Eisteddfod and all details are available in the prospectuses. To qualify for the Versatility Trophies, participants must enter a minimum of 3 disciplines. These trophies will be awarded at the Eisteddfod Gala evening event. 7. LANGUAGE AND DRESS CODE No prejudicial material, derogatory language, costumes or gestures will be allowed during any of the performances, and may lead to disqualification. No texts of a sensitive, political or blasphemous nature will be allowed. Please ensure that the performance contents are appropriate and agerelated. 8. PARTICIPANTS WITH SPECIAL NEEDS Special arrangements have been made to accommodate disabled participants. They may enter any item and will be assessed in a separate section. Please fill in the relevant SP Code in the NOTE block when entering a participant. EISTEDDFOD GALA EVENING 14 September 2016 The Gala evening will take place at the AGS Communio Auditorium on Wednesday, 14 th September The Versatility Trophies will be awarded to the winners at this event. When choosing acts for this evening, various criteria will be used. These include entertainment value, quality of performance and variety. 10. INDEMNITY The Nelspruit Eisteddfod cannot be held responsible for any loss, theft or injury sustained during the Eisteddfod General Rules 6 / 6
