1 Uploading and Downloading Files to the HIS Server Your PHLive environment and How To document screenshots may not always match due to the dynamic nature of HIS. If any modification to the system impacts the process outlined in this document, an updated How To document will be available through the HIS Website. Application Requirements To upload and download files from a batch county to HIS, or vice-versa, your agency will be required to access the State s HIS Linux servers through a VPN (Virtual Private Network) connection. 2 Login Procedure Batch counties will have access to the VPN Client through the ITS-VPN group in NCID. This will allow your agency to use your production NCID username and password to login. NOTE: Management of your NCID is handled through your local agency s NCID Administrator. The HIS Project Team cannot make changes to your NCID username or password. 1. In the Group dropdown field, enter 4-Vendor. 2. In the Username filed, enter your NCID. In the Password field, enter your NCID password. 3. Click the Logon button. NOTE: A VPN banner message will display. Figure 2: VPN Connection Entries. 4. Select Accept button and you will see the following message in the right bottom corner once you are connected to VPN. 3 SFTP SFTP allows for the secure transfer of files to and from servers. For the process of transferring files through SFTP, a SFTP client is needed. There are a couple of open source options available (two options noted below are WINSCP and PuTTY). IMPORTANT: The SFTP client selected allows your agency access to the HIS Server. For security reasons, only three (3) representatives from your agency will be granted access to the HIS Server. In order to access the server, you must have a valid NCID. When logging into the HIS server for the first time, you will need to use the SSH client to change your password. 4 Option One: WINSCP You can download WINSCP from this URL: 1. Download the software from the URL provided. 2. Double-click the WINSCP.exe to start the SFTP session. NOTE: An Open File Security Warning dialog box displays. Click the Run button. 3. The WinSCP Login window displays. Figure 5: WinScP Login window. 4. Enter in the Host name: field. 5. Enter your NCID in the User name: field. 6. Enter your NCID password in the Password: field. 7. Click the Login button. NOTE: An Authentication Banner will display. Click the Continue button. 5 8. The WinSCP My Documents panel displays. NOTE: The right panel is the HIS server. The left panel is your computer. Figure 7: WinSCP My Documents panel. 9. Within the HIS server panel (i.e., the right panel), there are two directories: in directory and out directory. Navigate to the following directory: /data/interfaces/batchcounty/xxx/ from the root directory. NOTE: XXX = your RSC number. 10. Within the left panel (i.e., your computer), navigate to the location where the batch file is saved. 11. 6 Option Two: PuTTY The PuTTY software is an open source and can be downloaded from: 1. Locate and select the psftp.exe file. 2. Save the psftp.exe file locally. 3. After the file has downloaded, double click the psftp icon. 4. Click Run from the Open File dialog box to open the PSFTP interface. Figure 8: PSFTP Interface 5. Enter your NCID Password at the password: prompt. NOTE: Once you enter a valid password, you will be directed to the HIS server. Updated: 2/4/2013 Page 6 of 8

At the psftp prompt, enter the command: ls l. NOTE: This instructs the application to list the files. Please note the command is the lowercase L and a lowercase S, a space, a dash and a lowercase L. 8 Batch County File Processing In order for the Batch County Interface to process your files, verify that each file meets the proper naming convention. The naming convention for the Batch County File file(s) is: "RootSystemCode" + "x"+ "BCFile" + "x" + MMDDYYYY + x + hhmmss +.txt For example: 113xBCFilex x txt If the file name is not correct, the file will not be processed. The file name must be within 7 days of the county s scheduled process time. (See website for Batch Interface Scheduler Hours) File(s) scheduled for Monday through Friday should be submitted before 3:00pm File(s) scheduled for Saturday should be submitted before 1:00pm Upload Files to HIS Server At this point, you can change the directory to in for uploading your batch county files to the HIS Server using the put command. 1. At the prompt, enter cd in. NOTE: There is a space between cd and in. 2. At the prompt, enter the command put [filename]. NOTE: when entering the filename, do not include the brackets. Download Files from HIS Server Using this same interface, you can change the directory to out for downloading data from HIS to your server using the get command. 1. At the prompt, enter cd out. 2. At the prompt, enter the command get [filename]. NOTE: when entering the filename, do not include the brackets. Errors Reports Batch County Vendors will be given access in HIS to review the Batch County Interface Report and the BL201 Batch Counties Edit Errors Report. Once the file(s) have processed, run the Batch County Interface Report or the BL201 Batch Counties Edit Errors Report. The reports contain the number of records submitted, accepted and rejected and error messages.
