3 Electronic year end returns using Filing By Internet NGA Human Resources has updated its EDI to FBI Conversion Utility for EAS, FPS, EPS, EYU, P11D, P11D(b) or P46(car) returns. This converts the Generic Flat File (GFF) produced by your NGA Human Resources product to extensible Markup Language (XML) format. Once the conversion is complete, the utility will transmit this data to HMRC via the Government Gateway. The EDI to FBI Conversion Utility is available from the Internet free of charge for all NGA Human Resources customers. In order to use this utility, you must: be registered on the NGA Human Resources Extranet. meet the prerequisites for using the utility (see the EDI to FBI Conversion Utility Datasheet available in the EDI to FBI Conversion Utility Release Information area of the NGA Human Resources Extranet). 4 Installation The length of time required to install the utility will depend on your environment. For example, using a standalone Windows 2000 PC with a 56K modem attached could take around two hours to complete the installation. Prerequisites Internet access It is vital that your organisation ensures adequate access to the internet, and the ability to download and install programs from the internet. Administration Rights You must ensure that you have System Administrator rights in order to download and install the required EDI to FBI Conversion Utility and the Java Runtime Environment. Government Gateway Username and Password Your company must ensure that you have chosen a Government Gateway Username (verified by HMRC), as well as a Government Gateway password. You must also ensure that you have activated your account on the HMRC website. Note: You will normally have a single login for each PAYE scheme, however, if you register as an agent, you may have one login for multiple schemes or additional logins. EAS, EPS, FPS, EYU, P11D, P11D(b) and P46(car) EDI Files Before running the EDI to FBI Conversion Utility, your organisation should produce the EAS, EPS, FPS, EYU, P11D, P11D(b) and P46(car) EDI files and note their names and locations. You must also ensure that each GFF extract to be converted is a single-part file. Colour Depth and Resolution You must ensure that the computer on which you want to install the EDI to FBI Conversion Utility is capable of displaying at least 256 colours at a resolution of at least 800x600 (1024x768 recommended). Licence File You must ensure that you have downloaded the Licence file from the following location: You will need this file the first time you launch the EDI to FBI Conversion Utility. Java Web Start 7 or above You must have Java Web Start 7 or above installed on your PC to install the EDI to FBI Conversion Utility. This Guide includes instructions for downloading this software Operating System Requirements The Java Runtime Environment used by the EDI to FBI Conversion Utility is compatible with following Operating Systems: Windows 7 Windows Vista Windows XP/2000 Windows Server 2008 Windows Server 2003 Proprietary and Confidential to NGA Human Resources Page 4 of 13

5 Browser Requirements NGA Human Resources have tested the EDI to FBI Conversion Utility with Internet Explorer 6.0 and higher. Before starting the installation Before you start the installation, you must remove the following files from your computer, if they are installed: Earlier versions of the EDI to FBI Conversion Utility Java Web Start 1.7 Check if either of these programs are installed on your computer, and remove if necessary: 1. Click Start on your Windows toolbar. 2. Select Control Panel. 3. Double-click Add or Remove Programs. 4. Check the list of currently installed programs for either of the files. 5. If the files are installed, select the program, and click Remove. You will be asked to confirm that you want to remove the file. Click OK. 6 Accessing the EDI to FBI Conversion Utility website 1. Connect to the Internet, and run Microsoft Internet Explorer. 2. In the Address field, type the following internet address: 3. Click Go. The EDI to FBI Conversion Utility home page is displayed. The links on the home page will depend on whether the Java Runtime Environment (Java Web Start) has already been installed on your PC. You cannot install the EDI to FBI Conversion Utility unless you have Java Web Start 7 or above installed. If you do not have Java installed, the home page will look like this, with a Manual Installation and Launch link: Proprietary and Confidential to NGA Human Resources Page 6 of 13

7 If you already have the Java Runtime Environment installed, the homepage will look like this, with a link to Launch the Application: In this case, please follow the instructions in the Installing the EDI to FBI Conversion Utility section. 8 Installing Java Web Start 7 or above Note: These instructions are correct at the time of publication. However, the Java Sun Microsystems website may be updated without notice. If you have difficulty carrying out the download, please raise a call with NGA Human Resources Product Client Support via the Extranet. 1. On the EDI to FBI Conversion Utility home page, click on the Manual Installation and Launch link. We recommend that you check the system prerequisites to make sure you have all the components required for a successful installation. 2. Click on the Downloading and Installing link. 3. Use the link provided in the Java Location document to download Java Proprietary and Confidential to NGA Human Resources Page 8 of 13

9 The following will then be displayed. 4. Click Start Free Download button. Click RUN then Install 5. We recommend that you save the file into your Program Files directory in a subdirectory called Java. You may need to create this sub-directory. 10 6. When the download is complete, browse to the directory where you saved the file (program files/java). Highlight the file that has been downloaded (e.g. JavaSetup7u17.exe) and double-click it to start the installation. 7. You will be asked to confirm that you want to run the file. Click Run. 11 8. The following will then be displayed. Click Install>. The installation will begin. During the installation, you will see several progress messages. When the installation is complete, you will get the following screen: 9. Click Close. You are now ready to launch the EDI to FBI Conversion Utility. 12 Installing the EDI to FBI Conversion Utility 1 Navigate to The EDI to FBI Conversion Utility website will now look like this: 2 Click Launch the Application to install the utility. A progress screen indicates how long the installation will take. If you receive a Proxy Configuration screen, we recommend clicking OK to accept the offered settings. Error and warning messages When running the utility, there are three types of error that you might encounter: Errors generated by the utility Messages from the Government Gateway Messages from HM Revenue and Customs Information about common errors and warnings is available on the NGA Human Resources Extranet, in the EDI to FBI Conversion Utility Release Information area If you experience problems when using the Utility, check the online Help files and the NGA Human Resources Extranet knowledgebase.
