3 Quick Start Guide Overview This Quick Start Guide is intended to provide you with the information you need to complete primary administrator FreightLink tasks for EFI Pace. Note: This document is a Quick Start Guide and does not contain every FreightLink administrator task you can perform for EFI Pace. This guide contains the following types of notes: Important: When you see this type of note, the information may affect the way you enter fields or may warn you that errors could occur. Pay particular attention to information in these notes. Note: When you see this type of note, the information may serve as a reminder or may provide additional details that do not appear in the procedure. Tip: When you see this type of note, the information might help you use the system more efficiently or may provide an example for a step in a procedure. ToolTips EFI Pace contains ToolTips for some fields that provide detailed information such as a field description, maximum number of characters the field accepts or the format the field requires. Use the ToolTips, where available, in addition to this guide for assistance in EFI Pace. To access ToolTips: In EFI Pace, position your mouse pointer over the name of the field for which you want additional information. 5 About FreightLink Important: FreightLink is an optional module that you purchase in addition to your basic EFI Pace system. 6 How it works The following is a high-level overview of how FreightLink works with the EFI Pace system. Refer to the Basic data flow topic in this Quick Start Guide for a graphical representation of this procedure. 1. When you enter a planned shipment for an open job in EFI Pace, the EFI Pace system adds the shipment information to a view (portions of one or more tables) named FreightLink. Note: EFI Pace does not add information to the FreightLink View unless the job is in an open status AND the shipment is planned (the box in the Planned field on the Job Shipment Detail page is checked.) 2. Your shipping provider s software package (such as UPS) then accesses the shipment information in the FreightLink view through the program s use of ODBC data sources. 3. After you process the shipment in the shipping provider s software package, your shipping provider s software application exports the processed shipment information back to EFI Pace. EFI Pace stores the information in the freightlinkupsentry table. Note: EFI Pace stores the information from all shipping providers in the freightlinkupsentry table. 4. EFI Pace reads the freightlinkupsentry table once every minute, and adds or updates the job shipment information in the EFI Pace system. 7/23/2010 6

9 Enable FreightLink integration Important: You must complete this procedure first to set up FreightLink in EFI Pace. 1. From the EFI Pace main menu, click Administration, then move the mouse over System Setup, then over Job Control Center, then click Job Control Settings. The Job Control Setup page appears. 2. Click on the Freightlink Integration tab, then check the box in the Enable UPS FreightLink field. Note: You must enable this field regardless of which shipping provider you use. 3. To save your settings, click [Update]. The Job Control Setup page refreshes, with the Updated message at the top of the page. 4. Restart your EFI Pace system to activate the FreightLink solution. Important: You must restart your EFI Pace system for your changes to take effect. 7/23/2010 9

10 Add a shipment type for FreightLink Tip: If you check the box in the Enable UPS FreightLink field on the Job Control Setup page and restart your EFI pace system, the system automatically creates the FreightLink shipment type and you can skip this procedure. 1. From the EFI Pace main menu, click Administration, then move the mouse over System Setup, then over Job Control Center, then click Shipment Types. The Shipment Types List page appears. 2. On the Shipment Types List page, click [Add New Record]. The Shipment Type Add page appears. 3. On the Shipment Type Add page, in the Id field, enter a value of On the Shipment Types List page, complete the remaining fields, as applicable. Refer to the Job Shipments Module Administrator/User Quick Start Guide for more information and detailed field descriptions. Tip: When the system automatically creates the FreightLink shipment type, the Print Label, Print Del Ticket, Add Qty and Show in Eservice fields are enabled. Be sure to configure the Freight Activity Code and Status fields to meet your organizational needs. 5. Click [Add]. The Shipment Type Detail page appears, with the Object Added message at the top of the page. 7/23/

11 Create shipping methods for FreightLink shipping providers 1. From the EFI Pace main menu, click Administration, then move the mouse over System Setup, then over General, then click Ship Provider. The Ship Providers List page appears. 2. On the Ship Providers List page, do one of the following: Use the search feature to locate the desired Ship Provider and click the magnifying glass icon next to the provider for which you want to set up shipping methods. The Shipping Provider Detail page appears. To add a new Shipping Provider, click [Add New Record]. The Ship Via Add page appears. Complete the applicable fields, then click [Add]. 3. On the Shipping Provider Detail page, click on the Shipping Methods tab. 4. On the Shipping Methods tab, do one of the following: If you want to modify the information for an existing shipping method, click the magnifying glass icon next to the applicable method. The Ship Via Detail page appears. If you want to add a new shipping method, click [Add New Record]. The Ship Via Add page appears. 5. For a UPS shipping provider, on the Ship Via Detail page or Ship Via Add page, on the Ship Via tab, in the UPS Realtime Quote Method field, select the desired shipping provider method of delivery, as applicable. Note: You must specify a UPS Realtime quote method for each UPS shipment method you use, as the system uses this field to map the billing options from UPS back into EFI Pace. If you assign more than one shipping method to a UPS Realtime quote method, EFI Pace selects the first method for any updates you make. 6. Complete or update the remaining fields on the Ship Via tab, as applicable. Refer to the Job Shipments Module Administrator/User Quick Start Guide for more information and detailed field descriptions. 7/23/

12 Tip: Enter a unique description for each shipping method to ensure that FreightLink does not bypass any methods when it automatically selects a shipping method. 7. Do one of the following: If you are on the Ship Via Add page, to save this shipping method, click [Add]. The Ship Via Detail page appears, with the Shipping Rates tab. If you are on the Ship Via Detail page, to delete this method, click [Delete], then click [OK] when prompted to confirm the deletion. The Shipping Provider Detail page reappears, with the Item deleted message at the top of the page. If you are on the Ship Via Detail page, to save your changes, click [Update]. The Ship Via Detail page refreshes, with the Updated message at the top of the page. 7/23/

13 ODBC Setup Tasks Complete the following tasks to properly setup the ODBC (Open Database Connectivity) for the FreightLink solution. The ODBC enables a workstation to communicate with the appropriate database. ODBC Setup Tasks Download ODBC drivers Establish a postgressql ODBC connection /23/

14 Download ODBC drivers Note: Use the following procedure to download the appropriate postgres ODBC drivers if you do not already have any drivers installed. 1. Navigate to the EFI Pace website, 2. Under the Client Access section, enter your company username and password, and click [Login]. The Pace Support Center page appears. 3. On the Pace Support Center page, in the toolbar at the top of the page, move the mouse over Developers, then click Third-Party Downloads. The Third-Party Software Links page appears. 4. On the Third-Party Software Links page, under Postgres Tools, click the Postgres ODBC Driver link to download the latest nonbeta version of the ODBC driver. Tip: Select the latest 07 version if you are on installed on EFI Pace v17.6, and the latest 08 driver if they you are installed on EFI Pace v17sp2 or v18 or above. Example: Download psqlodbc-07_03_0200.zip if you are installed on EFI Pace v /23/

15 Establish a postgressql ODBC connection 1. Do one of the following, as appropriate : From the Windows 98/2000 Start bar, click Start, then move the mouse over Settings, then click Control Panel. From the Windows XP/Vista Start bar, click Start, then click Control Panel. The Control Panel window appears. 2. On the Control Panel, double-click Administrative Tools. The Administrative Tools window appears. 3. On the Administrative Tools window, double-click Data Sources (ODBC). The ODBC Data Source Administrator pop-up window appears. 4. On the ODBC Data Source Administrator pop-up window, on the System DSN tab, click [Add]. The Create New Data Source pop-up window appears. 5. On the Create New Data Source window, do one of the following, then click [Finish]: If you are running EFI Pace version 17.6 or below, with postgres version 7 or below, select PostgreSQL. If you are running EFI Pace version 17sp2 or version 18 or higher, with postgres version 8 or above, select postgresql Unicode. Note: If you are running postgres 8, you must update the ODBC drivers to ensure that postgrsql Unicode (and NOT postgresql Unicode (Beta)) is available in the list. The Create a New Data Source pop-up window appears. 6. On the Create a New Data Source pop-up window, do all of the following: In the Data Source field, enter any user-defined name, such as freightlink. Tip: Make note of the name you enter in this field, to use later during the provider software setup. In the Description field, enter a brief description of the data source. In the Database field, enter epace. In the SSL Mode field, select Disable from the drop-down list. 7/23/

16 In the Server field, select your epace server s internal IP address or server name. In the Port field, enter Note: Contact EFI Pace Support for the username and password values. Click [Next]. The connection is set up, and the data source appears in the ODBC Data Source Administrator pop-up window. 7. On the ODBC Data Source Administrator pop-up window, click [OK] to save the connection. 7/23/

17 UPS WorldShip Setup Tasks Complete the following tasks to properly setup the UPS WorldShip version 9 application for the FreightLink solution: UPS WorldShip Setup Tasks Create an import map Create an export map Map fields for FreightLink Activate keyed import and automatic export /23/

18 Create an import map Note: You must create an import map to import shipping information from the EFI Pace FreightLink view (table) into the UPS WorldShip application. The FreightLink view (table) includes all planned shipment information from open jobs in EFI Pace, for which the planned quantity is less than the pulled quantity. Note: The system supports importing shipment information into UPS WorldShip for international shipments. Country codes are part of the address information in the EFI Pace system. Tip: Refer to Appendix A for examples of commonly used fields and their mapping. 1. Launch the UPS WorldShip application. The UPS WorldShip main page appears. 2. From the UPS WorldShip main menu, click UPS Online Connect, then click Create/Edit Map. The Create or edit an import or export map window appears. 3. On the Create or edit an import or export map window, in the New Map group box, do the following: Select the Import from ODBC database option. Select Shipment from the drop-down list. In the Name field, enter a descriptive name for this map, such as EFI Pace Shipment Import. 4. To save the EFI Pace map, click [Create]. The Select an ODBC Source pop-up window appears. 5. On the Select an ODBC Source pop-up window, do all of the following, as applicable: Select the appropriate ODBC connection from the list. Refer to the Establish a postgressql ODBC connection in this Quick Start Guide for more information. In the ID field, enter your user ID for this connection. In the Password field, enter the corresponding password for this connection. Tip: You do not need to enter the ID or Password fields if you specify the user ID and password in the ODBC setup. Click [OK]. 7/23/

19 The Select an ODBC Source pop-up window closes, and the Edit import map window appears. 6. On the Edit import map window, map the appropriate fields, using the Map fields for FreightLink topic as a guide. 7/23/

20 Create an export map Note: You must create an export map to update your EFI Pace system with shipping information exported from the UPS WorldShip application. Tip: Refer to Appendix A for examples of commonly used fields and their mapping. 1. From the UPS WorldShip main menu, click UPS Online Connect, then click Create/Edit Map. The Create or edit an import or export map window appears. 2. On the Create or edit an import or export map window, in the New Map group box, do the following: Select the Export data from WorldShip option. Select Shipment from the drop-down list. In the Name field, enter a descriptive name for this map, such as EFI Pace Shipment Export. 3. To save the EFI Pace map, click [Create]. The Select an ODBC Source pop-up window appears. 4. On the Select an ODBC Source pop-up window, do all of the following, as applicable: From the ODBC connection list, select the datasource you created. Refer to the Establish a postgressql ODBC connection in this Quick Start Guide for more information. In the ID field, enter your user ID for this connection. In the Password field, enter the corresponding password for this connection. Tip: You do not need to enter the ID or Password fields if you specify the user ID and password in the ODBC setup. Click [OK]. The Select an ODBC Source pop-up window closes, and the Edit import map window appears. 5. On the Edit import map window, map the appropriate fields, using the Map fields for FreightLink topic as a guide. 7/23/

21 Map fields for FreightLink Note: Refer to the Create an import map and Create an export map topics in this Quick Start Guide for information on how to create maps in UPS Worldship. Important: The FreightLink solution assumes that you store the EFI Pace jobandpart field (nine-character string) in one of the UPS Online WorldShip Reference fields. You must ensure that you include the same UPS Online WorldShip Reference field in both the import and export maps. 1. On the Edit import map or Edit export map window, in the ODBC Tables drop-down list, do one of the following: If you want to map fields for your import map, select the freightlink view at the bottom of the list. If you want to map fields for your export map, select the freightlinkupsentry table. The fields from the Freightlink view or freightlinkupsentry table appear in the list below the ODBC Tables drop-down list (left side for import, right side for export). 2. In the WorldShip Fields drop-down list, select the desired group of fields. 3. In the list on the left side (Freightlink view fields for import, WorldShip fields for export) click on a field you want to map. 4. In the field list on the right, click on the field to which you want to connect the field you selected in the list on the left. Map the fields as defined in Appendix A. Example: If you are mapping fields for an import map, and always use the Reference 1 field in UPS WorldShip for the shipment job and part number, select jobandpart from the fields on the left, and Reference 1 from the field on the right. 5. Click [Connect]. The fields you selected appear in the What You Have Mapped So Far group box, and a link icon appears next to each of the linked fields in the lists. 6. Repeat steps 2-5 for each set of fields, as per the map defined in Appendix A. 7. To define a primary key for an import map, select the shipmentid field (which indicates the id number of the job shipment) from the list, and click [Define Primary Key for Import]. 7/23/

22 Note: You do not define primary keys for export maps. A key icon appears in the list next to the primary key you selected. 8. To save your changes, click [OK]. 7/23/

23 Activate keyed import and automatic export 1. From the UPS WorldShip main menu, click UPS Online Connect, then move the mouse over Keyed Import, then click the name of your import map, such as EFI Pace Shipment Import. 2. From the UPS WorldShip main menu, click UPS Online Connect, then move the mouse over Automatic Export After Processing Shipment, then click the name of your export map, such as EFI Pace Shipment Export. Tip: If you prefer that FreightLink updates EFI Pace records only at the end of day, instead of in realtime, click UPS Online Connect, then move the mouse over Automatic Export During End Of Day, then click the name of your export map, such as EFI Pace Shipment Export. 7/23/

24 FedEx Ship Manager Setup Tasks Complete the following tasks to properly setup the FedEx Ship Manager application for the FreightLink solution: Note: The tasks contained in this section are specific to EFI Pace FreightLink integration with the FedEx Ship Manager. To view additional information for these tasks, refer to the FedEx Integration Assistant Tutorial document for additional information. To obtain a copy of tutorial, contact your local FedEx account executive. Additionally, you can refer to the FedEx Ship Manager User Guide for integration information. To download a copy of this User Guide, go to then locate the Documentation section and click on the user guide link. FedEx Ship Manager Setup Tasks Add or edit a FedEx Ship Manager profile Add a FedEx Ship Manager import file Add a FedEx Ship Manager export file Customize FedEx Ship Manager fields /23/

25 Add or edit a FedEx Ship Manager profile Important: Click [Save] after you enter information on each page when you add or edit FedEx Ship Manager profile to prevent data loss. Tip: You can create up to 17 FedEx Ship Manager profiles. 1. Launch the FedEx Integration Assistant application by launching FedEx Ship Manager, then on the main menu, click on Integration, then click on Fedex Integration Assistant. The FedEx Integration Assistant main page appears. 2. Review the information on the Welcome page, then, from the FedEx Integration Assistant main menu, click the Begin tab. The Begin Create page appears. 3. On the Begin Create page, do one of the following: Select Create a New Profile, and then click [Continue] to add a new shipping profile. The Begin Integration Type page appears. Select Edit an Existing Profile, to edit an existing shipping profile. A list of existing shipping profiles appears. Click the profile you want to edit, and then click [Continue]. The Begin Integration Type page appears. 4. On the Begin Integration Type page, select Both to set up import and export profiles, and then click [Continue]. 5. Add a FedEx Ship Manager import file. Add a FedEx Ship Manager import file 6. On the Import Source page, select ODBC DSN as the data source. The FedEx Integration Assistant scans your Windows directories and displays a list of all ODBC DSNs that are registered on your system. 7. Select the ODBC DSN that you want to use, then click [Continue]. Important: Select the same data source that you created above (it is recommended that you use the name freightlink ). Obtain the freightlink username and password from EFI Pace support. The username/password are not your EFI Pace username/password, but the database username/password. You cannot use a read-only username/password, as FreightLink needs write access to the freightlinkupsentry table. 7/23/

26 The Import Shipping page appears. 8. On the Import Shipping page, select Single-Edit as the shipping method, complete the remaining fields on this page, and then click [Continue]. Tip: Rather than answer the individual questions, you can choose Single-Edit from the More Automated/Less Automated list of choices. The Import Lookup page appears. 9. On the Import Information page, select All fields, then select the following field options. Tip: Scroll down and select each of the following fields below BEFORE you click [OK]. Recipient: - Address º Address1 º Address2 - City - Company - Contact Name - Country - Phone - Postal Code - State/Province - Miscellaneous º Account Number º ID º TaxID Package - Miscellaneous º Bill Transportation To º PO Number º Service Type º Weight Special Services 7/23/

27 - Saturday Services º Delivery Flag - Ship Alert 10. Click [OK]. º Sender 11. Click [Continue]. The Import Match page appears. 12. On the Import Match page, in the Table field for the Address 1 field, select freightlink. The FedEx Integration Assistant displays a message prompting you to set all of the tables to the same as the first selection. Click Yes to set all tables to the same name. 13. On the Import Match page, in the Field field, map the fields as per Appendix B. Tip: Fields are grouped and alphabetized by location, so you may need to scroll down through the list to locate the proper FreightLink field. Note: Do not be concerned if you receive a message that indicates Your field is longer than the FedEx Ship Manager field. Data may be truncated. Be sure you map the correct fields. 14. Click [Select Index]. The Index List box appears. 15. In the Index List box, double-click the shipmentid field. A line appears to indicate a relationship. Click [OK] 16. On the Import Match page, click [Continue]. The Import Conversion page appears. 17. FedEx Integration Assistant scans your Windows directories and displays a list all ODBC DSNs registered on your system. 23. Select the freightlink datasource (same datasource you selected in the Add A FedEx Ship Manager import file topic.), then click [Continue]. The Export Method page appears. 24. On the Export Method page, do all of the following: In the When to update data source field, check the box next to Each time a shipment is completed. Check the box next to Also export each time a package is deleted. In the How to update your data source field, check the box next to Insert a new record. 25. Click [Continue]. The Export Information page appears. 26. The Export Match page appears. 28. On the Export Match page, in the Table field, select freightlinkupsentry. The FedEx Integration Assistant displays a message prompting you to set all of the tables to the same as the first selection. Click Yes to set all tables to the same name. 29. On the Export Match page, in the Field field, map the fields as per Appendix B. Important: You must duplicate the Tracking Number field to enter both FreightLink field IDs. To duplicate the Tracking Number field, select the Tracking Number field (click the radio button), and then click [Duplicate]. A second Tracking Number field appears. Tip: The system groups the fields in the drop-down list and alphabetizes them by their location. Therefore, you may need to scroll down through the drop-down list to locate the proper FreightLink field. Note: Do not be concerned if you receive the message, Your field is longer than the FedEx Ship Manager field. Data may be truncated. Just be sure you mapped the correct field. 30. Click [Continue]. The Export Conversion page appears. 31. Tip: Consider using the [Printable Version] button to print the results to review later, as needed. The Finish Instructions page appears. 33. Double-check your settings. Tip: Consider using the [Printable Version] button at the bottom of the page to print the results to review later, as needed. 34. Click [Save] to save the profile. The File Integration naming pop-up window appears. 35. Enter a meaningful name for this profile, click [Save], then click [Finish]. Note: If the profile already exists, (for example, when editing an existing profile, click [Yes] to overlay the existing profile and save your changes. 7/23/

33 Customize FedEx Ship Manager fields 1. Launch the FedEx Ship Manager application. The FedEx Ship Manager main page appears. 2. From the FedEx Ship Manager main menu, click Customize, then click Customize Fields. The Customize Fields pop-up window appears. 3. On the Customize Fields pop-up window, in the Customize reference fields group box, do all of the following: In the Recipient ID field, do all of the following: - In the Screen Display column, type Shipment ID. - In the Reference Type column, select Shipment ID. In the Customer reference field, do all of the following: - In the Screen Display column, type Quantity. - In the Reference Type column, select Customer reference. In the Department field, do all of the following: - In the Screen Display column, type Shipment Type. - In the Reference Type column, select None. In the Additional Reference 1 field, do all of the following: - In the Screen Display column, enter Job Number. - In the Reference Type column, select PO Number. You can leave the Additional Reference 2 and Additional Reference 3 fields blank. 4. Click [OK]. The FedEx Ship Manager saves the customized field settings. 7/23/

35 Set up planned job shipments 1. From the EFI Pace main menu, click Production, then move the mouse over Job Control Center, then click Jobs. The Jobs List page appears. 2. On the Jobs List page, do one of the following: To add a new job, click [Add New Record]. The Job Add page appears. To add a job shipment to an existing job, click on the magnifying glass icon next to the desired job. Note: You must select an open job. The Job Detail page appears. 3. On the Job Add page or Job Detail page, complete or update the fields on the Job Info and Part Info tabs, as applicable. Refer to the Job Control Center Module User Quick Start Guide for more information and detailed field descriptions. 4. Do one of the following: On the Job Add page, click [Add] to save this job. The Job Detail page appears, with the Object Added message at the top of the page. On the Job Detail page, click [Update] to save your changes. The Job Detail page refreshes, with the Updated message at the top of the page. 5. On the Job Detail page, click on the Parts Info tab, then click on the magnifying glass icon next to the applicable job part. The Job Part Detail page appears. 6. On the Job Part Detail page, click [Job Shipments] in the gray navigational button bar at the top of the page. The Job Shipments List page appears. 7. On the Job Shipments List page, click [Add New Record]. The Job Shipment Add page appears. 8. On the Job Shipment Add page, on the General Shipment tab, do both of the following: Check the box in the Planned field. 7/23/

36 Note: If you enter carton lines on a job shipment, and the sum of the quantity shipped on those cartons exceeds the value of the Planned Quantity field on the job shipment, then EFI Pace automatically unchecks the box in the Planned field when you update the shipment. This same behavior may occur when FreightLink updates EFI Pace information from FedEx. You must manually recheck the box in such cases, if desired. In the Charges field, select one of the following values to indicate how you want to bill the shipping charges: - Select Collect if you want to charge your customer (recipient) for shipping upon receipt. - Select Prepaid if you want the shipping charges billed separately. - Select Third Party if you want to bill a third party for the shipping charges. Note: If you select any value other than Prepaid, the Account Number field (required) appears so that you can indicate the account number of the payer for shipping charges. 9. On the Job Shipment Add page, complete the remaining fields, as applicable. Refer to the Job Shipments Module Administrator/User Quick Start Guide for more information and detailed field descriptions. 10. To save this shipment, click [Add]. The Job Shipment Detail page appears with the Object Added message at the top of the page. 7/23/

37 Process shipments in UPS WorldShip 1. Note the Job Shipment ID of the planned shipment in EFI Pace that you want to import. Tip: The Job Shipment ID is located in parentheses in the breadcrumbs at the top of the Job Shipment Detail page. Refer to the Job Shipments User Quick Start Guide for detailed information. 2. Launch the UPS WorldShip application. The UPS WorldShip main page appears. 3. On the UPS WorldShip main toolbar, click Shipping. 4. Click on UPS Online Connect, then click Keyed Import, and select the name of the import map. The Enter import key pop-up window appears. 5. On the Enter import key pop-up window, in the text box, enter the Job Shipment ID you noted in step You can leave the Enter import key pop-up window open, and click on, or tab to, the UPS WorldShip Shipping page. Tip: If you close the Enter import key pop-up window, you must repeat step 3 to reopen it. The shipment information appears on the UPS WorldShip main page, based on the map created by your system administrator. 7. Complete or update the fields on the UPS WorldShip main page, as applicable. Tip: If you want to add a shipment with more than one carton, click [Repeat] on the bottom right of the page below Pkg. Complete the fields, as applicable, for each carton in the shipment, or check the box in the Use on all packages fields to apply the same field values to each carton. Example: Assume the job part number and shipment ID are the same for all cartons in a shipment, but each carton contains different quantities. In this case, you would repeat the job part number and shipment ID values on all cartons, but you would not repeat the quantity value on all cartons. 8. Click [Process Shipment] or press F10 on your keyboard to process the shipment. UPS WorldShip sends the shipment label information to the appropriate printer, and writes an export record to the freightlinkupsentry table, which in turn, updates the EFI Pace system. 7/23/

38 Process shipments in FedEx Ship Manager 1. Note the Job Shipment ID of the planned shipment in EFI Pace that you want to import. Tip: The Job Shipment ID is located in parentheses in the breadcrumbs at the top of the Job Shipment Detail page. Refer to the Job Shipments User Quick Start Guide for detailed information. 2. Launch the FedEx Ship Manager application. The FedEx Ship Manager main page appears. 3. On the FedEx Ship Manager main menu, click Integration, then click on the profile name that you configured in the Add or edit a FedEx Ship Manager profile topic. The Lookup Value pop-up window appears. 4. On the Lookup Value pop-up window, in the text box, enter the Job Shipment ID you noted in step 1, then click [OK]. The shipment information appears in the FedEx Ship Manager, based on the map created by your system administrator. 5. Complete or update the fields in the FedEx Ship Manager, as applicable. 6. Click [Ship] or press F10 on your keyboard to process the shipment. Tip: If the FedEx Ship Manager profile contains a Number of packages value greater than one, and you click [Ship], the MPS dialog box appears. Select Yes to process the packages as an MPS shipment. Confirm the required information, and click [Ship]. Select No to process the packages individually in FedEx Ship Manager. FedEx Ship Manager sends the shipment label information to the appropriate printer, and writes an export record to the freightlinkupsentry table, which in turn, updates the EFI Pace system. 7/23/

39 View imported job shipment information in EFI Pace Note: FreightLink automatically updates the Job Shipment module with the information you import from your shipping provider. When you import job shipments from FreightLink, the Ship In The Name Of field on the Job Shipment Detail page defaults to the value from the Customer record in EFI Pace. Note: EFI Pace creates a new job shipment contact based on the information you edit in UPS WorldShip, and this contact information does not affect global job contacts. Tip: Complete the following procedure to view the information in EFI Pace: 1. From the EFI Pace main menu, click Production, then move the mouse over Job Control Center, then click Shipments. The Shipments List page appears. 2. Use the Search and Find feature to located the desired job shipment. The Shipments List page refreshes with a list of results that match the criteria you entered. 3. Click the magnifying glass icon next to the shipment you want to view or update. The Job Shipments Detail page appears for the job shipment you selected. 7/23/

40 Void shipments in UPS WorldShip Tip: Complete the following procedure to void a shipment already processed in UPS WorldShip. Note: The export from UPS must be active in order to transfer the VOID in UPS to EFI Pace. 1. Launch the UPS WorldShip application. The UPS WorldShip main page appears. 2. On the UPS WorldShip main toolbar, click History. 3. Expand the company name in the list on the left, then click on the tracking ID of the shipment you want to void. The shipment information appears on the right side of the page. 4. On the UPS WorldShip main toolbar, click Void, then click [Yes] when prompted to confirm the void. UPS WorldShip writes an export record to the freightlinkupsentry table, which in turn, updates the EFI Pace system by deleting the voided carton from the shipment. Note: The export record is identical to the original shipment record written to the freightlinkupsentry table, except that the new record indicates a void. Note: If the last carton on a shipment is voided and removed, and the planned quantity for the shipment is zero, then FreightLink completely removes the shipment from job in EFI Pace. 7/23/

41 Add or edit FreightLink records in EFI Pace Note: Use the following procedure to correct any FreightLink records with erroneous information. You should check the FreightLink Items List page for erroneous records at least once per day. 1. On the EFI Pace main menu, click Production, then move the mouse over Job Control Center, then over FreightLink, then click FreightLink Edit. The FreightLink Items List page appears, with a list of erroneous FreightLink records, as applicable. 2. On the FreightLink Items List page, do one of the following: Click the magnifying glass icon next to the record you want to edit. The FreightLink Entry Detail pop-up page appears. To add a new FreightLink entry, click [Add New Record]. The FreightLink Entry Add pop-up page appears. 3. On the FreightLink Entry Detail pop-up page or the FreightLink Entry Add pop-up page, complete or update the following fields, as applicable In the Shipment ID field, if you want the carton to be assigned to an existing shipment, enter the ID of the desired shipment. Tip: If you do not specify a shipment ID, FreightLink adds the carton as an additional shipment to the job part you specify. In the Job And Part field, enter the job number and part number, separated by a colon (:) that you want to assign to this shipment. For example, enter A12345:01 for job number A12345 and part 01. In the Qty Per Carton field, enter the number of items in each carton for this shipment. In the Edited field, check the box if you want the system to reprocess this shipment. In the Reviewed field, check the box if you do not want the system to run the transaction again, and you no longer want it to appear on the Edit Screen list. Note: The following fields can be entered only on the FreightLink Entry Add pop-up page. These fields are read-only on the FreightLink Entry Detail pop-up page. 7/23/

42 In the Master Tracking Number field, enter the tracking number for the entire shipment (all cartons). In the Tracking Number field, enter the tracking number for this carton. In the Ship Method field, enter the shipping method (ground, next day, etc.) for this shipment. In the Shipment Type field, enter the code for this shipment type, such as full or partial. Tip: This field defaults to -1 for any shipment for which you did not specify the shipment type. In the Ship Date field, enter the date on which you want to ship this package. Note: If you use the Single Object Import (SOI) module to import the ship date, you must enter the date in yyyymmdd format. In the Contact Name field, enter the name of the contact person for this customer. In the Residential field, enter Y if you are sending this shipment to a residential address, or N, if you are sending this shipment to a non-residential address. In the Company Name field, enter the name of the company to which you want to send this shipment. In the Address1-3 fields, enter the primary shipping address. In the City field, enter the city for the primary mailing address. In the State field, select the state abbreviation for the primary mailing address. In the Postal Code field, enter the zip code for the primary mailing address. In the Country field, enter the country for the primary mailing address. In the Phone field, enter the customer s phone number In the In the field, enter the contact s address. In the Carton Count field, enter the total number of cartons in this shipment. In the Weight field, enter the total weight for this shipment. Leave the Cost field blank. The system uses the value you enter in the Shipper Amount field to update the cost automatically. 7/23/
