1 Overview The YMCA of the Rockies, Snow Mountain Ranch has a total of 200 employees during the winter months, and 250 employees during the summer months. The Human Resources Office is in charge of recruiting, hiring, and training staff; employee relations; administering new hire paperwork and documentation; coordination and supervision of staff housing; planning and facilitating staff activities; managing the international trainee program; compensation, benefit administration, maintaining accurate and thorough files, policy abidance, and disciplinary procedures. The HR trainee or intern will go through the following phases in a 12 month period. SMR HR OFFICE ORIENTATION 2 weeks The Objective of this phase is to introduce the trainee to the policies and expectations of the YMCA of the Rockies, the daily operations of the Human Resources Department at Snow Mountain Ranch and how the HR department fits into the mission/bigger picture of Snow Mountain Ranch and the YMCA of the Rockies. The following objectives will be covered: 1. Get to know SMR: SMR Orientation Trainee Orientation Physical Property tour of facilities (including staff housing) Organization Layout Meet department directors and managers 2. Get to know the SMR HR dept: Physical layout of office/offices (BRL) Organization Layout Meet the HR team 3. HRD Orientation 4. Understanding the function of the SMR HR dept. 5. Understand the resources and tools that we provide to SMR 6. Study the Colorado driving manual and begin preparing for exam/driving test

2 During the orientation, the trainee s supervisors will cover all of the necessary material that he will need in order to participate in a successful program. The following computer skills will also be imparted: Understanding the major software systems used in HR and learning how to effectively utilize them for specific tasks: - EE Manager - Coolworks - RDP - Staffing Workbook - Outlook - G, H and Y Drives The trainee will first begin orientation covering the daily basic operations and tasks of the Human Resources Department. He will then learn the core values of the YMCA of the Rockies. He will take a tour of the property to begin to familiarize himself with his new environment. His orientation will include the following topics: transportation policies, passwords, newsletters, staff lockout procedures, telephones, mail, computers, etc. HIRING, PAYROLL, AND STAFF ACTIVITIES 3 MONTHS In this phase, THE TRAINEE will learn about hiring and payroll procedures, two very important functions of the Human Resources Department. The trainee will participate in the following skills: Learn employee manager and staffing center Seasonal hiring o Work agreements o Enter new hire information o Background checks o New hires Employee records Payroll Staff Activities - Planning - Coordinating an intramural program for staff sports - Creating/brainstorming employee appreciation programs In addition to the skills the trainee will impart regarding hiring and payroll procedures he/she will also train in the following tasks: W-2 training Volunteer program Pin recognition and senior reception

3 Gift shop BUDGET AND RECRUTING -3 months During this phase, the trainee will learn the tasks and procedures of budgeting and recruiting and how they are intertwined. The trainee will learn the following skills in this phase Budget Staffing budget and reports Recruiting o Recruiting plan o Goals of recruiting o Fully integrated planning approach Building on the skills learned in this phase, the trainee will not only learn about the daily operations and main tasks of budgeting and recruiting, but he will be asked to actively participate in the reporting of the staff budget. In addition, the trainee will actively assist and support the recruitment plan and the creation of goals in order to reach that plan. INTERNATIONAL PROGRAMS AND EMPLOYEE DEVELOPMENT COORDINATOR 4 MONTHS In this phase, The trainee will receive basic training in International programs. The trainee will continue to learn and develop the following skills: Oral & written communication skills, employee relations skills, confidentiality, organizational skills, coordination skills, planning skills, adapting and interacting with diverse groups, cultural awareness skills, further computer training, HR database and software skills, and hiring procedures. The trainee will focus on the training of the following tasks in this phase: Housing o Walk-throughs o Room inspections o New staff arrivals o Check outs o Termination International staffing/hiring International Training program The trainee will participate in the following events:

4 Mountain States Employers Council various classes YMCA HR Cluster (a semi-annual meeting w/ HR professionals at Colorado Y s) Local HR networking group in Grand County. BENEFITS AND SAFETY PROCEDURES 2 weeks The trainee will learn the following skills and programs in this phase: Worker s comp FMLA COBRA YMCA of the Rockies Benefits -Retirement -Health and Dental -Insurance The Trainee will train and demonstrate he/she has learned the following skills during his training: Safety reports -Quarterly reports -Incident reports -MVR reports -OSHA Safety officer YR hiring -Reference checks Double check time card reports Take minutes at dept. head and participate in donor communications. HUMAN RESOURCES ASSISTANT 1.5 MONTHS In this final phase, The trainee will build upon all previous skills learned during the training so that he will be able to function independently in any HR office. The trainee will continue to learn and develop the following skills: oral & written communication skills, employee relations skills, confidentiality, organizational skills, coordination skills, planning skills, adapting and interacting with diverse groups, cultural awareness skills, further computer training, HR database and software skills, hiring procedures, specific safety training skills, benefit and insurance information, HR office operations and procedures, and addressing employee performance.

5 Depending on season, the trainee will attend local job fairs and begin the recruiting process. The trainee will familiarize himself with the Cool Works applicants on-line. The trainee will communicate with potential and interested applicants including community members. The trainee will assist visitors to the Human Resources Office and receive and respond to inquiries both in person, on the phone, and through . The trainee will facilitate mailings to colleges, universities, and other YMCAs. The trainee will audit files and conduct International Orientation for supervisors. The trainee will handle applications coming into the office for both seasonal and full-time positions. Along with the Resident Staff Coordinator and HR Director, The trainee will help supervise employees in the office. The trainee may assist with discipline and documentation of matters concerning staff housing and other personnel issues. Plan is subject to modification
