2 Philadelphia Works IT Server RFP Invitation to Respond to Request for Proposal (RFP) I. Background: A. Client is interested in acquiring a server for their real estate project at 5847 Germantown Ave Philadelphia PA. The selected firm will enter into a contract with Client to provide complete requirement as outlined in this RFP. B. Scope of Work: 1ea Dell PowerEdge VRTX Server, with 12 4TB 7.2K RPM SAS drives, to also include: 2ea Dell PowerEdge M520 Server Nodes for VMware ESXi 6.0 w/ dual Intel Xeon E v2 1.90GHz, 20M Cache CPU s, and 128GB RAM, diskless configuration w/ dual SD Cards. 1ea Dell PowerEdge M520 Server Node for Dell AppAssure w/ dual Intel Xeon E GHz, 15M Cache CPU s, 32GB RAM, and dual 500GB 7.2K SAS hard drives (Raid1). 1ea Dell AppAssure Advanced Data Protection Software 1ea VMware vsphere 6 Essentials plus Software C. RFP Response 1. Client intends to make its decisions based solely on the analysis of the RFP response received by or before the response deadline. It is essential that each prospective vendor submit its best response to this RFP on time. a. The deadline for your electronic response to this RFP is September 5 th, 2015, U.S. Eastern Standard Time 1) One (1) PDF copy of your proposal must be sent to the following address: [email protected] b. Requests for Information (RFI s) about the details or scope of this RFP should be addressed to [email protected] 2. Please note a site visit to the project location is required to respond to this RFP. B. General Response Requirements 1. All bidders are required to provide lump sum pricing for the specifications outlined in this RFP.

3 2. Provided for each bidder s information in exhibit A is are the specifications for the server required in this RFP. 3. Provided for each bidders information is the anticipated project schedule in exhibit B for this location. 4. Your firm s proposal shall include all labor, material, equipment and supervision necessary to complete the work as specified and referenced for the completion of the Client project. The following items clarify, but do not limit, the intent of this scope. 5. It is not intended that the drawing or scope of work cover every minor detail associated with the project. If a bidder determines the drawings are in error or incomplete, Watchdog should be contacted prior to submitting the bid. Additional costs for work required which is apparent will not be accepted. 6. By providing a proposal for this project, the contractor verifies that it has familiarized itself with the building regarding access, existing conditions, etc., and any costs associated with same are included in this bid. C. Proposal Clarifications: 1. Exhibits A, and B of this RFP, the Scope of Work and the submitted Proposal will become part of the selected Vendors contract. 2. A proposal may not be modified, withdrawn or canceled by the bidder for a period of sixty (60) days following the aforesaid time and date designated for the receipt of the proposals. 3. Client shall have the right to reject any and all proposals. 4. Any exceptions to this RFP must be proposed in writing during the initial proposal submission period. 5. Client shall have the right to waive any informalities or irregularities in a proposal received and to accept any proposal, which, in Client s judgment, is in the best interest of Client. 6. Client will not be liable for any proposal preparation costs or any delay in acting upon proposals. 7. Client will engage in individual negotiations with potential vendors deemed fully qualified, responsible and suitable on the basis of initial response. D. Involved Parties: a. Philadelphia Works; its Affiliates & Subsidiaries Tenant b. Watchdog USA LLC Project Manager 2. Certificates of insurance originals shall be delivered to Client prior to start of construction. Notification shall be provided to Watchdog and additional insured thirty (30) days prior to the expiration of the current policy(ies). Any material change or cancellation shall not be valid without thirty (30) days prior written notice to Client.
