2 SPECIAL TERMS AND CONDITIONS BID NO SCOPE OF SERVICE: SERVER VIRTUALIZATION\SAN PROJECT The City of Riviera Beach currently has 30 servers in operation that contain critical data needed for day-to-day operations. The City of Riviera Beach will be virtualizing the network and will also need to expand the current data storage environment. The system must allow us to rapidly change technology, adapt to growth and change the mission of the storage platform, thus extending the useful life. Proposed solution includes licenses for VMWare Servers to host systems. Also included is the Virtual Center Management Server. This solution will include Storage Area Network 15TB useable storage with cost being the determining factor in our decision. We anticipate significant growth in data storage and the hardware/software solution should allow for 300% growth. This VMWare solution will significantly increase productivity and management of the network infrastructure in addition to energy savings and lower capital expenses due to more efficient use of hardware, high availability of resources, increased security and improved disaster recovery. The virtualization solution shall include hardware, software, data migration services, documentation and training, consulting and professional services, and project management services not already included herein but necessary to complete the VMWare solution with options for additional necessary items. The Server Consolidation Solution shall be capable of consolidating the identified 30 servers down to 3 Virtualization servers. The Contractor will be responsible for providing a turnkey project management required to deploy, implement, execute, manage, and confirm the success of this installation. Page 6

4 Snapshot storage space should be assumed to be part of (not in addition to) the capacity requirements Training units for 2 Sys Admins (Data ONTAP Fundamentals third party vendor class for one week) to expire 1 year from installation date Snapshots must only consume storage based on the changed data from the last snapshot 1 Year Hardware and Software Maintenance Support level of service: Standard 7/24/4-hour Storage system must be capable of replicating internally (natively) without the need of additional hardware components. Do not include the price for Replication software PROFESSIONAL SERVICES Install and configure 3 VMware virtualized Servers Install and configure NetApp Storage Area Network (SAN) to work in conjunction with the VMware virtualized servers Provide a single flat-rate price for our turnkey SAN/Server Virtualization project for installing, configuring, data migration, testing, over-the-shoulder staff training and documentation The vendor will perform the virtualization consolidation of four (4) servers (currently connected the City network) and will provided the appropriate documentation and training for Information Technology staff to consolidate the remaining servers. The four (4) servers to be virtualized by the vendor are the City s (1) Exchange server, (2) Public Safety SQL server, (3) Finance Applications server, and (4) Public Admin SQL server Disk to Disk to Tape backup solution An extra 20-hour block of professional services hours for post SAN and Server Virtualization support Provide knowledge transfer must provide customer with training sessions on how all components operate as well as how to perform needed maintenance and administrative tasks. User manuals (both hard and digital copies) must be provided to customer Any onsite work shall only be performed by certified technicians/engineers Vendor shall have three (3) years continuous business operation Vendor shall have completed five (5) projects of similar scope and size government and business customers Provide sample vendor contract The City of Riviera Beach reserves the right to choose which options will be purchased and implemented. Award of this will be made to the responsive vendor who submits an offer on all items listed in the solicitation and whose offer represents the lowest price when all items are added in the aggregate. If a vendor fails to submit an offer on all items, its overall offer may be rejected. The City of Riviera Beach will award the total work order to a single vendor. Vendor s response shall be composed to include pricing for the virtualization solution and separate pricing for each of the options defined. Page 8
