1 2016 Call for Poster Showcase Proposals 41 st Annual National Wellness Conference Spotlight on Sustainability: Setting the Stage for a Lifetime of Wellness June 27-29, 2016 Saint Paul RiverCentre, St. Paul, Minnesota Poster Showcase proposals must be submitted online by March 7, Poster proposals received after March 7, 2016, will not be accepted nor acknowledged. The deadline for Breakout Session proposals has passed. No late submissions will be accepted. The National Wellness Institute (NWI) invites students and professionals from all walks of wellness to showcase their innovative best-practices and/or research by submitting a poster proposal for the 41 st Annual National Wellness Conference (NWC). Posters highlighting the 2016 Conference theme, Spotlight on Sustainability: Setting the Stage for a Lifetime of Wellness. are especially encouraged. The poster content presented must be the original work of the author(s). NWI seeks posters focusing on all Six Dimensions of Wellness: Emotional, Occupational, Physical, Social (includes Environmental), Intellectual, and Spiritual. Additionally, NWI has a strong commitment to diversity and supports its inclusion in all of its educational programming and presentations. We encourage the submission of proposals that address research or best practices in diversity training and multicultural competencies for wellness professionals working with all populations. Poster proposals should be submitted in one of two categories: Best/Promising Practices in Wellness posters should describe innovative methods, programs, trainings, or projects implemented by the author in worksite, hospital, school, community, or other settings. Research posters should describe the author s research (findings or evaluation of a study, project or new program; literature review) that contributes to knowledge and ideas in wellness. (Research findings must be available at the time of proposal submission.) All proposals must be submitted through an online submission form at NationalWellness.org/Conference. See the Poster Showcase Proposal Requirements on page 3 for specific details. All posters will be peerreviewed. About the National Wellness Conference The NWC is a one-of-a-kind event where wellness professionals from a myriad of settings (e.g., worksites, community and public health organizations, healthcare facilities, educational programs, faith communities) can participate in research-based and best-practices learning opportunities and intensive skill-building programs, develop networking communities, engage in wellness activities for personal growth and renewal, and experience a wellness immersion unlike any other. 1
2 DEFINITIONS The Main Conference takes place Monday, June 27-Wednesday, June 29, 2016 The NWC Poster Showcase provides a forum for wellness professionals and students to share their wellness best/promising practices and/or research in a poster format with other professionals in the field. One author of each accepted poster (the Lead Presenter ) must be available during the NWC Poster Showcase, Wednesday, June 29, 2016, from 9:15 a.m. to 10:30 a.m. to engage in dialogue with NWC attendees. The Lead Presenter is the person submitting the proposal (generally the first author listed). This individual will be the main contact and the individual presenting the poster during the Poster Showcase. This individual receives any applicable benefits. Posters may have only one lead presenter. Lead Presenter benefits are non-transferable and non-negotiable. Co-authors of the poster must be listed on the proposal and may not be added after the proposal submission deadline. See the proposal submission requirements for co-author information required for the review process. Co-authors will be included in the program book; however, only the Lead Presenter will receive benefits. Co-authors attending NWC 2016 and/or the Poster Showcase are responsible for their own registration fee, lodging, meals, and any other associated expenses. TIMELINE March 7, 2016: Poster Showcase proposals must be submitted online on or before this date. March 25, 2016: NWI will begin notifying applicants via of proposal acceptance status. June 29, :30 a.m.-7 a.m.: Poster setup 7 a.m. to 2:45 p.m.: Posters on display at the National Wellness Conference 9:15 a.m. to 10:30 a.m. Poster Showcase, where the Lead Presenter must be available to engage in dialogue with NWC participants 3 p.m. All posters must be removed from the Showcase floor. June 27-29, 2016: 41st Annual National Wellness Conference POSTER SHOWCASE FORMAT NWI will provide a floor easel to display each accepted poster. Posters should be no larger than 36" tall x 48" wide. Poster backing will be provided. Upon acceptance, NWI will provide poster presenters with more specific details regarding the required format of posters and details about the display space. Please note: The Showcase format does not lend itself to formal presentations. 2
3 POSTER SUBMISSION REQUIREMENTS Individuals may submit multiple proposals; however, no more than one poster per lead author will be accepted. Please note: Poster displays are opportunities for sharing, not selling. Any demonstration that is marketing a product or service at the Conference will be declined or removed. Authors who wish to market products or services are encouraged to purchase space in the Exhibit Hall. Individuals who have presented at previous NWCs must submit new/complete proposals for the current year. NWC does not offer repeat posters from year to year. For each proposal submit, via online application the following (Note: character counts include spaces): 1. Lead Author Curriculum Vitae/Résumé: Include a current curriculum vitae or résumé that supports your knowledge of the poster content. 2. Brief description of your education and professional experience related to this specific proposal/explanation of what qualifies you as a content expert in the material to be presented (150 characters max, or approx words) 3. Title of proposed poster (100 characters max, or approximately 15 words) 4. Abstract: Provide an abstract of the best practices or research highlighted on your poster. This description will be used in the Conference program book for all accepted posters. (700 characters max, or approx words) 5. Proposal: Adhering to character limitations, provide the following information that will be highlighted on your poster: For best practices posters: Purpose/Objective (what you/your organization hoped to achieve) Background and rationale (identified issue and why this method was chosen to address the issue) Overview of project (target market, setting, population size and characteristics, intervention used/program implementation, assessment/evaluation used, outcomes) Conclusion (applications/lessons learned/tips for practice/implications) For research posters: Research Question/Hypothesis Background and significance of the research Methods (including design, collection, and analysis) Sample size and inclusion/exclusion criteria Results Conclusions and implications 6. Reference List: List of current evidence-based references (published within the last 5 years) used to develop the content of the poster/support the research/program being presented, uploaded as a PDF or Word document. a. Proposals submitted with no references, or with outdated references, will not be considered. b. References should be from a variety of sources (and not be solely the presenter's own published work). c. References from peer-reviewed journals are highly encouraged. 7. Co-author(s) Information: Include a current curriculum vitae or résumé and complete contact information for each poster co-author. 3
4 SELECTION CRITERIA The NWC Poster Proposal Review Committee considers the following criteria when evaluating poster proposals: Quality of Content For best practices posters: o Purpose/objective is clearly stated and outlines the issue the program was designed to address o Description illustrates a program model that is appropriate to address stated objective o Description of the programming includes population size and characteristics, appropriate assessment and evaluation methods, and how the program was implemented. o Results of the program are clearly stated and logical conclusions are drawn from these results. o Reference list includes current peer-reviewed resources and multiple sources to support information being presented For research posters: o Research question and hypothesis are clearly stated o Detailed description demonstrates a research methodology that is appropriate for the research question and is technically sound o Description includes sample size and inclusion/exclusion criteria o Data are clearly presented and explained o Conclusions are wellness supported by the data o Reference list includes current peer-reviewed resources and multiple sources to support information being presented Presenter Qualifications o C.V. illustrates that the authors have sufficient education and professional experience to present topic to professional audience o Research is original to the author(s) and/or programming was implemented by the author(s) Timeliness/Relevance of Topic o Topic is relevant to target audience of wellness professionals o Description shows creativity and innovation o Topic is current/pertinent o The information is new to the NWC audiences (Individuals who have presented at previous NWCs must submit new/complete proposals for the current year. NWC does not offer repeat posters from year to year.) Completeness of Proposal o All items listed under Proposal Submission Requirements are included in the submission. Incomplete proposals will be automatically disqualified. AWARDS Awards may be given in the following categories: Award of Excellence Conference Theme ( Spotlight on Sustainability: Setting the Stage for a Lifetime of Wellness ) Award of Excellence Research Poster Award of Excellence Best Practices Poster 4
5 BENEFITS Poster Lead Presenter Benefits One author of accepted posters (referred to as the Lead Presenter ) must be registered for the 41st Annual NWC and attend a special Poster Showcase during the Main Conference to engage in dialogue with NWC attendees. The Lead Presenter (not applicable to co-presenters) will receive the following benefit: A special discounted rate of 40% off the full or daily Main Conference rates. Co-authors of posters, if attending the NWC, will pay the regular Main Conference registration fee. All Poster Presenters and co-authors are responsible for their own travel, lodging, and meals. The discount is non-transferable, is not applicable to Student Member NWC registrations, and may not be used in conjunction with any other discount code.
