3 The Association for the Advancement of Sustainability in Higher Education CALL FOR PROPOSALS AASHE 2015 Conference & Expo: Transforming Sustainability Education October 25-28, 2015 Minneapolis Convention Center, Minneapolis, Minnesota Are you involved in a sustainable campaign, initiative or activity that that is transforming sustainability in higher education and beyond? AASHE invites you to join us for our ten-year anniversary celebration by submitting a proposal and sharing your knowledge, achievements and ideas on advancing sustainability in higher education Founded in 2005, the Association for the Advancement of Sustainability in Higher Education (AASHE) is proud to lead a decade of sustainability achievements with our members and the larger campus sustainability community, thanks to all of you AASHE 2015 Conference & Expo, themed Transforming Sustainability Education, will convene a diverse group of campus representatives including faculty, students, sustainability officers, staff, administrators and presidents together with business, non-profit, government and community members for a sustainable celebration. In the City by Nature, a culturally and historically diverse place for thousands of years located on the Dakota homelands, with exquisite green spaces and a cosmopolitan urban culture, we will gather for a look back and into the future to examine: How higher education institutions can come together to lead campus and community transformation on local, regional and global levels How we can work across disciplines and cultures to lead the charge on identifying educational strategies and solutions for advancing campus and community sustainability efforts How we can create learning and teaching opportunities that allow students and community members to work together on current environmental, social and economic issues Expected to draw approximately 2,100 participants, AASHE s annual conference remains the largest stage in North America for sharing effective models, policies, research, collaborations and transformative actions which advance sustainability in higher education and beyond. 3

You will have a voice: Your ideas will be shared and discussed on the largest stage for higher education sustainability thought leadership in North America. This is a great opportunity for your campus and your own professional development. You can share your successes and lessons learned: We'd love to hear from those of you who have stumbled across successes or learned lessons, and can provide insight and solutions to your peers. Reviewers will be asked to review proposals on topics on which they offer the strongest level of expertise, but will not review any personally submitted proposals. Over 200 volunteer reviewers are needed to help meet the review criteria of the submissions received. For a summary of the review process please see page 14. 6 CONFERENCE GOALS As you prepare your proposal and presentation, please consider the following goals of the AASHE 2015 Conference & Expo. Participants will: Attend a high-quality, participatory, inclusive and interactive event delivered in a professional manner Be inspired, motivated, energized and empowered to start and further sustainability initiatives or programs Gain lessons, ideas and tools to bring back to their institution, organization or community Make new contacts and build lasting relationships Advance sustainability in higher education and beyond PROGRAM & SUBMISSION STRUCTURE A conference session is not only a presentation but an opportunity for dialogue, sharing and reflection with attendees. The more effort you make to include good practice and interaction with participants, the more likely your session will be selected and will be ultimately successful. We will give priority to proposals that: Represent multiple perspectives and a diversity of institutions on a project, topic, or initiative Present new, high-impact and cutting edge research and initiatives Have a mixture of expert advice and are broadly applicable and replicable Share good practices and experiences on the session topic Are engaging, fostering conversation and brainstorming You will need to select a Presentation Type, Track, Topic Area and Session Level for your submission. 7 All submitters self-identify proposals as introductory-, intermediate- or advanced-level sessions, however, reviewers may recommend changing the level. AASHE defines these levels as follows: Introductory Level Sessions - Material covered is foundational and sessions are designed for a general audience who has no prior background or is just starting in the domain of practice presented in the session. Intermediate Level Sessions - Material is designed for participants who have a working knowledge of the topic and a few years of experience in the domain of practice. Advanced Level Sessions - Material is designed for participants who have a detailed knowledge of the topic and specific experience applying or using this knowledge in a professional capacity over a longer period of time. PRESENTATION TYPES What is a Presentation Type? A presentation type is the kind of session, or format you wish to deliver your presentation at AASHE 2015 Conference & Expo. The following descriptions provide details about each presentation type offered at this conference. IMPORTANT NOTES: 1. All proposals will go through the review process (see details on page 14), unless otherwise noted below. 2. You will be given the option to select consider my submission for an alternate presentation type. In order to maximize our time and space constraints and to produce the highest quality conference educational program possible, we may change the format of your presentation. If this option is selected, changes may include: Case Study to Poster, Round Table Session to Poster; Case Study to Round Table Session; Combine 3-5 Case Studies into a Panel; Panel to individual Case Studies. We will only change your presentation type if you, as the submitter, select, consider my submission for an alternate presentation type. If you do not select this option, your submission may be declined without the option of changing the type later. Case Study Case Studies take place during the concurrent educational sessions on Monday and Tuesday (see Tentative Conference Program on page 5). They are 30-minute presentations. Suggested format is 15 to 20-minutes of presentation, with 10 to 15-minutes of general discussion and/or Q&A. We welcome Case Studies from a singular institution or multiple institutions sharing good practices and experiences on the proposed topic Topic has to be broadly applicable and replicable Priority may be given to new, high-impact and cutting edge research and initiatives Limited to 2 presenters per submission All presenter types are welcome to submit (student and non-student) 7
8 Panel Discussion or Think Tank These presentations take place during the concurrent 60-minute educational sessions on Monday and Tuesday (see Tentative Conference Program on page 5). Two types of formats are suggested: Panel Discussions: address multiple perspectives and include a diversity of institutions on a project, topic, or initiative. Suggested format includes 1 moderator (required) and 3-5 panelists addressing the same topic or theme with minutes of general discussion and/or Q&A We welcome proposals that are interactive, fostering conversation and brainstorming Priority may be given to new, high-impact and cutting edge research and initiatives The submission must include the moderator and all panelists, overarching theme or issue, and individual brief descriptions about the main focus for each of the 3-5 presentations All presenter types welcome to submit (student and non-student) Think Tanks: focus on identifying one common sustainability question or issue that campuses are currently struggling with. A moderator will orient attendees to the issue or question and will provide relevant context. Professionals or experts will share their perspectives and discuss the questions/issues presented to help move toward a solution which includes participants input. Think tanks may be similar to a panel discussion in general format, but the goal of the think tank session is to incorporate greater audience interaction and collaborative problem solving. Suggested format includes 1 moderator (required), 1-3 experts (from different organizations) who will answer questions, and work to find collaborative solutions onsite The submission should succinctly identify the question or issue to be addressed, the relevant contextual factors, and the role of the experts who will be participating. (Will they address the overall topic or question? A particular facet of the topic or question?) Submitter will be responsible for identifying both the issue or question as well as finding the expert(s) to speak to it. Expert(s) may be asked to provide additional credentials for review before session is accepted. Expert(s) must also register to attend the conference. All presenter types welcome to submit (student and non-student) Round Table Session Objective: This 60 or 75-minute session will be a fun and interactive way to meet other AASHE participants while learning more about specific sustainability issues. This is an experimental modified Pro Action Café format for presenting overviews of projects, new programs, and proposals. Round Table Sessions are excellent venues for networking and meeting colleagues with similar interests. Attendee takeaways include learning a variety of sustainability secrets, gaining exposure to new innovative ideas, and working through challenging issues. Presenters will receive feedback, suggestions, and ideas on their issue/project/work from a knowledgeable audience. Suggested format: Each session will include three to five presenters speaking on similar topics. The session will start with presenters providing a short (up to three minutes) overview of their issue/project/work. Each presenter will then host a table of about 10 attendees to discuss their project in more-depth. (Since there will be multiple presenters, we are expecting approximately attendees in the room during the session.) After 10 minutes, attendees will be encouraged to rotate to another presenter. This will continue for several rounds, and presenters will collect feedback gathered from each round of attendees. The last section of the session will be reserved for finding a common ground of shared meanings and experiences between presenters and attendees. 8
9 Information for presenters: Presenters should be prepared to present for only a few minutes during each 10-minute round (practice your elevator pitch) - The rest of the time should involve attendee interaction. Presenters will be encouraged to take notes during each discussion and provide updates to each subsequent group on previous discussions. During the final round, each presenter will provide a summary of main takeaways from the session, and provide a final opportunity for attendee feedback. Presenters do not need any prior experience facilitating a group discussion and more information on best practices will be provided by AASHE staff ahead of the session. Limited to 1 presenter per submission; all presenter types can submit (students and non-students). Conference organizers will group individual presenters into a single session based on similar topics, so there will be three to five presenters combined into a single Round Table Session. If you are interested in being grouped with a colleague, please specify this in your submission. Please contact conference@aashe.org if you are interested in moderating a Round Table Session. Networking Meetings Networking Meetings are an opportunity for you to meet, network, or host a formal meeting for your group or regional network, and/or discuss focused issues that are relevant to all participants. These 1-hour sessions will take place on Monday and Tuesday (see Tentative Conference Program on page 5) when no other programming is scheduled. Maximum of 2 moderators per submission All presenter types welcome to submit (students and non-students) Proposals for Networking Meetings are reviewed by AASHE staff PLEASE NOTE: we will not be able to accommodate specific room set requests. Posters Posters should be self-contained and self-explanatory, allowing viewers to proceed on their own while the author is free to supplement or discuss particular points raised in inquiry in one-on-one or small group conversations. The look and format of the poster is up to your creativity and imagination, however, posters should be kept simple and clear and a mixture of text and graphics is recommended. Posters should be 4 x 4 or smaller. The 1-hour poster session will be on Monday afternoon (see Tentative Conference Program on page 5), however posters will be on display throughout the conference. Set-up occurs on Monday morning and takedown on Tuesday afternoon. The poster display is organized by presenter last name. AASHE will provide all materials needed to hang posters (push pin, display board, etc.). You are responsible for bringing the poster to hang. Limited to 2 presenters per poster All presenter types welcome to submit (student and non-student) Posters are reviewed by AASHE staff 3.5 hour, or 7 hour Pre- or Post-Conference Professional Development Workshops Professional Development Workshops are offered on Sunday before the conference, and Wednesday after the conference. Sunday formats include 3.5-hour and 7-hour workshops, and Wednesday workshops will be 3.5- hours. AASHE staff will assign workshop proposals to either Pre-Conference (Sunday) or Post-Conference (Wednesday). These workshops are not included in the conference registration price, and are added by registrants a la carte. PLEASE NOTE: Full day workshops will not be scheduled on Wednesday. 9
10 Priority will be given to proposals addressing the following topics: o Institutional leadership and change agency - Organizational development/culture change; leadership; goal setting/motivation; interpersonal skills/influence; interacting with high-level administrators and governing boards o Institutionalizing sustainability - Understanding higher education culture; top-down, bottom-up and institution-wide integration of sustainability policies & plans; campus as a living lab, educational programming and curriculum integration o Technical skills - STARS, carbon footprint analysis; project management & facilitation skills; branding sustainability (public speaking, presentation skills, grant writing, written, digital and social media, website development), fundraising & budgeting o Sustainability research and Research methods in sustainability o How to sustain yourself while practicing sustainability - Sustainability and psychology; facilitation skills & conflict resolution; support networks for sustainability practitioners; human sustainability Presenters must have experience in leading and facilitating professional development workshops and must be able to provide information on the success of the workshop being submitted Limited to 5 facilitators per workshop Undergraduate students are not eligible to submit a proposal for this type of session Accepted pre- and post-conference workshop facilitators will be asked to sign an MOU outlining benefits and responsibilities of hosting the workshop 2-hour Student Summit Workshops Student Summit workshops are professional development opportunities to present hands-on tools or resources that will empower sustainability students in their campus and budding professional work. They should be interactive with a student focus. Limited to 2 presenters per workshop All presenter types welcome to submit (student and non-student) PLEASE NOTE: if you are submitting a workshop to this track it will only be considered for the Student Summit on Sunday. Films & Documentaries Films and Documentaries take place during the concurrent educational sessions on Monday and Tuesday. Accepted formats are for 30- or 60-minute sessions which include screening and Q&A. Films should have a focus on some aspect of sustainability and should provide awareness, education, or solutions to solving some of our greatest sustainability issues. Limited to 2 presenters per film All presenter types welcome to submit (student and non-student) Art or Interactive Art Installations These installations provide an opportunity for groups or individuals to showcase their art or interactive art installations during the AASHE 2015 Conference & Expo. They will be exhibited throughout the full length of the conference. Set-up and breakdown times will be determined with the artists. The installations will be set in various places throughout the conference, most likely in the Expo Hall, and largely dependent upon submission needs and logistical limitations. 10
11 PLEASE NOTE: While assembly may occur onsite, painting or similar mediums cannot. Please have demonstrations and installations as complete as possible before arriving to the conference. AASHE staff may need to contact you directly to inquire about logistics related to your piece. Up to 5 presenters/participants per submission All presenter types welcome to submit (student and non-student) These submissions will be reviewed by AASHE staff and final acceptance is based largely on financial and logistical limitations for having the piece at the conference Live Performance AASHE is not responsible for any damages to the piece while at the conference If accepted, artists are responsible for registering for the conference, the cost of all materials, as well as the transportation of those materials to the conference This session provides an opportunity for groups or individuals to showcase their live performance pieces during the AASHE 2015 Conference & Expo. Performances can be one 30-minute session, two 30-minute sessions (one on Monday, one on Tuesday), or one 60-minute session including time at the end for Q&A. Performances will be showcased in various places throughout the conference (TBD based on submission needs and logistical limitations). Rehearsal time (if needed) will be available on Sunday, and must be scheduled with AASHE staff in advance. PLEASE NOTE: The use of liquids of any kind during your performance must be approved by AASHE staff. Please have props, or other sets as complete as possible before arriving to the conference. AASHE staff may need to contact you directly to inquire about logistics related to your performance. Up to 5 presenters/participants per submission All presenter types welcome to submit (student and non-student) These submissions will be reviewed by AASHE staff and final acceptance is based largely on financial and logistical limitations for having the performance at the conference If accepted, artists are responsible for registering for the conference, the cost of all materials, as well the transportation of those materials to the conference 11
12 TRACKS What is a Track? A track is the framework (or heading) for each conference presentation. Tracks at AASHE 2015 Conference & Expo have been selected to generally align with STARS Categories. Curriculum Proposals submitted under this track should have a strong focus on sustainability aspects as they relate to educating for sustainability including: integrating sustainability into curriculum, faculty development for sustainability, fundamental sustainability frameworks, practical application of those frameworks, learning outcomes and sustainability literacy assessment. Service learning and campus as a living lab are also included in this track. Research Proposals submitted under this track should have a strong focus on sustainability aspects as they relate to research including sustainability research (research that brings science to the issues of sustainability - the integration of social well-being, cultural vitality, economic prosperity and ecological health aspects - and leads to solutions of global sustainability challenges of the 21st Century) and research methods in sustainability (measurements, indicators, methodology, data analysis, interpretation and application of established and innovative methods utilized in sustainability research. Sustainability measurements and indicators should provide guidance with respect to understanding societal progress toward or retreat from sustainability). Engagement Proposals submitted under this track should have a strong focus on sustainability aspects as they relate to engaging in sustainability on your campus, your community, or within your organization. Outreach campaigns and materials, student engagement, co-curricular activities, employee orientation and staff professional development, community partnerships, service and engagement, public policy, student activism, careers, workforce development, arts & culture sessions are also included in this track. Operations Proposals submitted under this track should have a strong focus on sustainability aspects as they relate to operations on your campus or within your organization including: energy, air, greenhouse gas emissions, climate mitigation & adaptation, building design & construction, building operations & maintenance, grounds, landscaping, food & dining services, procurement, life cycle cost analysis, transportation, waste & materials management, water use & management. Planning & Administration Proposals submitted under this track should have a strong focus on sustainability aspects as they relate to coordination, planning, governance, diversity, equity, affordability, inclusion, health & safety, wellbeing, work, human rights, investment and finance. Innovation Proposals submitted under this track should have a strong focus on sustainability aspects as they relate to new, extraordinary, unique, ground-breaking, or uncommon outcomes, policies, and practices. Art This track is offered in an attempt to foster the growth of art and sustainability, recognizing that our voices can be shared in many unique and non-traditional ways. We are open to all types of art, but through consultation we have narrowed the offerings to four categories: Art Installations, Interactive Art Installations, Live Performances and Films & Documentaries. If your art form does not fit into one of these types please feel free to reach out to AASHE staff at conference@aashe.org to discuss other options. 12
13 TOPIC AREAS What is a Topic Area? A topic area is a sub-category focus for your presentation. Topic areas at AASHE 2015 Conference & Expo have been selected to generally align with STARS subcategories. We recognize that some proposals align with more than one topic area; please choose the topic area that best characterizes the focus of your presentation. conference@aashe.org with any questions about these topic areas. Limit to 1 topic area per submission. Short descriptions for some topic areas are provided below for clarification as needed. Educating for Sustainability Campus as a Living Lab - Utilizing institutional infrastructure and operations as living environments for multidisciplinary learning, applied research and practical work that advances sustainability on campus. Sustainability Research - Research that brings science to the issues of sustainability and leads to solutions of global sustainability challenges of the 21st Century. Research Methods in Sustainability - Measurements, indicators, methodology, data analysis, interpretation and application of established and innovative methods utilized in sustainability research. Campus Engagement Public Engagement & Outreach Arts & Culture Careers & Workforce Development Climate Mitigation & Adaptation Buildings & Grounds Food & Dining Services Energy Procurement Transportation Waste & Materials Management Water Coordination, Planning & Governance Diversity, Affordability & Inclusion Health, Wellbeing & Work Investment & Finance STARS 13
14 PROPOSAL REVIEW PROCESS AASHE uses a volunteer review process to review all submitted and complete proposals. Peer volunteers review and rate all proposals on a quantitative scale. AASHE s Education & Professional Development Steering Committee members will subsequently review and provide feedback on highly rated proposals. AASHE staff make final decisions and create the schedule. This process results in the final conference educational program. Interested in being a reviewer? For questions please conference@aashe.org REVIEW QUESTIONS AND CRITERIA In order for a proposal to be considered for the AASHE 2015 Conference & Expo program, all presenter information must be included and all submission questions answered. Submitted and complete proposals will be reviewed and evaluated using the following criteria: The proposal implies that the presenter(s) has/have an appropriate level of expertise to deliver a highquality session. The learning objectives are clear, relevant to the topic presented, and useful to the AASHE audience. The proposed session provides attendees broadly applicable and replicable content The proposed session offers inspiration, lessons, tools and new ideas which participants can bring back to their institution, organization, or community. The proposed session includes participatory, inclusive, and interactive content. The proposed session presents new, high-impact and cutting edge research and initiatives. The proposed session advances sustainability in the higher education movement forward. The proposed session indicates that the presentation will employ the specified type and track of presentation in an effective manner. The presentation is relevant to this year s conference theme Transforming Sustainability Education. Reviewers select one of the following recommendations for moving forward: Recommend accepting presentation in its current format. Recommend accepting presentation in an alternate format. If this option is selected reviewers recommend new format for consideration: Case Study to Poster Round Table Session to Poster Case Study to Round Table Session Combine 3-5 Case Studies into a Panel o Panel to individual Case Studies Do not recommend accepting this presentation. Note: The identity of submitters will not be available to reviewers. Reviewer comments will be shared with submitters, however, reviewer identities will remain confidential. 14
15 PROPOSAL SUBMISSION DETAILS The following section will provide you with detailed information regarding proposal submission. HOW TO SUBMIT A PROPOSAL Click here to access AASHE s proposal submission website. All proposals must be submitted electronically, and this site is the only place where proposals will be accepted for consideration. Each presenter will need to login individually to the submittal site to enter their personal information and confirm their participation in the proposed session. The submitter cannot complete the submission without the participation of all proposed presenters. All presenters must login to complete their personal details and all proposals must be submitted by February 23, 2015, 11:59PM EST in order for the proposal to be considered for review. CREATE AN ACCOUNT All submitters must first create a new user account and profile before entering the site. Please be prepared to enter the following information: First Name, Last Name, Affiliation and Primary and click Save. You will receive a confirmation with your username and password, please make sure the Primary you provide is correct. Use the username and password received via to sign in and submit a proposal. After you sign in, please change your password to something you will remember and update your profile. CREATE A SUBMISSION After you update your profile you will be redirected to the My Account page. From this page you can either submit a new proposal by clicking on My Submissions, confirm your co-presenter role by accessing My Presenter Ready Room )or volunteer as a reviewer by filling-out the Volunteer Reviewer Form. After you access My Submissions, click on Submit New Proposal on the bottom of the page to create a new submission. Next you will be given a form with a number of different steps. Required steps are noted in red and must be completed before submitting your proposal. Steps highlighted in dark purple are completed. Steps highlighted in light purple are not required for submission. You may click on any one of the steps throughout this process after you save your title and presentation type in the first step. 16 Step ONE: Title & Presentation Type PLEASE NOTE: you will not be able to change the presentation type you have selected after you click Save. If you selected the wrong type, you will need to withdraw the proposal and submit a new one under the correct type. Step TWO: Presenter(s) You will need to enter information about your presenter(s) or moderator(s). It is imperative that the address listed for each presenter is correct. After you add a presenter, the submission system will automatically send an with their login credentials, and if the address is incorrect, your co-presenters will not be able to complete their requirements, you will not be able to finalize the submission and the proposal will not be considered. If you are not a presenter for this proposal, but are submitting it on someone else s behalf, you will need to specify this here. The system will then guide you in finding the additional presenters if they already have a profile created. If a match cannot be found, click on Add Co-Presenter and provide the following information: First Name, Last Name, Affiliation and . Please note: If you added yourself as a Presenter you also need to confirm your role by clicking "Presenter Role Confirmation" in Step TWO or in your Presenter Ready Room. Additionally, Co-Presenters will need to complete flagged items in their own accounts. You will not be able to finalize and submit a proposal until all flags are cleared Step THREE: Proposal Description Please provide a description for the proposal you are submitting. Limited to 1500 characters (about 300 words - please note: carriage returns count as 2 characters). Consider what type of information you are presenting when submitting your proposal for review. We will give priority to proposals that: Represent multiple perspectives and a diversity of institutions on a project, topic, or initiative Present new, high-impact and cutting edge research and initiatives Have a mixture of expert advice and are broadly applicable and replicable Share good practices and experiences on the session topic Are participatory, fostering conversation and brainstorming Step FOUR: Learning Outcomes Please be specific: what new knowledge, skills, and/or attitudes will attendees acquire as a result of participating in your session? Questions to consider: Who is your audience? What is assumed people know and what are things that they won't know? How do we push boundaries and help people feel safe/welcome? Limited to 1000 characters (about 250 words - please note: carriage returns count as 2 characters). Step FIVE: Track & Topic Area Please choose a track (framework, heading) and a topic area (a subcategory focus) for your proposal. Please see pages 12 and 13 for detailed descriptions of tracks and topic areas at the AASHE 2015 Conference & Expo, which have been selected to generally align with STARS categories and subcategories. conference@aashe.org with any questions. 17 Step SIX: Additional Information In this step you are provided with four questions. All are required. 1. Would you like AASHE to consider this submission for an alternate presentation type than originally submitted? In order to maximize our time and space constraints and to produce the highest quality conference educational program possible, we may change the type of your presentation if this option is selected. Changes may include: Case Study to Poster Round Table Session to Poster Case Study to Round Table Session Combine 3-5 Case Studies into a Panel Panel to individual Case Studies We will only change if you, as the submitter, select Yes to this question. If you choose No, your submission may be declined without the option of changing the type later. 2. Does your submission have a focus on Historically Black Colleges and Universities, or other Minority Serving Institutions (Tribal College, Hispanic Serving Institution, etc)? 3. Is this presentation geared specifically towards a particular type of institution? As a guideline, please use the Carnegie Foundation Classification terminology for institution type, size or setting. 4. Are you interested in having this presentation considered for other AASHE professional development offerings throughout the year (such as webinars or workshops)? Step SEVEN: Preview Please preview your proposal and double-check spelling and grammar prior to finalizing as some parts of your submission, if accepted, will be used in the printed program and mobile app and errors may not be corrected prior to publishing. Step EIGHT: Finalize Required steps that have not been completed will be highlighted in red. Please provide additional information before you can finalize the submission. Once all steps are completed, you can submit your proposal. Each submitter will need to confirm they read and accept the AASHE 2015 Conference & Expo Presenter Policies and Procedures (detailed on the next page). After you submit a proposal, you can access it in My Submissions CHANGE/EDIT/ADD TO YOUR PROPOSAL To make changes or edits before the Call for Proposals is over, simply log back into the submission site using your username and password, and click on the title of the proposal you wish to update. Once you have selected the proposal you would like to update, the system will show you the steps for that submission. With the exception of the Presentation Type, all other steps can be updated. Please note: you will need to re-submit the updated proposal to be considered for review. If your proposal is accepted, you will have the opportunity to edit or update your submission. The submission site will reopen after proposal acceptance announcements are made, and submitters will have the opportunity to update their titles and session descriptions before September 11, No updates/edits/changes to submissions will be accepted after September 11,
18 PRESENTER POLICIES AND PROCEDURES Thank you for your willingness to present at AASHE 2015 Conference & Expo. The conference could not be a success without the dedication and support from leaders and experts in the field like you. In order to ensure an exceptional conference, we have several new policies this year, so please review these fully and carefully. You will be required to indicate agreement to AASHE s Conference Presenter Policies and Procedures before you can submit your proposal. 1. No late submissions will be accepted. 2. Incomplete submissions will not be considered. a. All presenters for each submission must enter their personal information for the submission to be considered complete. If this is not done by all participants by the deadline, the submission will not be considered for review. 3. Session submitters may not propose presenters without the knowledge and permission of the proposed presenters. a. All proposed presenters must be able and willing to present at the conference. The conference schedule will be finalized by AASHE and shared in late spring. b. Proposals that are made without the knowledge of proposed presenters are subject to being declined; if the proposal is selected and it is found that not all presenters knew about the proposal, or did not agree to present, the session is subject to cancellation. 4. All submissions must be done through the proposal submission website. Any proposals submitted through , paper or any other medium will not be accepted or considered for review. 5. Presenters cannot participate in more than three presentations at the AASHE 2015 Conference & Expo. 6. All accepted presenters are making a commitment that at least one presenter from a submitted session will register for and participate in the AASHE 2015 Conference & Expo. Accepted presenters who are not able to attend must notify AASHE staff immediately. 7. Conference costs to attend AASHE 2015 Conference & Expo, INCLUDING registration, are the responsibility of each presenter. a. Proposal acceptance does not include conference registration. All costs associated with travel and conference registration are the responsibility of the presenter. 8. As a thank you for contributing to AASHE 2015, accepted non-student presenters, from both member and non-member institutions, receive a presenter discount of $100 off the regular registration price Presenter discount is not applicable to early bird discounted registration rate. Students (matriculating from high school through post-doctoral) receive discounted registration fees for the conference as well as member discounts if from an AASHE member institution. Presenter discount is not applicable to already-discounted student registration. 9. Accepted presenters are responsible for all supplies needed for the session. AASHE does not provide supplies for any conference sessions. This includes, but is not limited to: pens, note paper, flip charts, easels, markers, etc. 10. AASHE highly discourages the printing and handing-out of printed materials during sessions, however, we understand this may be necessary. It will be the responsibility of the presenter to provide any presentation materials you would like to share with attendees. 11. You may update certain parts of your submission at any time before the end of the submission period as long as no significant changes are made to the presentation topic. 18

Certain parts of accepted proposals may be updated/edited until September 11, No changes will be made to the conference schedule or printed program after September 11, Presenters will be encouraged to upload their presentation materials to AASHE s Resource Center. This is considered the official Conference Proceedings resource and will be published and made available to AASHE members after the conference. 15. No proposal submissions that focus on an advertisement of a product or service will be accepted into the program. 16. If a presenter s professional affiliation changes, presenter must edit their profile to reflect this change and notify conference staff. QUESTIONS?
