5 Welcome to the Participants Joachim Reuder, Chair of ESSEM COST Action 0802, opened the 4 th Meeting of the Core Group (CG) at 17:30 CEST and welcomed the participants. This meeting also was organised as a video conference (VC) meeting. For a list of participants, see Annex 1. Main topic of this meeting was the meeting and workshop in Cambridge in September and the Grant Holding. Adoption of the agenda The agenda as given in Annex 2 was adopted without amendment. CGM04D01: The agenda was adopted unanimously. Minutes of the last Meeting The minutes of the last Meeting were approved unanimously. Burkhard Wrenger will send them to the COST Office and the MC. CGM04D02: The minutes of the 4 th CG meeting were approved unanimously. Matters arising Nothing to report. Cambridge Meeting and Workshop Organisational Aspects The local organiser of the workshop, Phil Anderson, sent around a time table for the workshop which should be provided by the website asap. After putting it to the website, Phil will send around a t the participants. Burkhard Wrenger, Database- and Webmaster, will put the documents on the website of COST Action ES 0802 and provide the data from the online registration system. Flight Demonstration A major issue related to the flight demonstration was the insurance of the aircrafts and the safety pilots. Jochen Reuder reported on the insurance of their aircrafts (approx. 120 EUR per aircraft and per year) and will send more information by . Phil Anderson assumes EUR for the demonstration day. He also reported on the working out of the safety case, which has been checked by Rune Storvold. From the point of view of Joachim Reuder, the safety case document is suitable for the flight demonstration in Cardington. Jens Bange added the process Page 5 of 9

6 applied during the campaigns with the Carolo UAV. Flight Demo: Phil Anders points to the limitation of max. 20 kg take off weight. Up to now, only SUMO is known to fly, probably a small multicopter from Aalborg University. More UAVs will be shown as static displays. Jens Bange will check, if the meteorology package from the Carolo system can be displayed. Burkhard Wrenger will provide contact details about a Swedish group that might attend the flight demonstration. Break out rooms Jens Bange expressed his interest on break out rooms for discussions on Friday afternoon. Grant Holding The Chair of COST Action ES 0802 reported that a signed document related to the Grant Holder has not been received by the COST Office up to now. As a consequence, there are payments by the British Antarctic Survey that actually can not be accomplished by the Grant Holder of COST Action ES 0802, the University of Sheffield. The Chair of COST Action ES 0802, Joachim Reuder asked to formulate a mail to the COST Office and The University of Sheffield to press on that problem. Miscellanous Nothing to report. Closing The participants thanked Joachim Reuder for the well organised meeting and Phil Anderson and the BAS for providing the VC infrastructure. Again, the VC was very efficient. The CG members agreed that no more meeting are required before the Cambridge meetings.
