2 GETTING STARTED GETTING STARTED Logging-In to the back end of Prevue APS Pro Reps Follow the directions provided to you at admin.prevueaps.com (as seen in the screenshot below). Once the user is logged in they will be brought to whichever landing page is assigned to them. For REP accounts, you will see the following. Below, all present and past organizations assigned or created on the REP account will be listed. Sort and filter organizations alphabetically, by name, or using the four drop down menus seen in the screen shot to the left. Below the drop down menu is the organizational content. This include six columns of information sets. Adding an Organization Click on the green plus symbol in the top left of the table bar to create a new organization. Users will be prompted with the Add an Organization section. Please fill out as much information as possible, although only the asterisked fields are mandatory. Much is self-explanatory but be reticent of employee number group (re: pricing), account status, the rep it s assigned to, and main account contact. Click the Add New button once the information is filled. Once a user has created an organization they will be able to start creating career sites. This is where the most time will be spent managing the day-to-say operation of the system. GETTING STARTED Organizational Access 2 Column #1: Organizations are listed. Column #2: Current status of the account. There are several account options but primarily it will be set to Client Standard. *There is a method in developing accounts and assigning status; the protocol is as follows Set-up > Ready for Review > Trial (if necessary) > Client Standard * Column #3: Amount of employees in that organization. Column #4: Which user the account has been assigned to. Column #5: Indicated the date of organization creation date. Column #6: Provides access links to editing the organizational information, adding account specific notes, and viewing/creating career sites for that organization. 3

3 GETTING STARTED Creating a Career Site After creating an organization, click on the Career Sites link in the middle of the sixth column. Users will then be prompted with the Add Career Site section. This is where the Subdomain for the Career Site will be set, along with adding the Company Name, and assigning a time zone. You will also need to set the default value to Prevue Default (this permits full Prevue integration) Basic Default is set only if no Prevue Assessments are needed (ATS only) Copy Career Site is a feature that will be touched upon in weekly webinars conducted by Prevue Support Staff. Save and continue, and once done; the Career Site will be created and job questions/templates/listing can now be added. CAREER SITE NAVIGATION Overview Once a career site URL has been established, it s time to start building and managing Career Sites. This next multi-part section will cover APS functionality and allow users with basic computer skills the opportunity to formulate a Career Site, from start to finish, to best represent their needs, and/or the needs of their clients. Keep in mind that not all aspects of the APS need to be utilized while creating a Career Page, but certain protocols and methods will be covered which will make the process of building and managing a Career Site that much easier. When viewing an organization s career site; reps and full administrators will have seven different accessibility options to choose from. This includes the Applicant Dashboard, Jobs Dashboard, Reports, Settings, Controls, Application Setup (Application Setup), and Users. Each area is inter-related and by no means mutually exclusive. For example; if you were to add an template in Settings, it would be added and viewed in certain parts of the Applicant and Jobs Dashboard. CAREER SITE NAVIGATION The Applicant Dashboard will be one of primary responsibilities of an APS Pro user. In this section a user can view ALL the information submitted by the candidate, including resume, answers to pre-screening questions, as well as Prevue Assessment integrations. You can also send s directly to the candidate from this dashboard. The Jobs Dashboard is an equally important management utility of the system. In this section a user can create Job Templates, Listings derived from those templates, Pre-screening questions to apply to each; as well as XML pushing to both free and paid job boards. Reports allow users to run standard reports on APS Pro activities. This can be done by name, keyword, source, status (group), time to fill, time to hire, EEO1, incomplete job reports, and active job reports. These can be helpful is assessing cost and time efficiency and where the best candidates are being found. Settings is a crucial part in establishing good protocol and APS solidity. This is where a user could add Career Site Pages to top and bottom menus, Classifications and Business Units can be established and advertising sources can be specified. Additionally, application statuses can be evaluated, while templates and addresses are added. Controls is where the foundations of Career Site design and page outline is laid out. Typically this portion of the APS Pro is reserved for more advanced users, but be advised that online classes will be held for those who want to learn more about functionalities. Areas include sophisticated career site option, admin. features, style settings, and 3rd Part Integrations. Users should not use these features unless granted permission by Prevue Support Staff. 4 5

4 CONTROLS Career Site Options The following toggles and information fields to establish Career Site features. CONTROLS Application Setup is the key to streamlining the online application process and retaining the best candidates and top talent. Please consult with Prevue s Support Staff for optimal Application Setup strategies, reducing application abandonment and protocols for inviting people to take the Prevue Assessment (if utilizing the full Prevue Hiring Solution System). Users was overviewed in the opening section of this guide, and it is here where such designations are made. HR Administrators can create Manager and Screened user accounts, and such accounts can be assigned to specific business units to increase workflow and APS Pro control. Before listing jobs and viewing applicants, a Career Site and all the front end information must be built and established. To do this, the focus of the user must be in three main areas: The first being Controls, second Settings, and finally Application Setup Controls In Controls, the user will see five option tabs. The first is Career Site Options, followed by Administrative Features, Style Settings, Job Defaults, and 3rd Party Integration. See screenshot below. JOB SHARING INTERNAL JOB BOARD SHOW APPLICATION STATUS TO APPLICANTS ENABLE SHORT APPLICATION MENU ITEM IN CAPS SHOW SEO FEATURES TRANSLATE Enabling Job Sharing allows the candidate to share a particular position through social media networks and from the job description section. Turning on Internal Job Board will create a private, mirrored Career Site for existing employees. Internal Application Setup will appear also. Please consult Prevue Support for more info. Tells an applicant what current status you have assigned to them. Leave unchecked for nothing to be shown. Provides the option of a condensed application in the application setup. *Please refer to application setup section to follow* Makes all top and menu links show in bold font. When enabled, will show a small window at the clients footer area with a link to jobsandemployment, which significantly boosts the ability to be found with a search engine. *Additional fees may apply. Please consult Prevue Support Staff before using this feature Uses the Google Translate application to change the front end language. Click to get code Ex. A company operating in Québec would set French as their language, and applicants would be able to apply in that language. *Please note that the back end, administrative area is in English only. Custom Text on a Career Site has several dialogue boxes where visible copy information can be entered. Large Title Text That Above Job Listing On Career Site Text That Shows Above Job Listings Table On Career Site Text That Shows Underneath Job Listings Table on Career Site/Internal Job Board Text That Shows Underneath Job Listings Table When There Are No Active For external apps only, but an example would be Current Career Shows Opportunities at Company A or Company A or View All Current Job Listings Describes the list of positions, how to sort through columns, and how to learn more about each opportunity. Can be used to add additional information about Career Site or Internal Job Board. An example might be a disclaimer for accessing personal info, or specifics pertaining to the internal posting. Jobs relays a message similar to this statement Sorry, we have no current job openings. Only displayed when there are no active jobs. Custom HTML For Footer on a Career Site Lets a user add a custom footer to the bottom of the career page. If the company website has a custom footer on their main webpage, this can be added to the career site as well. Please consult with the Prevue Support staff to learn how to utilize this feature. 6 7

5 CONTROLS CONTROLS Administrator Features The following administrative features sections covers several different aspects of the APS on the back end of the system. Check the box next to any feature you would like to turn on or off for a client s Career Site. Enabling Job Categories utilizes an extra classification for reporting purposes. It adds further definition for departments, job types, locations (ex. having a listing tied to store number) Show Question Score, when enabled, exercises the scoring feature for screening questions. A scoring column will also be added in the applicant dashboard. Application adds this icon,, to the applicant information page. The application can be ed directly to any user present on the account. Show Application Totals displays the total amount of applications for any particular listing on the Applicant Dashboard. Show Applicant Summary, when activated, is a tab that shows a complete summary of content in the applicant information area. Enable Requisitions*, when checked, will be an additional feature in the Jobs Dashboard. Active job requisitions can be added using a job template. Enable Captcha to add a security text box during the sign-up process. Turn this on if you want to prevent spam applications from bots. Enable Spotlights will turn on the Spotlight feature, and this icon,,will be added to the Applicant Information section. *see spotlighting details in the applicant dashboard overview. Enable Assign Screeners, if turned on, gives you the ability to assign applications to screeners from the Applicant Dashboard. A drop down menu will appear in the mass update area. *Please see User overview for details on how to add screeners. Enable Events, will show this icon in the Applicant Dashboard. It gives a user the ability to sync APS created events (i.e. Interview) with their calendar in Outlook. Allow User Added Applications, if activated, displays this icon,, in the Job Listings section of the Jobs Dashboard. This allows a user to manually enter a candidate into the APS. Allow Notes with ed Application, adds a note section to the Application function. Incomplete Application Settings, when automated enabled, alerts candidates who started an application but failed to complete it. Assign an template and alert time periods. Style Settings Style Settings is the area of the APS where the look and feel of the Career Site is created. This is an advanced section, and you MUST have the SnagIt application to build accurately. *Please attend a Style Setting webinar before attempting a build with the reference sheet below. It is important to know the protocol and functionality of style settings before building.* 8 9

6 CONTROLS SETTINGS Job Defaults (Location) These defaults will affect both job templates, and listings, as well as candidate registration. Fill in these fields if your Career Site(s), and active jobs, are located in the same place. For example; if you set the country to US, all positions activated will be listed as being in that country. Same goes for State/Province, and City. Settings In Settings, the user will see six option tabs, including; Career Site Pages, Classifications, Business Units, Ad Sources, Statuses and Templates. Please refer to the screenshots to follow. The green plus icon,, will add new content in each Settings option tab. 3rd Party Integration *FOR PREVUE SUPPORT STAFF ONLY* This section is for Prevue Support Staff only, and is not to be used without the expressed permission of Prevue. But generally speaking this section covers a wide scope of 3rd party integrations. From automated social media pushes, to establishing full Job Board favorite access (Paid Job Boards), as well as Prevue Online Assessment Integrations. After Controls has been finalized, proceed to Settings, where a majority of the internal notification and organization is handled. Be aware that Settings is both for front and back end APS Pro functionality. Career Site Pages Career Site Pages is where all internal and external page links are established. These links can be assigned to either the TOP or BOTTOM menu on a career site (please refer to style setting guide to see Top and Bottom Menu) To add a Career Site Page, click the green plus icon above the magnifying glass. The user will be prompted to choose one of two options. Option 1: To add a page link outside of a Career Site, choose this button. (ex. If a user wanted to add a page on the company site, this would be the correct choice). Option 2: To add a page within your Career Site, choose this button. (ex. If a user wanted to add a brief company information page, on the career site itself, this would be the correct choice)

7 SETTINGS Classifications Classifications are used for both Career Site listings, and default Job Board information. Primarily a user will assign these classifications in the Job Template and Job listing section. These designations allow the candidate to know what type of position they are applying to, but also the nature of the employment, whether it be full-time, part-time, seasonal, or contract based. Click on the green plus icon to add classifications and employment types. Statuses Statuses are assigned in the Applicant Dashboard after viewing a candidates submission. In this options tab you can add or archive the name and type of application status you d like to assign, and their order. Please see the FAQ for specifics related to setting up statuses. SETTINGS Templates Templates are created in this option tab of Settings. These templates can be sent directly to candidates from within the APS, but can also be applied to Mass Updates for s to more than one applicant. Always attach one of these templates in the Thank You page of the Application Setup (see next section for more info). Please see the FAQ for specifics related to Templates. Business Units* Business Units are important for both large and small organizations. It allows users the opportunity to organize their company listings on a career site into distinct categories. Accessibility and restrictions can be defined by these types. Parent Companies can be added in this section as well. Ad Sources Ad Sources are defined in this option tab. Any active Ad Source on this list will appear in the application process for the candidate to choose. The user will be privy to their choice in the Source report in the Applicant Dashboard

8 APPLICATION SETUP APPLICATION SETUP Application Setup Once Application Setup is selected, you will be prompted with a drop down menu to choose either External Application Setup, or Internal Application Setup (only if the Internal Job board has been turned on in Controls). Details for short applications, if enabled, will be seen additionally here too. The user will the be presented with nine option tabs, including; Main Settings, Employment, Education, Resume, References, EEOC, Additional Questions, Disclosure, and Thank you. Employment History The Employment history tab of the Application Setup is where a user will specify what employment information a candidate has to supply during the application process. You can turn employment history off completely (to prevent application abandonment) as seen in the example below. Both the Title and Instructions are entered in this section as well. The green plus icon, option tab., will add new content in each additional questions Main Settings The first dialogue box of Main Settings is dedicated to the titles and instructions for each main application setting. *Please follow the description information for each setting and use the magnifying glass icon to make any amendments* The next dialogue box refers to the order of each application section. The standard order is automatically generated. If short applications are enabled in the Controls section, the user will also be prompted with the Short Application Setup dialogue box. Here the user can isolate which sections of the application they would like to the candidate to see. Applications can be added and archived in the last window of main settings. An APS user can also limit the number of employments having to be listed by the candidate in the required employment field. For section options, use the drop down menus to indicate which fields the user would like the candidate to see in employment history

9 APPLICATION SETUP APPLICATION SETUP Education History The Education history tab of the Application Setup is where a user will specify what education information a candidate has to supply during the application process. You can turn education history off completely (to prevent application abandonment) as seen in the example below. Both the Title and Instructions are entered in this section as well. Resume The Resume tab of the Application Setup is where a user will specify what resume specific information a candidate needs to supply during the application process. Best practice is to make sure show resume is on, giving candidates the option of either copy and pasting a text version, or uploading a standard format directly. Both the Title and Instructions are entered in this section as well. An APS user can also limit the number of education having to be listed by the candidate in the required education field. For section options, use the drop down menus to specify the requirements of resume submittal. A user can make resume uploads mandatory and allow overrides of both copy and paste text and direct uploads. For section options, use the drop down menus to indicate which fields the user would like the candidate to see in education history. *Please note that the more complicated the employment and education history section is, the greater risk of application abandonment, considering most of the pertinent information will be listed on the attached resume* 16 17

10 APPLICATION SETUP APPLICATION SETUP References The References tab of the Application Setup is where a user will specify what reference information a candidate must supply during the application process. References usually should be assigned in long form application. Turning off references, as seen in the example to the left, and referring to reference submission at the time of interview, will often expedite the application process Both the Title and Instructions are entered in this section as well. Equal Employment Opportunity Commission (EEOC) *Only U.S. Customers are required to activate this section* EEOC is a federal law enforcement agency that enforces laws against workplace discrimination. The EEOC investigates discrimination complaints based on an individual s race, color, national origin, religion, sex, age, disability, genetic information and retaliation for reporting, participating in and/ or opposing a discriminatory practice. Use the drop down menus to indicate what fields the candidate is required to fill out. Veteran status can also be asked for here. Title and instructions can also be amended here. For section options, use the drop down menus to indicate which fields the user would like the candidate to see in the each particular reference field. Users can also set how many references are require in the reference setup dialogue box. Additional Questions Additional questions are attached to an application, and not the job listing, like screening are, but they follow the same scoring and weighting rules. They provide employers general insight on broad candidate details. These are usually can relate to individuals dealings with corporate culture, past experiences, or key points pertaining to the company, as opposed to a job listing in particular. Please refer to the section regarding Screening Question Groups to see how to add additional questions. It follows the exact same process

11 APPLICATION SETUP JOBS Disclosure Showing the disclosure is important to assure the candidate is indeed who they say they are. It mitigates any issues regarding falsely given statements or information during the hiring process. It also gives the employer permission to investigate the information provided by the candidate. It is highly recommended to show the disclosure during the application process. Disclosure Title, Checkbox Text, and Instructions can be amended in this section as well. Once all the functions of Controls, Settings, and Application Setup have been finalized, it will be time to post and manage jobs and acquire talented candidates as quickly as possible. To do this, the focus of the user must be in two main areas, the first is seen below: The Jobs Dashboard In Jobs, the user will see four option tabs. Primarily though, the first three will be utilized more often. Best practice is to work linearly from screening questions to template to listing, seen screenshot below to left. The fourth tab, Job Board Favorites is used only to add custom job boards. Thank You Page The Thank You Page is seen by the candidate after submitting their application. Depending on when you submit a candidate to an assessment, either at time of application or later in the screening process, proper protocols MUST be instilled. For example; if you choose to send out an assessment invitation later in the screening process, it is vital you make the candidate aware of the impending invitation. Since the assessment invitations from the ATS are server generated, candidates can often miss the invite entirely. That is why proper protocols must be followed to increase candidate awareness. These same assessment protocols should also be attached in the Thank You Body, an automatically sent to the candidate thanking them for their application submission

12 JOBS JOBS Screening Questions In the Job Screening Question Section, users can create groups of screening questions that are job particular to weed out those candidates who do not meet basic qualifications immediately and isolate top talent with weighted, and scored queries. The first green plus icon,, will add content for a new screening question group. A title, job specific, and generic or detailed instructions can be given to the candidate regarding the position. After creating a screening question group, the user will be prompted with the Add New Question dialogue box. It will present you active and required drop-down menus for each question. Below that is a dialogue box for the question itself. There are six question and answer types, and each can be scored, and set as a disqualifier accordingly. Save and begin new to add more questions. Job Templates Job Templates allow Career Site user to formulate basic outlines for job listings. These templates function purely to create active listings. These templates serve to increase the time it takes to create an active listing. Again, using the green plus icon, or magnifying glass, create a new template. The first dialogue box is for Administrators only, activation and requisition notes can be added. Next is the Career Site content, including the Job Title and description. You can click to paste a word document, or simply use the dialogue box provided. Basic formatting is available; and images can be added to the description using the tree icon. The information being XML pushed to the aggregate job boards is filled out in the next part of job templates. Simply use the copy title and copy description quick button. Add keywords (bullion) to drive traffic to your listing from searches. Job board extra information is optional, but drop down menus are provided. Default Job Classifications is the last section of Job Template. Please indicate whether or not the position is exempt, and definitions are provided to the user if needed. Attach the screening question group that was created prior to establishing this template. It should have the same title as the template itself. Lastly the department to which the position belongs is added. New business units can be added by clicking the add new link. Please make sure the business unit the job belongs to is shifted to the dialogue box on the right hand side of the page. Either update template for later, or create new listing immediately on the dialogue box on the right

13 JOBS JOBS Job Listings If you create a new listing from the template section you will be prompted with the Add Job listing window immediately. If not, and the listing is being created from an existing template, use the green plus icon to bring up the Add Job Listing drop down menu to pick from the list of exisiting templates. Once chosen, the details of the listiing will populate from the template. Most of the information is copied directly over from the template section, but certain mandatory fields (indicated by *) need to be completed in this area. There is also an embed video code field. Take any hosted video, YouTube works perfectly well, hit the share tab > embed> then copy and paste the html code provided into the field. Job Listings cont d The start date defines the time the listing is spent on the career site and pushed job boards. If a position is filled, set the end date to the day of hire, then archive. This will take the listing off the Career Site promptly and the job board within 24 hours. Job type will default to external, which means that the job will be advertised on external boards. Internal job types will only be visable on the companies internal career site. If the job should be posted internally and externally, use the drop down Both. Notification s can be designated in the section (users/contacts can be added in Settings). Attach the screening group questions if not already carried over. List location at the bottom of the page. Save listing or push directly to boards. Job listing location is where the postion is actually located, not where the postion will necessacarily be advertised. The assessment section contains all of your activated Prevue Online Benchmarks. To update this list after creating a new Benchmark in Prevue Online, please update Prevue Account Integration, in the 3rd Party tab, under Controls. This function is only available to Sales Representatives. If you are a manager or administrator, or just want some assistance, please contact your Prevue Account Manager, and they will be happy to do this on your behalf. You can also choose which assessment scope to give, and when the assessment should be administered in this section

14 JOBS JOBS Job Board Feeds Advertise on Job Boards and Social Media If you are directly moved into this section from the job listing, you will see the job board ad title and descruption that you created in the job template. Ensure that your job board city and postal/zip code are filled in, as they are mandatory. A user can also access this section using the megaphone icon from the job listings tab. There are two distinct areas for advertisements in this seciton. The first is automated job board feeds., which are some of the most popular online job boards including Indeed and Simply Hired. The second area, Additional Job Board Push, where additional suggested job boards are seen and can be purchased (see Job Board Favorites on the next page). Please note: the additional job board push section is limited to five additional job boards, per listing, pushed once every 30 days. (See Premium Posting document for more information) Shift these jobs from left to right using the right arrow button into the Pushed Job Boards, then select Save Default Job Selections. It will take a day or so for these listings to appear on aggregate job boards. *Please not that ALL active listings are pushed to the Indeed automatically due to our proprietary partnership. This auto-push can be turned off in the organization info section* Job Board Favorites Job Board Favorites is where you add custom, free and paid online job boards that you do not currently see listed in the automated job board feeds section. Unless Full Job Board Favorite Access is turned ON in the 3rd Party Integration tab of Controls, no custom job boards will be be seen. To add a Job Board Favorite, go back to the Jobs Dashboard to the fourth and last tab, called Job Board Favs. Use the green plus icon to add a job board favorite. Filter by country or category type, then use the select link to add a particular paid job board. This will prompt you with source and billing method as well as your account information, usually a username and password are supplied to you by the job board. Select add new, and it will be listed as a Job Board Favorite and also appear back in the Additional Job Board Push dialogue box. Once the paid job board has been added, return the the Job Board Push section using the megaphone icon

15 JOBS JOBS Once a user has added an available job board favorite, follow the same procedure seen above with the default feeds. Use the right hand arrow icon to move the board into the Job Board Favorite to Push dialogue box then select Save Additional Job Board Selection (seen in the screenshot left) A new history window will appear with links to paypal, if using the bill me method. Some boards, like CareerBuilder, allow you to pay through an existing account. In the example to the left, we have chose to show the Bill Me Method. Make the payment by adding to cart then viewing carr. If the payment is accepted, the job board will stay in the right hand side Push dialogue box. *Most listings do not require job boards, as the automated job boards typically drive more than enough traffic. Social Media Pushes Social Media Pushing is a very useful tool of the APS, as it accesses the passive job market by disseminating jobs across social networks. Please note that companies must have an established social media strategy to effectively implement the pushes. FACEBOOK Facebook is the most powerful social networking tool on the planet, and if your client does not already have a Facebook Page, make sure to implement one. Log-in to their company Facebook page either before or after selecting the Facebook Share tab. You will be prompted to share the link, where you can choose where it is displayed and to whom on a timeline. The Job information will also be presented in this section. Hit the Share Link button once you ve finalized the details. Please remember this is a manual, individual push of this particular job listing. TWITTER Twitter follows the same protocols as Facebook. Log-in to your client s company Twitter account and Tweet the link provided in the dialogue box. Again, this is a manual, individual push

16 JOBS JOBS LINKEDIN COMPANY GROUPS The APS can also push individual listings to LinkedIn Company Groups. The job can be pushed to anyone who is a part of that company page or group within the company page. You can add additional comments and sol push to twitter directly from this prompt. The job can also be pushed to individual contacts on the LinkedIn account. *Please ask Prevue Support Staff about the automatic social media push options in the 3rd party integration tab of Controls* PUSH There is an option here to push directly to contacts in Outlook. Simply hit the icon and you will be prompted with a new window. The link and subject will be automatically provided, so just find the contact the listing is intended for, and send. Jobs Dashboard Icons The magnifying glass icon is the main access point to information throughout the system. By clicking on this icon a user can access details on any section. The archiving arrow icons are used to hide and show old templates, listings and screening questions. Please keep in mind that archiving a listing may not necessarily remove it from a Career Site or Job Board that is determined by the start and end date in the listing section. The Job Board Push megaphone is your link to the Advertise of Job Boards and Social Media section of any particular listing. By using this icon, the user is probably accessing existing listings and refreshing pushes. As opposed to being directed from the listing to the push section directly. CRAIGSLIST Since Craigslist does not support XML pushing, the developers have created a quick post system for Craigslist. If a user selects the Craigslist button at the bottom of the Advertise on Job Boards and Social Media it will open to new browser windows (Seen in the screenshots to left). You can post to Craigslist with a current CL account, but also without an account. Either option will give you this same information prompt. Work between the two browser windows and copy all the required information into a CL positing. This includes the listing title, but also location, , HTML description, and compensation. Since the link the Career Site comes attached to the HTML description, it is important to hide the provided in the post. Once you have finalized all the pertinent information on CL, a confirmation will be sent to activate this posting. This CL information prompt can also be used to fill in listing information fields on Kijiji. Ad Tracking gives you the ability to track the effectiveness of your listing on either the default or paid job boards. This is a premium feature and additional costs may apply. User added applications is meant to allow those individuals who do not have basic computer skills and/or drop-ins the ability to submit their resume into the system. This does not process them through the application process however, losing valuable pre-screening questions and sourcing information. After a user has completed listing and pushing a job, the next step will be to manage the applications from candidates. To do this, the focus of the user must be in the Applicant Dashboard

17 APPLICANT APPLICANT Applicant Dashboard In Applicants, a user is first provided with an Applicant Overview Report. Here, it will show live, active jobs listing from specific time periods. It will also tell you how many times a position has been viewed, as well as how many candidates have started and completed the application. By using the drop down menu, magnifying glass, or Job TItle Link; a user can view and access several channels of candidate information. View Applicants A user we see all the names of those candidates who have met the basic qualifications. BQ s can be setup through pre-screening questions or don t have to be utilized by the user at all. But we recommend implementing at least some basic qualifications. When applying the sorting menus or Mass Update features; be sure to indicate the candidate you are wanting to reach by clicking in the box to the left of their name. Users can also assign candidates to screeners from this dashboard. More detailed instructions will be overviewed during the weekly webbing sessions, but for these purposes three main tabs in the Applicant Information Page are being displayed: RESUME, JOB QUESTIONS, and NOTES & HISTORY. Resume: Users will see the candidates inserted text resumes or the upload formatted versions. Job Questions: Users will see answers, scores, and disqualification indicators from the candidates response Notes & History: Users will see the ability to manually enter documents and or notes into a candidates account. Please be advised that a standalone score can be manually attached to a note. This is not the same as a screener question score. APPLICANT INFORMATION PAGE By choosing the magnifying glass seen below; the main applicant information page will be revealed. The user is privy to all of the candidates personal information, combined with all the required docs and info (established in applicant setup) provided by the candidate. The current status their application is in the far right hand column. We advise to always keep this up to date. Tabs seen in this section will depend on your application and integrations setup

18 APPLICANT APPLICANT Integrations This tab outlines all necessary specification for the Prevue Assessment. If the candidate has yet to be invited, a single link will allow the end user to do so. Much like inviting them directly from the applicant dashboard, the user will be prompted with the correlating benchmark, and scope (which can be amended at time of application). Once invited, this tab will show the status (typically InProgress) and invite details until it has been completed. Once it has, the date completed will be listed as well as a link to the finished report. The reload function should be left to the Prevue Support Staff. Screening Questions The Screening Questions tab, allows a user to filter individual screening questions and the answers supplied by candidates. This can be helpful determining the strength and accuracy of various candidates answers to the of the pre-screening value propositions. Source Report The Source Report tab, next to Status Report, allow users to view data relating to the Source of where the candidate came across the listing. This is an internal reporting tool that is listing specific. Send s The Send s tab allows ssers to send templates (created in the settings section) to candidates at the click of a button. You can also use the mass update feature in this section. Again, this is job listing specific. Find an Applicant The Find an Applicant, seen next to screening questions above, allows a user to find particular applicants that have applied to the specific listing. Search by name, , and phone number. Mass updates can also be applied here. Keyword Search Similar to the keyword search found in Reports, this listing keyword search can be used to research and/or investigate older applications and for specificity purposes. Status Report The Status Report tab, next to Find an Applicant, allow users to comprise data relating to the status assigned to a candidate application

19 APPLICANT USERS Additional Applicant Dashboard Features Users have several quick access icons at their disposable to increase productivity and workflows. Some icons may not appear depending on access, integrations, and controls set-up; but they will help the user save time and energy when organizing the back end of the system. Prevue Invites can not only be sent through this quick icon, but also in the Applicant Dashboard and the Integrations tab in the Applicant Information section. Calendar events can be created within the APS as well and sent to Outlook. Have you scheduled an interview with this candidate, and want to have invite other parties? Set the time/date/and place here, and you ll be all set. Users Users is the area where access, control, and designations are set-up and managed. This sections is career site specific, as opposed to a Sales Rep account, which is organization specific. Sales Rep accounts are only ever assigned to distributors by Prevue Support Staff. There are three main user type log-ins: Administrators, Managers, and Assigned Users. There are also a tab for addresses, called Contacts. Please note that anyone added under Contacts is not set with a log-in. Administrators are the primary user of a domain. They have unlimited access to all applicants, jobs, settings, reports, and user designations under that career site domain. They DO NOT have access to the controls section, nor the application set-up. This can only be accomplished by a Sales Representative account, or Prevue Support Staff. Use the green plus icon to add a new Administrator. Fill in the appropriate information, mandatory fields will be asterisked. Set default home page for user and assign the career site domain from the left dialogue box to the right using the right arrow. Click Add Applications allow individuals with registered s in the APS to be sent particular information regarding the candidate. Add users from the left dialogue box to the right, using the right arrow, or ADD ALL. Fill in the subject header and body and the applicant info accordingly. Spotlighting allows a user to quickly send an note to a user about top talent, or important candidate. This is the easiest way to let other HR Administrators and Mangers know about highly qualified candidates. Printing off Candidate data has never been easier. Select from a variety of common items, click the boxes on the left; and hit Preview This will show you the printing page layout and allow you to send to printer

20 USERS USERS Managers have less access than Administrators, and are divided into three designations: Viewing Manager, Non-Posting Manager and Posting Manager. Viewing Managers only have the ability to view candidates from their business unit. They do not have the ability to set statuses or leave notes. Non-Posting Managers can see all candidates from their business unit, plus they can leave statuses and notes. Posting Managers have the same abilities are the Non-Posting Manager, plus they can post external advertisements using templates provided to them from the Administrator. Similar to adding an Administrator, there a few additional information fields in the Add Manager window. Managers can be authorized by IP address, but more specifically. you can define their access by business unit. Ensure once updates have been completed that you press Add. The most limited access type on the APS is the role of an Assigned User. As an Assigned User login, only applications that are assigned by a manager or an Administrators can be seen. Only Administrators and certain Managers can assign candidates to an Assigned User in groups of one or more in the applicant dashboard, or doing so on each individual application in the notes/history tab. Add a Screener in similar fashion to HR Admin, and Manager, filling out the mandatory asterisked fields. Two drop down menus give your the option to hide the notes and history tab and other jobs the applicant has applied to. Click Add 38 39
