3 FileCruiser Product Manual Getting Started with FileCruiser This document is an introduction to FileCruiser for Mac and Windows computers. Most people reading this have already installed the FileCruiser agent, but if you have not yet done so, please first install the agent on the Mac or Windows computer you want to use. The FileCruiser App is also available on most mobile devices. The App enables you to benefit from the same file sharing and syncing services available with the FileCruiser agent. 4 PROMISE Technology Using the FileCruiser Agent The FileCruiser agent is used for Windows and Mac operating systems to manage file syncing and other functions of FileCruiser. Once it is installed and you are logged in, file back ups and file syncing occurs automatically in the background while the operating system is running. The two versions of the FileCruiser agent are functionally identical, the main difference for the users of Mac or Windows is the appearance of user interface. When the FileCruiser agent is installed, a folder is created for the purpose of synchronizing or syncing the content of that folder with your user Home folder on the FileCruiser server. This is how user content in FileCruiser is backed up, the content in the FileCruiser folder on your local computer is identical to the content of your Home folder on the FileCruiser server. When the agent is running, messages inform you of updates when you change, delete or add files to the FileCruiser folder. As long as you remain linked to FileCruiser via the agent, it will not be necessary to log in again. Desktop Shortcut Click on the desktop icon to view the status of syncing, Open the FileCruiser Sync Folder, launch your to Browse on FileCruiser website to view content via the User Portal, change Preferences or to Pause or Resume Syncing. 5 FileCruiser Product Manual Log in to FileCruiser Agent To log in, type in the following information: Host Name: This should be given to you by the FileCruiser administrator. Typically this includes the URL for the company or organization. For example: host.company.com IP Address: An alternative to using a Host Name is entering the IP address of the FileCruiser server. Domain: A Domain is needed when FileCruiser is used in conjunction with another directory service such as Microsoft AD or LDAP. These are commonly used on large corporate networks. Ask your administrator if this is needed. User Account: This is the name associated with the FileCruiser user account. This is assigned by the administrator. Password: Your password is also given to you by the administrator. However you can change it later. Enable SSL: SSL is a protocol used for secure communication. It is a good idea to enable this, especially when transporting data via the Internet. 3

6 PROMISE Technology Using the FileCruiser Sync Folder To open the FileCruiser sync folder on, click on the FileCruiser desktop icon and choose the Open FileCruiser Sync Folder option. You will notice that the icons for the files and folders appear a little different. Each thumbnail has a symbol that indicates the Syncing status of the file or folder. See below for a description. Add files to FileCruiser Sync Folder Adding or creating folders or files in the FileCruiser Sync Folder is done the same way as with adding files or folders to any other folder or directory in Windows or Mac. Drag and drop items or save items that are modified or created in any program to the Sync Folder in the same way you do with any other file. The main difference is that the content is synced with FileCruiser, and if the content is added to a shared folder, it will sync with anyone with access to the shared folder. The only other difference is the appearance of the files and folders, as described below. File and folder icons in FileCruiser Sync Folder A blue circle with an up arrow in front of the thumbnail indicates the file or folder is synced. A green circle with a sync symbol indicates the file or folder is currently syncing. A gray circle with a minus sign (-) in front of a folder thumbnail indicates the folder is designated as a non-syncing folder. The contents of this folder will not be synced. You can choose folders for Selective Sync in the Advanced tab of the FileCruiser agent Preferences menu. See Selective Sync - choose what to sync on page 21 for details on how to exempt selected folders so the content is not synced. 4

7 FileCruiser Product Manual Right-click on files and folders in FileCruiser Sync Folder Right-click on a file or folder inside the FileCruiser Sync Folder to view basic functions for Linking, Sharing or Commenting on a file, or launch your browser to access FileCruiser through the User Portal. 5

8 PROMISE Technology What is the User Portal? The User Portal for FileCruiser is just the name of the place where you access FileCruiser through your web browser. To access the User Portal for FileCruiser through your web browser, there are two options, launch and link to the User Portal through the Mac or Windows agent, or enter the URL of the User Portal into the address bar of your browser. If you have not yet installed the FileCruiser agent on your Mac or Windows computer, do that first. However, you can access the User Portal without installing the Windows or Mac agent. This is convenient if you cannot use your own computer and need to upload, link, download or share content on FileCruiser. If you have not yet installed the FileCruiser Agent on your Mac computer, please see Install Agent on Mac on page 26. If you have not yet installed the FileCruiser Agent on your Windows computer, please see Install Agent on Windows on page 25 The FileCruiser agent synchronizes files contained in the FileCruiser folder, created when you install the agent. FileCruiser automatically backs up the entire contents of the FileCruiser folder while the agent is running. By default, FileCruiser is running when your computer is booted up. Use the agent Preferences menus if you want to change the start up settings, choose what folders to sync, or change other settings. Please see Change FileCruiser Preferences on page 20 for more information. Note You do not need to install the Mac or Windows agent on a computer to access the User Portal of FileCruiser. This is convenient if you need to use a computer that does not have the FileCruiser agent installed. 6

9 FileCruiser Product Manual Logging in to the User Portal Navigate to the FileCruiser URL using your preferred web browser. Get the URL or link from the FileCruiser administrator. You need to supply the information listed below. This information also should be given to you be the administrator. To switch the interface language, use the drop-down menu in the upper right corner. The languages available are: English (default), Русский, Español, Français, Deutsch, Italiano, Português, 日 本 語, 한국어, 简 体 中 文 and 繁 體 中 文. FileCruiser User Portal login menu To login, type the follow input information: Domain Name: Not all FileCruiser accounts need to supply this information. 10 PROMISE Technology Navigating the User Portal interface The first time you log in FileCruiser you will see your Home directory. It will be empty since you have not yet added any files or created any folders. Every time you log in to FileCruiser you will see the Home directory. The examples in the illustrations below are to help you become familiar with the basic layout of the user interface. Click on folders in the directory to reveal contents of the folder, or click on a file to open or download the file. Click on the menu icons along the left side of the menu open the various folders. The functions of these folders are explained in later sections of this guide. User Home directory Pencil icon - Click to perform one of the following actions on selected item: Share, Link, Move, Copy, Comment, Delete or Rename Left-click to view user quota, or change address Create new folder in current directory Upload file to current directory logout 8

11 FileCruiser Product Manual User folders The icons along the left side of the user interface link to other directories or folders, some of which might already have files of shared content placed inside. For example, the Team folder is set up by the administrator and used to share content with other users in a group. These directories are described in more detail in later sections of this guide. Directory links on left side of user interface Briefly, these directories are: Home: The main folder or directory which contains uploaded files and folders created by the user. Share To: Your files and folders that are currently being shared with other users in FileCruiser. Share From: Files and folders that currently being shared with you by other users in FileCruiser. Team: This is a folder for content that is shared among a group of users in FileCruiser. This is set up and managed by the administrator. Links: This displays content for which you have created links for users to download the liked file. These links can be either ed to recipients or pasted into a web page. This also lists the password, if any, that is required to download the file and the expiration of the link. Trash: When you Delete a file, the file is not gone, but it does go to the Trash. This way you can retrieve content that you might not want to have removed. 9

12 PROMISE Technology Share To directory You can easily share any file, or create a folder for sharing with other users. When this is done, the file or folder appears in the Share To directory. In addition, the sharing action is recorded in the Events list, and the file appears in the Share From folder of the users who are receiving the shared file. Any file inside the Home directory can be shared with other users. When you set up the Share Settings, you can allow the other user to change or update the file or folder. This is called Write privilege and is enable by default. If you do not want to allow changes to be made to a file or folder that is shared, be sure to disable this by clicking to remove the check mark in the Write box of the Share Setting menu. See Sharing files on page 9 for more information. Also note that shared files and folders can be shared and linked to by the users that are sharing. How file sharing works File Sharing is used to share files with friends, coworkers and other people, even if they do not have a FileCruiser account. There are different ways to share files including the Share To and Share From folders that you control, and a Team folder that is managed by the administrator. These are used to share files with other account owners on your FileCruiser domain. You can also share files with people who do not have a FileCruiser account by creating Links to the files you want to share. 10

13 FileCruiser Product Manual Sharing files To share a file or multiple files with other users on FileCruiser, follow these steps: 1. For any file in the Home folder or other folders inside the home folder, click on the pencil icon and choose the Share option in the menu that appears. 2. The Share Setting menu appears. Use this to select users that will receive the shared content. 3. Click on the Invite icon. 4. In the new menu, type in the account name or names for FileCruiser users with which you want to share the file. 5. By default, the Write option is checked. If you do not want to allow changes to the file, click in this box to deselect it. 6. You can type a short message, but this is optional. 7. Click the Submit button to add the user to the Share list in the first Share Setting menu. (See Share Setting menu on page 12) 8. Add more users to share if desired, each user account appears listed in the Share list. 9. If you have mistakenly added a user, you can click the X in the Delete column of the list. Likewise you can change the Write privilege setting for any user before closing the menu. 10. When you have all the share settings in place, click on the Close button to finalize the file share. The shared file now appears listed in the Share To directory. 11

14 PROMISE Technology Share Setting menu Click to Add account for sharing Share Setting - Add User menu Enter account names for sharing Create a shared folder The easiest way to create a shared folder is simply to select or create the folder you want to share, right-click on it, choose FileCruiser and expand the menu to reveal the actions available, and select the Share this folder option. To Stop Sharing files or folders You can stop sharing any file that has been previously shared, just follow these steps: 1. Go to the Share To folder, click on the pencil icon and choose Settings. 2. The Share Setting menu appears. To remove the share, click on the Delete option for the file or files you want to stop sharing. Notice you can also use this to change the Write status for the file. 12

15 FileCruiser Product Manual Locking shared files File sharing is a convenient tool and applicable to many circumstances for professional and social sharing. However there are many concerns about protecting content integrity and the chance that some content might be permanently changed or removed. For this reason, files that you share can be protected. There are two methods of preventing unwanted changes to files that are shared. The first is to disable Write permission when sharing. Notice the Privilege option in the Share Setting menu when you add users to share. By default, shared files have Write privilege. This means that anyone who shares access to the file can make changes to the file and the change is then synced with FileCruiser, so everyone who shares the file will also have the file changed. If you want to prevent changes to the shared file, deselect the Write Privilege option by clicking in the Write box to remove the check mark. A file that does not allow changes is said to be write-protected. Keep in mind that users that are sharing a write-protected file can read or view and copy the file. If someone wants to change the file, they can simply save a copy with a different name and make changes to the copy. An additional alternative to changing Write Privilege is to lock the file. Any file in your Home directory can be locked, this is not only for shared files. The Lock status of a file has no relation to the Write Privilege status; it acts in a similar way but it is not exactly the same. If you lock a file in a shared folder, the file can be changed by other users who share the file, but the changes are confined to the local user computer. For locked files, changes are not synced to FileCruiser, so the changes one user makes are not synced to every user sharing the file. See below for instructions on locking files. Note Use Write Privilege and file Lock to prevent changes to shared content that you do not want changed or deleted. 13

16 PROMISE Technology To lock any file located in the Home directory or subdirectories, click on the pencil icon or right-click the file you want to lock and choose the Lock option. Locked files appear listed in your Home folder with a padlock icon indicating the locked status. Share Setting - Add User, Disable Write permission Adding Comments to files and folders You can add comments to files or folders. This is especially useful for collaborative projects to keep team members up to date on what is happening with the files, folders or projects the group is working on. Comments are added by right-clicking on the item and choosing the Comment option, then typing the comment in the entry space that appears, and clicking on the Comment button. 17 FileCruiser Product Manual Share from directory When shared content first appears in the Share From folder, a notice appears in the Events list. Go to the Share From folder to see the file or folder that is being shared. To perform any action such as opening the file, you must first Accept the Share. To download or open the shared file, click on the file and click on the Accept button in the menu that appears. Once you accept the share, you can perform other actions with the shared content. Share From file options The actions that can be performed with shared content include, Download, Share, Link, Copy, Comment and Decline (decline to share). Click on the pencil icon for the file or folder, and choose the option to perform from the list that appears. 15

18 PROMISE Technology Linking to shared content To share content under your control from FileCruiser, use the Link option. There are two ways to link to content, through an ed link, or by copying and pasting a link into a document or web posting. Link To link to content via , do the following: 1. Choose the files you want to link to, click on the pencil icon and choose the Link option. These can be located in the Home directory or any folder within the Home directory, as well as the Share From folder. You cannot link to content in a Team folder. 2. In the Link of menu you have the option to send the link in an . In this case, simply type the addresses in the Invite User space. For multiple addresses, separate each entry with a comma. If you want to protect the link with a password, you can create You can add a message in the Message space if you like. Click the Send button to the link. 3. The Link now appears in the Links directory. Note that the Link directory lists active links to content in folders you control. This is not a content folder. Copy Link to Clipboard If you prefer to put the link into a web page or another document, click on the Get Link button, a new menu appears. In the new menu, click Copy to Clipboard button to copy the file name and link for each file to your clipboard, this can then be pasted into another document, or web posting. 16

19 FileCruiser Product Manual Using the Team Folder The Team folder or folders (you can have multiple Team folders), are set up and managed by the FileCruiser administrator. The content in the Team folder is shared with everyone in the group. User groups are also set up and managed by the administrator. Content in the Team folder cannot be shared or linked, and write permission (the ability to change or update files) and file locking are also determined by the administrator. Files in the Team folder can be downloaded or opened by any user who has access to the folder. Team folders can be used for many purposes, such as posting updated software downloads (including the latest FileCruiser agent), for collaborative assignments, distribution of media, communication among group members, social sharing, etc. The policies for the group or individual files in the Team folder effect how the shared content is handled, who has access, and what type of access is allowed. If you have questions regarding the use or purpose of the Team folder, please contact the FileCruiser administrator for information. There are three basic types of file designation for the content in the Team folder: Locked files - Files that have been locked by the administrator can be used, copied, shared, linked, changed and deleted by user members of the team. However any changes that are made to the file remain isolated on the local device of the users. This file is not synced with FileCruiser. Write-only files - Write-only files can not be changed or deleted by the user. Write-only files can be linked, copied and shared. If you need to change the content of a write-only file, you can save it using a different file name, or copy it to a location outside the FileCruiser Sync File. Read-write and unlocked files - Read-write files, and unlocked files can be changed by Team users, and these files are synced with FileCruiser, so everyone in the sharing group will see the changes. FileCruiser maintains a log to track when files are changed and which users make the changes. 17

20 PROMISE Technology The Trash folder Files that are deleted when accessing FileCruiser through a browser via the User Portal go to the Trash directory. This functions basically the same as the Trash in Mac or Windows. The contents of the Trash folder remain there until being permanently removed. This way you can recover files that were mistakenly deleted while using the User Portal interface. To restore a file located in Trash, open the Trash folder, locate and select the file, right-click or click on the pencil icon, and choose the Restore option. 21 FileCruiser Product Manual How File Syncing Works FileCruiser is a secure private file synchronization and sharing solution. When you install the FileCruiser Agent on your Mac or Windows computer, a special folder is created on your local system that is duplicated and synced on the FileCruiser server. This means that any changes made to files in your local FileCruiser Sync Folder are also made to the duplicate folder on the server for your account. FileCruiser syncing and sharing The FileCruiser Agent includes various functions that allow you to easily share files with other FileCruiser accounts, or to a link for file sharing with Microsoft Outlook on a Windows computer. For more details on how FileCruiser works, please visit the FileCruiser FAQ page at the PROMISE website. FileCruiser App FileCruiser also has a mobile app for ios and Android devices. The FileCruiser Mobile App is available for download from the Promise webisite at: or use the keyword FileCruiser searching for Apps online. 19

22 PROMISE Technology Change FileCruiser Preferences Change FileCruiser agent preferences to suit your needs for language, syncing, network settings, bandwidth allocation, and other settings in the Preferences menu. To view the Preferences menu, click on the FileCruiser Agent icon and choose the Preferences option. Note The menu offerings and functions for the Mac and Windows versions are the same. 23 FileCruiser Product Manual Selective Sync - choose what to sync You can choose what to sync and what not to sync in the FileCruiser Sync Folder. Use the FileCruiser Agent Preferences menu deselect folders for syncing. These folders will remain in the FileCruiser Sync Folder, but will not be synced with FileCruiser. To choose files that you do not want to sync, follow these steps: 1. Click on the FileCruiser Agent icon and choose the Preferences option. 2. Click on the Advanced menu tab. 3. Click on the Selective Sync button. 4. Expand the menu tree to locate the folder or folders you want to exempt from syncing, and click in the selection box to remove the check mark for any folders you do not want synced. 5. Click the OK button when finished. 6. Click the Close button to close the Preferences menu. 21

24 PROMISE Technology General Preferences The first menu tab you see when accessing the FileCruiser Agent Preferences menu is for some general settings. Here you can choose to enable or not to enable the following: Show Desktop Notification - (enabled by default) When enabled, messages briefly appear on your desktop when data changes are made in the FileCruiser Sync Folder. These changes are all recorded in the FileCruiser Events log as well. Start on System Start Up - (enabled by default) When enabled, this will launch the FileCruiser Agent at system start up. If you have not unlinked FileCruiser, you will not need to log in. Enable AES Encryption - (not enabled by default) Check mark to enable Advanced Encryption Standard encryption. This is a commonly used data encryption method used for sensitive data. It encrypts data on the storage disks used by FileCruiser. Ask your administrator about using it if you are unsure. Unlink from FileCruiser To discontinue syncing the FileCruiser Sync Folder, you can quit running the agent, or unlink from FileCruiser. If you unlink, you will need to log in again. Shutting down your computer or quit the FileCruiser agent does not require that you log in again. To unlink the Sync Folder from FileCruiser, follow these steps: 1. Click on the FileCruiser Agent icon and choose the Preferences option. 2. Click on the Account menu tab. 3. Click on the Unlink this computer button. 4. Click the Close button to close the Preferences menu. 22

25 FileCruiser Product Manual Change Network Settings Change network settings in the Network menu tab of the Preferences menu. Change the proxy server settings and enter a password as required for your network. Consult your administrator if you do not know what settings to use. Change Bandwidth Settings To limit bandwidth for upload or download speed, use the Bandwidth menu tab in the Preferences menu. 23

26 PROMISE Technology Other Advanced Settings In addition to Selective Syncing, the Advanced Preferences tab is where you can change the locations of the FileCruiser Sync Folder or change the interface language of the agent. Change language settings To change language preferences for the FileCruiser Agent, click the Advanced menu tab and select the preferred language from the Choose Language pull-down menu. The interface language will change immediately upon selection. Change folder location To change the location of the FileCruiser Sync Folder, click the Advanced menu tab and click the Change button next to the Location field. Follow the instructions to choose another location or create a new folder for the Sync Folder. 24

27 FileCruiser Product Manual Install FileCruiser Agent To use FileCruiser for syncing, sharing and backing up files on your Windows or Mac computer, you first need to install the FileCruiser Agent. If you do not have the installation file, you can download it from the PROMISE website, or ask your FileCruiser administrator where to find the install file you need for the operating system you are running. Then follow the instructions below according to operating system. The FileCruiser Agent maintains a folder on your computer used for syncing with the FileCruiser server. This folder is created as part of the installation process. You are given the option of choosing a location for the sync folder, or you can accept the default location. Install Agent on Windows The installation file for the supported Windows operating systems is in the standard.exe self-executing file for Windows. Save the file to your computer and double-click on it to launch the Windows InstallShield Wizard. 1. In the first InstallShield menu, click on Install to begin the installation process. 2. In the Welcome menu, click Next to proceed. 3. You will be able to choose a location for the sync folder in another menu. 4. When the installation is completed, click on the Finish button. This will launch the login menu for the FileCruiser Agent. The FileCruiser Agent application appears in the Promise folder located in your All Programs menu list. 5. Follow the instructions in Log in to FileCruiser Agent on page 3. 25

28 PROMISE Technology Install Agent on Mac The installation file for Mac is contained in the familiar.dmg file. 1. Double-click on the FileCruiser MacAgent dmg file to mount the virtual FileCruiser drive. 2. Double-click on the drive to see the.pkg installation file. 3. Double-click on the FileCruiser MacAgent pkg file and follow the instructions as they appear in the installation menus. 4. In the installation process, you are given an opportunity to choose a location for the sync folder, or you can accept the default location. 5. Click on the Continue button in each menu to finish the installation. The login screen appears automatically. Upon completing the process, the FileCruiser Agent appears as an application in the Applications folder. 6. Follow the instructions in Log in to FileCruiser Agent on page 3. 26

29 FileCruiser Product Manual Microsoft Office Outlook Plugin The FileCruiser Microsoft Office Outlook plug-in is used as a convenient way to add FileCruiser file links into an or to place an attached file from an outgoing into the Sync Folder. The plug-in is supported for Windows operating systems using Outlook 2007 and Outlook It is not supported for Outlook Express. If you are using Outlook 2007 or 2010, ask your FileCruiser administrator where to find the plug-in installation file. Note You must first install the FileCruiser Agent for Windows on your Windows computer before you install the Outlook plug-in. Installing the Outlook Plug-in Make sure that Outlook is not running when you install the plug-in. Double-click the setup.exe installation file and follow the instructions to install the plug-in. Keep in mind that the installation can take several minutes. When the installation is completed, it will be necessary to restart the computer. When the computer has restarted, the FileCruiser Plug-in Setup Wizard launches automatically. Follow the instructions in the Setup Wizard menu to complete the installation. When the installation is finished, the plug-in can be used for new outgoing s. Using the Outlook Plug-in You can use the FileCruiser plug-in when creating a new . To Send Files from the Sync Folder In the Outlook new menu, click the FileCruiser Send Files button and select a file located in the Sync Folder to embed a link to the file into the . To Convert attached files and save them in the FileCruiser Sync Folder Create the new and attach the file or files as normal. Then click on the Covert button. The file attachment is then converted to an embedded link in a text box that explains the attachment. Again, for the receiver, this functions the same as a regular attached file in Outlook, the receiver can open it or save it. In addition to converting the file attachment to an embedded link, the file is also saved in the Sync Folder. When you install the plug-in, a new file appears in the Sync Folder called MailAttachment. In this folder you will find any files that have been converted to embedded links for FileCruiser. Each that uses the Convert tool will create a new time-stamped folder for the file attachments, these folders are located in the MailAttachment folder. Mail Attachments folder for Outlook 28
