1 Hello and welcome to the Texas Early Childhood Professional Development System s Orientation to the Texas Trainer Registry. This presentation has been designed to provide you with a detailed overview of the qualifications required for being listed on the Texas Trainer Registry, as well as an in depth review of the application process itself. This presentation will take approximately 30 minutes to complete and it is encouraged that you watch the full presentation before you proceed to begin the Texas Trainer Registry Application process. Additionally, you can also download a copy of the orientation script accessible at the bottom of this page. This document contains all of the slides and narration included within this presentation. 3 Now let s begin! In order to become listed on the Texas Trainer Registry, there are certain qualifications you must possess. This portion of the presentation will cover the qualifications you must possess in order for your application to be approved. Estimated Narration Time: 15 seconds 3
4 All applicants must meet 3 basic qualifications: 1. Must possess experience in the field of early childhood 2. Must possess education or training in early childhood core competencies 3. Must possess education or training in trainer core competencies In the following slides we will go over each of these qualifications in detail, as well as the additional qualifications that exist for those who are applying for the Professional levels. 5 First Qualification: Experience All applicants must possess at least 3 years of experience working with or on behalf of young children (ages birth to 8). This information is verified through your Resume, which you will need to upload during the application process. Please make sure that all relevant early childhood experience is listed on there along with the accurate start and end dates of these employment opportunities, so that we are able to easily detect the 3 or more years. 6 Second Qualification: Education/Training in Early Childhood All applicants wanting to become approved to provide trainings in topics that fall under the Core Competency Areas for Early Childhood Practitioners or Administrators, must provide us with evidence that they possess one of the following: 1. Have completed at least 12 college credit hours in early childhood or child development courses 2. Have a current and valid nationally recognized early childhood certification. Examples include CDA, CCP and Level I certifications, as well as Texas Teacher Certification for EC Grade Levels) 3. Have a degree in Early Childhood or Child Development If you have not obtained a degree, certification, or the minimum 12 credit hours, then you can also qualify by having completed a significant number of clock hours of training, and by significant, we mean 192 clock hours of training in the last 5 years. In order for these training hours to count, they must be in topics that fall under the Core Competency Areas for Early Childhood Practitioners or Administrators, and must have been provided to you by a reputable trainer or training organization. Please review the document titled Educational Qualifications for the Texas Trainer Registry available below, for more details. Estimated Narration Time: 1 minute, 45 seconds 6
7 Third Qualification: Education/Training in Adult Education All applicants also need to provide us with evidence that they have been taught or trained in how to provide effective training to an adult audience. Though we know many of you have been providing effective training already, the only way we can verify that you have the skills to do so, is by seeing evidence that you have either: 1. Completed a 3 credit hour course in Adult Education, Adult Learning, or Training & Development. This course can be completed at any point in time. 2. Completed 15 clock hours of training in topics that fall under the Core Competency Areas for Trainers (completed in the last 5 years). These core competencies address the knowledge and skills trainers should possess in order to be effective trainers, regardless of the subject or topic they are training. You can review these competencies, as well as the competencies for Practitioners and Administrators, on our Core Competencies page accessible through the left hand navigation menu. If you feel that you have not met this requirement and would like to locate resources for meeting it, please visit our PD Resources page and look through the Resources for Trainers listing. 8 Once a trainer has been approved, TECPDS staff assigns them a Trainer Level. The levels progress from Provisional to Master depending on the trainer s level of education and their experience presenting training. Estimated Narration Time: 20 seconds 8
9 Trainers who do not possess early childhood qualifications, can still apply to become Professional level trainers if they possess a certification or degree in the area in which they wish to provide training, as long as it s of relevance to the early childhood field. For example, trainers who possess a certification or degree in Business Administration, can apply to become approved to provide training in areas such as Establishing and Maintaining an Effective Organization. Another example would be a trainer who possesses a degrees in Nursing, can apply to become approved to provide training in areas such as Health, Safety & Nutrition. 10 Now that you know how one qualifies, it s time to learn what the application process consists of. The Texas Trainer Registry Application is an 8 part process. This next part of the presentation will cover all parts of the process in detail. Estimated Narration Time: 20 seconds 10
11 Part 1: Contact/Personal Information: In Part 1 of the application, you will be asked to input some pieces of contact and personal information. This information is only seen by the system administrator, however, you will have an opportunity to select the pieces of contact information that you want visible on the website during Part 2 of the application process. As with most standard forms, all fields denoted with a red asterisk are required and must be completed in order to proceed with the application. Estimated Narration Time: 30 seconds 11
12 Part 2: Search Preferences: In Part 2 of the application, you will be asked to select the pieces of contact information you would like others to see when they find you through the Search for Trainers/Trainings search feature on the website. This will allow those interested in your training to contact you by way of the methods selected. For example, if you only select Primary Phone, then the only piece of contact information visible will be your primary phone number. However, if your goal by being listed on the Registry is solely to meet your employers requirements and don t wish to be contacted by outside individuals, you have the option not to select any contact field. On this part of the form you will also be able to select the counties you are willing to travel to. Please note that you have the option to select all, however, most of the individuals who will contact to conduct training, may not have travel funds available, so we encourage you to select those counties that you can travel to based on your own resources. If you are having difficulties thinking about which counties are close to you, we have provided a link to a Texas County Map where you can see all the counties in Texas before making your selection. Once approved, you will have access to log into your account and make changes to any of these selections. Estimated Narration Time: 1 minute, 30 seconds 12
13 Part 3: Education Information: In Part 3 of the application, you will be asked to provide us with information and documentation about your educational qualifications. Here you will be able to input and upload information about your formal education, specific coursework, and credentials or certifications you may have that tell us how you are qualified to provide training to other early childhood professionals. Every achievement you list, must have an uploaded document attached to it so that we can verify the information provided. Please keep in mind that we look at all of this in order to determine if you qualify to be listed on the Texas Trainer Registry, so please make sure you have electronic copies available of all your educational achievements before you begin this process. 14 Part 4: Training Information: In Part 4 of the application, you will be asked to provide us with information and documentation about any early childhood trainings or conferences you ve attended in the last 5 years. This part is extremely important for those who have not completed any formal education or obtained any certifications in early childhood or child development. As long as an applicant has participated in numerous training hours (192 to be exact), they can qualify to be listed on the Texas Trainer Registry. Again, keep in mind that any training, workshop or conference you list on this page, must be supported by a copy of a certificate and we will only review those trainings, workshops or conferences that have taken place in the last 5 years, so no need to document any other trainings. If you feel that you have not met the educational or training requirements, please visit our PD Resources page to find out about available training resources. 15 Part 4 is also where you will list any training or coursework you have completed in Core Competencies for Trainers. As you ll recall from the Qualifications Information, every trainer must provide us with documentation of trainings or coursework they ve completed that helped prepare them as a trainer. If you are unsure about whether the training or coursework you completed falls under any of the core competencies for trainers, you ll be able to click on the Core Competencies for Trainers hyperlink and it will open up the document for you to review. 16 Part 5: Experience Information: In Part 5 of the application, you will be asked to provide us with information about your experience working in the early childhood field. Here you will tell us your total number of years working with or on behalf of children ages birth 8, and your specific number of years working in different settings and with different age groups. In addition to your experience working with young children, we also want to know about your experience presenting trainings to adult audiences, whether to your own staff or co workers, or others. Please select the approximate number of hours of training you ve presented in each of these settings in the last five years, as this number will help us determine what Trainer Level you ll be assigned. Remember to make sure to have a digital copy of your resume available, as here is where you will be uploading it for us to review. You will also need to provide us with 3 letters of recommendation. 2 written by references you know you professionally and 1 written by a representative of an agency or organization for whom you have provided training. If you have not yet provided training, the third letter can also be written by a professional reference. Once you obtain these letters you will have the ability to upload them to this part of the application. Estimated Narration Time: 1:30 minutes 16
17 Part 6: Training Proposal: In Part 6 of the application, you will be asked to submit one training proposal for a training in a Core Competency Area in which you d like to become approved. The details added here must meet certain criteria that are listed in the Training Proposal Score Sheet. Please pay particularly attention to the requirements for the Training Description and the Learning Objectives, as these are 2 that frequently need to be re submitted due to not meeting requirements. For additional support, we have also made available a sample Training Proposal form for you to review. In addition to the details that will be included on the website, we also need to receive an Instructional Plan and a sample of a handout you would provide to participants during this training. Both a sample and a template for the Instructional Plan are available as well. Though you are only required to submit one training proposal for the purposes of applying, once approved, you are free to submit as many additional proposals as you like, however, please know that all are subject to approval based on your qualifications. When training proposals are approved, you become approved to provide any training topic that falls under that Core Competency Area. Estimated Narration Time: 1 minute, 30 seconds 17
18 Part 7: Trainer Agreement: In Part 7 of the application, you will be asked to agree to a series of statements adhering to our code of ethics and guiding principles. In order to complete the application, you must agree to each of these statements. If you would like to review the Trainer Agreement before proceeding to the application, please contact us for a copy. Once the Trainer Agreement has been signed, you will then be able to proceed to the final part of the process paying the application processing fee. This non refundable $40 processing fee is made payable online through secure debit/credit transaction. As soon as your payment is received, you will receive a confirmation . At this point, your application is complete and you will be notified by the System Administrator once it has been reviewed. Please anticipate approximately 3 4 weeks review time, depending on the influx of applications. Estimated Narration Time: 1 minute 18
19 Now that you have reviewed both the qualifications and the application process, we want to let you know what to expect from the review and approval process. Once your application is reviewed and approved, you will receive an informing you of your trainer level and number and a welcome packet in the mail that will consist of the following Estimated Narration Time: 20 seconds 19
20 1. An official welcome letter with a punch out wallet sized ID Card. This letter will also contain information about your online TECPDS account. 2. A copy of the Texas Core Competencies for Early Childhood Practitioners and Administrators that can be used to guide the development of future trainings 3. A lapel pin with the TECPDS logo 4. A CD with optional templates to use, such as for: certificates, evaluation forms, sign in sheets, etc. In addition, your name and approved training proposals will become visible on the website, through the Search for Trainers/Trainings page. If for some reason you are not approved, then you will receive an detailing what is still missing in order to approve your application. All applications remain on file for one year before the information is securely discarded, so you ll have plenty of time to provide us with the missing pieces in order to become approved! 21 As mentioned before, your welcome letter will contain instructions on how to access your online account. This account will enable you to: 1. Submit new training proposals 2. Submit announcements you d like to see visible on the News & Announcements page of the website 3. View training evaluations submitted by Texas Workforce Registry account holders who have participated in your trainings 4. Access templates and resources specific to trainers 5. Access your online renewal form Estimated Narration Time: 30 seconds 21
22 Every 3years trainers are asked to renew their application in order to remain active on the Texas Trainer Registry. The renewal process consists of completing an online renewal application form, where you inform us of what you have been up to in that 3 year period. In order to qualify for renewal you must demonstrate that you have: Estimated Narration Time: 20 seconds 22
23 1. Actively been conducting training during those 3 years and provide us with information about the trainings conducted. In order to renew, you must present a minimum of 36 hours of training during that 3 year period 2. As well as actively been participating in training during those 3 years and provide us with information and documentation verifying these trainings. In order to renew, you must attend at least 20 hours of training: 12 in topics that fall under the Core Competency Areas for Practitioners or Administrators and 8 in topics that fall under the Core Competency Areas for Trainers. And lastly, there is a $25 non refundable processing fee that must be paid. Once your renewal is approved you become active for another 3 years and will receive a new letter and ID card with your new renewal date. If you chose not to renew or your renewal deadline lapses, your account will become inactive, which means that you will not be able to log in to your account, and your information will no longer be visible on the website. Once you renew and it becomes approved, your account will become active again and all goes back to normal. You will not need to re apply. Estimated Narration Time: 1 minute, 30 seconds 23
24 So now that you know what it takes to become listed and remain active on the Texas Trainer Registry, you might be wondering, what are the benefits? The first and most import thing we want you to know is that the TECPDS is a voluntary system and trainers are not mandated to be listed on the Texas Trainer Registry. However, if you choose to apply and become a registered trainer, we feel that there are many benefits, such as: Estimated Narration Time: 30 seconds 24

The trainings that you present will count towards the licensing hours of any participant who works in a child care setting regulated by DFPS based on their standard on the qualifications of trainers 2. You will become a part of a group labeled as quality trainers 3. Being listed on the Texas Trainer Registry can serve as a marketing tool, enabling others to see what training you offer and be able to contact you, if interested 4. Statewide early childhood conference organizers are prioritizing using Registered Trainers to present at their conferences and as we become aware of these presenter opportunities, so will you! 5. We also host a yearly Trainer Reception, and if approved, you too will be invited to participate in this annual event, where you will have an opportunity to meet/greet others in your field, and we get to celebrate you and all the work you do which impacts the quality of early care and education Estimated Narration Time: 1 minute 25
