3 GROUP BOOKING SERVICE FREQUENTLY ASKED QUESTIONS It is our aim at LIME to make our group booking process as quick and easy as possible. Here are some of our most frequently asked questions. If you have any other queries, please don t hesitate to contact us. Q. How do I register for Groups? A: There is no application process for our Groups Booking Service, so you can register instantly at lime-management.com. However you must hold an ATOL licence to book groups through LIME. Q. How can I arrange payments? A: We prefer payment by direct debit (DD authorities are available upon request), but can accept cheques or bank transfers by prior arrangement. N.B. credit/debit card transaction fees apply. ONLINE GROUP BOOKING SERVICE 3

4 Q: What deposits do I need to pay, and when? A: Deposits are 20% of the nett fare (or 25, whichever is greater). You will be ed a Group Booking Confirmation (GBC) which will advise deposit amounts and due dates. Booking time prior to departure Over 20 weeks From 20 weeks to over 13 weeks From 13 weeks to over 8 weeks 8 weeks or less Deposit Due Date 2 months after confirming the group 12 weeks prior to departure 1 week after confirming group Full payment within 24 hours Q: When do I have to pay the balance? A: Balance payments are due 6 weeks prior to departure, unless otherwise stated. Q: How many passengers constitutes a group? A: British Airways define a group as: 10 or more in World Traveller or Euro Traveller 7 or more in World Traveller Plus, Club World or Club Europe 4 or more in First (or equivalent cabins on other airlines) ONLINE GROUP BOOKING SERVICE 4

5 ONLINE GROUP BOOKING SERVICE Q. If my group size is reduced, will I lose the deposits paid? A: If the decrease is no more than 20% of the size of the group, then deposits are not lost, and will be offset against the remaining balance. If the decrease is more than 20%, then the deposits for all returned seats will be forfeited. Q. Can I make changes to the group? A: We can help with most changes, i.e. adding domestic flights, upgrades, group members travelling on different dates, etc. After tickets are issued however, no changes to the itinerary are possible. Name changes can be made free of charge before ticketing, but once the booking has been ticketed, operators are subject to a fee of 55 to make name changes and reissue tickets. Splits (occasions when passengers are divided from the main group booking) are permitted as long as the minimum group size are travelling altogether on one flight. Q. When and how will I get the tickets? A: We will need to know all passenger names, API and ECD one week prior to departure at the latest. When full payment and all required information are received then agents can ticket bookings via the website. Q. What if my group needs visas? A: It is the responsibility of the Group Organiser to arrange the necessary documentation needed to gain entry to the destination country. Visa and passport requirements can be checked via batraveltrade.com Q. What is the seating policy for a British Airways Group Booking? A: Group seating can be requested up to eight days prior to departure, a block will be assigned to the group for you to allocate the seats. Q. Can a group passenger use a Self-Service Check-in Kiosk at the airport? A: Group passengers are permitted to utilise the Self-Service Check in Kiosks at their departure airport..
