1 Marketing The marketing system has been developed to your agent/office database on all newsworthy events and properties that you would like to market. This is an extremely powerful tool and it can save you thousands of dollars on marketing costs. At the same time it could and will make you look unprofessional if you did not capture your contacts details correctly. Always make sure that you capture a contact s first name and surname correctly. The marketing system will personalize your flyers / templates and will use the same format that you have captured your contacts details in to populate the flyers / templates / newsletters when you send it out. Harcourts have created several templates and snippets that have been loaded into the H1 system. Using these effectively takes practice and know-how. The marketing system has several information tabs that can be used to explain the usage and functionality of the system. We encourage you to read these tabs when using the H1 system. Templates vs. Snippets You can access the marketing section by clicking on the link found on the top blue tool bar of Harcourts One. Several screens will appear. For the purpose of this manual we are going to discuss the Custom Mail-Out function. Click on the screen that looks like the one below to start the exercise. The system will open a screen that will have a search function on the left hand side and several templates on the right hand side of the screen (see screen shot on next page). Here you can display templates created by Harcourts, your office or yourself. For this exercise please ensure that you are viewing the templates that have been created by Harcourts. The search function on the left hand side will have two sections named Templates and Snippets. Templates are full templates that can be sent out as is. Templates can be used as is and sent out without changing anything on it. Snippets are a certain portion of any template and can be used when creating your own templates. Using the snippets you can create a template consisting of several snippets that have been created by Harcourts. The screen below will also allow you to do an easy search for templates and snippets that has certain wording in them. In the empty area you can type in the word listing and all the templates that have the word listing will appear.
2 Repeating this on the snippets section will allow you to search all snippets with certain contents. Now that the difference has been explained between snippets and templates, we can start using a set template to explain the functionality and ease of use. Using Templates We want to send out a template to a certain amount of people in our contact database. The template that we are looking for is a just listed template. In the search function we type new for new listings. Make sure that the search function is set on Harcourts templates and click on search. Several templates with the wording new will appear on your right hand side of the screen. The template that we want to use is Residential New Listings. You can generate a preview of each template by placing your cursor on the send button on the right hand side of the flyer. Once you are satisfied that this is the template you want to use click on the send button to commence the process. The following steps will almost always be applicable on all marketing material send out from your H1 system. On the top right hand corner are the steps that will be followed and that are applicable for the template you are using. Step 1 On the screen below you will find two information buttons. By placing your cursor on these you will get more information about the step. In order to select the property/properties that you want to include in the click on the red set link.
3 The system will open a list with all the properties on your H1 system. The screen shot below needs to be explained in order to make your selection and searching your properties easier. You will notice that the information button assists in explaining this screen. At the top of the screen you will find a drop down box that contains your saved searches. Below this box there will be an indication on how many properties can be added to this template, and you can slide the red triangle to increase or decrease the number to include in the . The next part of the screen has four selections Just Mine / My Office / Hide Disabled / Show Disabled. Clicking on Just Mine will change the screen and only show the listings of the person logged into H1. Clicking on My Office will show the office listings. Hide Disabled will remove the listings from the screen that do not comply with the standards needed to populate the flyer (photos and publishing text). Show disabled will show all the properties even if they do not comply with the criteria for the template, these properties will be shown in light grey and cannot be ticked / selected. There is also a search box that allows you to search for a property by typing a part of the address in and pressing enter. The system will search for all properties matching the wording that was entered. Clicking on the address will add the property to the list of properties to be included in the campaign. Once you have selected the properties you need, save the selection by clicking on the save button at the bottom of the screen.
4 At this point you will return to step 1 and it will have populated the area where you had to set your listings. You will see the address of the first property selected and the number of other listings included. To make any changes at this point you can click the red change link to return to the property search screen. You now need to set your Listing Display Options to populate your template with the information of the listings that you selected. Please note that if you select Price or Address these details will appear in the marketing campaign you send. By selecting the Sales Consultant Details box the listing agents name and contact details will appear under each property. By checking the Public Website Links box this will add links to the Harcourts Public website and allow the recipient to click through to the properties. Step 2 The system will allow you to choose the recipients that will be receiving this marketing template. On the left hand side of the screen you will have all your contact groups. You can add individuals from your contacts by searching for them in the choose contacts search box. To see the individuals who are going to receive the you can click on the view full list link found above the recipient list box on the right hand side. At this point you can elect to remove someone from receiving the , this will not remove them from the group they belong to or prevent you from ing them in the future. Note that the two information tabs can guide you through this step. In this instance we want to send the selected properties to the Attorneys group. Click on the group Attorneys and then on the Add button in the middle of the screen to add the group to the recipient list. You will be able to select more groups by ticking on the group and click on the Add button. Business Owners have the option to the databases of the Sales Consultants in their teams. Clicking on a consultants name and adding them to the recipient list will not add the consultant as a recipient, but all their contacts that are in their contact database. three. 5 If your recipients have not got an address or the property was sent to them previously the system will warn you. The system will identify those recipients that have already received an with one of these properties. The option to send the property again to the recipient will be required. Step 3 It is now time to personalise your template. The system has already got a pre set heading. The only merge field in this heading is the name. A merge field is a field that extracts information from the contact / staff in the H1 system to populate into the . By clicking in the text box you will be allowed to edit, add or delete text. The drop down box Insert Special Text has two sets of merge fields that can be added into your message. The top part is applicable on your contacts information. The bottom selection is applicable on your staff fields. Keep in mind that if you select some of these merge fields and your H1 system has not been populated with the information that blank spaces will appear where the information should have been taken to. If you capture a name in lower case letters in your contacts the name in the will populate with the same format. Below is an example of all the merge fields. Once you have selected a merge field click on the right hand side next to the drop down box to add it where your cursor is placed in the text box.
6 At this point you can also add attachments to the if there is a document you wish to be sent with the marketing campaign. To add a document you click the attachments blue button and can browse for where the file is located. The next step in the process will be to preview the template and you will be able to go back and edit the text should you want to make changes. Click on the next button in the top right hand corner to go to step 4. Step 4 Preview your template. If you want to edit the template click on Back and change what you are not satisfied with. You can go back up to step one of creating this marketing template. Once you are satisfied with the template you can press send.
