2 WELCOME OUR PHILOSOPHY IS THAT USING A LEASEPLAN CAR SHOULD BE EASY. IT S EASY FOR YOU BECAUSE, ON BEHALF OF YOUR EMPLOYER, WE DEAL WITH PRETTY MUCH ALL THE PAPERWORK TO DO WITH YOUR CAR. This brochure, Your Company Car, here in front of you serves as your road map, making the journey easier for you. We recommend reading it all the way through and then keeping it handy for reference in case you need to check up on anything in the future. There s more information for drivers on our website, leaseplan.se. We hope you enjoy driving with us at LeasePlan! Some of the features described in this brochure may not be included in your employer s agreement with LeasePlan. We recommend checking what is and isn t covered with your employer or with us at LeasePlan. 2

4 TAXATION OF BENEFITS If you pay the cost of your company car via a net deduction from pay equivalent to the size of the benefit value, and the remaining cost via gross deduction from pay, no taxable benefit is incurred. But how you pay for your company car depends on the set-up your employer has chosen. A taxable benefit arises if you drive a car that you are able to use due to your employment or conditions of work for private use. If, on the other hand, you only use the car for private use to an insignificant extent, no taxable benefit is incurred. According to the Swedish Tax Agency, insignificant extent means that the car is used a maximum of 10 times a year with a total distance driven of a maximum of 1,000 km. Both these conditions must be satisfied to qualify as tax exempt. Note that journeys to and from work are normally counted as private driving. To avoid a taxable benefit, you must be able to show that the car has only been used for private use to an insignificant extent. This is usually done by means of a carefully kept driving log. If you have any questions about taxation of benefits, we recommend contacting the Swedish Tax Agency or visiting their website at www. skatteverket.se. The value of the benefit must be equivalent to the saving an average recipient of the benefit makes from the car benefit compared with owning the car him or herself. More information about cars as a taxable benefit is available on the Swedish Tax Agency s website, where you can also calculate the value of the benefit. 5 SERVICE AND MAINTENANCE As the driver, you are responsible for ensuring that your company car undergoes service and maintenance as set out in the car s service book. When a service is due, you should contact our Call Center to book an appointment with a garage. When you collect your car, it is important that you check that the garage has stamped and signed the service book. If you encounter a technical problem with the car, you should contact our Call Center for information and advice. This also applies in the event of damage or in the event of an accident. If you need to find a garage when you are abroad, please contact LeasePlan in Sweden for information. The phone number is Hire car during service/maintenance If you need a hire car while your car is being serviced, following damage or while awaiting delivery of a new company car, contact our Call Center who will help you to book one. However, please check first with your employer that a hire car is included in their agreement with us. All ongoing issues to do with your company car, such as damage, service/repairs, changing tyres, etc. are handled by our Call Center. Remember that as well as phoning or ing us, you can also contact our Call Center using our LeasePlan app, available for iphone and Android. At least once a year, we will ask you for your current mileage to check that your actual distance driven matches that budgeted. Your company car may only be used for normal use, not for driving in competitions. Nor may it be customised. Your car may be driven in the Nordic countries without special permission from us. Travel outside the Nordic countries, however, requires a certificate, which must be ordered from us. There is more information about this later in the brochure. LeasePlan Call Center

6 WINTER TYRES When you order a new company car, you have the option of choosing the type of winter tyres you want. You can choose studded or friction tyres and for most car models winter tyres are delivered with LeasePlan s aluminium rims. If your car is delivered in the winter, we will order winter tyres for you and make sure they are fitted to your car on delivery. If the delivery of your car takes place in the summer, you will normally be contacted by one of our tyre suppliers with confirmation that winter tyres have been reserved for you at a particular garage. In some cases, winter tyres may be provided loose in the car on delivery. If this is the case, you can take them to be stored by one of our partners yourself. If, for some reason, no winter tyres have been provided for your car, please contact our Call Center immediately. Once your car has been delivered, check that the wheel nuts/bolts and caps for winter and summer tyres are included. It is also important to take these with you to the tyre garage. If you need to change a tyre or need help with balancing tyres or any type of repair, please contact our Call Center or one of our partners. When it s time to change the tyres, you can book an appointment yourself with the tyre garage storing your summer/winter tyres. You can also contact our Call Center to book an appointment. To book an appointment with a tyre chain, please contact our Call Center on or When do I need to switch to winter tyres? According to the Swedish National Road Administration, the following applies: Winter tyres Cars, light trucks and buses with a maximum total weight of a maximum 3.5 tonnes and trailers towed by these vehicles must be fitted with winter tyres or equivalent equipment from 1 December to 31 March when there are wintry conditions on the road. Studded winter tyres It is permitted to drive with studded winter tyres during the period 1 October 15 April. At least 3 mm tread depth A tread depth of at least 3 mm is required on tyres used in wintry road conditions during the period 1 December 31 March. This requirement applies to tyres for cars, light trucks and buses with a total weight of a maximum 3.5 tonnes and trailers towed by these cars. REMEMBER THAT ROAD CONDITIONS WILL DIFFER IN DIFFERENT PARTS OF THE COUNTRY AND SAFETY IN WINTER TRAFFIC DEPENDS ON YOUR DRIVING AND YOUR CAR S SAFETY EQUIPMENT. BESIDES KEEPING TO THE RIGHT SPEED, IT IS IMPORTANT TO KEEP YOUR DISTANCE FROM THE VEHICLE IN FRONT AND ADAPT YOUR DRIVING TO THE ROAD CONDITIONS. 6

7 CAR SAFETY INSPECTION As a driver you are responsible for making sure that your company car is put in for its safety inspection (bilbesiktning) when this is due. However, we will send you information about the safety inspection in good time before the due date, accompanied by an inspection voucher. Hand this voucher to the business you have chosen to carry out the safety inspection. You book your inspection appointment yourself but, if you wish, you can also contact our Call Center and they will book an appointment for you. If you do not have the car inspected by the due date, the car will be banned from being driven and your employer will be informed of this. LeasePlan Call Center PARKING FINES As the driver, it is your own responsibility to park your company car in accordance with the parking rules in force. If you receive a parking fine, you must pay it immediately, even if you think it is wrong and intend to appeal. If you wish to appeal against a parking fine, you need authorisation from the owner of the car, i.e. from us. To request authorisation from us, send an enquiry by to including the following details: Your name Address Registration number Parking fine reference number It is important that you pay the parking fine even if you have appealed or intend to appeal against the fine as these cases can take a long time to resolve. If your appeal results in the parking fine being waived, the parking fine will be reimbursed. CONGESTION CHARGE Stockholm If you drive into or out of inner city Stockholm on Monday Friday between a.m. and 6.29 p.m., your car will be charged the congestion charge. We administer the payment of the congestion charge and report this to your employer. Gothenburg If you drive into or out of inner city Gothenburg on Monday Friday between a.m. and 6.29 p.m., your car will be charged the congestion charge. 8 ALWAYS REPORT THE DAMAGE TO OUR CALL CENTER, INSURANCE We have put the claim form on our website at leaseplan.se. Keep this form in the vehicle in case something happens during the journey. In the event of an accident, you must always report it to our Call Center on Information on what to do in various situations is provided below. Windscreen damage If a stone damages your windscreen, you should get it repaired as soon as possible. Water and dirt expand with temperature changes so a small stone chip which is not repaired will soon become a large crack over time. And mending a stone chip rarely takes more than 30 minutes compared with replacing a windscreen, which often takes a whole day. Put a stone chip plaster on the windscreen as soon as the damage occurs and contact our Call Center who will help you by telling you where to take the car and what is covered by your insurance. Theft If your company car is stolen, you must always contact the police on to report the theft. Then you should immediately contact our Call Center. Break-in/damage/parking damage If any of the above occur, you must always contact the police on to make a police report. Then contact our Call Center for help making an appointment with a garage and contacting the insurance company. So that you spend as little time as possible without your car, keep in touch with the garage for information about when your car is ready to be collected. Collisions with another vehicle If you are involved in a collision in your company car, use your claim form. Complete the front page of the claim form with the other party and sign it. It is important to get all the details but avoid discussing the question of responsibility on the spot; leave that to us and the insurance com- 8

9 pany. Do not make an amicable agreement with other parties involved. In the event of personal injury, you must call the police. Once you have filled in the first page of the claim form, each party should take their copy of the form. Then fill in the back page in peace and quiet at home and send the form to us as soon as possible. Contact our Call Center for instructions and for help with booking an appointment at a garage for repairs. So that you spend as little time as possible without your car, keep in touch with the garage for information about when your car is ready to be collected. Collisions without a third party Contact our Call Center for help making an appointment with a garage and contacting the insurance company. Collisions with animals Collisions with large game animals should always be reported to the police. If you have run over a pet or a reindeer, you should report this to the owner or the police. Remember you can use our iphone and Android app to report some kinds of damage. That helps us start your claim more quickly and reduces the processing time. Note, however, that you may also need to fill in the claim form, e.g. in the event of a collision with another party. Remember that you can also use our app to attach photos to your claim report. Mechanical breakdown insurance Mechanical breakdown includes damage/ faults that have occurred in the engine, manifold, turbo, climate control, ignition, generator, fuel system, transmission, steering gear, brake servo, control and regulation system for ABS brakes, air bags including control system, etc. Contact us to find out what applies to your car and your insurance. 9

10 DRIVING ABROAD Always check with your employer that you are allowed to drive the vehicle abroad. Then contact us to obtain the documents you need. So that we can guarantee that you receive your documents in time, we need to receive your order no later than three weeks before you travel. When you travel, you should always carry your: driving licence (make sure that it won t run out while you are away) registration certificate permit to travel abroad green card (only applies in certain countries) The green card shows that the car is third party insured and that it is covered for damage you may cause to others on the roads. If the vehicle is insured with another insurance company, please contact that company. If you are not sure which company your vehicle is insured with, we will be happy to help you. 11 REMEMBER We have listed the things it is important to remember below. Report any damage to our Call Center. If your car is insured by a different insurance company, we will help you contact them. Always tell our Call Center if the amount you will actually drive will differ from the calculated distance. Costs that arise and are not covered by the agreement will be charged via your pay in arrears. Information on returning your company car will be sent to you in good time before your agreement runs out.
