1 1 System: Using CounterPoint Using Account Management Overview Account management is designed especially for the busy credit manager and customer service rep to allow you to quickly see just the information you need and quickly get your work done. It provides a convenient single menu selection from which you can view, maintain, and print customer account information. For more information on setting up CounterPoint to use account management, see Customers Control.
2 Customers: Using Customers Using Account Management 2 Using Account Management Select Customers / Account management. You can access a particular customer by either entering the customer number or using LookUp (F9). Alternatively, you can locate the customer for a specific invoice by pressing F2 to switch to Invoice# mode (where you can enter a specific invoice number, and the system will determine the customer). If a note exists for this customer with the note ID specified for Auto-display note ID in Setup / Customers / Control, that note appears automatically.
3 Customers: Using Customers Using Account Management 3 Once you have identified the customer, you can view customer information, customer notes, credit information, and aging. When an existing customer is displayed, press: F1 F2 F4 F5 F6 F7 F8 F9 To view or work with open and closed items (A/R charge customers only). (See the Working with open/closed items section on page 4 for more information.) To edit customer credit information (See the Editing customer credit information section on page 5 for more information.) To print a statement for this customer (A/R charge customers only). (See the Printing a statement section on page 5 for more information.) To view customer notes To view a customer Zoom window (See the Viewing the customer zoom window section on page 6 for more information.) To age the customer s account (A/R charge customers only) To view customer history To view an image, sound, or video of this customer
4 Customers: Using Customers Using Account Management 4 Working with open/closed items Press F1 at the main customer view. Press: F1 F2 F3 F4 F5 F6 F7 F8 To switch between open and closed items To change the order in which documents are displayed (Date/document #, Apply-to #/date, or Document #/date) To print an invoice. Available only if the highlighted document is found in ticket history. CounterPoint will attempt to determine if the document originated in Order Entry or Ticket Entry, and print the appropriate form. To print a statement for this customer To view customer notes To view a customer Zoom window To jump to a particular document by entering information specific to the current sort order (e.g., when documents are sorted by Date/document #, jump to a particular Date; when sorted by Apply-to #/date, jump to a particular Apply-to #, etc.) To view customer history
5 Customers: Using Customers Using Account Management 5 Editing customer credit information Press F2 at the main customer view. Enter the information in this pop-up window in the same manner you would in Customers / Customers. Printing a statement Press F4 at the main customer view. NOTE: Pressing F4 takes you to the same screen you would see if you selected Customers / Month end / Statements, with the following settings: Field Statement period start date Statement period end date Statement disc date Statement due date Entry Last statement start date Current system date Last statement disc date (or None) Current system date (if valid; otherwise, last statement due date) * Customer range Single customer you were viewing in account management * In order by Customer number Sales rep Statement group Finance charge code * Open item options Same as last time statement parameters were saved Customers with bals Comments Form * = Protected field that can only be changed by authorized users Same as last time statement parameters were saved Same as last time statement parameters were saved
6 Customers: Using Customers Using Account Management 6 Printing statements from account management does not update the customer file, except for aging information and Average days to pay. Last statement information for the customer is not updated. When statement printing is complete, you are returned to the account management screen. Viewing the customer zoom window Press F6 at the main customer view. While the customer zoom window is displayed, press: F1 F4 F5 F7 F8 F9 To view or work with open and closed items (A/R charge customers only) To view customer profile information To view customer notes To age the customer s account (A/R charge customers only) To view customer history To view an image, sound, or video of this customer
