1 Time Clock Simulator Thank you for your interest in the Accu-Time Systems Time Clock Simulator for Workday. The simulator is designed to allow Workday employees the ability to demonstrate the ATS clock functionality and Time Tracking integration. Once you have created an account you can create Virtual Clocks that connect to a Workday tenant. With an integration endpoint and proper credentials the Virtual Clock will send clocking transactions into the designated tenant. The employees available are based on Global Modern Services. Ben Adams employee ID number is frequently used. This is the help guide for the ATS Universal Series time clock simulator. This guide contains information regarding the simulator itself as well as navigating this site, and troubleshooting issues. This simulator is currently configured to connect exclusively to Workday. If there is demand in the future this can be expanded to connect to PeopleSoft and/or other WFM platforms. An additional troubleshooting and more in-depth manual are also available. 6 1.0 Login 1.1 Changing the Language There are currently six available options for the simulator: English, French, German, Spanish, Italian, and Portuguese. To select a language other than English, simply select the corresponding link. The language will be displayed until you log out. 1.2 Logging In To log in, enter your username in the first box provided, and your password in the second, and click Submit. Upon successful login you will be redirected to the Main Menu. 1.3 Issues If there are any issues with the login then the username and password field will be cleared. Possible issues include: Incorrect Password Locked Account The Username does not exist 1.4 Report a problem To report a problem of any kind click this link and submit a description on the issue encountered. 1.5 Connections to other pages From the login screen you can move to the Register page to register to use the system. Alternatively, the Forgot Username and Forgot Password links will allow you to recover account details. Logging in with your username and password will direct you to the main menu. If you are experiencing any issues, the Report a Problem link will open a page where you can describe your issue. 6

7 2.0 Register This page is the ideal way to add a new user to the system. New users can also be added by admins directly on the User List page. 2.1 Filling out the Form To register as a new user, please fill out all of the required information. Fields Description Firstname* Lastname* * Phone Organization Username* Password* Confirm Password* First name, given name, chosen name Last name, surname, family name This must be a valid address. We will use it to confirm your account. Please confirm it is in the following format xxx@xxx.xxx. If you are unable to receive registration s, be sure to remove TimeComAdmin@accu-time.com from your spam filter. This is an optional field. Please be sure to include area code or country code for international numbers. Another optional field, this is the organization you represent or the organization interested in the timecom solution. This username will allow you to log into your configured simulators. It will be displayed above the navigator menu, which is shown on all pages after you ve logged in. This is your secure and secret password, which allows you to log in. There are no restrictions on length or character content. Feel free to use any password you feel comfortable with Please retype your password to verify no errors were made. 7

8 NOTE: The fields followed by asterisks are required Information Validation There are several types of validation used to process this form. If there is an error or some criteria are not met, the error will be displayed in red above the Submit button at the bottom of the form Encountering Errors All required fields must be filled out. Duplicate usernames are not allowed, so be aware that your desired username may already be taken. The address must also be in the format described above. 2.2 Connections to other pages Successful registration will redirect you to Registration Successful page Registration Confirmation This page is seen directly after successfully completing registration. If you are seeing this page, it means that your registration details are currently being processed and are pending approval Notification It also means that a confirmation is being sent to the address you provided. Before your registration will be approved you must first click the link in your confirmation Connections to other pages From this page you are free to close the window until you are notified by that your account has been activated. You can also use the link on the page to return to the login page. 4.0 Forgot Username This page is accessible from the login page. The link is below the submit button and next to the Forgot Password link. From here you can request a reminder with your username in it. 4.1 Filling out the form Be sure to use the same address that you registered with. 4.2 Encountering Errors If you are unable to receive reminder s, be sure to remove TimeComAdmin@accutime.com from your spam filter. 8

9 4.3 Connections to other pages If your username is successfully sent via you will be redirected to the Forgot Username/Password confirmation page. From there you will be able to return to the login screen using the link provided. 5.0 Forgot Password This page is accessible from the login page. The link is below the submit button and next to the Forgot Username link. From here you can request a reminder with your password in it. 5.1 Filling out the form Be sure to use the same address and username combination that you registered with. If you cannot remember your username either, there is a Forgot Username page available from the login screen. 5.2 Encountering Errors If you are unable to receive reminder s, be sure to remove TimeComAdmin@accutime.com from your spam filter. 5.3 Connections to other pages If your password is successfully sent via you will be redirected to the Forgot Username/Password confirmation page. From there you will be able to return to the login screen using the link provided. 6.0 Forgot Username/Password Confirmation This page is seen following a successful request for a reminder Connections to other pages From this page you can use the link provided to return to the login page. 7.0 Main Menu This is the main menu. It is the first page seen following login. It is also always accessible while logged in via the Main Menu link in the navigator menu in the upper right of the screen. 7.1 Views There are two different lists of option links depending on the permissions of your account Standard View Most users will see the standard view of links. This is different from the admin view in that it does not have as many options. 9

10 7.1.2 Admin view Currently the User List page is the only page which admins have special access to which standard users do not have access to User List From the User List you are able to view and edit all users in the system. More information is available in the User List section Configured Time Clock Simulators From the Configured Simulators you are able to view and edit all Time Clock Simulators in the system. More information is available in the Configured Time Clock Simulators section Edit Information From the Edit Information page you are able to view and edit your personal information. More information is available in the Edit Information section. 8.0 User List Here, admins are able to add new users to the system as well as edit existing users. To sort the list of users, click on the column headers. The list of users can be sorted by Name, , Organization, and Active. 8.1 Creating Users To create a new user, click on the green cross beneath the user table. Only one user can be created at a time. Once all of the fields have been filled out, click Apply Changes to create the new user. To cancel, either refresh the page, or use the navigator menu to return to the Main Menu. 10

11 Fields Description Name* * This is the full name of the new user. This is a valid for the new user. It is important that this address is already validated. If this user needs to retrieve their password or username they will need to have access to this . Phone Organization Active* Username* Password* The phone number associated with this user. The organization associated with this user. Should this user be allowed to login? The username this user will use to login. The password the user will use to login. NOTE: The fields followed by asterisks are required. 8.2 Editing Users Editing users is similar to creating new users. Click edit in the same row as the desired user. All of the fields will be available to edit with the exception of the username and password. To edit these fields, the change must be applied directly to the database. Only one user may be edited at a time Saving Changes Once you are done making changes again click Apply Changes. To discard the changes either refresh the page or use the navigator menu to return to the main menu. 8.3 Errors Below are descriptions of the possible errors that may be encountered while adding or editing users. If you encounter any other errors besides these, please use the Report a Problem link Unable to edit data Please be sure to click the edit button before attempting to edit any fields, including the Active radio buttons. 11

12 8.3.2 Edit link doesn t work You are only allowed to edit one row at a time. Be sure to apply your changes before trying to edit another user Username already in use While creating a new user, an error will occur if the new user shares a username with an existing user. To prevent this, consult the database to see which usernames are available Changes aren t saving There must be a problem connecting to the server or the database. Verify your internet connection and if the problem continues please use the Report a Problem link. 8.4 Connections to other pages The User List is not directly connected to any other pages. To return to the main menu use the Main Menu link in the navigator menu. 12

13 9.0 Configured Time Clock Simulators From here you will be able to view, create, view and delete Time Clock Simulator instances. This page acts as a gateway to the Time Clock Simulator page. 9.1 Views The main difference between having administrator permission is the ability to view, edit and delete any clock simulator. Standard users will only be able to work with their own simulators. 9.2 Creating Simulators When you first access this page as a new user you ll need to create your first simulator. To do this, and to create subsequent Time Clock Simulators, click the green cross beneath the table. From there, fill out the required fields and click Apply Changes. Fields Name Description Functions Workday Tenant* Description This can be any field to identify your clock. Multiple clocks may share the same name. This is an optional description to further distinguish or describe your clock simulator. These checkboxes are used to select which function button options appear on the Time Clock Simulator. Select any combination of functions. These can be edited later. This is the URL location of the Workday implementation. (E.x. Username* Password* This is the username that corresponds to the above Workday implementation. This field can only be viewed in edit mode, or while it is being created. This is the password that corresponds to your Workday implementation. This field can only be viewed in edit mode, or while it is being created. NOTE: The fields followed by asterisks are required. All fields can be edited later. 13

14 9.3 Editing Simulators Any simulator can be edited at any time. Only one simulator configuration may be edited at a time Changing Existing Simulators Editing simulators is similar to creating new simulators. Click edit in the same row as the desired simulator. All of the fields will be available to edit Deleting Simulators To delete any simulator, select the delete option in the corresponding row. Multiple rows can be deleted at once. Pressing Apply Changes will delete all of the rows that were marked for deletion Undoing Deletes It is possible to undo the delete of a single row by pressing the undo button, which will appear next to the Apply Changes button. Only one row may be undone at a time. Deletions can only be undone if they are not saved with the Apply Changes button. To reverse several deletes, simply refresh the page instead of pressing Apply Changes Saving Changes After creating a new simulator, editing an existing simulator or deleting a simulator; press Apply Changes to save your changes. To prevent any unwanted changes or deleted rows, either refresh the page or return to the main menu with the Main Menu link in the navigator menu. 9.4 Errors If errors occur while applying changes to the configured simulators, please check your network connection. If the errors persist, please use the Report a Problem link. 9.5 Connections to other pages To launch the Time Clock Simulator, click the green arrow on the right end of the row of the corresponding simulator. This will launch the appropriate simulator. As with all other pages, you can return to the main menu by selecting the Main Menu link in the navigator menu Edit Information This page displays all of your current information. Any of the fields are available to edit. The system will pre-populate your current information. To save any changes click the Apply Changes button. 14

15 10.1 See Field Description from Register Page All of the editable fields are the same as they were during the registration process. They are described in the Registration section Connections to other pages Both the Cancel link and the Main Menu link in the navigator menu will return you to the main menu Time Clock Simulator This page is used to simulate a universal series clock. It is connected to Workday based on the Configured Simulators page Simulator Display The entire clock is interactive. Use your mouse to interact Buttons Both the on-screen buttons as well as the keypad are functional. For this simulator the Employee key on the keypad can be used to go Back Actions 11.2 TCD Settings Sending Punches To send a punch to Workday, press the Enter key on the Time Clock Simulator s keypad. It is on the bottom row, in the third column from the left Biometrics To activate the biometric scanner, click on the access point to the right of the simulator s keypad. By default this is not configured to connect to any particular user, so no user will be recognized Terminal Username This immutable text field displays the username that is currently in use for this simulator Terminal Password This immutable text field displays the password that is currently in use for this simulator. 15

16 Time zone If you would like to match local time to the simulator time, the time zone dropdown is available. If the desired time zone is unavailable, please use the Report a Problem link Daylight Savings This immutable checkbox is filled in by the server based on the region selected in the time zone dropdown. It is updated once the time zone dropdown is deselected Connections to other pages The simulator page is connected back to the main menu via the navigator menu Help This is a link to download a brief description about the functionality of this site Logged Out This page is seen when you select logout from the navigation menu. It is the best way to safely and securely end your session Connections to other pages Selecting OK will return you to the Login page. If you wish to end your session you don t have to click OK, you have already been logged out Navigator Menu The navigator menu is only visible while you are logged in. It sits in the upper right corner of the page Connections to other pages The main purpose of this menu is to connect the site back to the main menu, and provide a way for users to logout Help This link is used to download this information about the site Report a Problem This opens a form to report any issues that have been encountered on this site. It is the same as the link on the login page Main Menu This link will return a user from anywhere on the site to the main menu. 16

17 14.5 Logout This link will log a user out. Once they see the log out screen they will be sent to the login screen FAQ / Issues The following section is designed to troubleshoot any common problem that might be encountered while using this site. If your questions are not in the following list, or the described solution doesn t work. Please use the Report a Problem link General Why is the site blank? If you are using Internet Explorer, please ensure that it is not running in Compatibility or Quirks Mode. To change modes: 1. Press F12 to open the developer tools 2. Ensure that Browser Mode is set to the most recent version (IE11, IE10, etc.) 3. Ensure the Document Mode is likewise set to the most recent version (IE11 standards, IE10 standards, etc.) The most recent version of Internet Explorer can be found here: Or try another browser like Firefox or Chrome: If you are still having problems, ensure that you have JavaScript and cookies enabled in your web browser. If you are still having problems make sure you are connected to the internet Why don t any of the links work? 15.2 Logging In Unable to log in Check that your credentials are valid. If that is doubt use the Forgot Username/Password links to request your username and password. If you are still unable to log in, your account is locked and will require an administrator to unlock it. You will receive a confirmation when your account has been unlocked. 17

18 Why do I keep getting logged out? For security purposes there is a 30 minute idle timer. After 30 minutes of inactivity your session will end and you will be logged out I reset my password but I still can t log in Your account is locked and will need to be unlocked by an administrator. You will receive a confirmation when your account has been unlocked I can t change my password You can try using the Forgot Password page found beneath the Submit button on the login page. Once you have the password that is connected to your account you can try to change it again. If you are able to log in then try changing it via the Edit Information page. If you are unable to log in, your account is locked and will require an administrator to unlock it. You will receive a confirmation when your account has been unlocked I forgot my password There is a link to retrieve a forgotten password beneath the Submit button on the Login page. To retrieve your password you will need to supply the username and address you registered with. Please use the Report a Problem link Registering What do I do once I have registered? Once you have registered, you will receive an asking to confirm your address. Once you have confirmed your address we will review your information. Once the review is complete and your account is approved it will be activated and you will receive another confirmation Time Clock Simulator Why aren t my punches being sent to Workday? Most likely the cause of this is that the simulator is not properly connected to Workday. Check your internet connection. Also, check that the Workday tenant, username and password are all correct. 18

19 How do I get to the Time Clock Simulator? The Time Clock Simulator is accessible through the Configured Simulators page, which is found in the main menu after logging in. From the Configured Simulators page, once you have created a simulator, use the green arrow on the right of the row to move to launch the Time Clock Simulator How do I change the language? There are links on the login page to set the desired language How do I adjust the time zone? In the TCD Settings panel on the Time Clock Simulator page, to the right of the simulator, select your desired time zone from the drop down menu How come some of the Time Clock Simulator buttons don t work? For this simulator, not all of the normal clock functionality has been added. If the standard buttons do not work, please use the Report a Problem link Why do I only see a black screen? Try returning to the Configured Simulators page, and connecting back to the Time Clock Simulator page. Also, make sure that you have selected the appropriate clock functions on the Configure Simulator page. If that doesn t work, make sure you have JavaScript and cookies enabled in your web browser, and that you are connected to the internet The Time is not correct Try adjusting the Time zone settings in the TCD Settings panel to the right of the simulator. If the time is still incorrect after the dropdown loses focus, or the desired time zone is unavailable from the dropdown list, please use the Report a Problem link The Time Clock Simulator keeps telling me an error occurred Most likely the cause of this is that the simulator is not properly connected to Workday. Check your internet connection. Also, check that the Workday tenant, username and password are all correct Navigation How do I get back to the main menu? The main menu is accessible from any page as long as you are logged in. To return to the main menu simply select Main Menu from the navigator menu located in the upper right corner of the site. 19
