2 Inbox & Folder Pages You arrive in your Inbox upon successful login or by clicking the "Inbox" button in the main menu. Common Inbox tasks include: Checking Your Accounts Whenever the Inbox is loaded, your account and any mailboxes are checked for new messages. You may also check for new at any time when you are using EMU Webmail by clicking on the "Get New " link at the top of the main menu. Clicking this link automatically returns you to the Inbox and displays any new messages. When new messages are found, they are downloaded, filtered (if necessary), and display on separate rows. By default, each row includes a checkbox, a message status icon, an attachment icon, the message subject, the message sender, the send date, and the message's size. The checkbox is used when saving, moving, and deleting messages (discussed below). The message status icon displays whether or not the is new, has been read, or has been read and answered. The attachment icon, a paperclip, will only display if the contains an attachment. Navigating the Inbox & Folders Unless you regularly receive and keep only a handful of messages, your Inbox and folders will only display a limited number of messages per page. This limit is imposed to make EMU Webmail easier to use by having fewer messages to view on a single page, as well as decreasing page load times. Your EMU Webmail Administrator sets the default limit of messages per page, however you may override this by setting your own limit on the Account Info page. When the messages contained in a single folder span more than one page, navigation between the pages is accomplished using the message navigation controls that appear above and below your message list. The controls allow you to step back and forth from page to page or to go directly to a specific page using the dropdown selection box. EMU Webmail supports multiple user folders, meaning you may optionally store messages in folders other than your Inbox. Folders are managed via the Folder Manager but are always just a simple click away via the main menu. Inside the main menu is a folder tree which links to all the folders in your account. Reading Messages Messages are read by simply clicking on the linked "Subject" text of the specific you wish to read. Upon clicking, you are taken to the Read Message page where you will be able to view all message contents, including attachments.

3 Sorting the Inbox When a folder is viewed, it always automatically sorts and lists messages by date. However, you may change the sort order of a particular folder you are viewing by clicking on the linked labels at the top of most columns of the message list. For example, clicking "From" sorts the messages (alphabetically) by the name or address of the sender, and so on. Messages may be sorted by message status, attachment, subject, sender, date, and size. Filtering Messages You may optionally filter your based on the content of each message. For example, you may create a filter that automatically stores any new messages from the send "Mom" to a special folder you designate. Filter creation and management tools are available in the Filter Manager. If you have already set a filter, you may have elected to add the "Apply Filters" button to the message options that appear above and below the message list in all folders. When this button is clicked, any active filters listed in your Filter Manager will be applied to your Inbox. Saving and Deleting Messages Saving and deleting messages are any easy may of keeping your own Webmail account simple and easy-to-use. Delete unneeded messages and save those you wish to keep by marking the checkbox next to the message(s) you wish to affect and then clicking on the appropriate function from the message options. Delete by marking the message(s) and clicking the "Delete Selected" button. Move messages from your Inbox to other folders by marking the message(s), choosing a folder from the dropdown selection box, then clicking on the "Save Selected In:" button. You can save messages in a folder that has not already been created by choosing "New Folder" from the dropdown selection box and entering a name for the folder in the resulting popup window. Folders are normally managed via the Folder Manager. Messages can also be saved and deleted directly from the Read Message page

4 Read Message Page The Read Message page displays all information, including the header, body, and attachments, for a specific message. Common tasks include: Navigating the Read Message Page Put simply, the Read Message page displays the entire contents of an and offers options for handling the message once it has been read. An is composed of the message header, attachments (if any), and the message itself. By default, message headers are displayed in their simplest form. This typically includes listing the sender, the recipient(s), date, subject, as well as links to any attachments. Viewing the full message header is also an option. Below the header is the body of the message. By default, any linked text or images found in your message are automatically hyperlinked. In addition, any attachments that are viewable inside a browser, such as popular image formats (.gif,.jpg, etc.), html formatted documents, and more, are automatically displayed as part of the message body. This option can be disabled from the Account Info page. It is not necessary to step back to the folder view to load another message. Locate the navigation options above and below the message and use it to step forward to the next message, step back to the previous message, or even select a message from the dropdown selection box. This dropdown box allows you to quickly skip to any of the five next or previous s that surround the message currently being viewed. Replying or Forwarding Messages Clicking the "Reply", "Reply to All", and "Forward" buttons direct you to the Compose Message page. By default, the message is "quoted" on the composition page. Automatically quoting messages can be disabled on the Account Info page. Clicking "Reply" starts a composition addressed to the original sender of the message only. Clicking "Reply to All" starts a composition addressed to all addresses found in the "To" and "Bcc" fields of the original message. Clicking "Forward" starts a composition with the "To" field remaining blank. Saving a Message Save or move a message to a different folder by selecting one from the dropdown and clicking the "Save In:" button. A new folder can be added immediately by selecting the "Add New Folder" option from the dropdown or by adding a folder through the Folder Manager Users may also save or move more than one message at a time from the Inbox & Folder pages. Deleting a Message Clicking the "Delete" button immediately deletes the current message. It can also be sent to the "Trash" folder for final deletion later if the option is enabled on the Account Info page.

5 Users may also delete more than one message at a time from the Inbox & Folder pages. Adding the Sender or Recipient to the Addressbook Users may quickly add new contacts to their Addressbook by locating any hyperlinked addresses in the message header and clicking on them. The username of the address is also automatically dropped into the contact as the nickname. Viewing a Printer-Friendly Version For printing purposes, EMU Webmail offers a simple, alternative format for viewing messages. Clicking the "Printer-Friendly Version" link from the message header launches a new window that includes the header information and message only. Users may then click the "Print" button is their browser to generate a hard copy of the message that requires little ink. Viewing the Full Message Header Message headers are often large and contain information not particularly relevant to the simple reading of an message. Full headers are disabled by default but may be shown by checking the checkbox labeled "Show full message header". Checking this box again switches back to the normal header. Full message headers may be viewed on a per-message basis or may be set as the default view via

6 the Account Info page. Viewing the full headers also works in conjunction with the Printer-Friendly viewing of messages. Compose Message Page On the Compose page, users may write messages and send messages with optional attachments. Using the Compose page may include the following tasks: Composing a New Message The basic function of the Compose Message page in EMU Webmail is the same as that in most other clients - to write and send an message to one or more recipients. First, enter one or more addresses in the "To" field. You may optionally enter the nickname for any users you have previously stored in your Addressbook. You may also select contacts from your Addressbook by clicking the "Select" button to the right of the "To", "Cc", and "Bcc" fields. Doing so will launch a contact selection window from which you may select one or more contacts. Note, the "To" field requires at least one valid address, while the "Cc" and "Bcc" fields are optional. Next, you may optionally give the message a subject, after which you may write the body of the message in the large text field provided. Be sure to add any attachments and select any special send options you require before clicking the "Send Message" button located both above and below the composition fields. Upon clicking "Send Message", your will be sent and you will be returned to the Inbox. Message Sending Options To the right of the composition fields are several additional options you may take advantage of when sending messages. Customizing the message header allows you to add and remove composition fields and is discussed in greater detail in the next section. The checkbox labeled 'Save a copy of my message in my "Sent" folder' does just that when the message is sent and the option is enabled. A local "Sent" folder, if it does not already exist, will be created in your account and a copy of your message will dropped in. The name of the "Sent" folder is automatically generated and may contain additional characters which identify the year and month. These Sent folder names may be customized by the EMU Webmail Administrator.

7 The checkbox labeled "Request a delivery receipt for this message" enables a delivery receipt option that is found in most clients. If this box is checked when your message is sent, you will automatically receive a brief message back from the message recipient(s) indicating your original message was successfully delivered. Similar to a delivery receipt is a read receipt. With a read receipt, you will be informed when the user opens and reads your message. Note, several mail clients, such as MS Outlook, optionally allow recipients to deny delivery and read receipt requests. If the recipient elects to do so, you would not receive a receipt. Customizing the Message Header Clicking the "Customize Headers" button to the right of the composition fields launches a "Customize Headers" popup window. This window lists all the possible composition fields that may be customized before sending. Fields that correspond to a checked checkbox will, when the form is saved, now appear on the Compose Message page. Those that are not checked, will not appear. The settings for your customized header are stored and used each time you start a new composition. Adding Attachments to Messages Files of virtually any type, including images, text documents, and much more, can be attached and sent via in the form of Attachments. Clicking the "Select Attachments" button at the bottom of the composition fields list launches the "Attachments" popup window. Add one or more attachments to your message by first clicking the "Browse" button in Step 1 and selecting a file from your harddrive. Then click the "Upload File" button in Step 2 to upload your file from your harddrive to the EMU Webmail system. Note, files must be selected and uploaded (in Steps 1 and 2) individually. Once you have selected and uploaded all the attachments you would like to send, verify the list of files in Step 3 and click "Save Attachments". If you have already selected and uploaded a file which you later wish to remove from the list of attachments, click the appropriate checkbox(es) from the list of uploaded attachments and click the "Delete" button that is provided.

8 Spell Checking Your Message At any time on the Compose Message page, you may check your message for spelling errors by clicking on the "Spell Check" button from the message options. Doing so takes you to the Spell Check page which steps through your message and compares each typed word to an internal dictionary. Any word that does not match a word in the dictionary is marked as a potential spelling error. The spell check system identifies the potential spelling error, offers a list of suggested replacement words, as well as offers a text field for editing a replacement word. Selecting or editing a replacement word, then clicking the "Replace" button replaces the problem word with your new selection. Clicking the "Skip" button ignores the problem word and steps to the next potential spelling error. Once you have run through the potential spelling errors and are satisfied with your changes (if any), click the "Finish Spell Check" button which returns you to the Compose Message page with your changes intact. Saving and Opening Message Drafts For whatever the reason may be, there are times when you are unable to finish composing a message. However, this does not mean you must lose what you've composed up to that point. Save a message in progress by clicking the "Save Draft" button from the message options. You may later open and resume a saved draft by clicking the "Open Draft" button from the message options. Doing so will launch a "Drafts" popup window where you may select which stored draft you wish to continue. Once you have made your selection, the Compose Message page will refresh with your saved content. Note, the "Open Draft" button does not appear among the message options unless you have previously saved a draft. You can save as many message drafts as you like, however they take up space on your account just like all other messages. Folder Manager Page From the Folder Manager, you may navigate and manage your account folders, including making new folders and deleting old folders. Common Folder Managers tasks include: Navigating the Folder Manager The layout of the Folder Manager is similar to that of the Inbox, as all folders that exist on the account are represented by a separate row in a folder list. Each row includes a radio button, the folder name, the subscription status, the folder type, the total number of messages in the folders, the number of unread messages, and the size of the folder.

9 Navigate to a specific folder by clicking a linked folder name. You may perform actions on any existing folder by marking the radio button on the appropriate row and using the folder option buttons located both above and below the folder list. Adding a New Folder EMU Webmail users are free to add as many folders to their account as they wish. Create a folder by first clicking on the "Add New Folder" button which launches the Folder Editor in a popup window. Specify if the folder is local or not. Local folders are saved in your EMU Webmail account, while nonlocal folders exist on the server from which you are fetching your . Note, unless the account you are accessing is an IMAP account, your folder must be set "local". Finally, enter a name for your new folder and click the "Save" button. The popup window will close and the Folder Manager should refresh and include your new folder. Once a folder has been created you may edit it at any time by marking the appropriate folder's radio button and clicking the "Edit Selected" button. Deleting Folders Entire folders may be deleted by the marking the appropriate folder's radio button and clicking the "Delete Selected" button from the folder options that appear both above and below the folder list. It is important to note that once a folder is deleted, it and its content has been permanently lost. Subscribing to Folders Folder "Subscriptions" offer an easy method of limiting some of the visibility of folders around the EMU Webmail interface. We offer this because many users choose to create and actively use dozens of folders. While doing so doesn't impact the performance of EMU Webmail, it can make it a little more difficult to use in some locations where the folders are listed. Folders that are not marked as "Subscribed" will not appear in the main menu's folder tree, as well as any of the other folder-selection areas of the interface (except for the Folder Manager), such as the "Save Select In:" message option in the Inbox and Folders.

10 Folders may be subscribed or unsubscribed as often as needed via the Subscription Editor popup window which appears after clicking the "Subscriptions" button from the folder options located both above and below the folder list. Inside the editor use the options to move each folder back and forth between the Subscribed and Unsubscribed lists as needed. When you are satisfied with each list, click the "Save" button and you will be returned to the Folder Manager page. Exporting Folders At some time you might wish to export specific folder for the purpose of backing it up, moving it to a different account, etc. To export a folder, first mark the appropriate radio button for the folder. Clicking the "Export" button from the folder options will bring up a dialogue box which prompts you to select a location and name for the exported file. The folder is saved in text format with extension.mbox. Note, you cannot export empty folders. Addressbook Page The Addressbook allows you to store all your personal and business contacts in your EMU Webmail account, making your addressbook just as easily accessible as your . Common Addressbook tasks include: Navigating the Addressbook The layout of the Addressbook is similar to that of the Inbox, as all contacts in the Addressbook are represented as a separate row in a contact list. Each row includes a checkbox, the contact nickname, full name, and address. Clicking the linked nickname will allow you to view and edit the selected contact through the Contact Editor. You can store as many contacts in your Addressbook as you wish. Adding & Editing Contacts Adding and editing contacts are both quickly accomplished through the same interface, the Contact Editor. To add a new contact, click the "Add Contact" button located in the contact options area which appears both above and below the contact list. Edit or view an existing contact by clicking on the linked "nickname" text of the appropriate contact.

11 Once in the Contact Editor you will see numerous fields to drop in all sorts of information about your contact. All fields are optional, except for "Full Name", "Nickname", and " Address 1", so you only need to enter what you wish. Fill the "Nickname" field with a unique, easy-to-remember name, as it offers a simple way of composing a new message elsewhere in the interface. The " " fields are important to note as well. Be sure to enter the address you use most often for the contact in the " Address 1" field, while dropping any less frequently used addresses in the optional fields. " Address 1" is the primary address used when a contact's nickname is used elsewhere in EMU Webmail. For example, by entering a contact's nickname in the "To" field on the Compose Message page, that will be sent to the address listed in the " Address 1" field. For your convenience, red icons have been added next to each field which, when clicked, start a new with the appropriate address automatically dropped into the "To" field. Deleting Contacts Contacts may be deleted at any time by placing a checkmark in the checkbox next to the appropriate contact(s) and clicking the "Delete Selected" button. Note, please delete carefully as once a contact has been deleted, it is permanently lost. ing Contacts There are two ways a new message can be initiated from the Addressbook. The first method is by placing a checkmark in the checkbox next to the appropriate contacts and clicking " Selected". Doing so will immediately take you to the Compose Message page with all the selected contacts populating the "To" field. The second method is by clicking on a nickname from the contact list and, in the resulting Contact Editor, clicking one of the red icons located next to each of the three fields. Doing so will immediately take you to the Compose Message page with the appropriate address populating the "To" field. Importing & Exporting Contacts The import/export feature is a powerful feature in EMU Webmail which allows you to transfer contacts to and from other popular or addressbook applications. For example, you may be currently using Outlook and would like to switch to a web-based mail service or would simply like to move your addressbook online. Similarly, you may desire to back up your EMU Webmail Addressbook or import a copy of it to Outlook.

12 Importing takes only a few moments and is fairly simple. Consult the documentation of the application that currently holds your contact list for information on exporting that list. Be sure to export your contacts in a.csv (comma separated values) format and save the file to your harddrive. On the Addressbook Import/Export page in EMU Webmail, accessible by clicking on the "Import/Export" button in the Addressbook, select the application or site from which your contact list originates. Then click "Browse" and select the appropriate file from your harddrive. Click "Import Contacts". Importing should take only a couple of seconds, after which your Addressbook will load with your imported contacts populating the contact list. Exporting your EMU Webmail Addressbook is equally simple. On the Addressbook Import/Export page in EMU Webmail, select the application or site to which your contact list will be imported, then click "Export Contacts". Your entire addressbook will be saved in a file called "emumail_addressbook.csv" which you may import into another system, assuming they accept standard CSV formats. Consult the documentation of your third-party software for instructions on importing a.csv (comma separated values) formatted contact list. Searching for Contacts If your Administrator has configured EMU Webmail to use an LDAP directory, you will be able to perform a search of this directory for other users. From the Addressbook, click the "Internet Search" button from the contact options. On the resulting "Internet Search" page, enter the name of the name of the individual you are looking for in the search field provided and click "Start Search". If any matches are found, the page will refresh with a list of contacts. Included in each result is the contact information and two options, "Compose Mail" and "Save in Addressbook". Clicking "Compose Mail" redirects you to the Compose Message page with the appropriate address populating the field. Clicking "Save in Addressbook" will launch the Contact Editor with the available information populating the appropriate fields on the page. From that point, simply clicking "Save" will add the new contact to your Addressbook.
