1 User Guide- i.mail enhancement Configure POP/IMAP access using Outlook and Windows Mail Firstly, you need to enable POP/IMAP on your i.mail account: 1. Log into your i.mail account via web 2. Click Mail Settings at the top right of any i.mail page. 3. Click Forwarding and POP/IMAP. 4. If you like to enable POP, select Enable POP from the POP download option and choose to keep, archive or delete your Gmail s copy. 5. If you like to enable IMAP, select Enable IMAP from IMAP access option. 6. Click Save Changes. After you've enabled POP/IMAP access in i.mail, you need to configure your client to download i.mail messages. A. Outlook Open Outlook. 2. Click the Tools menu, and select Account Settings On the tab, click New If you are prompted to Choose Service, select Microsoft Exchange, POP3, IMAP, or HTTP, and click Next. 5. Fill in all necessary fields to include the following information: Your Name: Enter your name as you would like it to appear in the From: field of outgoing messages. Address: Enter your full i.mail address or Virtual address (username@starhub.net.sg or username@your_domain.com). Password: Enter your password. Manually configure server settings or additional server types: Leave this option unchecked if you want to automatically configure Outlook If you want to manually configure Outlook 2007, check this box now. Virtual users should configure manually and refer to pt Click Next. If you are configuring Outlook 2007 automatically, you're done! Just click Finish.

2 7. If you are configuring Outlook 2007 manually, select Internet and click Next. 8. Verify your User Information, and enter the following additional information: Server Information Account Type: POP3 Incoming mail server: pop.gmail.com Outgoing mail server (SMTP): smtp.gmail.com If you are configuring for IMAP, enter the following information Account Type: IMAP Incoming mail server: imap.gmail.com Outgoing mail server (SMTP): smtp.gmail.com Logon Information

3 User Name: Enter your i.mail address Virtual users, enter your full address in the format Password: Enter your i.mail password. Require logon using Secure Password Authentication (SPA): Leave this option unchecked. 9. Click the More Settings... button, and select the Outgoing Server tab. 10. Check the box next to My outgoing server (SMTP) requires authentication and select Use same settings as my incoming mail server. 11. Click the Advanced tab, and check the box next to This server requires an encrypted connection (SSL) under Incoming Server (POP3). If you are configuring for IMAP, the Incoming server must be using port 993, and SSL encryption. 12. In the Outgoing server (SMTP) box, enter 587, and select TLS from the drop-down menu next to Use the following type of encrypted connection:.

4 13. Click OK. 14. Click Test Account Settings... After receiving 'Congratulations! All tests completed successfully', click Close. 15. Click Next, and then click Finish. B.Outlook Open Outlook. 2. Click the Tools menu, and select Accounts Click Add a new account, and click Next. 4. Choose POP3 as your server type by clicking the radio button, and click Next. If you are configuring IMAP, choose IMAP as your server type. 5. Fill in all necessary fields to include the following information: User Information Your Name: Enter your name as you would like it to appear in the From: field of outgoing messages. Address: Enter your full i.mail or Virtual address (username@starhub.net.sg or username@your_domain.com) Server Information Incoming mail server (POP3): pop.gmail.com Outgoing mail server (SMTP): smtp.gmail.com For IMAP configuration, do the following:

5 Incoming mail server (IMAP): imap.gmail.com Outgoing mail server (SMTP): smtp.gmail.com Login Information User Name: Enter your i.mail address Virtual users, enter your full address in the format Password: Enter your password 6. Click More Settings... and then click the Outgoing Server tab. 7. Check the box next to My outgoing server (SMTP) requires authentication and select Use same settings as my incoming mail server. 8. Click the Advanced tab, and check the box next to This server requires an encrypted connection (SSL) under Incoming Server (POP3). If you are configuring for IMAP, the Incoming server must be using port 993, and SSL encryption. 9. Check the box next to This server requires an encrypted connection (SSL) under Outgoing Server (SMTP), and enter 587 in the Outgoing server (SMTP) box. 10. Click OK. 11. Click Test Account Settings... After receiving Congratulations! All tests completed successfully, click Close.

6 12. Click Next, and then click Finish. 13. Download the latest updates for Outlook from Microsoft. This will help prevent the most common Outlook errors Gmail users see. C. Windows Mail 1. Open Windows Mail. 2. Click the Tools menu, and select Accounts Click Add Select Account, and click Next. 5. Enter your name as you would like it to appear in the 'From:' field of outgoing messages, and click Next. 6. Enter your full i.mail address Virtual users, enter your full address 7. Fill in all necessary fields to include the following information: Incoming mail server type: POP3 or IMAP (if you are configuring for IMAP.) Incoming mail (POP3 or IMAP) server: pop.gmail.com or imap.gmail.com (if you are configuring for IMAP.) Outgoing server (SMTP) name: smtp.gmail.com Outgoing server requires authentication: enabled

7 8. Click Next, and enter your full i.mail address and your password. Virtual users, enter your full address in the format 9. Click Next, and then check the box next to Do not download my at this time. Click Finish. 10. On the Internet Accounts screen, make sure that your new mail account is selected, and click the Properties button. 11. On the Advanced tab, enter 587 in the in the box next to Outgoing mail (SMTP), and check the box next to This server requires an encrypted connection (SSL). 12. Check the box next to This server requires an encrypted connection (SSL) under Incoming mail (POP3). The box next to Incoming mail (POP3) should automatically update to 995. If you are configuring for IMAP, the Incoming server must be using port 993, and SSL encryption. 13. Click OK. You're done! Close the Internet Accounts window and click Send/Receive to start checking your Gmail messages. To learn how to configure the settings of your preferred client or troubleshooting help, please refer to the help link on the top right of your i.mail page.

8 1. Composing messages Click Compose Mail to create a new message. You can select addresses from your Contacts list or type the address in the To: box. To send to more than one recipient, type the additional addresses in the Cc: box. (If you don't want the extra recipients to know who else you're sending the to, type their addresses in the Bcc: field instead.) If you want to reply to an , click Reply to write back to the message sender or Reply All to write to everyone who received the original message. You can reply to any message, even those in the middle of a conversation. Select the Reply link at the bottom of the specific message you want to reply to. i.mail automatically saves drafts of your every few minutes while you're writing, and you can save a message manually by clicking Save Now above the message you're composing. If you then navigate away from i.mail, or go to another folder, such as your Inbox, you can return to a draft by selecting it from the Drafts folder to continue composing. 2. Forwarding messages To forward an individual message, open the appropriate conversation and select the message to forward. Then just click Forward at the bottom of the message card and enter the address or addresses to which the should be forwarded. To forward an entire conversation, open the appropriate conversation and click Forward All from the right side of the Conversation View. 3. Forwarding messages automatically To have your s forwarded automatically just click Settings at the top of any i.mail page and then click Forwarding and POP. Enter the address to which you'd like your messages forwarded, and then select whether you'd like i.mail to keep a copy of the message in your inbox or have it sent to Trash. Then click Save Changes and you're done. 4. Adding a signature To automatically add contact information, a favourite quote or any other kind of signature at the bottom of every message you send, click Settings and then enter your signature text in the box at the bottom of the page next to the Signature option. Then just click Save Change and your signature will appear in grey at the bottom of every message. 5. Displaying images in a message When you open new messages, some images may not appear immediately. That's because i.mail disables images to protect you from unknown senders, like spammers, who use images and links to verify your address is real. To view the images, open the message and click Display Images Below in the green box above your message. If you'd like to always view images from a particular sender, click Always Display Images From sender@domain.com instead.

9 6. Changing to another language i.mail is available in many different language settings, from Arabic to Chinese to Russian. To change the language view in your i.mail account, click Settings at the top of any page and select a language from the Enhanced i.mail display language drop down menu in the Language section before clicking Save Changes. 7. Mute (ignore) a conversation If you're subscribed to a mailing list, you've no doubt been subjected to threads that fail to interest you. You can easily mute any such conversations to keep further additions out of your inbox. By using the m shortcut key, new messages added to the conversation bypass your inbox so that the conversation stays archived. Muted messages are not marked as read and can be found by searching for is: muted. To un-mute a conversation, select the conversation and select Move To Inbox from the More Actions menu. 8. Compose messages using different fonts, colour and other formatting Yes, you can easily customize your messages by clicking the relevant icons above the Compose window. If you don't see any icons then click Rich Formatting to display all the options. 9. Organizing your mail Personal Level Indicators i.mail displays Personal Level Indicators, shown as arrows, next to messages in your inbox so you can tell if a message was addressed to you, a group or a mailing list. Double arrows (>>) indicate that a message is addressed only to you. A single arrow (>) means a message was sent to you and a group of others. No Arrows means the message was sent to a mailing list. To enable Personal Level Indicators: 1. Click Settings at the top of any i.mail page. 2. Select Show Indicators in the Personal Level Indicators section. 3. Click Save Changes and you're done. Mail fetcher i.mail allows you to fetch mail from your other, non- i.mail accounts. Please on the help link on the top right of your i.mail page for details on using this service. Mail filters i.mail's filters allow you to manage the flow of incoming messages. You can automatically label, archive, delete, star, or forward your mail based on any combination of keywords, sender, recipients, and more. To create a filter: 1. Click Create A Filter at the top of any i.mail page.

10 2. Enter your filter criteria in the appropriate field. 3. Click Test Search to see which messages that are currently in your account match your filter terms. 4. You can then select one or more actions from a list of things you'd like applied to messages matching your filter criteria for example, you could choose to forward it to a specific address, apply a label or even delete the message. To edit or delete existing filters: 1. Click Settings at the top of any i.mail page then Filters. 2. Click the Edit or Delete link of any filter you'd like to change. Conversations i.mail groups all replies with their original message, creating a 'conversation'. When you open one message in a conversation, all previous messages will be stacked neatly on top of each other so you can look back on previous messages without having to wade through separate s in your Inbox. Mail labels i.mail uses 'labels' rather than traditional folders. Like folders, they help you group messages by sender or subject, but they give you an extra bonus: you can add more than one to a conversation. You can view all the messages with that label by searching or by clicking the label name along the left side of any i.mail page. To create a label: 1. Select the message you'd like to label by checking the box next to the sender's name. 2. Select New Label from the More Actions drop-down menu. 3. Enter the name of the new label and click OK. You can rename labels by clicking Edit Labels at the bottom of the Labels box and entering a new name. You can also delete labels using this menu removing a label doesn't delete the messages categorized with that label. To remove a label from a message: 1. Check the box next to each message from which you'd like to remove a label. 2. Open the More Actions drop-down menu at the top of the page and select the name of the label you'd like to remove from your messages underneath Remove Label. Make sure you edit or remove all filters associated with labels when you delete them so i.mail doesn't continue to automatically label your messages. 10. Managing your contacts Contacts To send a message to a whole group Enter the first few letters of the name of the group in the To: field of the Compose message box and i.mail will automatically complete the group name. Amending your contacts 1. Click Contacts along the left side of any i.mail page. 2. Click Create Contact and enter the contact's information in the appropriate fields. 3. Click Save. Alternatively, a sender's address can be added to the Contacts list from any message by opening the message from the sender. 4. Click the down arrow next to Reply, at the top-right of the message pane. 5. Click Add sender to Contacts list. To enter additional information, click add more contact info. Enter information in the

11 appropriate fields and click Save. To delete individual contacts check the box next to the entries to be deleted or click All at the bottom of the page to delete all of them. Click Delete at the top of the page followed by OK. Amending your quick contacts 40 people are automatically selected to appear in Quick Contacts based on the people communicated with most often. 1. To add a Quick Contact click Contacts along the left side of any i.mail page. 2. From the All Contacts tab, locate the person you'd like to add. 3. Under Show in Quick Contacts? select Always. Amending your contact groups 1. Click Contacts along the left side of any Enhanced i.mail page. 2. Open the Groups tab, and click Create Group. 3. Enter the contact group's name in the Group name field. 4. Type the contacts to be included in the Group in the Add contacts: field using a comma to separate each address. The auto-complete feature will suggest addresses from the Contacts list as you type. 5. Click Create Group. To rename the Group, click rename, enter the new Group name in the pop-up window, and click OK. To add contacts, type the names you'd like to include in the Group in the Add contacts: field. To remove contacts, check the box next to the name you'd like to remove, and click Remove from group. Click Inbox once you've finished editing your Group to return to your inbox. To delete a contact group check the box next to the name of the Group you'd like to delete and click Delete along the top of the page. Confirm that you'd like to delete the Group by clicking OK. Deleting a Contact Group will not remove any individual contacts from the main Contacts list. 11. Configuring the Vacation Responder 1. Log in to your i.mail account. 2. Click Mail Settings at the top of any i.mail page. 3. From the General tab, select Vacation responder on in the Vacation responder section. 4. Enter the subject and body of your message in the Subject: and Message: fields. If a personalized signature is enable, i.mail will automatically append it to the bottom of the vacation response. 5. Check the box next to Only send a response to people in my Contacts if you don't want everyone who s you to know that you're away from your mail. 6. Click Save Changes. While the vacation responder is enabled, a banner appears across the top of your i.mail pages, displaying the subject of the vacation response. When you wish to stop i.mail automatically sending the response, click end now within the banner. Alternatively, if you'd like to edit the response, click vacation settings. 12. Phishing Phishing is a form of online fraud. An is sent to you, apparently from a genuine organisation such as your bank, asking you to verify your personal details or password. Remember that reputable organisations will never asking you to provide account numbers or passwords.

12 13. Spam Spam is unsolicited junk sent to large numbers of recipients. Providing you with a spam-free inbox is very important to us, so we're continuously working to improve our filtering system. To help with this process, we ask that you report any spam you receive by checking the box next to the unwanted mail and clicking Report Spam. To have unwanted messages sent directly to your Trash, you can set up a filter for the spam please see our section on managing your mail for more information. 14. Setting up i.mail Chat You can access i.mail Chat when you are login to your i.mail service. You can see which of your contacts are available to chat with by looking at the coloured ball icon next to their name: Green means they are online and available to chat. Yellow means they are online but 'idle' or away from their computer and not available to chat. Red means they are online but busy and not available to chat. Grey means they are offline (not connected to Enhanced i.mail) and not available to chat. To chat with an available contact from your Quick Contacts list: 1. Click on the name of the person (with green coloured ball) to open a chat window. 2. Enter your message in the text field and press Enter. 3. Wait for your contact to respond. Note: You can also search for a contact by entering his or her name in the box at the top of Quick Contacts. When you've finished chatting: Click the X in the top right corner to close the window. Your Chat conversations are saved along with your i.mail, so you can respond to previous chats as you would to regular i.mail messages. To access your Enhanced i.mail Chat history: Click Chats in your i.mail account to see a list of your previous chats displayed, just like your conversations are shown in your inbox. Chats are labelled and are marked with the speech bubble icon so you can easily distinguish them from s.
