2 LOCAL TOBY AWARDS The TOBY Mission: Recognizing excellence in building management, operational efficiency, tenant retention, emergency planning and community impact. The Office Building of the Year TOBY Awards Program has been identified as the most prestigious of its kind in the commercial real estate industry. It recognizes quality and awards excellence in the daily management of office buildings. Involvement in this program has nearly tripled from its inception 29 years ago, and has had the participation of diverse BOMA members. TOBY has drawn attention to hundreds of office buildings across the United States and Canada, and to the owners, managers and architects who conceive, operate and design them. Over the years, numerous BOMA Greater Phoenix members have reached the regional and international levels. BOMA Greater Phoenix invites you to participate in this distinguished program for CATEGORIES Under 100,000 Square Feet* 100, ,999 Square Feet* 250, ,999 Square Feet* 500,000 1 Million Square Feet* Over 1 Million Square Feet* Renovated Building Must be at least 15 years old and have maintained occupancy during the renovation process. Renovation can encompass: rehabilitation (the restoration of a property to satisfactory condition without changing the plan, form, or style of a structure); modernization (taking corrective measures to bring a property into conformity with changes in style, whether exterior or interior. Requires replacing parts of the structure or mechanical equipment with modern replacements of the same kind but not including capital additions), and remodeling (changing the plan, form or style of a structure to correct functional or economic deficiencies). To be eligible, a minimum of five of the following work projects must be completed by June 1, 2016 New Roof New Boilers/HVAC system Cleaning Building Exterior New Street Level Facade New Electrical System New Sprinkler System Upgrade Elevator System Components - Including Cabs New Security Systems Renovate Main Lobby Upgrade Restrooms to Comply with Codes Following substantial completion of the renovation projects, the building must enter the TOBY program within five years to be eligible for this category. Historical Building Building must be at least 50 years old with original design maintained. This category includes all sizes of buildings meeting the age criterion. Corporate Facility Facility must be a single-use facility at least 50% occupied by the corporate entity. Includes government agencies and private enterprises. Medical Office Building Must be at least 75% medical use, with no overnight patients. Government Building Must be government owned and at least 50% occupied by government entities, either local, state, provincial or federal. Suburban Office Park (Low-Rise) Two or more buildings, one to five stories in height, that occupy a land greater than five acres and located outside of the central business district. Suburban Office Park (Mid-Rise) Two or more buildings, six to 10 stories in height, that occupy a land greater than five acres and located outside of the central business district. EXAMPLE: A park that has five 3- story buildings and one 7-story building must enter the mid-rise category. Industrial Office Park Two or more buildings, comprising a total project, one to two stories in height, with more than 5% and less than 50% office area. Building(s) must have a loading dock, roll-up or sliding rear door(s) for loading, with no common lobby or corridors except for restroom vestibules and utility or fire equipment access. Earth Award (Green Building) This award honors and recognizes the building management teams that preserve and enhance the internal and external environment through an all-around green program. The Earth award is based on excellence in environmentally sound office building management and includes the categories of indoor air quality and green cleaning, recycling, energy/water conservation, green purchasing policies, and tenant communications. Properties will be scheduled for evaluation after submitting their applications, BOMA Greater Phoenix vendor-member lists and entrance fee of $150 per property by June 1, 2016 The property manager must be a member, in good standing with BOMA of Greater Phoenix. *Area will be rentable area of the building using the BOMA/ANSI Standard Method for Measuring Floor Area in Office Buildings. 3 PLANNING FOR LOCAL JUDGING BOMA of Greater Phoenix 2016 TOBY Awards Competition COMPETITION PHOTOS When saving the Photos of your building as.jpgs, make sure the photos are labeled with building name and photo type, i.e.: ABC Building, Exterior.jpg. PHOTOS DUE JUNE 30 Provide the following photographs of your building(s) except as noted below: 1 Management Team responsible for daily management of the building(s) 2 Exterior 1 Interior (lobby and hallways) 1 Standard tenant area 1 Central plant or main mechanical room (chiller, fire pump or boiler room) 2 additional photographs, the subject matter of which is the entrant s choice A. Industrial Office Park: Provide the following photographs of your park: 2 Front exterior of the building(s), 1 Rear exterior of the building(s), 1 Interior of the office 1 Interior of the warehouse 2 Additional photographs, the subject matter of which is the entrant s choice B. Renovated Building: A minimum of (6) with a maximum of 12 additional photographs displaying building features before and after rehabilitation, modernization and/or remodeling are required. One before photo for every after photo of the exact same location is necessary. In addition to the competition photos required for locals, all regional and international entries must submit one high resolution (minimum 300 dpi) 11'' x 14'' color JPEG (JPG) of the building s exterior for display at the awards ceremonies. Also a photograph of the management team responsible for daily management of the building(s) is required. BUILDING SUMMARY DUE JULY 15 Provide a summary of the physical description of the building(s), property and location. Indicate square footage to verify qualification to ensure building is in correct category. Maximum of 1725 characters (approximately 300 words). SUBMITTAL REQUIREMENTS (for local, regional & international) Photograph Requirements File Type: JPEG Minimum Dimensions: 1200 pixels per side Maximum File Size: 2mb Only single images; no photograph collages please. Supporting Document Requirements File Type: PDF Maximum File Size: 5mb Descriptive/Summary Text Requirements Maximum Character Count: 300 (unless otherwise specified) NOTE: For regionals, descriptive/summary text must be entered in the text box provided and may not be submitted as an uploaded file. Identify what an acronym represents at least once in each document. Text within required supporting documents does not count against character limits. RECOMMENDATION: Text should be created in Word, or other similar program, for later use with your regional entry, be prepared to copy and paste text into the text box. Please spell check prior to pasting into the text box. Also confirm that the copied text can be fully viewed on line. If not, reduce the characters to fit the requirements. BOMA VENDOR LIST DUE JUNE 1, along with application The TOBY Awards are not so much about the buildings as they are about the people who take care of them! Not only is the dedication of the property management and how they cope with and operate their building, and cater to their tenants something that we should take pause to celebrate It is just as important that we recognize how closely vendor companies work with the contestants before, during and after the competition to ensure that the building meets and maintains competition criteria. For your entry to be valid, you must submit your BOMA vendor list with your entry fee and entry form. BOMA Greater Phoenix needs vendor lists to schedule judging. If a BOMA vendor provides products or services to a building in the competition, a representative from their company cannot judge any buildings in that category. As part of a tradition to the program for our local TOBY Awards Competition, BOMA of Greater Phoenix will acknowledge all vendormember-companies who helped get your building to the TOBYs this year. It is strongly encouraged that contestants acknowledge their BOMA vendors at the award ceremony. 4 PREPARING FOR SITE INSPECTION Building Tour for BOMA of Greater Phoenix 2014 TOBY Awards Competition PREPARE FOR SITE INSPECTION: The visiting judges, a select group of commercial real estate professionals, will consider the following areas for judging purposes: Entrance/Main Lobby, Security, Management policies/procedures/expense controls, Staff training/designations & community impact, Elevators, Multi-Tenant Corridors, Restrooms, Stairwells, Typical Tenant Suite, Roof, Parking Facilities (if owner/agent operated), Landscaping/ Grounds, Refuse Removal Area and Tenant Amenities. Please note that all TOBY entries are required to be ENERGY STAR benchmarked for local,regional and international levels and provide a copy of their current year Statement of Energy Performance to the judging team for local judging. All U.S. Entrants with the exception of Industrial office buildings are required to be ENERGY STAR benchmarked. Each Entrant must complete the following: (1) provide a copy of the current year Statement of Energy Performance printed from ENERGY STAR and (2) share their data with BOMA International in the ENERGY STAR online portfolio manager. Any entry that does not include both 1 and 2 will not be eligible to compete at the International level. To share your data with BOMA International, go to the Facility Summary page on the ENERGY STAR website by clicking on the facility name on the My Portfolio page. Select Add user to share this facility under the Sharing Data section (on the right-hand side of the page) and follow the instructions. One building in each of the qualifying categories will be awarded Winner upon attaining a minimum score of 70% or higher. The winners will be honored at an elegant dinner celebration in November. PACKETS FOR JUDGING TEAM SHOULD INCLUDE, BUT IS NOT LIMITED TO: Outline of TOBY Inspection Your building tour should be arranged in the same order as items are arranged on the inspection form (i.e. Entrance Main Lobby (Rating Form-Page 1). Copy of Floor Plan, Site Plan, Parking Garage Stall Numbering Plan. How to Prepare for the TOBY Site Inspection Be prepared to answer random questions by the judges, as well as show them areas not planned on in your tour. Have all procedures, manuals, tenant guides, etc., accessible. Remember this might be the first time the judges have been to your building and they need you to provide them with information about your building and your operations/ management philosophy. You are the Salesperson for your building. What judges look for (at all levels) All items referenced in the Entry Requirements. It s a checklist! Easy-to-read descriptions bulleted or paragraphed precisely. Presentation that highlights Building Management s best and/or unique efforts. Focus on strengths of your property and high scoring categories. Tenant Relations 15% Emergency Preparedness and Security Standards 15% Community Impact 15% Energy Management Systems & Procedures 20% Training for Building Personnel 15% If a property is resubmitted from prior years, be sure to update your information! Once the judges on-site, start by bringing your judges into a conference room or an area where they can review building documents. Speak about the documents you are presenting but keep it brief. The time allotted for document review and the building tour is typically only 1-2 hours. Prepare in advance the areas you plan to tour based on the inspection form. This will save time both preparing for the tour and during the tour. Materials to have prepared for the review: Operating Budget/Financial Report Sample The Judging Team will have to take a look at your roof, if special clearance is required, or waivers need to be signed, let your Judging Team Lead know this in advance. My building summary and building photos will be submitted by June 26th deadline. I will speak with the Lead Judge assigned to my building to verify any N/A items on the judging forms in advance of the building tour, so that forms can be pre-populated for accuracy. TOBY ELIGIBILITY The property manager must be a member, in good standing of BOMA of Greater Phoenix. The building must win at the local level to advance to the regional level and must win at the regional level to advance to International. All portfolios must score at least 70% to advance to the next level of competition. The building may not have won in the same category at the international level during the last 5 years. The building may not have won in a different category at the international level during the last 3 years. The building must be at least 3 years old from the date of occupancy of the first tenant by June At least 50% of a building s space must be used as office space to be considered for all categories except the Industrial Category which must have more than 5% and less than 50% office area as measured by BOMA standards. Each building may enter in only one category. All U.S. Entrants with the exception of industrial office buildings are required to be ENERGY STAR benchmarked. Each Entrant must complete the following: (1) provide a copy of the current year Statement of Energy Performance printed from ENERGY STAR and (2) share their data with BOMA International in the ENERGY STAR online portfolio manager.
