1 Notes About Using the Stewardship Report Page Templates Use the Cover Template only for the cover of the report. Use the Page 1 Template only for the first page that follows the Cover. Use the Page 2 Template only for the page that comes a er Page 1 and for subsequent pages (Page 5, 7, 9). Use the Page 3 Template only for the page that comes a er Page 2 and for subsequent pages (Page 6, 8, 10). Use the Page 4 Template for your last page of the report only. Feel free to include copies of ar cles, Excel summaries of giving, etc. with these mini reports. If you choose to do this, use the Addendum Template for a cover to follow your last report s page, and then include those addi onal documents. These are mini stewardship impact reports customizable to the donor and or ini a ve or service line. To demonstrate impact of giving for all areas to which a donor has given, contact Gretchen Pelle er about designing a Shu erfly Stewardship Book, which is a minimum of 20 pages and several more photos, quotes, and narra ves. Ideas for Production and Delivery of the Stewardship Impact Report Print in color on nice bond. Print single or double sided. Print one or two for the donor. Print several for a segment of donors. Bind the report with a staple, paper clip (perhaps a fancy UC San Diego paperclip), glue, or some other way. Deliver in person to have a Thank You conversa on, which may lead to other topics that can help you con nue to cul vate the donor. This can be a 1:1 mee ng on campus or at the donor s home/business. You can bring a faculty member or student with you. This can be a lunch, dinner, or coffee mee ng, too. Mail or e mail the report (PDF) and then call or e mail a week or two later as a follow up in case the donor has any ques ons and in case you can have that conversa on you ve been wan ng to have. Enter a stewardship touch contact report in Millennium and include a copy of the report. Provide a PDF copy of the final report to Donor Rela ons & Stewardship.
2 Getting Started with the Stewardship Impact Report Templates 1. Log on to the DO Tool Kit. Click on the Stewardship Report template. 2. Save the Word doc to your computer. Open the Word doc. 3. With your cursor placed within the table, click on Home > Show/Hide. Turn on the Show/Hide paragraph markers so that you can view where your cursor is as well as spacing and other forma ng symbols. These symbols and marks do not appear on your printed page. 4. Turn on View Gridlines to view the borders of the tables. With your cursor placed within the table, the Table Tools tab appears on the top. Click on Table Tools > Layout > View Gridlines. This paragraph marker shows where you have hit Enter within the document. It helps you keep track of your cursor and your spacing. With your cursor inside the table on your Word doc, click on Table Tools > Layout > View Gridlines.
3 Cover Template 1. Insert a photo or logo under the tle. Place your cursor where the capital I is for Insert photo or logo. 2. Click Insert > Photo. 3. Format your photo, if needed, by selec ng the photo and clicking on Picture Tools tab > Format. 4. Enter a custom message (op onal). The style is Cambria, white, points. 5. On the dark column on the right side of the page, you can see, which indicate that Enter was pressed twice to get to the line where it says, Sub tle. Place your cursor on the S and type in your Sub tle. 6. Place the cursor at the D and enter the Donor(s) Name(s). Place your cursor at the M and type in the month and the year for which you are presen ng this report. 7. Save your work. Close the document. Open the Page 1 Template.
4 Page 1 Template 1. Insert a logo above the tle. Place your cursor where the capital I is for Insert logo. Click Insert > Photo. 2. Format your logo, if needed, by selec ng the photo and clicking on Picture Tools tab > Format. 3. Enter a tle. Enter a sub tle (op onal). 4. On the column on the le side of the page, include thank you messages from 1 or 2 of the leaders at UC San Diego that have the closest rela onship with the donor. Insert a photo of the person (op onal), a signature (op onal), and a short message. 5. Place the cursor at the H for Heading in the first box. Type the heading for the most important news you want to share with the donor. Include a sen ment of gra tude. For the box below, type a 2nd heading and share the next important news, update, highlight, or achievement. The style for the Title is Cambria, Bold, points, blue (54 red, 95 green, 145 blue). The style for the Sub tle is Cambria, Italics, 16 points, light blue (79 red, 129 green, 189 blue). The style for the Heading is Cambria, ALL CAPS, Bold, points, blue. The style for the paragraph text is Cambria, regular, 11 points. 7. Manage the forma ng of text and photos well so that you keep this table limited to one page. Note the Page Break under the table. As you enter text and pictures, the table will stretch to the bo om margin. It will automa cally move to a page 2 if you write too much or your photos are too large. 8. Save. Close. Open the Page 2 Template.
5 Posi on of the photo Click on With Text Wrapping where the photo is in the upper right hand corner for most of your body paragraphs. Wrapping text around the photo Click on Tight so that the photo fits snuggle within your text and you can move your photo around as needed. Cropping and resizing the photo

The style for the Quote is Cambria, Bold, Italics, 14 points, aqua blue (49 red, 132 green, 155 blue). 2. Headings and Paragraphs sugges ons: Because of your support... describe the donor s impact on a par cular program or capital project and include a photo of that venue (e.g., lab, students in ac on, building, project). Describe donor s impact on a faculty member/physician and include a photo and thank you sen ment from that person. Describe donor s impact on a student/fellow/pa ent and include a photo and thank you sen ment from that person. 3. You can have 2 3 body paragraphs and insert 1 3 photos. 4. Manage the forma ng of text and photos well so that you keep this table limited to one page. Note the Page Break under the table. Headings and Paragraphs two sugges ons: Financial/giving/fundraising update of some kind (narra ve, pie chart, bullet list with endowment fund balances, total giving for a year or # of years, growth of a fund over me, etc). Service line mission: demonstrate to donors how their support helps UC San Diego achieve the mission of this service line, department, ini a ve, campaign, etc. Include a photo of the building, students, or lap, or include a symbolic image or logo. 2. Middle row in dark blue can be a thank you message with the contact informa on for the DOD or some other leadership person on campus. The style for the Thank You is Cambria font, Bold, Italics, 12 points, white. The style for the Contact informa on is Cambria, regular, 11 points, white. You can keep the background color dark blue or change it. 3. You can have 2 3 body paragraphs. You can insert 1 3 photos and a chart. 4. Manage the forma ng of text and photos well so that you keep this table limited to one page. 5. Save your work. Close the document.
9 Addendum Cover Template 1. The style for the Title of the Addendum Cover is Cambria, regular, 36 points, blue (54 red, 95 green, 145 blue). 2. The style for the descrip on of the a achments is Cambria, italics, 12 points, gray (89 red, 89 green, 89 blue). 3. This page follows the last report page. 4.
