1 "Step Sheet: Creating an Excel Spreadsheet with Bar Graph" Using Microsoft Excel Spreadsheets with Data This step sheet will help you create a data table and bar graph in Excel. Opening Microsoft Excel Click the Start menu button then point to Programs. The Programs submenu appears containing the Microsoft Excel icon. Clidk the Microsoft Excel icon to open the program. A new blank workbook should automatically appear. If not, from the File menu choose New, and select a new blank workbook from the dialog box. When the new workbook opens, you will have a blank spreadsheet ready to accept your text and data. Setting Up the Data Table Find the cell number A1 and click the cell with the cursor. Type Car Color, then press Enter. Click the cell number B1. Step 4 Type Number of Cars, then press Enter. Step 5 Click the cell number C1. Step 6 Type Fractional, then press Enter. 2 Step 8 Type Decimal, then press Enter. Step 9 Click the cell number E1. 0 Type Percent, then press Enter. 1 Click the cell number A2. 2 Type Black, then press Enter. 3 Click the cell number A3. 4 Type Blue, then press Enter. 5 Continue this process, clicking the next row in column A, then entering the appropriate color until you get to A12 Yellow. 6 Click the cell number A14. 7 Type Total. 8 Click the cell number B2. 9 Insert the number of cars you tallied for the color: Black. 0 Continue this process down column B. 1 Click the cell number B14. 2 Type =SUM(B2:B12). 3 3 Click the cell number C2. 4 Type =B2:B14. 5 Click the cell number C2. Highlight =B2:B14 in the formula bar. Click copy. 6 Highlight cells C3 through C14. Click paste to paste the same formula from 0 in each cell. This will calculate the fractional representation of car 7 Click the cell number C14. 8 Type =(C2:C12). 9 Click the cell number D2. 0 Type =C2:C14. 1 Click the cell number D2. Highlight =C2:C14 in the formula bar. Click copy. 2 Highlight cells D3 through D14. Click paste to paste the same formula from 6 in each cell. This will calculate the decimal representation of car 3 Click the cell number E2. 4 Type =D2:D14. 5 Click on the cell number E2. Highlight =D2:D14 in the formula bar. Click on copy. 4 6 Highlight cells E3 through E14. Click paste to paste the same formula from 0 in each cell. This will calculate the fractional representation of car 7 Click the cell number E14. 8 Type =(E2:E12). Creating a Bar Graph Before you can use the Chart Wizard to create a graph from your data table, you must use the cursor to drag through the information you want to be graphed. You will not need to include the title in the cells you highlight for your graph. Click and hold the left mouse button on cell A2. Drag the cursor diagonally to cell B12 to highlight the needed cells. Click the Chart Wizard icon on the toolbar. Step 4 Select Column under the Chart Type option. Click Next. Step 5 When the Data Range window opens, you do not need to select anything. Click Next. Step 6 The Chart Options window opens. Here is where you can customize the chart you are creating. Click the Chart title: box and type Car Tally. Click the Value (X) axis: and type Car Color. Click the Value (Y) axis: and type Number of Cars. Step 7 Click the Gridlines tab. Make sure that under the Value (Y) axis the Major gridlines box is checked. Step 8 Click the Legends tab and deselect the Show legend box.
