1 TTMAC Sale Guidelines Fall 2015 VENDOR INFORMATION How to Become a Vendor 1. Ensure your TTMAC membership is current 2. Obtain a Vendor # by ing salecoordinator@ttmac.org PRIOR to the Registration Date 3. Register online at ttmac.org/events with your Vendor # starting on the Registration date o Select your 1 st and 2 nd choice for volunteer shifts and list any special considerations o Your assigned shift and role will be ed ~ 2 weeks before the Sale After Registration has been open for 2 weeks, any remaining spots will be available to Non-Member friends of participating Vendors o Maximum 1 friend/ Vendor o Preference for friends that have items for age 3+ (where Buyers are seeking more inventory) Withdrawing as a Vendor (by Member or Non-Member) without extenuating circumstances may results in loss of the Member s Vendor privileges for the following 2 sales o All registered Vendors are needed to have sufficient volunteers, items & commission to cover costs Vendor Responsibilities Sell only quality clothing free of stains, holes and significant wear & items in good working order o According to Health Canada, everyone holding a garage sale is legally responsible for ensuring that products being sold, whether new or used, are safe and meet current regulatory requirements. It is important to only sell items that are in good condition. Damaged articles should be discarded. Check with the manufacturer and Health Canada to see if it has been recalled and if the problem has been corrected. If it has been recalled and the problem has not been or cannot be corrected, do not sell the product. Destroy it so it cannot be used by anyone else, and throw it away. Sell only your own items (selling other Member/ Non-Member items is not allowed) Drop off sale items on the Sale Friday from 2-6 PM and pick up unsold items on Saturday from 4-5 PM Complete a full 4-hour volunteer o Most shift start times fall between: Friday: 2 & 4 PM or Saturday: 8 AM & 1 PM o Please arrange childcare as required

2 VENDOR INFORMATION (continued) Vendor Shifts Vendors will be assigned a volunteer shift and position (see Vendor Shift Positions) Leave jackets & valuables at home or locked in your vehicle there is no place to store them Drop-off must occur prior to your shift start time When you ARRIVE for your shift: 1. Sign in at the Vendor Station 2. Obtain a name tag and t-shirt (Saturday only) 3. Get directed to your Department Lead for a description of duties Light snacks and refreshments will be provided Shopping during your shift is not permitted Direct questions to your Department Lead (Blue Aprons). If they are unable to assist, they will seek out a Sale Coordinator (Red Aprons) for assistance When you FINISH your shift: 1. Sign out at the Vendor Station 2. Return all volunteer apparel If you are unable to work your shift due to an emergency, please contact salecoordinator@ttmac.org ASAP At the discretion of TTMAC, failure to complete your assigned shift could result in 50% of your sales being retained and vendor privileges being revoked o Signing in and out confirms that you have worked your required shift Vendor Payment/ Sold Tags 18% of Member s and 25% of Non-Member s total sales are retained by TTMAC to pay for Sale rentals, advertising and supplies Cheques will be available at the TTMAC Office 1 week after the Sale. Remaining cheques will be mailed out approximately 3 weeks after each sale Tags from sold items can be picked up at the TTMAC office after cheques have been processed o Leftover tags are destroyed prior to the next Sale Post-Sale Vendor Notifications The Sales Team will feedback to Vendors that violate the Guidelines o Multiple significant violations/ notifications may result in a loss of Vendor privileges

3 ITEM GUIDELINES BOTH SALES SPRING SALE FALL SALE ACCEPTABLE Strollers, High Chairs, Bouncy Chairs, Exersaucers, Jumpers, Swings, Booster Chairs, Gates, Bed Rails etc. Newborn Needs: Burp Blankets, Bibs, Swaddlers, Sleepsaks, Newborn Hats, Slings, Carriers, Nursing Pillows, Bedding, Mobiles, Monitors, Bathtubs, Potties, Diaper Bags, Diaper Pails, Unopened Diaper Boxes etc. Onesies T-Shirts, Long Sleeved Shirts Hoodies, Light Sweaters Jeans (not lined), Jogging Pants, Leggings Fleece Jackets, Light Jackets, Vests Socks, Tights Shoes, Robeez, Slippers Swimsuits Dance, Karate, Guide & Scout attire Toys, Puzzles, Dress-up items Books, DVDs NOT ACCEPTABLE Car Seats, Furniture (Cribs, Change Tables, Playpens, Bassinets, Mattresses etc.) Baby Walkers (they are banned in Canada) Cloth Diapers & Covers, Training Pants, Reusable Swim Diapers Bottles, Bottle Warmers Feeding Items (Utensils, Plates, Bowls, Cups etc.) Stuffed Toys that don t have a feature (moves, makes noise, lights up) Liquid Filled Toys, Teething Rings Bike or Ski Helmets, Skis, Snowboards, Ski or Snowboard Boots Undergarments (Bras, Panties, Underwear) Room Décor (Lamps, Picture Frames etc.) Free or Promotional items (Healthy Parents Healthy Children Books, Nestle Bags, McDonald s Toys etc.) Items that are outdated or stained, missing buttons, damaged etc. (regardless of price) Improperly or Un-tagged items NOT ACCEPTABLE Turtlenecks, Thick Sweaters Lined Pants, Thick Corduroy Pants Halloween, Christmas, Winter, Valentine s or St. Patrick s Day-themed items Winter Outerwear (Jackets, Snowpants, Snowsuits, Boots, Mitts, Toques, Scarves etc.) Winter Equipment NOT ACCEPTABLE Tank Tops, Short Sleeve Button-Up Shirts T-Shirts smaller than Size 3 Shorts, Capris Summer Dresses, Raincoats Flip Flops, Sandals, Water Shoes, Rain Boots Sun Hats Maternity Bicycles, Tricycles, Outdoor Sporting Equipment, Sand Toys, Large Outdoor Toys

4 TAGGING Only use tags provided by TTMAC o Obtain tags at the TTMAC Office or from the Board/ Sale Team homes (see Tag Distribution List) o Tags cost $1.00 per 200 tags, which will be deducted from Vendor sale cheques Prices must be 0.50 or higher, and in 0.50 increments only (0.50, 1.00, 1.50, 2.00 etc.) o Do not use dollar $ signs Describe any missing pieces or parts that don t work in the Item Description o Must still be a quality usable item Attach clothing tags with safety pins or tagging guns only (see Tagging Gun Information) o Use tagging guns only at seams or through the clothing s tag to avoid holes Attach toy, equipment & book tags with clear tape on the top part of the tag only o Do not tape the perforations or the bottom of the tag Use Ziploc bags or tie together small toys, shoes etc. Do not ziploc clothing All battery-operated items must have working batteries to test function Tags must be completed exactly as illustrated: o If the price is not on the top of the tag and the bottom becomes detached, the item can t be sold

5 SORTING/ BOXING Hangers must be used for the following items: o Jackets, snowsuits, dresses, boys dress clothes, Halloween costumes, Maternity wear All shoes, boots & socks must be grouped together by size o Place items of each size in a tied-up plastic grocery bag o Label each bag with the size contained inside using a marker Pack all tagged items into cardboard boxes or reusable plastic bins by Category o Separate Boys & Girls clothing o Group together Tops, Bottoms & PJs o Multiple Categories can be combined in a bin/ box; please separate them with a piece of paper o Larger items do not need to be boxed (Jolly Jumpers, large toys etc.) All cardboard boxes & bins need to be clearly labeled using an 8x10 paper on the side of the box with: 1. Vendor # 2. Category/ Categories: Preemie 0-3M 3-6M 6-12M 12-18M 18-24M 24M/ Size 2 Size 3-4 Size 5-6 Size 7-8 Size 9+ Maternity Hangers Footwear (Shoes, Boots, Socks, Tights, Soccer Cleats, Dance Items) Seasonal (Swimsuits, Hats, Mitts, Scarves, Halloween & Christmas Outfits, Skates etc.) Newborn Needs (Burp Blankets, Bibs, Newborn Hats, Slings, Carriers, Diaper bags etc.) Toys (Games, Puzzles, DVDs, VHS) Books o Label Example: VENDOR # M All plastic bin lids need to be marked with your Vendor # only Plastic bins & lids will be returned to Vendors Specific cardboard boxes provided by Vendors will not be tracked. Vendors will be provided with cardboard boxes for their rejected or unsold items that may be different from those that were provided. Surplus boxes will be available to Vendors at Pickup

6 DROP OFF & PICK UP Drop Off Occurs on the sale Friday, 2 PM - 6 PM o Enter through the metal doors to the west of the main entrance o Late Vendors may have sale privileges revoked Drop off must occur before the start of Friday volunteer shifts o Please arrive early so that you start your shift on time Vendors must sign a Waiver that includes selecting if your unsold items will be: a) Picked up b) Donated to TTMAC You will be directed where to leave your items Once all boxes/ items have been checked in, you may leave Vendors wishing to retain their cardboard boxes may stay for Sorting Pick Up Occurs on the sale Saturday, 4 PM - 5 PM o Any items not picked up by 5 PM will be donated or discarded Includes all unsold and rejected items o Rejected items will be clearly labeled with a reject form Before Leaving: 1. Inspect your unsold items to check that you don t have any from another Vendor # 2. Take any items you wish to donate to the Donations table 3. Check the Lost Tag table for items without tags 4. Sign the Waiver to confirm you have received all your unsold items, boxes and bins
