1 Analytical Study of Usage of software technology for managing academic activities by Management Institutes affiliated to University of Pune Prof. Neeta N. Parate BSc (Computer Appl.), MCA, PhD(Appeared) ASM s IBMR, Chinchwad ABSTRACT : This research is mainly focus on software utilization for managing academic activities at Management Institute under university of Pune. This research has tried to find the working module for management institutes identified the needs and gaps in the current system, also researcher has suggested the proposed model for management institutes. Introduction : This research study is based upon the Ph.D. degree registered with university of Pune, from research centre Allana Institute of Management Studies, Camp, Pune. Primary-Data has been collected from 72 management institutes under university of Pune, by filing well formulated questionnaire and detailed interview taken by the technical concern person responsible for maintenance of software. The respondents for data collection was Teaching Staff at Management Institutes total 555 sample. Students of management courses 318, and System administrators of computer laboratory of management institute in Pune 53 samples. Total 926 samples were collected, the collected data was then analyzed using IBM s SPSS software for further reference. Background : Automation of manual activities has shown tremendous change how dealing with data has change the most noticeable example is bank management system, automation has change the world of employees as well as users of the system. This study focus on software usage at management institute first tries to find the current system and then suggest a working model for Management Institutes under University of Pune, Pune. Literature Survey : The origin of using computer hardware & software in education dates to 1940 s, type19 synthetic radar trainer, built in Pioneering educational computer systems in this era included the PLATO system (1960), developed at the University of Illinois, and TICCIT (1969). In 1963, IBM had established a partnership with Stanford University's Institute for Mathematical Studies in the Social Sciences (IMSSS), directed by Patrick Suppes, to develop the first comprehensive CAI elementary school curriculum which was implemented on a large scale in schools in both California and Mississippi [1]. In 1967 Computer Curriculum Corporation (CCC, now Pearson Education Technologies [2]) was formed to market to INCON X
2 schools the materials developed through the IBM partnership. Early terminals that ran educational systems cost over $10,000, putting them out of reach of most institutions. Some programming languages from this period, particularly BASIC (1963), and LOGO (1967) [3] can also be considered educational, as they were specifically targeted to students and novice computer users. The PLATO IV [4] system, released in 1972, supported many features which later became standard in educational software running on home computers. Its features included bitmap graphics, primitive sound generation, and support for non-keyboard input devices, including the touch screen. The arrival of the personal computer, with the Altair 8800[5] in 1975, changed the field of software in general, with specific implications for educational software. Whereas users prior to 1975 were dependent upon university or government owned mainframe computers with timesharing, users after this shift could create and use software for computers in homes and schools, computers available for less than $2000. By the early 1980s, the availability of personal computers including the Commodore PET [6], and Apple II allowed for the creation of companies and nonprofits which specialized in educational software. Broderbund and the Learning Company are key companies from this period, and MECC, the Minnesota Educational Computing Consortium, a key non-profit software developer. These and other companies designed a range of titles for personal computers, with the bulk of the software initially developed for the Apple II. Rational & Significance of Study : In this study efforts will be made to utilize software tools at optimum level to promote competitive intelligence in education & training. In day-to-day operations to drive institutional excellence Software Technology can be used from Admissions, Finance, HR, Marketing, Teaching Learning Process, Event Management, Advanced Educational facilities like E-Learning, Result(Data) Analysis etc. Research Methodology : Research methodology is descriptive, based on primary data collected with the help of, well design questionnaire for different level of users at management institutes. 1. For teaching staff i.e. Faculty Members. 2.For System Administrator or Technical Assistant. 3.For Management student doing MBA, MCA(Mngt), MMM, PGDBM etc. Objectives of the Study : To find out the existing system for handling academic & administrative activities. To suggest a new software model such as ERP for cost effective & performance based academic & administrative functions of Management Institute. To investigate the various issues that affect successful implementation of ERP in educational institutes. INCON X
3 To examine the impact of implementation of ERP on the concerned educational institutes. To identify the difference the Critical Success/Failure Factors with respect to implementation of ERP in educational institutes. To formulate a framework/model for effective implementation of ERP on educational institute. Hypothesis Testing : Hypothesis I Purpose : To study whether Usage of Software is Necessary in Management Institute as perceive by faculty members. Statistical Test : Sign Binomial test Variables and Measurements: Respondents were asked to comment on Necessity of Usage of Software in Management Institute. Four variables was originally measured on a 5 point scale later this was converted into 2 point scale (1=agree, 2=disagree) using The recode into different variable command of IBM SPSS. Null Hypothesis: P=0.5 H0 ( Faculty members of Management Institutes does not perceives, Necessity of Software in institutes.) Alternate Hypothesis: P 0.5 H3 (Faculty members of Management Institutes perceives, Necessity of Software in institutes.) Binomial test for the following four variables is as shown below : 1. Automation of all the academic activities for Management institute is beneficial for students. 2. Are you happy with attendance maintenance system at your institute 3. ERP implementation in academic organization will improve the overall performance. 4. Online examination are more effective than manual. Level of Significance : 0.05 Binomial Test INCON X

5 Automation of academic activities for the management institute is beneficial for students, Observed Proportion =0.92, Test Proportion =0.5, P value = Happy with attendance maintenance system at Management Institute, Observed Proportion =0.97, Test Proportion =0.5, P value = ERP implementation in academic organization will improve the overall performance. Observed Proportion =0.99, Test Proportion =0.5, P value = Online examination are more effective than manual. Observed Proportion =0.99, Test Proportion =0.5, P value = Hence more than 50% of the respondents are agree with Necessity of usage of software at the Management Institute. Conclusion : From the above SPSS output it can be concluded that more than 50% of respondents perceive the following : a. Automation of academic activities for the management institute is beneficial for students, b. Happy with attendance maintenance system at Management Institute. c. ERP implementation in academic organization will improve the overall performance. d. Online examination are more effective than manual. Since P value(0.00) is less than level of significance(0.05) null hypothesis rejected thus it can be concluded that the faculty members of Management Institute are agree that there is Necessity of Usage of Software. Hypothesis II Purpose To study if there is any relationship between software implementation and efficiency. Statistical Test : Chi-square Test of Contingency. Variable and Measurement : 514 teachers were asked about usage of software and efficiency derived due to the usage of software was a categorical variable with 2 response option : 1=YES, 2=NO. Efficiency was also a categorical variable with 2 response option : 1=Improvement in efficiency 2=No change in efficiency H0 : There is no relationship between usage of software and efficiency. H1 : There is a significant relationship between usage of software and efficiency. INCON X

7 Since the P value is more than 0.05 but less than 0.1 the Null Hypothesis rejected hence the relationship is partially significant it can be therefore concluded that there is a relationship between software usage and efficiency. From the cross tabulation it can be seen that out of 99 institute said that they have implemented educational software 97% agree that there is improvement in efficiency. Hence usage of software has a positive impact on efficiency. Proposed Model for Management Institute : Researcher has come up with proposed Conceptual SIMMRAMI model to perform all academic activities more efficiently and accurately at management institutes in Pune. S I M M R A M I MODEL FOR MI UNDER UOP Abbreviation Stands For : Software Implementation Model for Managing Regular Activities at Management Institutes under University of Pune. This model gives basically standards and policy document and time frame for meeting the standards. Collections of document which will standardize the colleges as per certain guideline unambiguously state the policy of the model: Policy settings and guideline prescription for the suggested model will be based on following : 1. As prescribed by AICTE specifications provided for management institutes. 2. As proposed by researcher based on real time observations. 3. As obtained from the Model institute like IIM etc. 4. As obtained from Pilot Survey based on interviews of concerned users of the system from different management institutes. 5. As obtained from Primary data collected by researcher during the current research. 6. As obtained from Secondary data collected while performing literature survey. Policy and Time Frame for Meeting the Standards : By Procurement (New) By Substitution (Old replace by New) By restructuring or changing usage policies of existing software. By specifying IT policies and infrastructure guide lines. By specifying security policies and guidelines. 8 Diagram : SIMMRAMI Model for Management Institutes under University of Pune Major Findings & Conclusion : Most of the Management Institutes has already automated their Library Management System Accounts Management System Log in log out is through Biometric, Card Reader or Card Swapping system is implemented for staff members. Teaching learning aids has modernized from OHP to LCD projector. Few numbers of institutes has implemented Language Labs for improvement of communication skills of students. Few numbers of institutes are using SPSS software for research related work. Many rather all the institutes are using Microsoft office software for their daily work such as documentation, data analysis like attendance & result analysis, and power point presentation for teaching learning process, & presentation etc. Management institutes are having prescribed number of computers in their lab with internet facility & Wi-Fi facilities. Suggestions & Recommendation Researcher wants to suggest the workable package model for the functioning of management institutes so that the entire task should get performed within short time span smoothly. 9 Workable packaged module if we consider then the best solution is Enterprise Resource planning i.e. ERP. Literature about ERP has shown many important points about the implementation difficulties & typical success factor which has been already discussed in literature survey. 1.
